Details regarding the new system are available in the June Communication Guide, which is prepared monthly by Human Resources for your manager or director to present at department staff meetings. If you haven’t already seen the Communication Guide for June, see your manager or director for a copy. The new time clocks are currently being installed and relocated, and additional time clocks are being installed so staff will have time clocks within close proximity of work spaces. This will give staff more flexibility if there is congestion for those waiting at the time clocks. The July

Communication Guide will have more specifics on time clock placements. Starting July 7, employees who use time clocks are asked to start adhering to the new grace period of two minutes prior to and two minutes after the start/end of their shift to be considered on time. Look for more information on having remote/mobile access to view your timecard and having flexibility with managing your time and requesting time off. Training will begin mid-July through the beginning of August.

Take a Look at This!Dress Code Policy Updated

A dress code policy and procedure has been finalized and approved for immediate implementation on June 13. It is titled "Employee Dress, Uniform and Personal Appearance Policy" and can be found on the intranet in the corporate

policy manual and is HR-037. This policy and procedure supports and enhances our personal appearance policy statement contained in our employee handbook. A goal was to provide specific guidelines in the interest of balancing

flexibility and consistency across departments. We hope that the key area guidelines combined with the specific department uniform procedures provide clarity on personal appearance expectations and strike an appropriate balance

between our culture and the needs of our evolving workforce. Check out HR-037 on the intranet. Your department manager will share more about the updated dress code as part of their regular communications.

Please note that the administrative dress code HR-20 is being reviewed.

“Sensitive” information includes both Protected Health Information (PHI) and confidential information. Various forms include electronic, paper format, spoken, heard or seen. Be aware of your surroundings. Take steps to safeguard sensitive information. There are some practical ways to reduce the risk of inadvertent or unauthorized sharing of sensitive information: • Turning over sensitive paper documents • Storing sensitive documents in locked cabinets and locked storage areas • Positioning monitors or using privacy filters to prevent curious eyes from peeking over your shoulder • Knocking before entering a resident’s room and waiting to hear permission to enter • Speaking softly and not sharing sensitive information with people who do not have a need to know • Not installing or downloading privately purchased software to your assigned work computer • Properly disposing of paper and electronic information in locked bins for shredding • Never leaving a laptop or portable device unattended • Locking your computer when you temporarily walk away • Logging off applications and the computer at the end of your shift

Guidelines to Safeguard Sensitive Information

For staff who incur expenses on behalf of Masonic Villages or who hold a corporate credit card, a new way to submit expense reports for reimbursement and to reconcile your corporate credit card is coming soon.

The current paper process will move to an electronic process within Workday. This includes mobile access through which you will be able to take photos of your receipts with your phone and submit them for reimbursement. Credit card

transactions will be automatically downloaded into Workday. Why the update? This will be quicker reimbursement of your Masonic Village expenses using direct deposit.

Say goodbye to lost checks!
