UTO Training InDesign Basics Page | 1 InDesign is a professional design and layout tool that is used to create print or online layouts. It is compable with Photoshop, Illustrator, Acrobat, and Flash Professional. It can be used with word processing applicaons such as Microsoſt Word, and Adobe Incopy. You can also import text and style with InDesign’s typographic tools. InDesign is a professional design and layout tool that is used to create print or online layouts. It is compatible with Photoshop, Illustrator, Acrobat, and Flash Professional. It can be used with word processing applications such as Microsoft Word, and Adobe Incopy. You can also import text and style with InDesign’s typographic tools.

In this workshop we will explore these features of InDesign: • Elements of the Application Window • Create a new document • Add page numbers • Create text frames • Use Paragraph Styles • Place images • Place vector images • Select objects • Explore the selection tool, gap tool and corner effects (CS5)

Create New Document 1. New > Document or Command/Ctrl N. 2. In the New Document dialog box, click on the Intent menu, choose Print instead of Web (or onscreen),

since we aren’t making an html document. Use Web when you want to make an interactive PDF, or swf file. With Web all page sizes change to pixels, color mode becomes RGB for on screen interactive docu-ments.

3. Default measuring settings are in picas. 4. Choose A4 for Page size. (European size). Page size is for final output. You can enter a custom size in inches,

will convert to picas. You can change the page orientation to landscape or portrait, adjust the number of columns, margins, etc. You can change these settings later or use the settings to create a template.

5. 5. Click More Options to see Bleed and Slug settings. 6. The number of pages, can be set to more than 1 or have the document start at page 16, etc. 7. Indicate facing pages or not. 8. Elements of the Application Window Application Frame - Under Window menu; turn on or off. On a PC it is called Application Window.Application Bar - offers varous types of control, can turn on or off.

Control panel (below Application Bar) - controls items on your page.

Document Window - has rules along the top and side of the page.

Pasteboard - inside the document window, can put things there that are not currently using. Document page - document outline, guide lines (magenta), pink lines are margins. Purple guides are column guides. Outlisde the page red guides are bleed guides. Paste Board - area outside the document page.Tool panel - At left of window. Menu items - show you the keyboard shortcuts Window menu - lets you access the many Panels that InDesign has. Starting with Main Bridge, several float-ing panels. Help Menu - The Deactivate feature. Note that if you are going to move the InDesign application from one machine to another be sure to Deavtivate it before Uninstalliing it. Reactive on the new computer. Use the Updates item to keep the application updated with bug fixes, etc. Every so often check here to make sure you have the newst updates installed on your computer. InDesign Support Center takes you to Adobe’s site that provides technical notes, and other help.

Add Page Numbers 1. Open a spread, to add page numbers. To add them to every page add them to the Master page.Master

pages are found in the Pages panel:

2. Double click the A-Master page icon to go to that page. 3. Zoom into the lower left corner of the spread with the Zoom tool. 4. Click on your Type Tool and click and drag a text box for the page number. Make it wider than you expect.

InDesign expects to be able to number pages up to 9999 so it needs this box to fit that number. 5. Go to the Type menu > Insert Special Character > Marker > Current page number, or use the keyboard

shortcut Command + shift + opt + n or ctrl + shift + alt + n.

6. Since we are on Master page A the number is reflected as A in this box. 7. Open the Paragraph styles panel. 8. To put another page number box on the other page, zoom back out with Command + opt + 0 (zero) or Ctrl

+ alt + 0 (zero). 9. To duplicate an item hold down the opt + click and drag or alt + click and drag to create another page num-

ber box and move it into position.

Text Frames There are a couple of ways to create text frames. 1. Use the Type Tool to click and drag out a text box.

2. Use the Graphic Tool to draw a shape in the pasteboard area. There will be a large X in them to indi-cate that they are receptive to an image. Hover the Text Tool outside of the box and notice that it’s square, which indicates that clicking and dragging will create a new text box. Hover the Text Tool inside the graphic shape to see that it changes to an oval shape. Click into the frame to turn it into a text frame, then type.

3. You can even use the Pencil Tool to draw an unclosed path. Still works as a text frame wih Type Tool. 4. Change Preferences to keep graphic shapes from becoming text boxes. Go to InDesign > Preferences >

Type or for PC Edit > Prefernces > Type.

5. Import text using the Place function. Command or Ctrl D to place, then navigate to the text file. Click on the file name, then click Open.

6. The Place Cursor will be loaded in InDesign, which includes a thumbnail of the text to be placed. 7. Hover the Place Cursor over an emtpy frame to change the cursor from rectangular to rounded. If clicked

the text will fill that frame. 8. Alternatively you can click and drag through an area with the Place Cursor to create and fill a text box.

Practice - I 1. Open an InDesign file. 2. Put page numbers on the Master page. 3. With your Text tool selected, click and drag a textbox onto your page. 4. Place the Lorem Ipsum file you downloaded. 5. Or you can open the file, Select All (Command/Ctrl A), Copy, (Command/Ctrl C), then paste into the Textbox

you just created.

Paragraph Styles Character, paragraph, object, and table are all types of formatting available in InDesign.

Go to the Window menu > Styles > Paragraph Styles > New Paragraph Style to create a new paragraph style. Reasons to use styles:

• You can apply several types of formatting with a single click. • Font style, size and leading for instance, can all be applied with one click. • Insures consistency in formatting. • Can change the style definition at any time, and change all of the styles in the document at once.

1. Click your insertion point anywhere in the heading or paragraph you want to format. When you click on the style you want, that entire entity will have the style applied to it. If you don’t select anything the de-fault style will be applied to everything.

2. The best way to change the definition of a style is to right-click or ctrl click with a one button mouse on the style name rather than double clicking it.

3. Choose Edit. The Paragraph Style Options box opens. By clicking a checkmark in the Preview box, any change you make will be previewed for you on the fly.

4. Click the Apply Style to Selection box if you want to apply the new style to your selected text.

5. If you see a plus sign (+) displayed next to a paragraph style that indicates that it is local formatting not cre-ated using a style.

6. If you want to create a style with those attributes go to the Paragraph Styles panel menu and choose New Paragraph Style. Because you had selected text with basic format style all of those attributes now appear in the New Paragraph Style dialog box. Note that if you simply click on the new style icon at the bottom of the Paragraph Panel, it will not create and apply a new style to the selected text. It will only add another style name to the list with a generic name like style-1.

7. Instead Option or Alt click on the new style icon to make the new style dialog box open.

Break Link to Style If you don’t want an applied style to change even if someone edits the style you can break the link to that paragraph. 1. Make your selection in the paragraph.

2. Go to the Paragraph Styles Panel menu and select the Break Link to Style icon: 3. If local formatting is applied to your styled text, and you want to remove it, place your cursor in the locally

formatted paragraph and check your Paragraph Styles list. The previously applied style will have a plus sign next to it. If you hover over the style name a tool tip displays to show you what the exact local formatting was.

4. You can remove the local formatting by clicking the Remove Overrides button found at the bottom of the Paragraph Styles window.

Place Images

1. Go to File > Place. The Place dialog box comes up. 2. Click on the file you need then click Open. 3. This loads the Place Cursor which includes a thumbnail of that image. 4. You can click anywhere outside of a frame, and it will load a frame with the image in it.

5. If the image is a very large one, the frame will be oversized. To change this click Command/Ctrl Z to undo, and return to the Place Cursor.

6. Click and drag a smaller frame for the image. Notice that the frame remains a shape that is proportional to the image. When you release the mouse the image fits perfectly into the frame.

7. If you hold down the Shift key while dragging a frame with the Place Cursor, the shape is not constrained to the proportions of the image. When you release the mouse the image fits into the frame.

8. Or, to place the image into a pre-exisitng frame, hover the Place Cursor over the frame. The rectangular cursor changes to a rounded cursor.

9. Click inside the frame to place the image there. The image is automatically sized to the frame. 10. You can also load an image from your finder (Mac) or explorer (PC). Open your finder or explorer, then

click and drag an image into a frame in your layout. It will automatically fill that frame. 11. Another alternative is to click and drag onto the pasteboard, or anywhere in the layout with the now down-

loaded Place Cursor in order to click and drag a frame. 12. If the frame isn’t the right height or width, grab one of the handles on the frame and drag it to the right

size.

Vector Images 13. You can copy/paste vector shapes directly into InDesign, where they remain editable vector curves, lines,

etc. However do NOT copy/paste Photoshop images directly into InDesign.

Practice - II Practice placing images using the two different methods outlined above. Part I Use steps 1 - 12 under the Place Image section. Part II Use steps 1 - 9 in the Vector Images section. Use the files you downloaded in the Vector Images folder:

Selecting Objects The basic method for selecting an object is to use the Selection Tool, or black arrow tool. 1. Place the arrow over a text frame and click it. Handles appear around the frame, and it can be clicked and

dragged around the document.

2. Place the arrow over an image frame. A round Content Grabber appears in the center of the image. If you click on the image, but not on the Content Grabber, the image and frame are selected and can be dragged to other locations.

3. If you click the Content Grabber, it selects only the image, even if the image size extends beyond the size of

the frame. The image can be dragged around within the frame separately. 4. Double click on the image to switch back to the frame. 5. Double click again to switch back to the content. 6. If you place the cursor right next to a corner of the frame, it changes to a rotate or Free Transform tool and

you can rotate the frame. 7. You can also transform multiple images at the same time by selecting them, then Command or Ctrl > click

and drag to scale their sizes all together. Use Command > Shift > A or Ctrl > Shift > A to deselect all. Or use the menu option, File > Deslect All.

8. Use Command > A or Ctrl > A to select everything on a single spread.

Grouped Objects 1. If you select an object that is more than one in a group, a dashed line appears around the selection. 2. You can also double click on the group to select one object. From there you can single click to select other

individual objects within the group. 3. Press the Escape (Esc) key to unselect the individual object in that group. Continue to hit Esc until you get

to the top level of the group and can Esc from the entire group. 4. Use Shift > Esc to do the opposite and move down into the group to select objects. 5. Same method works for graphics. If you select the graphic frame, then use Shift > Esc, it selects inside the

frame. 6. Use Esc to move back out to select the image frame.

Selection Tool, Gap Tool, and Live Corner Effects

Use the file titled InDesignImages.indd that you downloaded from Blackboard.

Working With Images If you hover your mouse over an image area, you will see a cirucular Content Grabber appear in the center. The mouse changes to a hand, allowing you to move the image around within the bounding box.

Content Indicator To reposition the image within the frame hover your mouse over the Content Indicator, the transparent circle in the middle of each image.The cursor changes to a hand so that you can click and drag the image around in the frame. The cropped area of the image appears as well.

You can also select the content in the frame by clicking the circle of the Content Indicator. You can scale or rotate the image within the frame.

Hit the escape key to get back up to having the frame selected. If you hover your mouse near the corner of the frame you can rotate the frame. Select mulitple items to transform them. Select all four images and click the corner, drag to scale.

To scale to proportions hold down the Control/Command key. Can also click on an individual frame then drag to change the size of the frame without chaning the size of the image.

If you click the autofit button in the control panel the image will change size as you drag the frame larger or smaller. In other words the aspect ration will be maintained.

The Gap ToolThe Gap Tool is a new feature in CS5. By placing the gap tool between images in the same gap boundry, then clicking and dragging, all of the images scale (with auto fit feataure turned on) all the spaces change uniformly. This can be done vertically or horizontally.

By holding down the Shift key you can adjust just two images at a time.

It doesn’t work on objects, but on gaps. Select the Gap Tool and hover in the gaps between the images. Click and drag to change the size of the images. Hold down the shift key to change one gap at a time.

Corner KeyAnother new feature in CS5 is the yellow handle on the frame. Click the yellow handle to reveal four yellow diamonds at the corners of the frame. By clicking on those you can change the corners to rounded corners.

With the Selection tool click on a rectangle frame. Click on the yellow square on the right side of the frame. Four yellow arrows appear at each corner. You can hover your mouse over the arrows then click and drag to change the roundness of the corners.

Hold down the Shift key to change one corner at a time.

You edit text with the Type tool and thread (link) text frames with the Selection tool, but it doesn’t matter what tool is selected when you import text.

2. Choose File > Open, and open the 05_Start.indd file, in the Lesson_05 folder that you downloaded.3. Choose File > Save As, rename the file 05_FlowText.indd, and save it to your desktop.4. Reference the 05_End.inndd file to see the end product for this lesson.

Flow text into an existing frame

1. Choose File > Place. At the bottom of the Place dialog box, deselect Show Import Options and Create Static Options if necessary.

2. Locate 05_LocalStats.docs in the Lesson_05 folder, and then double-click it.3. A loaded text icon appears. Hover it over the local stats text frame, then click to place the text.4. Switch to the type tool, click in the frame to edit the text. Choose Edit > Select All to select all the text in

the frame.5. Choose Type > Paragraph Styles to open the Paragraph Styles panel.6. Click on the paragraph style White Sidebar Text (You may need to scroll through the Paragraph Styles panel

to locate it.) A plus sign (+), which indicates local overrides displays next to the paragraph style name because some of the selected text is bold. At times local overrides are undesirable, but in this case they are fine. We’ll fix the orphan in the third paragraph, which starts with “Occupation.” To do this, we need to enter a manual line break.

7. Zoom in if needed to read the text.8. Using the Type tool, click right before the work “Urban” in the third paragraph of the sidebar. Press Shift +

Return (Mac OS) to force “Urban” to the next line within the paragraph. Next we’ll fix the orphan in the last line of the sidebar using tracking, which adjusts the amount of space between selected characters.

9. Scroll down to view the last paragraph, which starts with “Favorite Meridien memory.” Using the Type tool, click four consecutive times in the paragraph to select all the text.

10. Choose Type > Character to display the Character panel. Type -10 in the Tracking box and press Enter or Return.

11. Choose Edit > Deslect All, then choose File > Save.

Flow text manually

1. Choose View > Fit Spread In Window to loacte the two text frames at the bottom of the right-facing page. Zoom in if necessary to view these text frames.

2. Using the Type tool (T), click in the text frame at left immediately below the woman’s hand.3. Choose File > Place.4. Locate and select 05_Long_Biking_Feature_JanFeb2012.docs, in the Lesson_05 folder, be sure Replace

Selected Item is checked, and click Open.

The text flows into the frame in the left column. Note that the out port in the lower-right corner displays a red plus sign (+) indicating that some of the texte is overset. We’ll flow the additional text into another text frame in the second column.

5. Use the selection tool to click in the text frame’s out port to load the text icon. You may need to first click the text frame to select it.

6. Position the loaded text icon anywhere in the text frame at right and click. The text flows into the second column The out port in the text frame at right contains a red plus sign (+), again indicating that there is still overset text.

7. Choose File> Save.

Create text frames while flowing text

1. Use the Selection tool to click the out port of the text frame in the seocnd column on page 2 to load the text icon with the overset text.

2. Choose Layout > Next Spread to display pages 3 and 4, then choose View > Fit Spread In Window.3. Position the loaded text icon in the upper-eft corner where the guides intersect.4. Hold down the Option key and click.

The text flows in to the first column. Because you held down the Option (or Alt for PC) button, the pointer is still a loaded text icon, ready for you to flow text into another frame.

5. Release the Option (or Alt) key, and position the loaded text icon in the second column indicated by the guides.

6. Drag to create a frame within the purple column guides. Additional design elements have been planned for this article that will go above and below the two new columns. So we will adjust the height of the frames to fit within the horizontal cyan guides.

7. Use the Selection tool, to drag the top and bottom of each text frame to fit within the cyan guides. Some text remains overset.

8. Choose File > Save.

Flow text automatically

1. Using the Selection tool click the out port in the lower-right corner of the text frame in the second column on page 3 to load the text icon with the overset text. Again, you may need to select the text frame before clicking the out port.

2. Choose Layout > Next Spread to display pages 5 and 6.3. Positon the loaded text icon in the first column on page 5.4. Hold down the Shift key and click.

Beacuse we held down the shift key new text frames were added to pages 5 and 6 within the column guides. We will be resizing them to fit within the horizontal cyan guides.

5. Use the Select tool to drag the top and bottom of each text frame to fit wihtin the cyan guides. This will create overset text again.

6. Choose File> Save.

Create threaded frames automatically1. Choose Window > Pages to display the Pages panel.2. In the upper portion of the Pages panel, scroll to locate the FEA-2 Col Feature master spread.3. Select the left-facing master page and drag it down to the lower portion of the Pages panel. Release the

mouse button when the master page icon is poisitoned under page 5.4. Double-click the page 7 icon to center the new page in the document window.

5. Select the Type tool (T) and poisition it in the first column on page 7, where the vertical purple guide and the horizontal cyan guide intersect.

6. Drag the Type tool down and to the right to create a text frame that spans both columns. As you drag, tap the Right Arrow key once. InDesign automatically subdivides the text frame into two threaded text frames of equal width.

7. Scroll up to see the bottom of page 6.8. Use the Selection tool to click and select the text frame in the second column on page 6. Then, click its out

port in the lower-right corner to load the text icon with the overset text.9. Scroll down to page 7. Click the loaded text icon in the text frame in the first column to flow the text

through the two linked text frames.10. Choose File> Save.

Resize text frames automatically1. Use the Selection tool to click in the text frame in the second column at right on page 6. Choose Object >

Text Frame Options.2. In the Text Frame Options dialog box, click the Auto-Size tab. Select Height Only from the Auto-Sizing

menu.3. Click the center icon in the top row (:) to indicate that you want the text frame to “grow down” as if you

were manually dragging the bottom handle of the text frame down. Click OK.4. Use the Type tool to click at the end of the text after “France.” and press Return or Enter to see how the

text frame expands.5. With the Selection tool click to select the the text frame at left. Drag the center handle on the bottom

ofthe text frame up to decrease the frame’s size. The text reflows to the seond column and the size of the text frame automatically expands.

6. Leave the columns in any position you like-as long as there is no text overflow.7. Choose Edit > Deselect All, then choose File > Save.

Add a jump line page number1. Double-click the page 2 icon in the Pages panel to center the page in the document window. Scroll to the

right to view a portion of the pasteboards. Zoom in as needed to see the text.2. With the Type tool and working on the pasteboard, drag to create a text frame that is about 17 by 3 pixels.3. With the Selection tool drag the new text frame to the bottom of the second column on page 2. Be sure

the top of the new text frame touches the bottom of the existing text frame.4. With the Type tool, click to place an insertion point in the new frame. Type Bikes continued on page fol-

lowed by a space.5. Choose Type > Insert Special Character > Markers > Next Page Number. The jump line now read “Bikes

continued on 3.”6. Choose Type > Paragraph Styles to open the Paragraph Styles panel. With the text insertion point still in

the jump line, click the Continued From/To Line paragraph style to format the text according to the tem-plate.

7. Choose File > Save.8. Choose View > Fit Spread In Window. 9. Choose Preview from the Screen Mode menu in the Application bar.
