THE DANCE REFINERY

OFFICE HOURS:

CLASS VIEWING (Watch Week)

Viewing takes place ONCE per month, beginning in

week 6 of the session (SEPTEMBER). In order to

allow students time to acclimate to the staff and the

classroom environment, there is no viewing during the

first 5 weeks of the session. During the Final Week of

the Fall Session, we hold viewing during the last 10

minutes of each class. The Summer Viewing Schedule

varies depending on the length of the session. We

typically do not hold viewing during the first 3 weeks

of the summer. Technique classes, AIM, AIM Teen,

AIM II, ACRO PG, Hip Hop Re-Defined, Defining

MVMT, The Definition and adult classes are never

viewed. A three month viewing schedule is printed in

the monthly newsletter. See the ATTACHED

Calendar for the entire Fall / Winter /Spring 19-20

viewing schedule.

CLASS CHANGES/WITHDRAWING

If your schedule changes or you are having a hard time

making it to your scheduled class, you may switch

classes. Contact the office and they will be happy to

find a comparable class that will work better with your

schedule. All class changes and withdraws MUST be

done through the office in person, by calling

(317-881-1905) or by email ([email protected])

by the 1st of the month in order to properly adjust

your tuition for that month. Instructors do not have the

appropriate forms and do not handle class changes or

withdraws. If you are on a class waiting list, feel free to

check at the office after the 10th of each month, when

the greatest number of enrollment changes occur.

YOU ARE responsible for payment for your child’s

tuition until you have informed the office you wish

to be withdrawn.

HOW TO ADDRESS CONCERNS

If you need to speak to an instructor or Lynn, you may

leave a message at the office or email the studio at:

[email protected]. For billing and account inquiries,

please speak to our office manager, Alyssa, or leave her

a message.

CLASS MAKE UPS

Please call the office whenever your child is unable to

attend class. Your child may take a make up in another

class of the same age and level description any time

except on a viewing / watch week. Check the current

class schedule (kept in the box on the front counter) and

the newsletter for viewing weeks. If there isn’t another

class on the schedule that matches your child’s class or

you would like help, please inquire at the office. Make

sure you let the instructor know your child’s first and last

name and that they are taking a make up.

Make up lessons must be taken during the session in

which you are enrolled / in the same class type you

are enrolled. No make up lessons may be carried

from session to session. Upon withdrawing from class

all make up lessons are forfeited.

Performing Group and Team Practices may never be

made up.

PAYMENTS

As a reminder, we do NOT send monthly

statements. Class payments are due by THE

FIRST OF EACH MONTH. If payment is

made after the 10th, a 10% late fee is assessed.

If payment is not made by the last day of the

month, your child will be dropped by our office and re-enrollment

will be subject to class availability at that time. You will be

required to pay a new registration fee at the time of re-enrollment.

Please remember, you are financially responsible for payment

of all lessons until you notify the office, by phone, e-mail or in

person, that you are dropping a class or withdrawing

(regardless of attendance).

Checks may be mailed, but they must be postmarked by the

10th to avoid the late fee.

You may drop TUITION checks in the payment slot built into

the office counter top. Please make sure your child’s first

AND last name are on your check in the memo section so we

can be sure to credit the correct account.

If your check is returned for non-sufficient funds, TDR will

charge you an additional $25.00 NSF fee. The use of a check

for payment is your acknowledgement and acceptance of this

policy and its terms and conditions.

We happily accept Visa, MasterCard, Discover, AMEX and

debit cards, however The Dance Refinery will charge a

convenience fee on all payments made with a credit card or

debit card. The fee is dependent upon the total amount being

charged as follows:

Transactions up to $100 = $1.00 / $101 - $200 = $3.00

Transactions $201 - $400 = $5.00 / $401 - $600 = $8.00

Transactions over $600 = $10.00

You may not combine payments for tuition, contest fees,

recital fees, costume fees, etc. All payments must be paid on

separate checks or in separate credit card transactions

(additional credit card convenience fees will apply).

Please do NOT leave checks or cash on the counter or office

desk. If it is lost or stolen, we cannot be responsible.

Receipts are given for all cash payments.

MONTHLY LESSON PAYMENTS are the same amount

September through April (see May/June & Summer Payment

information below), based on 4 lessons per month average. Each

day of the week between the first and last day of the session,

including holidays is guaranteed the same number of lessons (41).

Therefore, no make-ups need to be taken for any day we

designate that we are closed (i.e. Labor Day, etc.) Please refer

to the pink paper you received at registration, the calendar at the

end of this handbook and the monthly newsletter for dates TDR is

closed.

MAY/JUNE PAYMENT: June tuition is prorated (1/2 month)

and is due with your May tuition payment. Your May payment

is subject to change based on Recital dates (June 13 - 14, 2020)

and/or any class changes you make during the session. Please read the monthly newsletters In Step With... for a reminder regarding

your May tuition payment amount.

SUMMER LESSON PAYMENTS: The Summer session is a

separate session (not included in the 41 weeks mentioned above).

Tuition will be totaled for the 6-week session rather than making

monthly payments during June / July.

REGISTRATION FEES

Every student at The Dance Refinery pays a registration fee per session. Fall Session (Aug. 2019 – June 2020) is $30 per student or a maximum of $40 per family for families with more than one child. Summer Session (June 2020 - August 2020) is $5 per student or a maximum of $10 per family for families with more than one child. Those students who do not take the Summer Session are not assessed the summer fee.

The registration fee is an administrative fee. All students pay it each session, regardless of whether you are a new or returning student. This fee is non-refundable. (If none of the classes you have selected go through and we are unable to find a suitable replacement, we will refund your fee.) If you withdraw from The Dance Refinery during this session (or are dropped due to delinquent tuition payments) and re-enroll, you will be assessed a new registration fee.

The Dance Refinery reserves the right to cancel any class IF enrollment is under 5 students at the beginning of the session.

TDR REFERRAL PROGRAM!

INVITE YOUR FRIENDS TO JOIN

YOU AT TDR!

Check out the TDR Referral Program at the front desk for

savings for BOTH new and currently enrolled students.

The current student receives a one time $40 credit on

monthly tuition (after the new student has paid in full

for two full months of class).

A new student is defined as one who has NEVER been

enrolled at The Dance Refinery. The new student will

receive HALF OFF the Registration fee and a one time

10% discount at The Dance Depot.

The Referral form MUST be turned in at Registration by the

new family. You are allowed only one referral PER NEW

FAMILY. We do not offer the Referral Program in the

summer session due to its short length, however, if you refer a

new family and they start class in the summer, they may fill

out a referral card and take advantage of this program when

re-registering in the fall session.

COLLECTIONS POLICY

If The Dance Refinery is forced to send your account to collections, you will be responsible for all collection fees, attorney fees, court costs and interest. (Please note, if you are given a discount and your account is turned over for collection your discount is void and the full amount will be turned over).

Questions & Concerns regarding your account may be

addressed to Alyssa, our Office Manager. Please leave a

message with the office staff during regular office hours

(Monday-Thursday between 4:00 - 9 pm; Friday 4:00 -

7:00 pm & Saturday 9:00 am - 4:00 pm.) and she will get

back to you as soon as possible!

STUDY HALL

No food or drink. This room is

designed to accommodate

students (or parents who are

waiting for children and wish to

work during class) with time between classes and

those who are here numerous times during the

week. The goal is to provide a quiet environment

conducive to studying/working (out of the noisy

hallway and off the benches and floor). Therefore,

to ensure the study hall is useful, we request only

3rd graders and up use this area. Anyone who

behaves inappropriately, is disruptive or destructive,

will be asked to leave the Study Hall.

ARKING

LOST & FOUND

The green Lost and Found shelving unit is located in the main hallway towards the Relévé Café. Items are sorted by type so look in each hanging drawer. Check it periodically. We clean it out over Christmas break, after Recital and at the end of the summer session; unclaimed items are donated to Goodwill. We do call if there are names / phone numbers on any items left. Please be sure your child’s name is in ALL attire and shoes so we can return them to their owner.

Typically during the first few weeks of a new session, the parking lot has less available spaces due to

continuing registration and customers purchasing dance wear. This situation usually improves by week 3.

Parking is NOT permitted in front of the mailbox or in front of the building.

Parking in the SMALL LOT to the SOUTH of the building is for STAFF ONLY. If you are not

employed by TDR, please park in the big lot on the north side of the building.

Although you may drop your child off at the front door, please do not park or wait in your car along the

front curb-this blocks the flow of traffic and creates hazards for children and parents crossing from the

sidewalk to their cars.

If you are dropping your child off, please pull up as far as possible along the Depot wall so that more

than one car can drop off at a time and get in and out more easily.

Please Refer To The Diagram Above

PUBLIC WI-FI

The Dance Refinery has public Wi-Fi. Check with the

office staff to obtain the password. Parents– if your

child has a device they can access the internet with

please be sure you have set the proper parental controls.

TDR is not responsible for what children access online

while in the building through their personal devices.

TEACHER RESOURCE CENTER

This is for STAFF use ONLY. Please do not allow

children to cut through to the other hallway.

Page 6: THE DANCE REFINERY 2019-2020 STUDENT HANDBOOKirp-cdn.multiscreensite.com/ac2c6bb9/files/uploaded/student handbook 19-20.pdfGirls: Leotard OR 2 piece dance attire (2 piece MUST be dance

If your child contracts head lice please call our office. By making us aware, we are then able to take measures to treat the gym carpet. Also, please do not bring him / her to class until he / she is nit free. As you are probably aware, lice can jump from coat to coat and if your child is enrolled in a gymnastics class the lice can get into the carpet. We need your help in keeping the facility clean and safe for all.

HEALTH & SAFETY

GYMNASTICS SAFETY CAUTION

General Safety Notes

No child or parent is to enter a dance room or come out onto the gym floor UNTIL the teacher calls for class. Please do not allow your children to enter rooms/areas without staff supervision.

We are responsible for your children when they are in class. Once class ends (or if the child needs to leave class to use the restroom), the parent/guardian is responsible for his/her child’s behavior. Please do not leave them unsupervised or allow them to run in the hallways, snack bar, studios, gym area or parking lot.

Children should never stand on the benches or on the railing in the Gym area.

The bathrooms are not a play area. Please be sure when your children are going to the bathroom they enter and exit promptly.

CELL PHONES—Students may take phones into class ONLY if their phones are turned off or on silent.

No GUM in class—it is a choking hazard.

VALUABLES—Fortunately, there have been very few instances of theft at TDR. However, it does happen. The best tactic is to leave valuables at home. But we also understand that items like iPads can be difficult to separate from your child. Please advise your children to take valuables, such as purses and iPads into class with them. IF you feel something has been taken, please notify the office immediately. Parents please do not leave valuables in your vehicle. TDR is not responsible for any stolen items. We have installed security cameras inside and outside of the building and will gladly assist you in any way we can but cannot be financially responsible for any thefts that take place.

When children arrive late for gymnastics class, please do not allow them to cross the big blue artistic gym floor. They should walk along the outside edge of the royal blue artistic gym floor. In the case of younger children, it is best if a parent takes the child to his / her teacher following the route described above. Crossing the floor can lead to dangerous collisions. Please help prevent accidents. If you have any questions, please speak to the office staff and they’ll happily assist you.

HEAD LICE PREVENTION

MEDICAL CONDITIONS

If your child has a medical condition (i.e., asthma, diabetes, etc.) pertinent to his participation in dance or gymnastics, please make the office aware ASAP so we can be sure the teaching staff has the appropriate info.

Creative Movement, Tumble Tots, Kinder Tots and Pre-School dance classes are extremely sensitive to disruption. Little ones require more time to settle in at the beginning of class and are easily distracted when other students arrive late or have to be dismissed to take a potty break. During viewing / watch week, you will see how sensitive our youngest students are to the tiniest interruption. For this reason, we want to stress how important it is to arrive five or so minutes early so they have time to use the restroom before class and are ready to enter class when the instructor calls.

We ask that any child under the age of 7 not be left alone in the building. The TDR staff can not be responsible for assisting a child in the restroom while they are teaching class and are not responsible for them once they leave class.

Please understand we know each day has it’s ups and downs and everything isn’t always under your control, including time. We do appreciate it when everyone is in class on time and ready to go, especially Creative Movement. If the time you are currently registered for is not working, please stop by the office to see if a later or earlier class time is available.

CLASS NOTES FOR OUR “LITTLE ONES” PARENTS

All Parents – please try to

be near the class door five

minutes before class ends

in case the instructor has

any papers to hand out or

announcements to make.

Please wear clean attire and use deodorant. Clearly label ALL your belongings with your child’s name, ESPECIALLY SHOES. It’s a good idea for students to have a dance bag to hold shoes and other items. Be prepared - consider adding a small bag to your child’s dance/gym bag with possible personal items needed

during class. Most requested items students borrow from the office: hair bands, band-aids, aspirin (pain reliever), safety pins, bobby pins, and spare change. You can enclose a personal message too or a surprise treat (non-perishable of course). The Dance Refinery office charges .25 cents for hair rubber bands.

Think of others. The benches and gym viewing area are for SITTING. Please place dance bags, shoes and jackets UNDER benches, in cubbies or on coat hooks provided throughout the hallways. Bags, books and jackets do not belong ON benches, chairs or snack bar tables.

Throw garbage in the trash cans provided. Clean up after yourself. (Give a hoot—don’t pollute...Never be a dirty bird!) Parents - please do not leave your children unsupervised. We are family and this is our home, please treat

it with care as you would your own home.

ANNUAL RECITAL

Recital participation is optional; unless you are in one

of The Dance Refinery’s competitive / recreational

dance, hip hop or tumbling performing groups. In order

to participate in the recital, the student must be

registered up to the recital and ALL fees must be

current. This includes paying the prorated June tuition.

We highly encourage Recital participation as a part of

your child’s development. From August to January,

students work on learning new steps and perfecting

those already in their repertoire. In January, we

begin work on their Recital dance, assembling

combinations that will represent the culmination of

all the students have learned. The Recital, like a

tournament game, is a great way for children to show

their parents and friends everything they’ve

accomplished throughout the year.

Recital Participation Forms are handed out starting

November 18. Please be sure to get one from your

teacher and hand it in to the office no later than

December 19.

WHEN/WHERE

The Dance Refinery Recital is scheduled to take place

June 13 - 14, 2020 at Center Grove High School. Dress

Rehearsal is traditionally held on Thursday or Friday

evening and Saturday morning or afternoon. The

performances are Saturday evening, Sunday afternoon

and evening. Each class will be assigned to a show

(there are three shows all together), therefore you and

your child will only need to be at dress rehearsal and

performance times for your show.

COSTUMES

Costumes are ordered the first week of January (January

3-9) and distributed in regular classes in April

(tentatively scheduled for April 20 – April 23). All

money for costumes is due by January 8, 2020.

Costumes typically range between $120.00 – $150.00

(this includes everything but your shoes). Because

performing groups begin competition well before the

Recital; their costumes are distributed as they arrive.

All accounts (tuition, competition fees, and recital

fee) must be current in order to receive costumes.

COSTUME DEPOSITS

To help ease the burden of paying for costumes right

after the Holidays, we offer you the option of making

costume deposits. You may make costume deposits

during October, November and December. If you are

going to be in one number, the recommended deposit

is $40.00 - $50.00 per month, per costume. Any

credits remaining, after the deposits have been applied

to your total costume bill, will be applied to February

tuition. Costume Deposits should NOT be included in

your monthly tuition check.

RECITAL FEE

A Recital Fee is assessed per family living in the same

household (not per student) and is due in our office

before April 10, 2020. However, any family who pays

on or before March 10, 2020 can pay the Early Bird

Special!

The Recital Fee allows you to invite as many family

members and friends as you like without the hassle of

tickets.

TUMBLING / GLADIATOR REHEARSAL FEE

Tumbling / Gladiator classes have five separate

rehearsals on weekends. Their dances are staged and

practiced during these extra rehearsals, not during

class time. These rehearsals start in February and are

held on the following Sundays at The Dance Refinery:

1. February 23, 2020

2. March 15, 2020

3. April 19, 2020

4. May 17, 2020

5. June 7, 2020 - This is a Dress Rehearsal @ TDR

The fee for these extra rehearsals is $52.00 for

Tumble Tots and Kinder Tots (the same as the

monthly fee for a 45 minute class lesson); $56.00 for

Beginner I through Elite (the same as the monthly fee

for a one hour class lesson) and $66.00 for Gladiators

(the same as the monthly fee for a 1.5 hour class

lesson). The tumbling/ Gladiator Recital Rehearsal

fee is due by the first scheduled extra rehearsal in

February (February 23). A 10% late fee will be

assessed to anyone paying this fee after March 10th.

Please be sure you get a copy of the Recital participation packet (will be handed out to all families starting November 18) and pick up a copy of our monthly newsletter,

In Step With The Dance Refinery for regular reminders about these due dates and

updates on Recital planning!

WHAT IS A SMALL GROUP?

Small Groups (solo, duet, trio or quartet) are available to any student registered for at least one regular class at The Dance Refinery. At this time we are operating from a waiting list for small group time slots. Parents may put their child on the waiting list at the front desk and we will contact you as quickly as possible to fill any open spots as they become available.

WHAT IS A PERFORMING GROUP?

The Dance Refinery began Performing Groups for students who are more serious about dance and tumbling and have the desire to perform and compete while representing The Dance Refinery.

We also offer a full competitive artistic gymnastics program, Mini-Team through Optionals, and Hip Hop performing groups. All of these students study exclusively at The Dance Refinery year round.

If your child is interested in one of our competitive programs and/or you want more specific information, please leave a message at the office and Lynn or an appropriate staff member will contact you. Gymnastics Team tryouts are typically held in May. Anyone interested in trying out must be an enrolled student of The Dance Refinery during the Fall Session. Auditions for the dance, tumbling and hip hop performing groups are held during the Summer Session. Anyone interested in auditioning must be an enrolled student of The Dance Refinery during the Summer Session. All accounts must be current in order to audition.

Normally an introduction comes at the beginning of a document, but an exception was made so the questions we most frequently receive could be addressed. After eight exhausting pages, I, Lynn Herrick, Executive Director, am pleased to introduce The Dance Refinery.

TDR, as it is affectionately abbreviated, is currently beginning its 44th season. Our staff is very strong and diverse. One of my original students, Peggy Dukes Jeffers is still with me as our main tap teacher. There are more than a half dozen other staff members who have been with TDR for 10 years or more. Their training and

education is as follows: three are USAG Safety Certified, one is a ballet / gymnastics instructor trained in

Beijing, China in the Vaganova ballet method. He has performed professionally in China, in the USA for four American presidents, and toured internationally; one former Indianapolis Pacemate; one current dance Kaleidoscope apprentice; some are currently pursuing college degrees; a few with dance degrees, several degrees in education, one with a degree in music, and others with professional dance backgrounds. Regardless of their experience, what unifies all of us is our desire to share our passion in our artistic areas with others.

Whether you enrolled your child here because you want him / her to grow more socially and refine his / her coordination and balance, your child wants to dance like Angelina Ballerina, be the next rap star’s hip hop dancer, or to help your child attain the dream of pursuing dance, gymnastics or cheerleading beyond high school, then you have chosen well. The following are some notable accomplishments of our TDR Alumnae:

Colleges accepted to include: Butler, Point Park, University of Arizona, Milliken, Cincinnati Conservatory of Music, University of Illinois, Indiana Univ., Ball State, University of Indianapolis, Purdue, IUPUI, Marian, Wright State, Chapman, PACE, University of Pittsburgh, Institute for American Musical Theatre, and the American Musical and Dramatic Academy.

Professional career achievements include: Radio City Rockette Show; Hubbard Street Dance; River North Dance; Dance Kaleidoscope; Cincinnati Bengals Cheerleader; Indianapolis Colts Cheerleaders; Indiana Pacemates; principal roles in the National Tours of Bye Bye Birdie, Annie and the first National Tour of Hamilton; touring as a Christina Aguilera dancer; teacher and studio owners in Canada and U.S.; dancer for Kanye West; Netherlands Dance Theatre; Disney and Holland American Cruise Lines; Convention Teaching Staff for Tremaine Dance Conventions, Masters Ballet Academy, Beyond the Stars, Streetz Dance Convention, Dance USA and Hollywood Connection.

But the greatest delight is when former students return with their children!!! The cycle of inspiring one another continues. Thank you for believing in the dreams of your children and trusting us to refine your most precious jewel!
