VISAFederations requiring an official invitation to obtain a visa are asked to contact theOrganizing Committee immediately by sending the official visa form [email protected].
INSURANCEClubs/Federationsareobligedtocovertheexpenseofinsuranceformembersoftheirdelegation (illness, accident and repatriation) and to bring the evidence of suchinsurance.Insurancewillbecheckedandcollectedduringaccreditation.
OFFICIALLANGUAGETheofficiallanguageoftheCompetitionisPortuguese.AnnouncementswillbemadeinPortugueseandEnglishonly.Interpretationfromandintoanyotherlanguagemustbeorganizedbythedelegations.

ACCREDITATIONANDIDCARDSAlldelegationmemberswillreceiveanaccreditationIDCard.TheaccreditationIDCardis personal, non-transferable and compulsory to get access to the training andcompetition hall, functions, and the bus system. All participants and officials arerequiredtoweartheIDCardsatalltimes.Accreditation will take place at the accreditation room in Coimbra Sports Hall. Alldelegations will be directed to the accreditation room from the airport. Delegationstravellingbycarhavetogofirsttotheaccreditationroom.At accreditation, heads of delegationmust check the correct names of their completedelegation,verifyaccommodationrequirements,makeanynecessarypaymentsaswellastheirconfirmationofinsurance.The OC will check nationality and age of the competitors. The age and nationalitycontrolwilltakeplaceatthesametimeasaccreditation:Thecontrolwillbecarriedoutbycheckingthepassportsoftheparticipants.TheHeadofDelegationhastobringpassportsofallparticipantstotheaccreditation.
TRANSPORTATIONTransfersbybustoandfromtheAirportaswellastoandfromtheofficialhotelstothecompetition hallwill bemade by dedicated buses for the delegations that book theiraccommodationsandmealsthroughtheorganization.Thebusschedulewillbehandedtothedelegationsuponarrivalandwillbeavailableateachhotel.
ACCOMMODATIONANDMEALSThe organizing committee is not responsible for any damages in the school or hotelrooms,costsforminibars,payTVorthelike.Thisisresponsibilityofeachdelegation.Breakfast is included in theaccommodationpackageand is servedateachhotel.Forschoolaccommodation,breakfastisservedfrom8:00until9:30LunchandDinner is included in theaccommodationpackageand isservedatAvelarBroteroSchool (on thesideof theSportsHall)whenvouchersarehanded in.Unusedvoucherswillnotberefundable.Lunchwillbeservedfrom12:00until15:00Dinnerwillbeservedfrom18:30until21:30

STARTINGORDER–DRAWINGOFLOTSThedrawingof lotsandstartingorderwillbemadeintheOCofficeandpublishedonthecompetitionwebsite,aswellassenttothedelegation’se-mail.Thestartingorderforthefinalswillbeintheorderofmerit,accordingtotheTechnicalRegulation.ThelistoffinalistsandthetworeserveswillbedistributedtotheHeadsofDelegationafterthequalifications.Pleasenote:TheCoimbraGymFest2018Competitiondraw, thecompetitiongroups,the starting lists, the training groups, the training schedule and the competitionschedulearebasedontheassumptionthatallregistereddelegationswillparticipateinaccordance with their nominative registrations. Should there be any changes toparticipatingnumbersatthetimeofthecompetition,theLOCreservestherighttomakeadjustments,whichwillfacilitatethesmoothrunningofthecompetition.
COMPETITIONCARDSAll competition cardsmust be delivered at the Secretariat before Thursday 28th Juneuntil19:00.
DRAWINGOFLOTSFORJUDGESThejudgesmeeting,whicharecompulsoryforalljudges,willtakeplaceontheCoimbraSportsHall.28thJuneat20:30Thejudgesdrawwilltakeplaceattheendofeachofthejudges’instructions.PleasenotethattheJudges’instructionswillbeheldinEnglishonly.

SCORESANDRESULTSThescoringsystemusedisSporttech.Thescoreswillbeshowninthecompetitionhallandliveonthewebsitehttp://sporttech.io.A resumed list of resultswill be distributed to theHeads ofDelegation at the end ofqualifications.Adetailedlistofresults, includingall judges’marks,willbesenttotheDelegation’se-mailsattheendofcompetition.
VIDEORECORDINGAllroutineswillberecordedonvideobytheOC.
MEDICALSERVICESMedicalserviceswillbeprovidedbytheMedicalCentrelocatedinSportsHall.
BANQUETANDFAREWELLPARTYTherewillbeabanquetintheSãoFranciscoCongressCenterstartingat20:30.Thebanquetisforofficialdelegationmembersonly,andavalidbanquetticketmustbepresentedattheentrance.The closing banquet is free of charge for the delegations who have booked theiraccommodationthroughtheOrganizingCommittee.DelegationsthathavemadetheirownarrangementswillhavetopurchaseticketsfromtheOrganizingCommitteeataccreditation.Thepriceis40€perticket.
INFORMATION AND CORRESPONDENCE DURING THE COIMBRAGYMFESTEvery delegationwill have amailbox located at theOC Secretariat in the SportsHall.Accesstothemailboxisonlyprovidedforthoseholdinganofficialmailboxcard.EachdelegationwillreceiveamailboxcardonarrivalinCoimbra.All information, requests and correspondence regarding this competition should beaddressedtotheOrganizingCommittee.
