    The Future of Marketing  Leadership Conference  

     November 6, 2020 

       

     

  • Virtual Venue How-To Guide  Event Access 

    Self-Register using a link provided to you by one of the Future of Marketing Leadership Conference partners. 

    ● Open the link in Google Chrome. On the right hand side of the Event Registration Page, click the “Join Event” button.  

    ○ You will be prompted to sign in or create an account. If you have not previously attended an event on our host platform - Hopin - please provide your name and email address and enter a password of your choice in the password field. 

    ● You will receive a confirmation of registration email after you self-register. This email also contains a link for you to get back to the event when it has started. 

    💡Which browsers work best? The latest versions of Chrome or Firefox in full screen on a desktop or 

    laptop computer in full screen guarantee the best experience. Please avoid Brave and Microsoft IE or Edge since these browsers lack the modern web technology support necessary for online events to run in a web browser. Our host platform is available on mobile devices in beta mode and Safari (for iOS) or Chrome (for Android) browsers work best in those situations, however, the platform is best enjoyed to its fullest potential on a computer. 

    Note: Sometimes, third-party extensions can affect the experience, blocking some of the Virtual Theatre interface elements. If this is the case, open the event in Incognito mode on Chrome or Private tab on Firefox. 

     💡Tech Tips!   

    ● If Chrome or Firefox is not your default browser, right-click on the link in the email, select “copy” and then paste the link into the URL bar in Chrome or Firefox. 

    ● Unless you are in a country that restricts access and you need to use a VPN to get online, turn off your VPN or external work server connection. 

    ● Connect using an ethernet cord if possible, wifi can lag or have a weak signal, especially during prime “Netflix hours”. 

    ● Use headphones! If you are joining a video room in the Sessions area, wearing headphones goes a long way to preventing feedback and echoing.  

    ● Close as many tabs, apps and programs as possible, Virtual Events take processing power and you don’t want to overload your computer 

    ● A page refresh will fix most problems in most areas of the Virtual Venue! 

  • Virtual Venue How-To Guide  Registration Page 

    Please click the blue “Join event” button on the right hand side of the screen.    

            

        On the next screen, If you have not attended an event on our host platform - 

    Hopin - you will be prompted to create a free account by entering your name and email address and selecting a password. You may also log in using your Facebook, LinkedIn or Google account by clicking the applicable button at the bottom of the screen. If you already have a Hopin account, please click “Sign In” at the top of the page. 

      

  • Virtual Venue How-To Guide  Preview Page 

    The preview page is where you will land if you register for the event prior to the venue opening at 9:30am on Friday, November 6. Say hi in the chat, create your profile or take a poll while you wait! 

         

      

    Reception The Reception is the information hub for the event. You can quickly find out 

    what’s happening at the event and access the welcome message, event chat and the schedule. The other areas in the venue are listed on the left side panel. These include the Morning Stage (where the Keynote Fireside Chat takes place), Afternoon Sessions (for panels and group networking) and The Lounge (one-to-one video chat roulette). 

     

      

       

  • Virtual Venue How-To Guide  The Morning Stage 

    The Stage is where you will go to watch the Morning Keynote Fireside Chat from 10:00am -12:30pm EST on Friday, November 6. This is a one-to-many watching experience and you will be able to participate and chat with other attendees in a dedicated Stage Chat, available in the right side panel. Navigate to The Morning Stage at any time using the icon in the left side panel.

    TROUBLESHOOTING 💡Tech Tip!   A page refresh will fix most problems in most areas of the Virtual Theatre!

    Camera/Mic: 

    Attendees who are participating on-screen in Sessions will be prompted to select your audio and video device so that people can hear and see you. If you are unable to select your AV options, it is usually because you either need to give browser permissions for our host platform to access your AV devices or you have multiple camera/microphone options and have chosen one that is not currently available. 

    ● To check camera/microphone: you can click on the Settings wheel at the bottom of the window and confirm the correct device is selected. 

     

    ● Ensure your browser's permissions are granted to have access to your camera and microphone (in Chrome, type into the URL bar: chrome://settings/content or go to “Settings” on your device).  

    ● If you're on a Mac, ensure your browser has permission to record your screen (open your computer's System Preferences > Security & Privacy > Screen Recording > find your browser in the list and check the box)

    ● Double check that you are using Chrome (preferred), Firefox (backup) or Safari (iPad and iPhone) and that it is up to date, then refresh the page. 

    ● In a new Chrome tab, type this into the URL bar: chrome://settings/content or go to “Settings” on your device and double check your settings. 

    ● If on a Mac, ensure your browser has permission to record your screen (open your computer's System Preferences > Security & Privacy > Privacy > Screen Recording > find your browser in the list and check the box) 

     

    ● In the URL bar, find the video camera icon and click it. A dropdown menu will appear, make sure the camera and microphone are allowed for https://hopin.to.

  • Virtual Venue How-To Guide  Other Tips and Tricks 

    ● Any Problems: ○ ⁉ Having connection troubles? First, try refreshing your browser! If that 

    doesn’t work, try switching to Chrome or Firefox and make sure that VPN is turned off. Join from your desktop or laptop if you can! 

    ● Experiencing lag or A/V sync: ○ 🔺Because we’re live streaming, quality and sync are related to your own 

    personal internet connection speed and device. This happens when internet speeds vary. Refresh your browser - that helps things catch up!  

    ○ 💥Have a lot of tabs open? Forgot to close your other applications? Close everything but the stream for optimal quality and connection speed!  

    ● Add Emojis! ○ 🧐Want to add an emoji to your chat? Use keyboard shortcuts [Control + 

    Command + Spacebar] on Mac and [Windows + Semicolon] on PC  ● Airplay / Screen Mirroring from the Stage: 

    ○ ⛑Casting to your TV from an Apple device? Use Screen Mirroring for Safari or Airplay for Chrome! ⛑Click here for more info from Apple: https://support.apple.com/en-us/HT204289  

    ● Sessions:  ○ Audio/Video troubleshooting: 

    ■ ⛑To share your Audio and Video, click the button in the middle or in the top right corner of the video window or click the ⚙ at the bottom of the screen! You’ll need to allow camera and mic permissions in your browser to join us on screen  

    ■ ⚡ Ensure your browser's permissions are granted to have access to your camera and microphone (in Chrome, type into the URL bar in a new tab: chrome://settings/content or go to “Settings” on your device).  

    ■ 💻 If you're on a Mac, ensure your browser has permission to record your screen (open your computer's System Preferences > Security & Privacy > Screen Recording > find your browser in the list and check the box)  

    ○ for enlarging a participant window or screen share: 🖥 Double click on any square to make NAME or SCREENSHARE fullscreen!  

    ○ for muting: 🔇 You can mute anyone you like! Click on the mic in their window and you won’t hear them anymore! Don’t forget to un-mute them again! 

    ○ Echo: 🎧 Hearing an echo? Remember to mute your microphone when not speaking and wear headphones if you’ve got ‘em!
