Teacher’s guide to writing your Annual Reports

This HelpCard is to support you in writing your annual reports

In order for you to write your annual reports in School PUPIL TRACKER Online, your school must have created a report layout as described in step 1 of Section 1 below.

The Annual Report Writer caters for EYFS and Year 1 to 6 reports in your school.

SECTION 1: The Report Writing Process

This is a summary of the Report Writing Process in School PUPIL TRACKER Online. Green sections are covered by this Help Card.

1. School designs the report layouts for Y1-Y6 and EYFS

2. School finalises report layouts and lets teachers access the report writer Once you have made a decision on what your reports will contain, you must finalise your layouts. We recommend discussing the report layout with your staff before you do finalise your report layout. HelpCard: Section 3: Finalising your Layouts: www.spto.co.uk/documents/annualreport_setup.pdf

3. Teachers write COMMENT BANKS and individual reports Teachers write the reports for the children in their class, including class and year group comments and COMMENT BANKS. 4. School unlocks auto-comments so teachers can edit them We recommend that you only unlock the auto-comment boxes AFTER NC2014, APP and EYFS judgements are completed and AFTER the assessments have been added in your chosen SHORT TERM column. 5. Teachers finish their reports and tick FINISHED Teachers finish their reports and tick the FINISHED box for each report. The comments on the report will now be saved and fixed. HelpCard: Section 8: Finishing your reports: www.spto.co.uk/documents/annualreport_teacher.pdf

6. Leaders check the reports and tick CHECKED Leaders check each report and tick the CHECKED box for each report. This will LOCK the report so the report cannot now be altered. 7. School uploads attendance and lates to add to reports We recommend that attendance is uploaded using a manual report. Transferring attendance using a CTF does not include LATES for children and so you must complete this step if you have included attendance as a section in your report. 8. School SAVES and PUBLISHES reports Once attendance is checked, reports can be SAVED and PUBLISHED - this locks the attendance in place and saves the report for future academic years. HelpCard: Section 3: SAVING and PUBLISHING reports: www.spto.co.uk/documents/annualreport_publish.pdf

SECTION 2: Getting Started

The Annual Report Writer menu – using it to organise your work.

The Annual Report Writer menu can be accessed by clicking

on the button at the top of every page.

When you first log in you will be asked to read through our

guidance, after which you will be given access to the Annual

Report Writer menu.

The menu is organised into pods to help you organise and

keep track on the work required for your annual reports.

1. The Pupil Report Progress List shows you the progress

you are making through your reports. This list is a list of

children in your current search (shown on the right).

The Pupil Report Progress List automatically counts up the

number of comments that have been saved for each report

and also lets you see quickly which children’s reports have

been Finished, Checked (by the headteacher) or Published.

To the right, we can see a class – the teacher has not yet

begun any of the reports as shown by the 0/37 comments

completed.

The number of comments expected includes the boxes in the

GRADE boxes (i.e. effort grade) within the report.

2. The Step-by-step guide pod is a helpful set of links on

how to complete your reports.

Please note some steps, such as writing WHOLE CLASS

COMMENTS or YEAR GROUP COMMENTS only appear if

your school has opted to include some whole class

comments in your report.

For example - this step may not appear:

Your list may have different numbers depending on how

much your school has chosen to use on the report.

3. The Report progress pod shows you the percentage of

reports not started, ongoing, finished, checked and

published.

We will return to this later in the HelpCard.

4. We recommend that you follow the procedure set out in this HelpCard to complete your reports, starting with the

completion of any Whole Class Comments that are required.

SECTION 3: Writing your WHOLE CLASS COMMENTS

What is a WHOLE CLASS COMMENT?

A Whole Class Comment is ONE comment that is written by a teacher that is then automatically

added to every child’s report in their class.

Your Whole Class Comment should be written in non-gender specific language and should not

include the name of a child. There are examples of this later.

Your school may or may not decide to use a Whole Class Comment at various points in a report.

If the Write your WHOLE CLASS COMMENTS link appears

as in the pod shown on the right, then your school has

chosen to use at least one Whole Class Comment in your

annual reports.

If the Write your WHOLE CLASS COMMENTS link does

not appear as the pod shown on the right, then your school

has chosen NOT to use at least one Whole Class Comment

in your annual reports and you can skip this section and go

on to read Section 4 of this HelpCard.

1. Click on either the ‘Edit Y1-Y6 Whole Class Comments’

Class Comments are visible.

3. On the upper right is the save status area. The Report

Writer in School PUPIL TRACKER Online has a full

auto-save feature. You can see here the last time an

auto save was completed.

4. Below this is some summary help on writing your Whole

Class Comments.

5. The report cover will include the class that these Whole

Class Comments will be placed on.

6. To change the class to a different class, use the drop

down at the top of the pod (shown on the right).

7. To begin writing a Whole Class Comment, simply scroll

down through the report on the left hand side of the

screen until you see a box where you can enter text

(shown on the right).

The box is for a class comment – the same comment will

be placed on every report for a child in this class

automatically.

8. Type (or copy and paste) your comment into the text

box. When you click on the text box it will go blue to

show it has been activated.

9. When writing your Whole Class Comment, you

should NOT include a child’s name and should NOT

include gender pronouns such as He or She.

Do NOT include a pupil’s name

Do NOT use Gender specific language

For example, a year 6 comment: We have all worked hard this year in preparation for moving on to Model College. In particular we all enjoyed the week long trip we took to the team building camp at Mo Dell where everyone showed they had determination and could work well as a group, especially when it came to raft building! Other learning this year has included our production of the Green Snowman in the summer term – well done to everyone! - and the singing festival at the retirement home in April. For example, a year 3 comment: Learning this year has been fun and practical. Our trip to the Viking and Anglo-Saxon Village included dressing up in helmets and Anglo-Saxon clothes for the day and making our own rather grainy bread! In December, we helped the younger children by designing their brochure for the Christmas Festval and last term during China Week we held a cookery contest with a variety of results.

10. Use the spell checker built into your browser to check spellings.

Spell checking in Chrome, Internet Explorer 10 and 11, and Firefox Type in a text box as you would normally type. Incorrect spellings will be underlined in red.

Right click on an underlined work to be given an option to correct your spelling, for example:

Click on the correct word you require (such as worked in the example above) and your text will be corrected. Spell checking in Safari When working in a text box, right click on the underlined word.

Now click on Spelling and Grammar and then click on Show Spelling and Grammar Follow the guidance to correct the spelling.

11. The Annual Reports section AUTO SAVES – your changes will be automatically saved once you click away from

the box you are working on. You may see boxes go orange for a moment as they save their contents

automatically.

12. Once you have completed all the boxes on the scroll down report, you have finished your Whole Class Comments

– your comments will be added automatically to every child’s report in your class.

SECTION 4: Writing your YEAR GROUP COMMENTS

What is a YEAR GROUP COMMENT?

A Year Group Comment is ONE comment that is written by a teacher that is then automatically

added to every child’s report in that year group. For example, a Year 3 comment will be added to

ALL children in Year 3, whatever class they are in.

Your Year Group Comment should be written in non-gender specific language and should not

include the name of a child. There are examples of this in the previous section.

Your school may or may not decide to use a Year Group Comment at various points in a report.

If the YEAR GROUP COMMENTS link appears as in the pod

shown on the right, then your school has chosen to use at

least one Year Group Comment in your annual reports.

If the YEAR GROUP COMMENTS link does not appear in

the pod shown on the right, then your school has chosen

NOT to use at least one Year Group Comment in your

annual reports and you can skip this section and go on to

read Section 5 of this HelpCard.

SECTION 5: Comment Banks – what are they?

What is a Comment Bank?

A Comment Bank is a set of paragraphs that can be used to add to children’s reports quickly and

easily.

By building up a bank of comments (such as a paragraph for high-achievers, one for above average

achievers, one for average achievers, one for below average achievers and one for well below

average achievers) you can then assign a different paragraph to different children across your class

Comment Banks can be shared amongst teachers across your school

Comment Banks are automatically individually tailored to reports – a pupil’s name can be added

and the text is modified to the correct gender of the child

Access the COMMENT BANK from the Completing your

Annual Reports pod. Your list may not be number 4

depending on the choices made by your school.

You must choose to work on either the

EYFS report comment banks or the

Y1-Y6 report comment banks.

You should follow the instructions in the above HelpCard if you wish to use your own Comment Banks when writing your

reports. We recommend that you create your Comment Banks before beginning the writing of individual reports.

SECTION 6: The REPORT BUILDER

What is the REPORT BUILDER?

The Report Builder allows you to work on up to 35 reports at one time, seeing the full range of your

class and editing and writing comments quickly and easily without the need to keep opening and

closing different files

The Report Builder can be used to assign paragraphs from your Comment Bank quickly and easily

across a number of children

See which reports have been finished with different coloured rows for finished reports

Access the REPORT BUILDER from the Completing your

Annual Reports pod. Your list may not be number 5

depending on the choices made by your school.

Please note that the EYFS Report Builder is different from

the Year 1 to Year 6 Report Builder and so you must choose

which report area to access.

Below is an example Report Builder for a class.

The first six rows are boxes that include your own personal Comment Bank. Please read the HelpCard at

www.spto.co.uk/documents/annualreport_bank.pdf for how to complete your Comment Bank.

Below the coloured Comment Bank rows are the children in the class – each row is the set of texts that make up the

report for each child – so the texts in the first row will be gathered together to create Zoe’s report.

Adding comments to individual report boxes

Each section of the report has a box for each child where you can enter text.

Use the spell-checking built into your browser to check the text.

Use to clear or delete the contents of the box

You may enter text in these boxes by:

Typing directly in the box

Copying and pasting text from (for example) Microsoft Word

Using the COMMENT BANK switches – see below

You may add text, amend, delete and work with text in each box however you wish, although we recommend that you

view, amend and check individual comments using the individual reports view detailed in Section 6 below.

Please note that any bullet points or text fonts, or special characters that you enter or copy and paste from

Microsoft Word will be removed from the text when it is saved.

Some boxes will be locked and you cannot edit them until your school has

unlocked them - please see the Auto-comment description below.

Auto saving in the Report Builder

Boxes in the Report Builder save automatically. You can see

this in action when you click a box and then click away – the

box will momentarily go orange as it saves itself.

You should look for the save confirmation on the page to

reassure yourself it has saved. becomes

Please try to wait for the last box to save before beginning work on your next box to ensure your comment or grade has

been saved.

Troubleshooting: If a box stays orange it has not saved – you should click on it again and click away to another

location on the page to try to save the box again.

Adding comments to each report using comments written in your COMMENT BANK

Some of your pupil’s comment banks will be blank. This

will always be the case for boxes that involve individual

comments for subjects other than Writing, Reading, Maths

and Science.

Clicking on the COMMENT BANK buttons 1 to 6 will add the

COMMENT BANK statement to a child’s report box.

For example, clicking will add

the number 1 comment from your

COMMENT BANK at the top of the

column.

Individual report

The child’s name is added automatically instead of the word [name].

A child’s gender determines the automatic modification of the text to the correct gender-specific language.

School PUPIL TRACKER Online will try its very best to spot all gender-specific pronouns and alter them to the

correct pronouns, but we cannot guarantee this.

Click to delete and clear the comment to start again.

Clicking on another number will ADD the second chosen

comment to the child’s report box.

Using your COMMENT BANK in this way will build up your comments easily for your class – you can give high achievers

comment 1, average learners comment 3 etc.

The automatic comment written by School PUPIL TRACKER Online

School PUPIL TRACKER will create an automatic comment for each child

in Writing, Reading, Mathematics and Science based on the following

factors:

1. The Band they achieved at the end of the last academic year

2. The assessment in the SHORT TERM column chosen by your

school

3. The targets and NC2014, APP or EYFS judgments that have been

ticked off as ‘achieved’ in this academic year

4. A child’s name and gender automatically mean the comment is

personalised and tailored for them

Example locked auto-comment:

The comment will be locked (shown above)

until your school chooses to unlock the

auto-comment.

NOTE: The automatic comment will be updated every time the software receives new information or until a user saves or

alters the comment or the report is finalised – after which the comment becomes fixed. An automatic comment is limited in

length and will include up to nine NC2014, APP, EYFS or target judgements.

An example automatic comment:

Keagan has made very good progress this year in writing, and he is currently working well above the expectation for his year group.

Keagan uses a purpose to match the text type he is learning about and uses appropriate features and structures, matching the text type

he is learning about. He uses many connectives, including if, when and because. He uses commas in lists and complex sentences

correctly and has writing that contains ideas which are linked to what he is writing about. He often includes an adjective to describe

nouns and ensures a viewpoint in his writing is correctly portrayed and tries to explain its meaning. Keagan writes texts that have a main

theme, such as a strong storyline or key aspects in a report. Keagan uses the main features of a story or report appropriately.

Your school should only unlock the auto-comment when your teachers have all finished entering your data in the SHORT

TERM grid and you have all finished working on your NC2014, EYFS, APP / target records.

Once the auto-comment has been unlocked, you will see the comment box

becomes green. This signifies that the auto-comment is still being edited

and added to by our software but you may now edit the auto-comment if you

wish.

Once you have made changes to a green box, it will turn white, showing that

the auto-comment has been switched off and the box is now fully under the

control of the teacher and will no longer update or change, even if you make

changes to levels or APP records.

Clicking on the link will open the FULL automatic comment for this pupil, even if the comment is white and has

been edited by a teacher.

Automatic GRADES created by School PUPIL TRACKER Online

School PUPIL TRACKER will automatically add GRADES for Progress

and Attainment, and enter the most current assessment in the

Assessment box for each child’s report.

The grade added by School PUPIL TRACKER is based on a choice

made by your school leadership – for example, it might be:

A, B or C

A, B, C, D or E

Above, Expected, Below

The teacher must enter the Effort grade.

A teacher may enter any grade they wish (for example B+ or C-).

All grades will be saved automatically.

NOTE: The automatic GRADE or Assessment will be updated every time the software receives new information or until a

user saves or alters the GRADE or the report is finalised – after which the GRADE becomes fixed.

SECTION 7: Editing and checking INDIVIDUAL reports

What is the INDIVIDUAL report?

The Individual Report lets you see one child’s report as it will appear when printed

You can edit, amend, add to and delete report comments for each child – making them more

individual and personal

You can see the text in a larger font in bigger boxes so you can more easily edit it

You can use your COMMENT BANK to add paragraphs to each report

Access each child’s INDIVIDUAL report from the Pupil

Report Progress List from the Annual Report Writer Menu.

Click on a child’s name in the list to go to their

Individual Report.

Clicking on the next to each name will allow you to download a Microsoft Word version of the report to print out or

edit if you require. Please note that if you choose to edit a report in Microsoft Word after you have downloaded the file, it

will not be altered within School PUPIL TRACKER. You must edit reports within School PUPIL TRACKER to see changes.

Clicking on a child's name gives you access to their

individual report - as shown in the example to the right.

Auto saving in the Individual Report

Boxes in the Individual Report save automatically. You can

see this in action when you click a box and then click away –

the box will momentarily go orange as it saves itself.

You should look for the save confirmation in the Report

Writing Tools pod to reassure yourself it has saved. becomes

Please try to wait for the last box to save before beginning work on your next box to ensure your comment or grade has

been saved. Troubleshooting: If a box stays orange it has not saved – you should click on it again and click away to

another location on the page to try to save the box again.

Moving around each Individual Report

Use the scroll bar to the right of the report to scroll up and

down each report and access the text and grade boxes.

The Reportbot icon will show you which parts of the

report will be filled automatically for you by Reportbot.

The colour of each box indicates how it is being updated:

Jump quickly to another child’s report by choosing their name

from the drop down list at the top of the pod.

Editing each Individual Report

As you scroll through each report, you may enter and amend

text in any unlocked text boxes.

Green and white boxes can be edited.

You may enter and amend comments and grades too.

Automatic comments will be added for the sections chosen by

your school. They will be continuously undated until you make

a change, save the box or the report is published.

You may enter text in green or white

boxes by:

Typing directly in the box

Copying and pasting text from (for example) Microsoft Word

Using the COMMENT BANK pod – see below

Clicking subject comment boxes gives you access the

full automatic comment for a child. You can copy and paste parts of this comment

across to the report if you wish.

Clicking beneath subject comment boxes will refresh

the comment above with the automatic comment created by School PUPIL

TRACKER. You only need to do this if you mistakenly save a comment and later

wish School PUPIL TRACKER to fill in an updated auto-comment.

Using the COMMENT BANK in each Individual Report

The following HelpCard explains how to write, share and use your own personal Comment Banks: www.spto.co.uk/document/annualreport_bank.pdf

You should follow the instructions in the above HelpCard if you wish to use your own Comment Banks when writing your

reports. We recommend that you create your Comment Banks before beginning the writing of individual reports.

You may choose any COMMENT BANK by selecting the section title from the

drop down choice in the COMMENT BANK pod – this is highlighted in red on

the right.

Choose the Section Title you require (such as ICT as shown on the right) and

your personal COMMENT BANK will load in the pod.

You can edit, amend and save comments here too. Further details on creating

COMMENT BANKS can be found in the HelpCard at:

will clear or delete the comment (this cannot be undone)

will take you to the COMMENT BANK pad

will transfer the paragraph into the current report (see below)

To transfer a paragraph FROM the COMMENT BANK into

the Individual Report:

First select the report text box you would like the

paragraph to be placed into. Do this by clicking on

the box you require. It will turn blue (see right)

Now click the button next to the comment you

wish to copy across. The paragraph will now

appear in your chosen box. The child’s name and

gender-specific pronouns will be automatically

adjusted to ensure it is personalised.

You may now edit or add to the text as you require.

The Photograph Montage page

Your school may have included a page of pupil photographs in your report.

This will add a page of photographs taken automatically from the child’s APP or Foundation Stage records.

Up to nine photographs will be added onto the page – three larger

photographs and up to six others.

The very latest photographs uploaded for a child in the APP or Foundation Stage records will be added.

A teacher can choose to exclude certain photographs when creating and

checking each child’s reports.

Photographs taken in portrait mode will appear on the right of the page. If there are no portrait mode photographs, two landscape mode photographs will be placed on the right instead.

When looking at a child’s Individual Report, you will see this page appear if your school has included a Photograph

Montage page in your report layout:

Please note that the addition and sizing of photographs is

automatic and you cannot choose where on the page a

photograph is placed or what size it appears as.

If no photographs can be located from the current academic year, a

number of cloud upload boxes will appear where photographs can be

placed.

Click on cloud upload box to upload a photograph directly or you may

wish to go to the NC2014 or EYFS Records and add photographs

there.

If photographs have been located in a child’s records from the NC2014

or EYFS Records, then they will be automatically added as shown on

the left.

If there is a photograph that you do not wish to be added to the report,

simply click on the

link below the photograph to exclude the image from the report. This

does not delete the image, it simply removes it from the report.

SECTION 8: Finishing, checking and publishing a report

Once you have completed a report, you must signal that it is finished.

You school MUST click on SAVE and PUBLISH by the end of the academic year to save each report. If you do not do this, the report will not be saved correctly for the future.

Teacher finishes report Once you are happy that you have finished a

report, you must tick that it is finished (see how below).

School leader checks report and adds final comments Finished

reports can be checked by school leaders, who can add comments

(such as in the Head teacher’s comment box) and reports are ticked as

having been checked (see how below).

Report is SAVED and PUBLISHED for parents to download or ready

to be printed for a parent The report is ready to be printed or published

and parents will be able to download their own copy from each child’s

Online Report in School PUPIL TRACKER Online.

Each time you have finished a report, go to the Annual Report Writer menu and tick off a child in the

FINISHED column.

In the Annual Report Writer menu, simply tick off the

status of a report in the Pupil Report Progress List

pod. Your tick choice will be automatically saved.

Tick Finished

for each child as you FINISH their reports.

This signals to your school that you have finished working on the report and it is now ready for someone to CHECK it.

SECTION 9: Adding a comment to an EYFS report throughout the year

EYFS practitioners can add comments to their pupils reports from the very beginning of the year.

You may add a comment to any child's Annual Report at any point in the year, even before your school has created a report layout.

Go to the EYFS Menu:

Choose a child's name from the Individual record pod.

Look for the blue notepad buttons next to each Area.

Click on the notepad to open the report box.

Type your comment into the REPORT COMMENT box

and click SAVE COMMENT.

Move to add a different

comment by clicking on a

different page area:

You cannot add multiple comments to multiple children using this tool.

These comments can be added to and amended through the year and will then appear automatically on a child's Annual

Report but your school MUST choose these Sections on your EYFS report layout:
