General Information

Exhibits and SignsEach tabletop exhibit space will include one 6’ x 30” covered table and two chairs. A company identification sign will be provided to each exhibitor.

Space AssignmentExhibit space is assigned on a first come, first serve basis. ISTSS will attempt to honor all requests for exhibit space and will not assign space without full pay-ment. ISTSS reserves the right to determine final exhibit space assignments, and to accept or reject any exhibit.

PaymentTo reserve an Exhibit Display, full payment must be made with the exhibit con-tract. A registration form will be sent in your exhibitor kit once you have signed up for an exhibit.

DeadlineExhibit applications must reach ISTSS by Monday, October 9, 2017.

Cancellation PolicyISTSS must be notified in writing in the event of cancellation or space reduction. If cancellation of exhibit tabletop occurs prior to Monday, September 18, 2017, the exhibitor will be refunded 50% of the payment received. After September 18, 2017, no refunds will be made.

Installing ExhibitsThe exhibit area will be available for set-up on Wednesday, November 8, 2017, from 3:00 p.m. – 5:00 p.m. All exhibits must be set up by 5:00 p.m., Wednes-day, November 8, 2017. Assembly of exhibits during the regularly scheduled exhibit hours is not permitted.

Dismantling ExhibitsAll exhibits must remain intact until the official closing time of Saturday, November 11, 2017, 12:00 p.m., and may not be dismantled or removed, in whole or in part, before that time.

Exhibit PersonnelAll participants affiliated with exhibits must be registered for the 33rd Annual Meeting. Each person will be issued an exhibitor badge and must be employed by the exhibiting organization or have a direct business affiliation. Exhibiting companies are limited to one complimentary registration. Additional registrations can be purchased at the member registration rate.

Exhibit KitExhibitors are responsible for all freight, drayage and labor charges. Interna-tional shipping rates may vary and information will be provided in the exhibit kit along with shipping instructions. Exhibit kit will be emailed to exhibitors a few months prior to the annual meeting.

General Information

Exhibitors Selling BooksBooks will be sold through the ISTSS Bookstore, except in the case of those exhibitors that have registered to sell their books at their exhibit table. Exhibitors are responsible for all relevant taxes on items sold at the meeting. Exhibitors selling their product should have sufficient supply of books as the ISTSS official bookstore will not have those books onsite.

The Palmer House Hilton will be the headquarters for the ISTSS Annual Meeting. ISTSS has negotiated a discounted rate of $239 USD for single or double occu-pancy (complimentary internet included). Rooms and rates are based on avail-ability and subject to state and local fees/taxes (which are currently 16.4% per room). To make your reservation by phone, call the Palmer House Hilton reserva-tion line at +1-800-445-8667, 24 hours a day, seven days a week and inform them you are attending the ISTSS Annual Meeting. Visit ISTSS website at www.istss.org to make your reservation online. Reservations must be made no later than Friday, October 6, 2017. After this date, discounted rates may not apply.
