Associate a new hire to a RPA HR resources will notice the following changes in eRecruit once the Multi-RPA capability has been configured within the eRecruit instance (if the multi-RPA capability has been configured in eRecruit): 1. SF-52 fields removed from Step 1 Recruitment Request 2. New Step 2 ‘Request for Personnel Actions’ where the HR resource can capture the RPA request number, received date, and approved date for each RPA associated with the vacancy

Overview – Multiple Requests for Personnel Actions (RPA) Capability

Overview

Within the October 2014 eRecruit deployment, system modifications were made to support multiple SF-

52s or Requests for Personnel Actions (RPAs) to an eRecruit New Position Request, i.e. a vacancy.

System modifications for the multi-RPA capability provide HR resources the ability to:

1. Assign multiple RPA numbers and their receipt/approval dates to an eRecruit NPR/vacancy;

2. Manage RPAs via the Vacancy Dashboard to include adding, editing, and removing RPAs; and

3. Associate a new hire to a RPA

HR resources will notice the following changes in eRecruit once the Multi-RPA capability has been

configured within the eRecruit instance (if the multi-RPA capability has been configured in eRecruit):

1. SF-52 fields removed from Step 1 Recruitment Request

2. New Step 2 ‘Request for Personnel Actions’ where the HR resource can capture the RPA request

number, received date, and approved date for each RPA associated with the vacancy

3. New ‘Manage Requests’ capability in the ‘Position Information’ panel on the Vacancy Dashboard

from which the HR resource can add, edit, or delete RPAs associated with the vacancy.

4. New ‘Select Request Number’ link when setting an applicant’s Certificate Member Status to

‘Hired’. This enables the HR resource to associate the new hire to a specific SF-52 or RPA.

Purpose

This document provides the steps to:

I. Associate a SF-52 or Request for Personnel Action (RPA) From Within the eRecruit New Position

Request

II. Manage SF-52 or Request for Personnel Action (RPA) from the Vacancy Dashboard

III. Associate a New Hire to a SF-52 or Request for Personnel Action (RPA) - Manual Hire Process

(Non-EODonline integrated)

IV. Associate New Hire to a SF-52 or RPA – Integrated EODonline Process

I. Steps To Associate a RPA From Within the New Position Request Workflow

1. Select Create Recruitment Request

2. Select the Agency System from the drop-down and select Continue to be transported to the

‘Select Positions’ page

3. Make the appropriate selection and select either the Continue without Position or Select

Positions button. Select ‘Start Recruitment Request’ if an EmpowHR position is selected.

4. Complete Step 1 Recruitment Request. Notice the SF-52 data fields are no longer displayed.

5. Complete Step 2 Request for Personnel Actions.

For every SF-52 or RPA to be associated:

• Enter the value for the Request Number

• Enter the Received Date

• Enter the Approved Date

• Select the ‘Add’ button. Clicking ‘Add’ saves the RPA data elements

Once saved, RPAs can be managed via the Vacancy Dashboard.

II. Manage SF-52s or RPAs from the Vacancy Dashboard

1. Navigate to the Vacancy Dashboard

2. Expand the Position Information panel to display the Requests associated with the vacancy

3. Select Manage Requests to view the Vacancy Request Numbers page

4. To edit the Received Date or Approved Date for a RPA:

• Click in the desired field to view the pop-up calendar

• Select the desired date

• Select Save to save the edits made

5. To add a RPA:

• Enter the value for the Request Number

• Enter the Received Date

• Enter the Approved Date

• Select the ‘Add’ button. Clicking ‘Add’ saves the RPA data elements

6. To delete a RPA:

• Select the ‘Delete’ link to delete the RPA. Note the Delete function should be used

when needing to correct an error in the Request Number value.

III. Associate New Hire to a SF-52 or RPA – Manual Hire Process (Non-EODonline integrated)

Note- the following steps are in effect until production deployment of the integration between eRecruit

and EODonline.

1. Navigate to the Certificate Details tab for the certificate on which the selectee is being hired

2. Change the selectee’s Certificate Member Status to ‘Hired’; the page will update to display the

‘Select Request Number’ and ‘Enter EmpowHR Selectee Information’ links

3. Select the Select Request Number action to display the Vacancy Request Numbers page; this

displays the Request Numbers currently associated with the vacancy.

• Additional Requests can be added by populating the requested data elements.

• The ‘Manage Requests’ link can be used if the Received Date or Approved Date for a

Request needs to be modified.

4. Select the Select action for the Request to which the new hire should be associated. This action

associates the Request to the new hire. Once saved, the user is returned to the Certificate

Details tab with the ‘Select Request Number’ action link replaced with the ‘Change Request

Number’ and ‘Delete Request Number’ action links.

• Change Request Number � enables the user to remove the current Request associated

to the new hire and replace with a new Request.

• Delete Request Number � enables the user to remove the current Request associated

to the new hire without replacing with a new Request.

IV. Associate New Hire to a SF-52 or RPA – Integrated EODonline Process

When going through the EODonline process, Users will be able to associate Selectees to the Requests

that are within the Request for Personnel Actions list. This will be updated and visible on the Vacancy

Dashboard once completed.

1. Change the Certificate Member Status for applicants to Selected.

2. Click the Mange EODonline button on the returned certificate.

3. Identify the seeker that you wish to associate an SF-52 Request to and click the Select Request

Number link under the Actions column.

4. Select one of the SF-52 Requests from the list, or add a SF-52 Request to the list to be selected.
