Overview

The Tardy Kiosk module is available to all customers using Skyward’s Student Management system. The module allows an entity to have students check in via a computer that does not have to be operated by staff. A student could scan or type in an ID number at the STAi Tardy Kiosk solution and then have a pass printed out through a receipt printer.

Tardy Kiosk hardware solutions

Skyward and School Technology Associates have been exclusive business partners since 1992. Over that time, we have worked together to create numerous integrated “real time” hardware and software solutions for our mutual K-12 customers.

Skyward designed, developed and tested the Tardy Kiosk solution using School Technology

Associates custom keypad/barcode scanner terminals and their thermal receipt printers. STAi developed custom internal software in their hardware that supports these applications. STAi’s (patent pending) terminals give audio confirmation of a successful “scan in/out” and have a display screen that gives custom messages back to the students using them in your office(s).

STAi’s Tardy Kiosk keypad/barcode scanner hardware connects to a computer running Skyward’s Student Management System. All equipment from STAi is guaranteed to work with your Skyward software. Skyward has STAi terminals available in their offices for continued development, testing, documentation and support.

Setup Configuration Printing Configuration

To set up the software to utilize the Tardy Kiosk, you will have to complete the Configuration and Printing Configuration. In addition, you will need to verify that your Calendar Days have a Bell Schedule attached, and that the Bell Schedule Period Times are setup.

Configuration

To access the Configuration screen for the Tardy Kiosk navigate to Student Management, Office, Attendance, Device Entry, Setup, and Configuration under the entity that will be

using the kiosk.

You can then click on Tardy Kiosk Configuration.

Student Entry by: Select the ID number to be used to identify the student checking in at the kiosk. You can select from the Keypad (same as in Food Service), Student Other ID, or the Student Internal ID.

Absence Type: Enter the Absence Type that will be filled in on a student’s Attendance record when they check in through the kiosk.

Absence Reason: Enter the Absence Reason that will be filled in on a student’s Attendance record as they check in through the kiosk. You do not have to select a reason, it could be

blank. If you wish to have one filled in, it may be helpful to have a “Kiosk” reason to quickly identify or report on the students that checked in with the kiosk.

Calculate minutes late based on: When students check in through the kiosk, the system will calculate the minutes late that the student arrived. This field will then be part of the student’s Attendance record for the period. You have to select what time this calculation will be based off of. The Period Start, Class Start, and Absent Start times are all located on the Bell Schedule. You can view the Bell Schedules and find out what schedule is attached to a calendar day by going to Office, Attendance, Setup, Codes, and Calendar Codes. If you choose to calculate based on a Specific Start Time, it will use the one time for the calculation regardless of the period they are checking in.

Once all options are set, click the Save button. This setup will need to be completed in each

entity that will be using the kiosk.

Printing Configuration

If you are using a receipt printer to print a pass when students are checking in through the kiosk, then you will need to complete the setup below. There are specific methods for

completing the configuration depending on the browser being used. You will find the recommendations using Internet Explorer, Google Chrome, and Mozilla Firefox in this guide.

Internet Explorer

To access the options that need to be set for printing in Internet Explorer, click on the Settings icon (the gear), then click on Print, and then Page Setup.

In the Headers and Footers area, be sure all fields are set to -Empty-.

Firefox

In Firefox, click on the Options and click on Print, and then Page Setup.

In the Page Setup screen, go to the Margins & Header/Footer tab, and set all Header & Footer fields to --blank--.

Chrome

In Chrome, click on the Options button, then click on Print.

Uncheck the Option for Headers and footers.

Printer Configuration

You will have to configure the printer properties to print correctly on the receipt paper. To complete this portion of the setup, you will need to check in a student through the Tardy Kiosk screen to open the printer dialog window. To do this, you must complete the Configuration, and have a student’s ID number available.

Navigate to the Tardy Kiosk screen found under Student Management, Office, Attendance, Device Entry, and click on Tardy Kiosk.

Confirm the message and click on the Enter Tardy Kiosk button.

Enter the ID Number of the student that matches the type of ID set in the Configuration. When the student’s record has loaded, click on the Save and Print Tardy Slip button.

Before sending the slip to the printer, click on the Properties button with the receipt printer selected.

Click the Advanced… button.

Set the Paper Size to 72mmX200mm and then click OK.

Click OK one more time to complete saving the new settings.

When you return to this screen, you can click OK to print a test receipt.

After this setup is complete and the printer printed the pass correctly, be sure to remove the

attendance entered for the student in test above. Below is an example of a printed slip: ** Tardy Pass ** STAi High School

Using the Tardy Kiosk Screen

The Tardy Kiosk screen is a basic screen that allows students/users to enter in an ID Number for a student through scanning or keypad entry to check students into their current period class.

The screen is designed to function securely without staff having to monitor the station. For example, a secretary can login to the station in the morning, navigate to the Tardy Kiosk screen, and then not worry about being logged in there. Upon entering the Tardy Kiosk screen, the secretary’s session there is ended, and if someone should Exit the Tardy Kiosk screen, they will be logged out completely and will be taken to the login page for the database.

In order to be able to use the Tardy Kiosk, the current day must be a School Day on the

student’s Calendar and have a Bell Schedule attached. The student must be scheduled into a class for the period they are checking in, and the current day must also be included in the class’s Control Set Dates. If any of these pieces are missing, a Data Error message will display upon trying to enter the ID.

Navigate to Student Management, Office, Attendance, Device Entry, and click on Tardy

Kiosk.

A message will display either asking you to complete the configuration to use the kiosk, or to confirm that entering the kiosk screen will end your session on that computer as a Skyward User, and that by exiting the kiosk screen someone will have to log in again. Click the Enter Tardy Kiosk button to continue, or complete the setup and then return.

The Tardy Kiosk screen will display and records can start being added.

Enter ID: The students will enter their ID number here. The number to be entered is based

on the selection made in the Configuration. The entry can be done through scanning or through keypad entry. The ID number will be masked on the screen for security purposes. You may have to press the Enter key on the keyboard to refresh the Student Info area after entering the ID.

Save and Print Tardy Slip: The student will click this button to check-in and mark him or her as tardy. Before doing this, he or she should verify the information displayed in the

Student Info area. After clicking this button, a printer dialogue screen will display to allow a pass to printed. This will also clear out the Enter ID field so a new student can check their self in.

As each record is saved, you will see the student’s Attendance record updated for that period that they checked in.

Click the Ok button on this screen to send the pass to the printer.

Clear Student: Click this button to clear the selected student. This will not check them in,

and no update to their Attendance data will occur. A new student will then be able to check themselves in.

Student Info: Details about the student checking in will display, allowing the information to be verified before saving the record.

Exit Tardy Kiosk: Click this button to exit the current kiosk session. As long as this was the only active Skyward window, then upon exiting, you would be taken back to the login screen.

Using the Tardy Kiosk With STAi’s Tardy Kiosk Solution

Using STAi’s Tardy Kiosk solution has a similar setup process to using the tardy kiosk

normally. The major difference with STAi’s solution is that the student check in process becomes fully automated.

Navigate to Student Management, Office, Attendance, Device Entry, and click on Tardy Kiosk.

Once on this screen, a student can scan or enter their ID and the kiosk will automatically check them in and print a receipt. Note that this window must be active for the kiosk to work properly.

Student experience with STAi’s Tardy Kiosk Solution

STAi’s Tardy Kiosk solution makes the tardy process much simpler and faster for students.

The students only need to interact with the STAi Tardy Kiosk keypad, eliminating the need for them to interact with a keyboard or the office computer.

Upon walking up to the Tardy Kiosk, the student will see the

keypad displaying “Scan/Enter ID”

After entering or scanning their ID, the keypad will display a “Processing…” message as the student is looked up in Skyward.

The keypad will then display a “Printing…” message as their tardy slip prints out

Once the transaction is complete, the keypad will default back to the “Scan/Enter ID” message.
