The primary goal of this document is to understand how to access your files, connect a computer for dedicated sync purposes and basic web access features.

Two options exist for general access.

1. Local computer sync with your OwnCloud service

2. Web access to your OwnCloud service and your credentials from any computer

This document is to address the general user, anything more advanced can either be done via self-learning or a one-on-one training session.

It is also assumed within this document you have knowledge of your administration password (If required) to allow installation of any computer software, understand what a internet link / website address looks like and how to access it and where your downloads folder lives.

In the event your OwnCloud service is hosted by SUPPORTU, it will be your email address and the email password using URL https://accessmy.space

Access the OwnCloud service To gain the most from any cloud service, the most basic principle to operating it successfully is to have a user of that service understand where things live and the basic features are made available to complete tasks without external IT assistance.

Open a web browser window, and type in the top address bar the exact server link provided to you.

On premise server customers will use http://server.mycompany.tld based on your company domain name.

Installing OwnCloud Desktop Sync - DownloadOnce you have successfully signed in using your provided username and password, you will be prompted to download the applications you need to get started

Choose desktop for popular computer systems (Windows, Mac & Linux) and download the current installer file for your system

Installing OwnCloud Desktop Sync - Start The ProgramOnce the OwnCloud sync software has completed installation, find within your programs menu the “ownCloud” application and start it. You will be presented with a first time wizard to get you connected.

Installing OwnCloud Desktop Sync - Startup settingsNow the OwnCloud sync tool is running, you should see a OwnCloud icon sitting in your running toolbar notification area by your system clock (Windows usually lower right corner of screen, Apple Mac upper right of screen, icons similar to right >> )

If you “Right Click” the icon (context menu action) you can select “settings” and you want to be sure upon restarting your computer that OwnCloud sync is enabled to start-up automatically.

Ensure “Launch on System Startup” has the tick box filled

OwnCloud Sync - BasicsThe default setup will create a new folder on your computer called “OwnCloud”

The OwnCloud web access is the best place to manage sharing and recover damaged or lost items.

It does not matter what interface you choose to use, when the sync tool is running on your computer, files and folders within your OwnCloud folder will replicate automatically.

OwnCloud Sync - New Folder ExampleIn this example creating a new folder online via web access will replicate to the computer.

OwnCloud - Recover Deleted ItemOn occasion a user can make an error, deleting the wrong file can be a time wasting exercise for any business.

Select from the OwnCloud web access the “Deleted Files” menu lower left of the sidebar.

OwnCloud - Activity Easiest way to see actions taking place within your folders is via the Activity timeline.

Using the upper left main menu within OwnCloud web access, select “Activity”.

OwnCloud - Basic Folder SharingFolder sharing is the easiest way to keep team folder data in one place, using the OwnCloud web access. Move your cursor over the required folder and a “Share” icon will appear.

Select share icon, type into the blank search another username you wish to share the folder with (select the name once it appears) and it will allow access to that entire folder for the username you just shared with.

*NB: Folder sharing is best done centrally from one main user account for business purposes so the same account can monitor activity changes if needed and restore deleted items actioned via users connected to a shared folder.
