Following Guidance issued by the Government, we’ve aligned our working practices in order to protect the Health, Safety and Wellbeing of all employees during the Coronavirus (COVID-19) outbreak.

The situation with Coronavirus (COVID-19) is changing daily and we’ll continue to review the government advice and update this document accordingly.

This document offers guidance and support on how to look after yourself and your family, alongside useful links with the most up to date information.

You can also keep up to date on local advice through the UK Government website and the Scottish Government website.

1. Taking care of yourself and othersHere are four things we ALL need to do now:

1 Personal HygieneFollow hygiene advice and handwashing guidelines, remain at least 2 metres from people, avoid social gatherings and only travel where essential.

2 If you are unwell, self-isolate.Be aware of the symptoms of Coronavirus (COVID-19). If you have any symptoms, please follow the guidance and self-isolate. If you do self-isolate, please contact your People Leader to let them know.

3 Update your personal details in People Platform.It’s important that we have your personal details. Log into Employee Self-Service - Login People Platform to update your contact details, including contact number, any underlying health conditions and recent absences. Further guidance on how to do this is detailed below.

4 Know who to contact if you need supportIt’s important to know you are not alone at this time. Please keep in regular contact with your People Leader and colleagues.

Know the symptoms and when to actThe most common symptoms of Coronavirus (COVID-19) are fever, tiredness, a dry cough, and shortness of breath.Some may also experience aches and pains, nasal congestion, runny nose and sore throat or diarrhea.Symptoms are usually mild and begin gradually. Some people become infected but don’t develop any symptoms and don't feel unwell. Most people (about 80%) recover without requiring special treatment. Older people, and those with underlying medical problems are more likely to develop serious illness. People with fever, cough and difficulty breathing should seek medical attention.If you are concerned that you are experiencing any of the above symptoms, you should firstly complete the NHS 111 online check: https://111.nhs.uk/covid-19

Vulnerable GroupsAs per Government and NHS guidelines, those who are at increased risk of severe illness from COVID- 19 should be particularly stringent in social distancing measures. Things we can ALL do to reduce the spread

✓ Cover your mouth/nose with a tissue or sleeve when you cough or sneeze✓ Put used tissues in the bin straight away✓ Wash your hands frequently with soap and water for 20 seconds and use hand

sanitiser gel where available✓ Don’t touch eyes, nose or mouth if your hands are not clean✓ Try to avoid direct contact with other people (keep a 2m distance)

2.IT and Working from HomeWorking from HomeRobertson has a responsibility to ensure the health, safety and wellbeing of employees. Part of this responsibility is to ensure a safe working environment, and this still applies if you are working from home.

If you have any concerns whilst you are working from home, either due to your workspace or other factors, please raise this immediately with your People Leader.It might not be possible for Robertson to implement or provide you with all the necessary equipment at this time, and it is not expected that you will need to purchase specialist equipment to enable you to work at home.If you are equipped with a Robertson issue mobile phone, please ensure you have a charger, and your details are up to date on Delve.

Working at home assessmentIf you are going to be working from home for an extended period, ensure where possible, that you have the necessary accessories when working from your laptop such as a mouse, keyboard, screen (or laptop riser).You should also apply similar furniture and equipment standards to a home workstation as you would in an office. A suitable desk and adjustable chair will normally be required to reduce the risk of musculoskeletal problems.It is vital to ensure the maintenance of good hygiene with your workstation. Continue to clean the work area using anti-bacterial wipes, paying attention to keyboards, mouse and mobile phones. If possible, have availability to hand sanitizer at your workstation in order to maintain regular cleaning of hands.A new eLearning course is also available on Robertson eAcademy - Coronavirus and Working from Home - please use Robertson email address and password is Robertson1.

Virtual MeetingsWhilst we need to eliminate face-to-face meetings in response to Coronavirus, we have ability for virtual internal/client meetings. Use Microsoft Teams to host meetings with internal colleagues and with external clients. Please use Microsoft’s Teams Quick-Start guide to familiarise yourself with this. When sending a “Meeting Invite” from Outlook, click on the “Teams Meeting” button, to add Teams to your meeting invite. Please reference the following RMS document for further guidance > Guidance on using Microsoft Teams for Online Meetings

New Service Available that allows Video Conferencing Devices to Join Teams MeetingsMicrosoft Teams has been a great enabler in allowing our people and teams to keep in touch during the COVID-19 pandemic. As we move into a phase where people will be working from home and colleagues in a permanent office environment or site, it is important that our people can continue to keep in touch through Audio and Video solutions.

The IT Department has been exploring opportunities to utilise the Video Conferencing (VC) hardware we have already invested in at each of our regional offices and largest sites. Having tested a couple of solutions we have worked with a partner to get a trial of a service which simply allows VC Systems to join organised Microsoft Teams meetings.

How will this work?

When you generate a MS Teams meeting invite from your Microsoft Outlook, you will now see an extra section, ‘Join with a video conferencing device’, has been added to the

invite (as shown below).

The VTC Conference ID is a unique number that will be generated for each meeting invite and this will be the number you are prompted for when joining a Teams meeting from a VC system. If joining a meeting from a PC, Tablet or Mobile you Join the meeting as normal you do nothing different. There is no restriction on the number of people that can join the Microsoft Teams Meeting.

To make things easier for people to connect to the meeting from a VC system, IT has prepopulated the Address Book on each of the VC systems listed in the table below with a shortcut for Microsoft Teams. Note- any VC systems not listed can have a shortcut added by request.

When you are ready to Join the Meeting;

(1) Select Microsoft Teams from the Address Book or Recent Contacts on the VC System

(2) Have your meeting invite close by (3) When prompted enter the VTC Conference ID followed by the # key (4) You will now be in the Teams Meeting

Cyber securityUnfortunately, Cyber criminals are preying on fears of the Coronavirus. If you receive an email requesting you to provide personal details (even email address and password), urgently pay bills, release monies or links to websites that you are unsure about, please treat it as suspicious. If in doubt, do not open it and instead contact the IT Support desk and delete the message. However stressful the situation appears, please do not deviate from your business processes. These criminals will leverage the change in working protocols and apply a stressful situation to defraud you or the business. Please consider this guidance about suspicious emails and phishing scams. Please also spend a few minutes to watch this video about cyber security from the UK Government.

IT SupportThe Group IT Service Desk is still available to help where we can. You can call 01786 437777 between the hours of 8:30 – 11:00 & 13:00 – 15:30 Mon to Fri. During this extremely busy time, it would be really helpful if you can continue to raise a ticket for all your IT requests .Like other teams and departments across the business, IT will have colleagues working from home and will continue to support as best as possible during this period. Please consider the urgency of the request you make to the IT Service Desk, especially if you have a workaround.

Username and updating your passwordMost usernames are simply ‘Forename Surname’, e.g., Mickey Mouse – the only exception to this is if your name is a duplicate in the business. You will have received an email advising you if your username falls under this - duplicate usernames have an added digit at the end.

Your password will initially be set as your National Insurance number with capital letters, e.g., AA123456A. If you have a Robertson email address you can use the forgotten password link underneath the password section to amend this – please keep a note of this safely or save this on your browser.If you do not have a Robertson email address, please contact [email protected] or on 01786 437734.Your new password must follow the rules below: Contain at least 8 charactersContain at least 1 number Contain one capital letter Contain one capital letter

Updating Contact DetailsPlease ensure your contact details, both personal mobile phone and home phone numbers, are kept up to date. This can be done on your Personal Tab in the “Contact information” section and by clicking on the add icon to “add contact details”.

Choose the relevant option from the drop-down list and then enter your contact details in the box below and click SAVE. You can add more than one personal contact.This information will only be used by your People Leader or their superiors to contact you, if business needs require during this period.

Updating Disabilities and Underlying Health ConditionsYour health, safety and welfare are priorities; therefore, we must take steps to introduce measures which will protect employees, following government guidelines. Understanding the number of employees in high-risk categories will help us to do this. Please be assured that any information provided is purely used for statistical purposes to aid decision making. You should ensure that you discuss any underlying health conditions with your People Leader, you can also update this on People Platform.To update any underlying health conditions on People Platform, use the Personal Tab once you log in to ESS. You then need to click on the “Sensitive Information” section.

You can then update any “Underlying Health Conditions” under the “Self-Certified Disabled” section.You can then add relevant detail in the “Disability Description” box below and then click SAVE.

4. Frequently Asked Questions (FAQs)Below are answers to some of the frequently asked questions the HR team has been receiving. This document will continue to be updated as required and in accordance with Government guidelines.

The schools and nurseries are closed. What support will I have to continue to work or work from home?Robertson is a family friendly employer, and we know that many employees have children of school age, or who attend nurseries. Inevitably, these closures will have an impact on our operations, and our ability to come to work.We ask that all employees who may be impacted by this attempt to source alternative childcare arrangements that may be available to them, whether this be on temporary basis, or for part of the working week.Discussing flexibility as to how and when you may be able to work is important. This might mean sharing responsibility with other care givers and partners so that each of you can attend work or work at home during the time, in some capacity.You may wish to discuss a short-term arrangement for flexible working with your People Leader in order to balance work and childcare commitments. In certain circumstances, flexible furlough or furlough leave under the Coronavirus Job Retention Scheme, may apply. You should discuss this with your People Leader in the first instance. For People LeadersWe encourage all employees to consider what alternative arrangements they may be able to put in place for childcare. This may mean sharing responsibility with other caregivers in the household and applying some flexibility to when and how duties are performed. The Flexible Furlough Scheme might be applied in some cases. Ultimately, if no work can be performed or alternatively arranged, furlough leave may be applied at the discretion of People Leaders. Both flexible furlough and furlough can be applied for using Robertson’s Flexible Furlough and Furlough request form.

I have symptoms of COVID-19 – What should I do? Symptoms of Coronavirus include:

New continuous cough Loss of taste or smell Fever

If you experience any of these symptoms, you should contact your people leader and self-isolate for up to 10 days from the start of your symptoms. You should immediately book a Coronavirus test (within 5 days of first symptoms) and keep your people leader informed. You should remain at home until you get the results of the test, and then follow the advice you will be given based on the result.

If you are unable to work from home (due to illness or the nature of your role), this must be recorded as sickness absence. All sickness absence must be recorded on People Platform (Reason for sickness are: ‘Infection – Coronavirus/COVID-19 related, Coronavirus/COVID-19 – Test & Trace or COVID-19 – Self Isolation’) and in accordance with Robertson’s Attendance Management Policy. If you do not have access to People Platform, you should ask your people leader to record this for you. You should also

provide an Isolation Note, which can be obtained from NHS online.

A temperature test at work has confirmed that I have a fever – What should I do? As above, you should contact your people leader and self-isolate for up to 10 days from the start of your symptoms. You should immediately book a Coronavirus test (within 5 days of first symptoms) and keep your people leader informed. You should remain at home until you get the results of the test, and then follow the advice you will be given based on the result.

If you are unable to work from home (due to illness or the nature of your role), this must be recorded as sickness absence. All sickness absence must be recorded on People Platform (Reason for sickness is ‘Infection – Coronavirus/COVID-19 related’) and in accordance with Robertson’s Attendance Management Policy. If you do not have access to People Platform, you should ask your people leader to record this for you. In line with our Attendance Management Policy, you should also provide an Isolation Note to your People Leader, which can be obtained from NHS online.

My test results are negativeIf you have tested negative within 5 days of displaying symptoms, this means you are likely not to have COVID-19.

If you do not have any known contact with someone else with known coronavirus, then you can go back to work once you feel well enough to work and have not had a fever for 48 hours.

If, after returning to work, you develop symptoms, you should again follow self-isolation guidance. Employees should discuss their return to work with their people leader and ensure that records are updated (period of sickness is ended) on People Platform.

My test results are positiveIf your test results are positive, you should continue to isolate for 10 days from the time your symptoms started. You may return to work after 10 days if you feel well enough and have not had a high temperature for 48 hours (without taking any medicines to treat a high temperature). A return-to-work discussion will then be held with your people leader.

If you are unable to work from home (due to illness or the nature of your role), this must be recorded as sickness absence on People Platform and the Attendance Management Policy should be followed, ensuring that confirmation of test results is provided.

I can’t access a test – What should I do? If for any reason you cannot access a test via a test site, mobile testing unit, NHS facility or hometesting kit, you will need to continue to self-isolate for 10 days from time your symptoms started.  Aself-isolation note should be provided, along with evidence that you have been unable to access atest (e.g., screenshot from online booking system). You can then return to work if you feel well andhave not had a high temperature for 48 hours (without taking any medicines to treat a hightemperature).

Another member of my household has symptoms of COVID-19 – What should I

do? Everyone in the household will be required to self-isolate for up to 10 days and ensure that the person affected books a Coronavirus test immediately (within 5 days of the first symptoms). You must contact your people leader and ensure your absence from work is recorded as sickness on People Platform if you are unable to work from home (this should be recorded as Sickness absence - COVID-19 – Self Isolation).

If you are normally site based and are required to self-isolate for this reason, you may, in some cases, be able to make arrangements with your people leader to work from home for the isolation period. In this instance, it should be recorded on People Platform as Special Leave – ‘COVID-19 – Self Isolation’.

If all test results in your household are negative and you do not have any symptoms, you may return to work immediately following the results. If you develop symptoms, refer to Q1.

I have been in contact with someone who has tested positive for COVID-19 – What should

I do? If you have been told you are a contact or live with someone else with known coronavirus, or with symptoms who hasn’t been tested, then you and your family should follow the self-isolation guidance for households and extended households.

If you don’t have symptoms but have been in contact with someone symptomatic who is part of an extended household 2 days before their symptoms started or up to 10 days after their symptoms started, you should isolate for up to 10 days. The 10-day period starts from the last time you were in contact with the symptomatic person.

You should discuss this with your people leader and remain in contact with them throughout your period of absence.

If you are unable to work from home, this must be recorded as sickness absence on People Platform (COVID-19 – Self Isolation).

If you are normally site based and are required to self-isolate for this reason, you may, in some cases, be able to make arrangements with your people leader to work from home for the isolation period. In this instance, it should be recorded on People Platform as Special Leave – ‘COVID-19 – Self Isolation’.

If you develop symptoms during the period of isolation, you should arrange to be tested, as explained in Q1.

If all test results in your household/extended household are negative and you do not have any symptoms, you can return to work immediately following the results.

I have been contacted by Test and Protect (Scotland) or Test and Trace (England) – What should I do? You should immediately contact your people leader and self-isolate for 10 days. If you are unable to work from home, this should be recorded on People Platform as a sickness absence (COVID-19 – Test & Trace). Evidence of contact from NHS should be provided in line with the Attendance Management Policy.

If you are normally site-based and are required to self-isolate for this reason, you may, in some cases, be able to make arrangements with your people leader to work from home for the isolation period. In this instance, it should be recorded on People Platform

as Special Leave – ‘COVID-19 – Self Isolation’.

If you do not develop any symptoms of Coronavirus, you do not need to have a test and you can stop isolating after 10 days.

If you develop symptoms within the 10 days, you should get a test to check if you have coronavirus as soon as possible.

If the test is negative, you should continue to self-isolate for the rest of the 10 days when you were last in contact with the person who has coronavirus.

If you test positive, you must self-isolate for at least 10 days from when your symptoms started. Please ensure that you update your people leader and that People Platform is updated accordingly with the appropriate reason for absence.

I have an underlying health condition,), or I am over 70, and can’t work from home.If you are Critically or Extremely Vulnerable (CEV) and have been advised to stay at home to self-isolate in line with the Government guidance, we request that you take such advice and remain at home.You may arrange directly with your People Leader alternative arrangements, for example working at home. If this isn’t possible due to the nature of your job, we still request that you remain at home.You will normally be able to receive either Company Sick Pay, or SSP during this time. If this isn’t appropriate or available to you, then you may discuss with your People Leader whether alternative arrangements, such as furlough (in some cases), might apply. What is important is that you take the necessary steps to protect yourself and other employees working alongside you. Your People Leader may ask that you refrain from coming to work if you fall into this category.Please also ensure that your record on People Platform, Employee Self-Service is up to date by following the previous guidance in this document.

I am self-isolating but working at home, will my pay be affected?We understand that some employees for various reasons will be required to self-isolate. Please be in contact with your People Leader so you can continue to be supported in your role.If you can work at home, which many of us are able to do, then your pay will not be affected.We thank all employees who are offering flexibility and commitment during this unprecedented time.

If you can work at home, which many of us are able to do, then your pay will not be affected.If this is not an option for you, then you will be able to receive either Company Sick Pay or Statutory Sick Pay during this time. Alternatively, you may discuss this with your People Leader whether an element of special leave, furlough or flexible furlough may be applied.

I am self-isolating because I live with a Clinically Extremely Vulnerable person, is my pay affected?We understand that some employees may live with extremely vulnerable individuals where shielding applies. If you can work at home, which many of us are able to do, then your pay will not be affected.If this is not an option for you, then you will be able to receive either Company Sick Pay or Statutory Sick Pay during this time. Alternatively, you may discuss this with your People Leader whether an element of special paid leave may be applied.

I’m self-isolating and not well enough to work.If you’re not well enough to come to work, please make sure that you are keeping your People Leaderup to date and that your absences are recorded on People Platform. Regular communication is required.

How is absence from work due to self-isolation or sickness recorded?If you are unable to come to work, or work from home either due to illness or self-isolation, related to COVID-19, your People Leader or Business Support contact will be able to record your absence in People Platform under the following headings.You should also complete and return the self-isolation form via the NHS website. On the form, you are able to direct this form by email to your People Leader. If you don’t have the email address of your People Leader, you should direct this to your HR department. This form is only required for people who:

have symptoms of coronavirus (COVID-19) and have used the 111 online coronavirus (COVID-19) service

have been told by a healthcare professional they have symptoms of coronavirus (COVID-19)

live with someone who has symptoms of coronavirus (COVID-19)If you are not sure if you need to stay at home, get the latest NHS advice on coronavirus (COVID- 19).

If you need to stay at home and feel well enough to work, ask your People Leader if you can work from home. If you can work from home, you will not need an isolation note.People Leaders: Please forward any self-isolation forms to you relevant HR contact email address and [email protected].

However, if your role is normally site based and you have made arrangements to work from home for a short-term period, this should be recorded as “Special Leave – Covid19 related”.

Normal pay applies.

*Statutory Sick Pay will apply if company sick pay expiresYou do not have to record on People Platform if you are working at home, although we encourage you to have regular virtual meetings with your People Leader and colleagues.

If required, flexible furlough and furlough leave can be applied for using this form.

Can I claim for expenses I incur because I am working at home?Most office-based employees have work provided laptops and mobile phones. For those who don’t ask for a laptop or mobile phone to be provided. No expenses will be paid for individuals buying their own IT equipment.

I am pregnant, and I am worried about COVID-19.We know this will be a worrying time for you. Please be assured your safety and wellbeing is paramount. We have identified all employees who we know are pregnant, and necessary steps have been taken to isolate them from the workplace. If you think you may be pregnant or haven’t told your People Leader yet that you are pregnant it’s advisable that you do in order to protect yourself and your baby. Guidance is also available online.

My partner is pregnant, and I am worried about COVID-19. We know this this will be a worrying time for you and your partner. Please be assured the safety and wellbeing or our employees is paramount. If you think your partner may be pregnant or haven’t told your People Leader yet that you are expecting a child, it’s advisable that you do in order to protect you and your family.

I have annual leave booked and my holiday has been cancelled. Can I cancel my annual leave?We understand that many of you had some time off booked for a planned holiday, or to get away from work for a few days. With the cancellations, we understand that you will be considering what to do with your leave now that you aren’t getting to go on your holiday.We encourage all employees and People Leaders to review their leave plans for the year, to ensure workforce planning and continuity can be managed, whilst balancing the need for regular time off work.If you have annual leave booked, please speak with your People Leader in the first instance to discuss how this can be managed with operational requirements. We ask that employees who do wish to cancel periods of leave give as much notice as possible to their People Leader.
