Automated Serials Systems Clearinghouse

As more and more libraries are examining and choosing automated serials check- in systems, the Serials Committee has recognized the need for a clearinghouse of information regarding the variou? systems. create a network of information ai:d resources (e. g. in-house training documentation, a list of librarians who have experfence with particular systems, hardware needs,

There was no particular focus to the discussions at these meetings; instead, the committee considered a whole range of proposals dealing with descriptive cataloging. The next meeting of the committee will be in Washington, D.C. in January 1985. Dear Ben:

The AALL Technical Serv ices SIS, Committee on Cataloging and C l a s s i f i c a t i o n , of which I am c h a i r , has looked over the r ecen t d r a f t "Recommendations f o r Rules of Descrip- t i o n i n Cataloging Loose-leaf pub l i ca t ions wi th Spec ia l Emphasis on Legal ? l a t e r i a l s , " and i n t e r e s t e d members have forwarded t h e i r comments t o me. I have taken the l i b e r t y of summarizing those comments, thereby inc luding some t h a t were given t o me ve rba l ly a s wel l as my own response t o the d r a f t . I w i l l a l s o inc lude , f o r your informat ion , copies of t he w r i t t e n comments rece ived , which were, on the whole, very favorable .

Most of t he respondents agreed wi th the fundamental dec i s ion t o c a t a l o g loose-leaf materials a s monographs. One respondent who d id not c i t e d the i n a b i l i t y of t he OCLC system t o al low use of t he ser ia ls check-in system wi th materials ca ta loged a s monographs. Other serials c o n t r o l systems t h a t I have seen do not adhere t o t h a t kind of d i s t i n c t i o n , so i t remains t o be seen how important a cons ide ra t ion t h a t w i l l be i n the f u t u r e . Another respondent who a l s o d isagreed wi th the dec i s ion t o ca t a log as monograph c i t e d the more s e r i a l - l i k e t r a n s f e r b inder material as a problem f o r h e r , bu t f e l t more a b l e to dea l with the monograph dec i s ion i f t r a n s f e r b inders could be ca ta loged sepa ra t e ly .

One of t he most c o n t r o v e r s i a l po r t ions of the d r a f t seems t o be the dec i s ion by t o ca t a log t r a n s f e r b inde r s as p a r t of t he loose- leaf s e r v i c e , r a t h e r than sepa ra t e ly ser ia ls . Some ob jec t ions :

Many t r a n s f e r b inde r s do not come bound, bu t r a t h e r i n s e p a r a t e f l imsy b inde r s , and may o r may no t be bound by the l i b r a r y . Therefore , us ing the des igna t ion "(bound)" i n the c o l l a t i o n may be somewhat misleading. i n s t ead . Another respondent suggested t h a t the l a c k of a s e p a r a t e c a l l number would be a problem i n he r l i b r a r y . the o ld r u l e s f o r dashed-on e n t r i e s , but no t , c e r t a i n l y , f o r added e n t r i e s . That same respondent a l s o objec ted t o the lack of b ib l iog raph ic d e s c r i p t i o n f o r t r a n s f e r b inde r s , e s p e c i a l l y of chronologica l coverage f o r material such as cour t r e p o r t s o r admin i s t r a t ive ru l ings . Such information may be a v a i l a b l e on she l f lists o r o t h e r ho ld ings records , but may not be a v a i l a b l e t o the publ ic without a s e p a r a t e b ib l iog raph ic desc r ip t ion . An a d d i t i o n a l problem wi th the added e n t r y approach t o t r a n s f e r b inde r s is t h a t l i k e a l l s e r i a l s , they are prone t o t i t l e changes and changes i n f requency, numbering, e t c . The no te s f o r some of t he l a r g e r sets wi th long runs of t r a n s f e r b inders could become very complicated under t h i s approach, un le s s t i t l e changes and t i t l e mergers were ignored a s a matter of po l icy . Another problem wi th ca t a log ing t r a n s f e r b inde r s on the same record Is the d i f f i c u l t y i n making s e p a r a t e she lv ing dec i s ions f o r cu r ren t and non-current m a t e r i a l s when a l l are on the same record. Another area which drew many responses was the s e c t i o n on series numbering ( 2 . 6 G ) . ?lost respondents f e l t t h a t t h e r e would be a cons ide rab le amount of e x t r a work i n l i s t i n g i n d i v i d u a l volumes i n t h e manner d e s c r i b e d , and f e l t t h a t t h e informat ion involved would be more a p p r o p r i a t e l y kep t i n l o c a l ho ld ings .

One somewhat confus ing p o i n t brought up by one respondent , was whether o r no t t h e d a t e of p u b l i c a t i o n should be bracke ted i f no t n e c e s s a r i l y taken from the l a t e s t c h i e f source of in format ion .
