  • 1. Time Management Workshop Training session on Webinar By UKIM Women Wing .

2. Things you require You will need charts of some slides in A2 or A3 size. Sticky notes, pens and sheet of paper , Laptop for your use. 3. Instructions *workshop can take between 2 to 3hours including break. *15-20 can participate. *You can charge 5 per person to cover the costs. 4. Tell objectives of programme *Prioritise tasks by urgency and importance. *Create an effective to-do list. *Schedule tasks effectively. *Deal with procrastination(multawi kerna) 5. :Activity, Icebreaker Pass on sticky notes for answers, stick them on chart and read out loud. "if days have 25 hours, what would you do with extra time?" 6. Activity: Determining priorities Display chart determining priorities with heading A, B, C and D (this on slide number 11) 7. Nov 12, 2013 Determining PrioritiesDetermining Priorities A Urgent Must be done today B Ideally do today C Could be done tomorrow or later, must be done sometime D Would be done ideally, but not essential 8. Now hand over copy of ranking quiz (attached) to each participant and give few minutes to fill in. You can create your own ranking quiz according to age gender and interest of participants 9. Time Management Ranking Quiz All of these things are happening at once. Please rank them in importance in your life. Do not try to plan things such as "If I answer the door, the person can turn off the water in the kitchen." Your baby is crying and needs you. The telephone is ringing, you are expecting an important phone call, and you have no answering machine or voice mail available. The doorbell is sounding and you hear the person knocking on the door. There is dry laundry on the line outside and it is beginning to rain. The water tab in the kitchen is running. Salah time is getting late.What is the most important thing in your life at this moment? What comes second? What comes third? What comes fourth? What comes fifth? And last not least? *.Attend to baby *Pray Salaah (nmaz) *Answer door *Answer telephone *Take in the laundry *Turn off the water 10. Nov 12, 2013 File the Pile 11. Explain why we need to have "to do list" either on calenders, electronic diaries, cell phones or any form of reminder. To do list Option1: Walk around building and come back within 30 sec and tell at least 10 thing they have seen(ask just 1 or 2 persons to save time). Option2: ask to name the things they have seen on their way or what they have eaten last five days. 12. Now walk with pen and paper Now walk again and ask them to write down the name of at least 10 objects(lights, switches etc.) buildings with pen and paper and come back after writing. Now explain that OUR MINDS are NOT designed for short term memory. So what ever task you need to do write it down. Conclusion: Our mind are not designed to store short term memory so always use to do list. 13. What to write on our "to do list"? Is it just appointment or meetings or else? Gather ideas for few minutes. Now explain that write down your targets, goals, A result. Introduce idea of "mind map". 14. Membership UKIM Syllabus? Rabta? Dua Time? Discussion? Ia'anat? Attendance? 15. How to achieve targets we done mind mapping for? Ask all shurkaa (participants) to walk from "A" to "B" (any point can be "A" and any place can be "B"). Ask them to choose different paths but come back within a minute. Now explain reaching our targets can differ from others. Some people achieve earlier some later. Some leave it for last minute and it works for them. Never idealise perfect time management Just keep walking towards "B". Everybody will reach adopting different ways but same goal. Some can finish maybe in 2 weeks reading a book, some may take a month. Do not question your ability. Just do it.....and allow discussion for few minutes. Break(if need to) with tea and refreshments) 16. Card game(allow 10-20 Min) There are about 100 cards and each has good or bad time management statement. Make groups of 3 or 5(depends on number), hand over cards and ask them to separate good and bad time managements Once that is done, ask them to pick up cards one by one and tell each other which qualities they have and which they need to work on. ( There are some blank cards, we used them for different Islamic items, e,g salah on time (good or bad time management?). You can add your own. 17. Interruption and time wasters Ask group to give few examples of interruptions and then Simply explain slide number 15 and 16 in your own words 18. Nov 12, 2013 Dealing With InterruptionsDealing With Interruptions Ask yourself, what is more important, the interruption or what you are working on. Keep a TO DO LIST, to refocus on what you should be doing. Ask suppliers, employment agencies. to telephone during quieter periods. Go and see or telephone the person. Invent a deadline. Block unwanted e-mails. 19. Nov 12, 2013 Dealing With InterruptionsDealing With Interruptions Ask unexpected external visitors to make an appointment. Keep a time log of who is interrupting you. Continue to look busy Be assertive learn to deal with have you got a minute by saying NO. Stick to the point. Have a continuity plan for emergencies. Plan time for unexpected circumstances. 20. Procrastination( ) Beware of monkey Print a picture of monkey form slide number20) and display on a chart. 21. Beware of the Monkey (The Problem) Each time we say yes to these requests we collect another monkey namely a problem that started with someone else (who is working for whom?). Furthermore, monkeys eat into our discretionary time; the amount of time left after meeting the demands of the family and job. 22. Hand over sticky notes and ask them to write down name of any monkey they have on their shoulder. Explain it does not mean that now we should stop saying "yes". 23. Activity Hand over sheet or paper with written 10 columns of "yes/no" . They need to circle "yes or "no". Ask question from slide number 26. Now display chart made from slide number 27. Sheet should look like this 1: Yes No 2: Yes No 3: and so on....... 24. Nov 12, 2013 During the last seven days, have you atDuring the last seven days, have you at any time:..any time:.. 1. Wondered where a day went to? 2. Achieved half what you wanted to achieve? 3. Spent more than 10 minutes on one telephone call? 4. Worked on something you enjoyed and left alone something more pleasant? 5. Said, I must read that, and have not? 6. Passed out a vague instruction? 7. Had a interview or discussion lasting more than two hours? 8. Walked the same ground twice within half an hour because you forgot something the first time? 9. Seen the size of your TO BE DONE LIST grow? 10. Worked hard? 25. Nov 12, 2013 ScoringScoring If you scored YES 0 3 times: you are exceptionally well organised. 4 7 times: you are well organised. 8 10 times: you are just like the rest of us. 26. Show reality of life poster and at least for 10-15 minutes speak from Quran Ahadith specialy Surah Asr. Now at this stage when you speak even little, it will be more effective because you have created a good "fiza". 27. (Optional) House chore list You can add this activity if have time. Make 3 or 4 groups and ask them to write down house chore lists. Group 1: Kitchen, Garden Group2: Bedrooms, Family areas Group 3: Bathroom, Miscellaneous Now give each group 30sec to write down, now swap sheets for example group 1 sheet go to group 2 and so on. Again give them 30 sec and swap again 28. Ask group to circle which tasks you do. Now write words daily, weekly, monthly, yearly. Now write am which can be done in the morning. Aim to do between 7am to 9am every morning everyday. There are some other ideas of activities in slides you can use. 29. Example Example
