The more information you can find out the better. In undertaking your research you should obviously search the web and the organisation’s website for hints and tips.

For instance the organisation might state how important Quality Assurance is to them on their website and therefore this is a beacon to ensure you focus strongly on Quality Assurance in your response.

You certainly should make contact with the relevant contact officer if there is one identified in the tender documents.

If not still try and make contact with the buyer and seek to introduce yourself and try and glean as much information as you can subtly without seeming like an interrogator.

In your discussion try as best as you can to talk briefly about your skills and experience and highlight briefly anything that you feel might interest the buyer and set you aside from competitors or show that you can deliver on what the buyer wants in the tender.

A difficult balancing strategy indeed!

It is super important that you don’t waffle and you don’t waste their time but try and engage them in conversation, subtly sell your organisation while trying to find out anything you can that might help you prepare your tender and catch their interest.

Lastly you should try and use your networks in your industry to see if anyone has an insight into the buyer or this tender and can offer you any valuable information.

The more research you do and the more you know about the buyer and their requirements and procurement strategies – the better.
