• Lessons Learned
• SPS PR
• PR Line Creation: Pre-stage as many requirements as possible and include placeholder PR
lines to assist in reacting quickly to changing requirements while deployed. Also, ensure
requirements are organized by Commitment Item (EOR) as much as possible as the PO
Commitment Items must match the adopted PR Line. For example, if there will be purchases
for supplies, ensure one of the PR lines has 260B selected. Upon PO line posting, adopt the
supply PR line and the Commitment Item will automatically transfer over to the PO line as
260B.
• If no connectivity exists between GFEBS and Deployed PD2, the Purchasing Group (PGr)
should be “D”. The Plant will remain as SHAF and the SPS PR will NOT route to RCO-HI
SPS. If connectivity has been established for the specific exercise, the PGr should be “QVP”
and SPS PR will then route to the CITRIX PD2. Also, the Plant will remain as SHAF.
• SPS PO
• Pay Office DODAAC: Ensure the Pay Office DODAAC is researched and determined and/or
established before contracts are awarded.
• Item Designator (B): If GFEBS is not the paying office (HQ0490), each PO Line should have
the “B” Item Designator selected. The B Item Designator will prompt the user to use the
Limits Tab and enter the expected and maximum values for each CLIN.
• Local Vendors: Utilize DFAS Template to load local vendors into GFEBS as soon as contract
has been awarded. DFAS usually loads the vendors within 1 business day. All local vendor
requests for YA were in fact loaded into GFEBS within 1 business day.
