Where are the ceremonies being held? The ceremonies are being held in Worcester Cathedral. The Cathedral provides a splendid setting for the ceremonies, but due to the nature of the building some seats may have restricted views of proceedings. To overcome this difficulty, the University arranges for screens to be placed around the Cathedral.

What do I need to do now?Please read the information in this booklet thoroughly before confirming your attendance, ordering your guest tickets and academic robe. Don’t forget to use the checklist on page 17.
What is a Graduand?A Graduand is a university student who has finished their studies, but who has not yet fully graduated.
I’m a Joint Honours student, which ceremony will I attend?If your subjects are based across two Institutes, you will be contacted separately about the arrangements for your ceremony. If your two subjects are based in a single Institute, you will be invited to the ceremony for your Institute.
What happens if I am unable to attend?If you are unable to attend, please let us know as soon as possible, preferably by 1st October. You will need to ensure that we hold the correct contact details for you before we will post your certificate to you, and you can update your details by logging on to your SOLE page.
As your certificate is an important document, we will only post this by Royal Mail Recorded Delivery, for which there will be a charge of £2.50 for deliveries in the UK, £10.00 for deliveries in Europe and £11.00 for international deliveries.
What happens if I don’t complete my course? If the Board of Examiners does not confirm your award by 14th September 2018, you will be contacted by email to confirm that you won’t be able to graduate in November 2018. Once
your award has been agreed, you will be invited to the next awards ceremony in the following academic year.
What happens if I owe the University money?Students who have a debt to the University at the end of their course of study will not receive official confirmation of their result and the certificate will be withheld until the debt is settled. Anyone owing the University more than £500 will not be permitted to attend their ceremony.
When will I receive my certificate?Award certificates and transcripts will be presented on the day. If you are not attending your ceremony, your certificate will be posted to you after all the ceremonies have taken place in November. You will need to confirm that we hold the correct contact details for you before we will post your certificate to you, and you can update your details by logging on to your SOLE page.
As your certificate is an important document, we will only post this by Royal Mail Recorded Delivery, for which there will be a charge of £2.50 for deliveries in the UK, £10.00 for deliveries in Europe and £11.00 for international deliveries.
Why can’t the whole event take place in the Cathedral?Unfortunately there isn’t sufficient capacity to hold everything at the Cathedral, so we need to use two venues.
How do graduands and guests travel to the Cathedral?A shuttle service is provided and coaches take both graduands and guests together from Riverside to the Cathedral and
back. Inevitably, with large numbers leaving the Cathedral at the end of the ceremonies there will be some delays in returning to Riverside. There will also be a signposted walking route.
Will my name be published anywhere?
Due to new data protection regulations (GDPR), we can only publish your name if you have specifically given your consent. We will ask your permission to publish your name in the Award Ceremonies programme, the local newspaper and Graduation merchandise as follows:
a) The Award Ceremonies programme names of students who have successfully completed their course. Names will be listed in alphabetical order under the appropriate course titles. No grades or classifications are shown.
b) Names are also printed in the daily Worcester News for each ceremony.
c) Graduation merchandise, such as hoodies, will also be available listing names of graduating students.
If you want your name to appear in any of these you must let us know within the attendance confirmation and booking process on SOLE.
This programme is available to all those graduating and their guests at the Cathedral and is a souvenir of the day. Whilst there are many reasons why people do not want to have their names in print it often causes frustration and disappointment for students, their guests and friends if a student name is missing on this important occasion. If you are attending the ceremony and have chosen not to have your name included in the programme, please let your guests know to avoid any disappointment.

FAQ: Ceremony tickets
Who needs to order a ceremony ticket?Graduands will be given a ticket which will show their Cathedral seat number. Every guest attending needs to order a ceremony ticket.
How many ceremony tickets can I order?We are able to guarantee all students the opportunity to purchase two guest tickets for their ceremony, and these tickets can be booked through your SOLE page. Due to the capacity of the Cathedral it is extremely unlikely that there will be any additional guest tickets available. However, you will be asked to let us know how many guest tickets you would prefer at the time of booking. The deadline for ordering tickets is 1st
October and we will not know if there are any additional tickets available until after that date. If extra tickets do become available we will contact you by email and publish information on the website.
How do I order ceremony tickets for my guests?Visit your SOLE page and follow the online instructions.
How do I pay for ceremony tickets for my guests?You should follow the online instructions on your SOLE page. Please note that you will not be required to pay for your tickets until the 4th October once your final ticket allocation has been confirmed.
Is there any reserved seating for guests?When booking tickets there is an opportunity for you to indicate if your guests have any seating requirements eg, wheelchair access. Please note that reserved seating for ease of access/additional space is located around the Cathedral and not necessarily nearer the stage.
When do I need to order ceremony tickets by?You should order your tickets as soon as possible and by 1st October at the latest. Please do not wait until the Board of Examiners has confirmed your award before ordering your tickets.
How much do the ceremony tickets cost?All guest tickets are charged at £17.50 (including VAT) each. There is no charge for the student who is graduating.
Why does the University charge for ceremony tickets?The University incurs significant expense in the organisation of the annual Awards Ceremonies, and in order to cover these costs we charge a nominal fee for guest tickets. We do not make any profit from the sale of these tickets; nor do we charge graduands to attend their own ceremony (many institutions do).
What’s included in the charge of the ceremony tickets?The ticket price includes coach travel between Riverside and the Cathedral; a contribution towards the hire of the Cathedral, the Awards Ceremony programme and a glass of sparkling wine at the reception at the University Arena after the ceremony.
Do I need my ceremony ticket for anything else?Yes, graduands and guests need to retain their tickets to obtain for a glass of sparkling wine at the post-ceremony reception
Can I bring a child as a guest to the graduation?Children may attend the Awards Ceremonies, although we would ask you to use your judgement in deciding whether it is appropriate for small children to attend what can be a long ceremony. All children should be still and quiet throughout the ceremony and those children who become restless or disruptive will be asked to leave the Cathedral. It may be worth considering tickets for the live broadcast instead.
What if my guests change their mind or can no longer attend the graduation?If you have paid for tickets but no longer need your allocation, provided you let us know by Friday 2nd November then a refund can be actioned, subject to a £5.00 administration fee.
Please ensure that your tickets are ordered by 1st October at the latest.

FAQ: Live broadcast
What is a live broadcast?As the seating capacity in the Cathedral is limited we have arranged to make a live broadcast of each ceremony available.
This will be held in a lecture theatre at the University.
Where a family is attending the broadcast, we may be able to offer Cathedral tickets if any become available on the day.
How do I order tickets for my guests?Visit your SOLE page and follow the online instructions.
How many tickets can I order?There may be a limit on the allocation of Live Broadcast tickets depending on demand.
How much do the Campus broadcast tickets cost?These are charged at £8.50 – this includes an Awards ceremony programme and a glass of sparkling wine at the post-ceremony reception.
How do I pay for campus broadcast tickets?You should follow the online instructions on your SOLE page. Please note that you will not be required to pay for your tickets until 4th October once your final ticket allocation has been confirmed.
Why does the University charge for viewing a live broadcast?The University incurs significant expense in the organisation of the annual Awards Ceremonies and also the screening of the event for the live broadcast. In order to cover these costs we charge a nominal fee for guests to watch the ceremonies. FAQs: Post-ceremony reception
What is the post-ceremony reception?All graduates and their guests are invited to attend a reception in the University Arena, where you will receive a glass of sparkling wine or hot drink. This is an informal gathering where you will have the opportunity to meet your tutors and fellow graduates, and to view and purchase photographs taken of you at the Cathedral.
Do I need a ticket in order to attend the post-ceremony reception?No, but you and your guests should keep your Cathedral ticket in order to receive a complementary drink.
How do I order a ticket for the hot buffet at the reception?You should follow the online instructions on your SOLE page.
How many reception buffet tickets can I order?You may order as many as you require. Please note that the student graduating will also require a ticket for the buffet.
How much do reception buffet tickets cost?Tickets for the hot buffet are charged at £7.50 per person.
What is the deadline for ordering reception buffet tickets?You should order your tickets as soon as possible. Please do not wait until the Board of Examiners has confirmed your award before ordering your tickets.
Will reception buffet tickets be available on the day?No, our caterers will need to know the numbers of those requiring food in advance.
How long will the reception last?The times will be stated on your ticket. There is an end time in order for us to prepare for the next ceremony.
Is food available at the post ceremony reception?Yes, there is an opportunity to purchase a hot buffet ticket in advance via your SOLE page. The menu is:

These can be gluten free if requested in advance (please specify when booking)
What do I do if I have any special dietary requirements?When you are ordering your tickets via your SOLE page, please indicate whether you or your guests have any special dietary requirements.
Can I bring my own refreshments to the reception?No, only food and drink purchased on the premises can be consumed at the University of Worcester Arena.

Travelling to the University

Car ParkingCar parks are located in and around Worcester city centre within walking distance of the Riverside campus. Further details on the location of city centre car parks and charges can be found on www.worcester.gov.uk/parking. It is not possible to park at St John’s Campus.
*There are a limited number of spaces for Blue Badge holders at Riverside - Please let us know if you are a Blue Badge holder via the booking process on SOLE.
Travelling by TrainThere are two train stations in Worcester – Foregate Street and Shrub Hill. We suggest that you use Foregate Street as your destination station if travelling by train as this is based in heart of the City. From Foregate Street it is approximately a 12-15 minute walk to the Riverside and the University Arena.

As the University will be operating as normal during this week, there will be no opportunity to park at St John’s Campus. Graduands and guests will need to park elsewhere in the City and make their way to Riverside for robing and photography. Unfortunately there is no other suitable venue closer to the Cathedral.

Academic Robes
Do I need to wear an academic robe at Graduation? Yes. The ceremony is a formal event and you must wear the correct robe relating to your award.
Can I wear my mortar board inside the Cathedral?In order to respect the wishes of the Dean and Chapter of Worcester Cathedral you are requested to remove your mortar board whilst inside the Cathedral.
How do I hire my robe?Details about how to hire your robe can be found on the following page. The company from which you hire your robe is William Northam and their web address is: www.williamnortham.com
When should I order my robe? You should order your robe as soon as possible and by 1st October at the latest. Should you miss this deadline you will still be able to hire a robe on the day of your ceremony, but it will cost considerably more.
What will my robe look like? You can view images of robes through the graduation pages of our website: www.worcester.ac.uk/registry
What should I wear with my robe? Men generally wear a suit underneath the robe and women wear a blouse and skirt, or trousers. This works not only because it is smart, but the shirt/blouse provides a button that the ‘hood’ of the robe can be looped through, fixing it into position. It may be useful to bring hair grips to fix the robe in position.
You will be required to walk around the Cathedral and to access and exit the stage via a short ramp. Please bear this is mind when choosing footwear.
How will I know how to wear the robe?Staff will help you put it on correctly.
Where do I collect my robe from on the day?
All robes must be collected from Riverside. Staff will be on hand to direct you. Please allow plenty of time to collect your robe.
When do I need to hand my robe back? You can keep your robe on all day, allowing plenty of time for family photographs. You must return the robe to the designated room in the University Arena by 5.30pm on the day of your ceremony (by 6.30pm for Tuesday 6th and Thursday 8th November afternoon ceremony).

What is the deadline for reserving my robes?
You need to book early to guarantee your order.Orders should be placed by 1st October; we cannot guarantee orders made after this point. Please check our website to see if your ceremony date option is still available, or telephone our operators at the call centre.
Is there anything else I need to know?
When reserving your academic robes, please remember the following:• You are requested to wear the academic dress of the degree you are being awarded, not the academic dress of a degree you may already hold.• Before you start, make sure you know your head circumference or hat size, chest and height measurements, and have your credit/debit card details available.• If hiring your robes, make sure you print out your order confirmation and bring it with you when you collect your outfit. Failure to produce your confirmation will result in a delay when collecting your outfit.• The option to own your graduation outfit and purchase memorabilia items is also available online.

Academic Robes
Official Photography
Official graduation photography is available on the day of your ceremony.
Where will the official photography take place?
Marston Events Photography will be located at Riverside (Pre-Ceremony) and at the University Arena (Post-Ceremony) for studio-style photographs for individuals and families. Please note that the Riverside studios may be busy prior to each ceremony, remember there is also the opportunity to have photographs taken after your ceremony at the Arena. If you are short of time, do not risk being late for the Cathedral; studios will close to allow enough time to travel to the Cathedral.
Stage photography
There will also be an official photograph taken of all graduates as they cross the stage in the Cathedral which can be purchased at the University Arena reception on your return to the campus. Details will be available from Marston Events staff.
Can I take my own photographs in the Cathedral?
Unfortunately not. The Cathedral requests that no flash photography should take place inside. However, do take every opportunity to take pictures in the Cathedral grounds after the ceremony.

Display boards and leaflets will be available on the day if you wish to add to or amend an order!

What happens on the day?
Where do I collect my tickets from?
Graduands and guests will be able to collect their tickets from Riverside on the day of their ceremony. Graduand tickets will show their Cathedral seat numbers. Please check page (14/15) for timing details. Ticket collection is located directly after the Academic Robing room. We cannot post any tickets prior to the ceremonies.
Are there any refreshments available prior to the ceremony?
We aim to open a small café area in the Arena prior to each ceremony that will sell refreshments from 8am - 1pm each day (8am - 2pm on Tuesday and Thursday). There is also a café at the Cathedral.
What happens when I arrive at the Cathedral?
Your tickets will be checked at the door and you will be shown the seating areas available to both graduands and guests. You will also be asked to remove your mortar boards.
Where will I sit?
Graduands will be allocated a seat number when they collect their tickets, and must sit in the seat they are allocated.
Where will my guests sit?
Guest seating is allocated on a first come, first served basis. Those who have been allocated a reserved ticket due to their special requirements will be shown to their seats on arrival at the Cathedral.
Can I sit with my guests?
No. All graduands are seated in the order in which the awards will be presented.
What happens if myself or one of my guests have extra requirements?
If you or your guests have any additional requirements, please indicate this when ordering your tickets, giving as much information as possible to allow us to consider
your request. Please note, that easier access seating is placed in various sections around the Cathedral, and not necessarily nearer the stage.
Are there any steps?
Graduands access and exit the stage via a short ramp – please bear this in mind when choosing footwear. There are no steps for guests within the Cathedral.
What happens during the ceremony?
A marshal will call you from your seat and direct you towards the stage. You will need to remain in the order in which you were seated. When your name is read out, you will cross the stage and shake hands with the Vice Chancellor before exiting the stage and collecting your certificate.
Once you have collected your certificate, the marshals will direct you around the Cathedral and back to your seat.
