An estimated banquet check will be provided to you upon booking your banquet event. A signed copy will be required with your contract and/or banquet event orders.

Most buffet menus have an attendance minimum; please consult with your Sales Manager if you have any questions regarding these requirements.

An attendance guarantee is required no less than 72 business hours prior to the start of your event. Your guarantee will be used as the banquet minimum for preparation and related charges.

Some closing thoughts

BANQUET MENUS

The menus provided here are merely suggested items and may be customized to meet your specific

event requirements. Our sales and catering team will work directly with the Executive Chef to pro-

duce a menu that is most satisfying to your guests and/or attendees. Menu prices will be confirmed

one month prior to the scheduled function; menu selections must be made at least fourteen (14)

days in advance.

FOOD AND BEVERAGE

The DoubleTree Suites by Hilton Indianapolis-Carmel is able to provide complete food and beverage

service. Because of licensing and insurance requirements, we are unable to allow outside food or

beverages to be provided in meeting rooms and other public spaces. No unconsumed food or bev-

erage items may be taken from the hotel.

GUARANTEES

A minimum guaranteed number of people consuming food and beverage at a function is required

72 business hours prior to the time of the function. The number will be considered a minimum at-

tendance figure for billing purposes. If no guarantee is given, the guarantee assumed will be the

number appearing on the banquet event order.

SERVICE CHARGES AND INDIANA SALES TAX

A service charge of 21% and a total sales tax of 9% will be applied to all food and beverage charges,

audio/visual equipment rental, labor/set-up charges, and meeting room rental.

PAYMENT ARRANGEMENTS

A master account may be established for room, tax, and food and beverage charges, as well as any

miscellaneous charges incurred during the function. For a direct billing arrangement to be estab-

lished, the group must spend a minimum of $5,000 and be approved at least 30 business days

prior to arrival. A credit card can be used with a completed and signed credit card authorization

form (provided by the Hotel). A group may pay by check, but must also provide a credit card as a

method of guarantee.

HILTON HHONORS EVENT PLANNER POINTS

Are you a Hilton HHonors member? When you plan a meeting with us, you’re eligible for points

based on the total of your final catering bill. If you’re not a member, we can enroll you at the hotel

so you can start earning rewards right away.
