MAILROOM SERVICES

To help minimize mailing expenses, Mailroom Services can assist your school or department with the following types of mailings:

First Class Mail - Metered

Provides a safeguard for District assets and an efficient way to account for monies spent on postage. First Class Mail –Metered Procedure:

• Use the postage meter when mailing first class mail. Envelopes that are not sealed should be left with the flap up and rubber banded.

• Please make sure your site name is on the return address.

• First class mail may be sent to the mailroom by District trucks.

First Class Mail - Postage Stamps Procedure: Please send a memo - original and 3 copies with budget and number of rolls needed (2 rolls maximum per order).

Express Mail – Overnight Procedure:

Please send a memo with the name, address and phone number of recipient and your budget number, along with contents in an addressed manila envelope.

Certified Mail Please place certified mail on the mailroom clerk’s desk so it can be processed quickly. Never leave certified mail in the mail basket. Mailroom Deadline To ensure your mail is properly metered and picked up for delivery, your mail must be delivered to the mailroom before 3:00pm.

Bulk Mailing Procedures:

• Please call extension 14620 with bulk mail information and budget number preferably three days before but at the minimum two days before mailing bulk mail.

• A minimum of 200 identical pieces of mail is required for bulk mailings.

• All mailing addresses need to be addressed as “Current Resident” or “Parent of” and

then the mailing address • A U.S. Postal Service mailing permit form must accompany your mailing. The mailroom

clerk will complete and provide the permit for you. • Each piece must be preprinted with the bulk mail imprint. Each school/department is

responsible for ordering their own stock of envelopes with the bulk mail imprint. (Refer to ordering information below.)

• The mailroom requires mail information and budget number for bulk mail ordered

through Bakersfield Envelope.

• The bulk mail imprint may be duplicated on the back of newsletters, etc. • To save costs, self-adhesive dots should be placed at the top of the newsletters

without envelopes. Place the two dots 1” in from each side at top on newsletters. Please do not use staples.

• 28lb card stock paper must be used to send postcards and newsletters.

• Mail must be sorted by the last three numbers of the zip code and counted and recorded on

a “Bulk Mailing Information Form”.

• Each school is responsible for delivering their bulk mailing to the post office on Pegasus Drive.

• Mailroom Services maintains a bulk mailing account with the U.S. Postal Service.

School and Department costs are transferred from their accounts to the bulk mailing account twice a year.

To prepare an order create a requisition with the following information (you may call the vendor for a quote). Minimum order for envelopes is 500. If you do not have these types of clocks, the site custodian is to set the clocks.

If this arrangement presents an undue hardship for your school, please notify the Information Technology Department prior to Friday, November 1st.
