Time management tips--Dr.Aashish Bariyar
Set goals:
Write down your goals… it’s only a wish list until you write it down! Goals must be useful, measurable and attainable.
Prioritize your goals using the ABC method:-
A=HighB=MediumC=Low
Avoid procrstination:
Procrastination is the one time waster over which you need to have complete control.
divide the time into more manageable pieces and start on the easier ones-IMMEDIATELY.
Get a clear picture of the task by discussing and rationalizing with others
Designate interim completion tasks/pointsChart your progress and review it from time
to time
Minimise interruptions
The average employee is interrupted every 9 miniutes.this equals 48 interruptions per day.
How to handle interruptions?
if if, its necessary, handle immediately
if its uif,its unneccesary, stop it or avoid it.
if its uif,its untimely, reschedule it.
Manage your telephone time: The telephone is both a terrific time saver and an time
thief. phones are a primary source of interruptions… in fact,40% of people spend more than 2 hours per day on
the phone.
If the person you re calling is not available, leave a precise message-you’re more likely to get an answer back without calling them again.
Use automatic dialing to save valuable time. Return calls before lunch or at the end of the day –people
get to the point faster when lunch or quitting time draws nearer.
Keep a phone log in your planner to record decisions and discussions.
Conquer paper work :
You should handle paper only once. Try the TRAF system. Here’s some tips on how to TRAF:-
Toss it: if you have an assistant, delegate the sorting, screening and tossing of mail.
Refer it:-keep a folder ready for each person you deal with on a regular basis; when the person comes to see you, open the folder and take care of all the items at once.
Act on it:-start an action folder or action page in your planner
File it:-with a discard date on papers that will outlive their usefulness and clutter your files.
Plan shorter and more effective meetings
Meetings can be a big time waster. Before you set up a meeting, evaluate your agenda.
don’t allot more time for meetings than necessary-
distribute the meeting agenda at least one day in advance and don’t overload the agenda
start meeting on time even if everyone is not present
don’t schedule a meeting for more than two hours
issue minutes promptly
Contd…
Time management can be as informal or as detailed as you want to make it. Develop a plan to fit your own needs-be flexible throughout about your time table and tailor it as your need changes.
How to manage TIME….
Everybody has to manage their time to some extent whether it be at their home or at work-or both.
The sequence in which you perform tasks on an everyday basis has a profound effect on how much you get out of it.
Contd….
Time is our most valuable resource.by analyzing time usage on a regular basis, it is possible to understand the most efficient ways to use time, both in and out of the workplace.
Contd….
Set aside time each day to review and prioritize demands on your time.
Take a small chunk of a difficult task an deal with it straight away.
Think through your day while making your day to work.
Always delegate tasks which are not time effective for you to do.
Split your working day into into chunks of 30 miniutes each.
Contd….
Review your time log to assess your work efficiency.
Allow for some time in designing and re designing your time schedule.
Estimate how long a task will take and see how accurate you are.
Update your time log as often as possible and work upon the areas which consume your large chunks of time.
Booking quiet time
you need some time to yourself-time to collect your thoughts, assess priorities, and concentrate on difficult or high priority tasks.
Ensure that you have some time for yourself everyday…time to think, to introspect and to improvise by working upon your weak areas.
Always remember….
It’s not how much time you have,It’s how well you manage it…
Time management is doing things more effectively, not just more quickly …
