The Preparation Phase is the key to your success! If you fail to
prepare, then you might as well plan to fail! Migrating an agency to
Office 365 involves much more than just technology.
• Getting your users to embrace change…
• Start by running a general “Awareness Campaign”
• Identify Early Adopters who are eager to embrace the technology
• Communicate with the entire early and often!
• Tailor your communications appropriately based upon the target audience
• Identify early on what users can expect to change
• Use this as an opportunity to highlight new features / capabilities

The Key to Success – Get to know your Users!
Get to know your users work together, or better yet get to know someone who already knows to help provide guidance…
• Life will be better if you can migrate in the following order…
• Move Regular users first
• Move Mailboxes with Delegated rights and the Delegates second
• Move Shared, Conference Rooms, and Equipment mailboxes last
• Look for the obvious and plan to fix it now
• Look for Mailboxes close to or over 50 GB!
• Are Outlook clients able to successfully reconfigure Mail Profiles
• Etc.

• Active Directory: Clean up after yourself!
• Office 365 Tenant: Configure all of it, not just part of it!
• Dir. Sync: Know who you want to sync and how!
• AD FS: Think Availability! You need to plan for 99.99% or more!
• Messaging: Which migration strategy works for your Agency?
• Clients: Confirm Clients meet the Req’s – don’t just assume!
• Test Plan: Confirm Success before Claiming Success
• Project Plan: Develop the big picture so you know where you are

Migration Phase: It’s time to get a move on!
By now it should be a machine…
• Make sure everyone know their Roles and Responsibilities
• Hold daily Post-Migration Meetings to brief teams on success / failures
• Host a “Command Center” where Service Desk can escalate to if
necessary.
• If appropriate, obtain perform adjust staffing to support…
• Staff a Kiosk in a lobby that users can walk up to and get immediate support
• Increase staff on Service Desk to handle uptick in call volume
• Have support staff roam the halls or perform ‘white-glove’ support for Sr. Mgmt.
