Issues at the site – where we were coming fromMultiple companies on site that use common contractors
Multiple SAP systems within site (SAP and GSAP)
Common workforce for projects, turnarounds, non routine mtc, and
routine mtc.
Fairly high percentage of routine mtc work done by contractors
Expectations were not common across all contractors (start time, etc)
Work schedule not common across all contractors (4x10, 5x8, 9x80)
OT rules not common across all contractors (OT after 8, 9, 10, or 40)
Lack of understanding of contracts by company personnel
No formal daily approval of time sheets
4
Common Pay RulesScheduled Start – Early/Late in TimeTime will not be automatically counted before Schedule unless by Supervisor Approval. Unless, the Contractor has clocked in 2 hours before schedule will Track assume that the contractor was called out to begin work early for the day. Contractors must be onsite 5 minutes before Schedule. If they clock in the 5 minute window before schedule, they will be docked fifteen minutes. If they clock in after the scheduled start, they will be docked 30 minutes.
Examples: 0700-1530 Schedule0656 clock in will result in dock of 15 minutes.0701 clock in will result in dock of 30 minutes. Scheduled End – Early/Late TimeTime will not be counted after end of schedule unless by Supervisor Approval. Grace PeriodsThere will be no grace Periods entered into Track.
5
Common Pay Rules Lunch30 minutes Lunch Deduction will occur after 75% of the scheduled work day. 8hr schedule – after 360 minutes, 10hr –after 450 minutes. Any offsite time during the lunch period over and above the 30 minute period will be counted towards the total lunch deduction. RoundingRounding will be counted in 15 minutes increments. Rounding will round down to the nearest 15th minutes increment.
6
Cost controlThe Objective - predict daily spend on routine mtc by operating area.
Exposure to double billing for resources to multiple companies
Lack of controls to identify resources sliding between
Projects/Nonroutine mtc to Routine mtc
Lack of a common daily time approval work process
The Solution
All contractors and company craft’s time entered into TRACK on a
daily basis
The time is entered at the work order level, with work order type
(routine mtc, projects, etc) and functional location (operating area or
project coordinator ) details
Approvers are broken down by work order type and functional location

Future - Personnel Accountability
There is a desire to decrease the amount of time that it currently takes to identify personnel that may be in the area of field incident
Looking into the options of putting additional card readers in safe zones.

Future – Custom Chrystal Reports
Some training done by attending outside class on Chrystal
• We would like to eliminate the need of down loading data from TRACK to spreadsheets
