Instructions

Run the Update

If you’ve already run the update, you can skip this step.

Your system must be on Version 9.6 or higher to run this update. PostalMate network users: Every station must be updated one at a time, starting with the Master.

You don’t have to do anything to get the update file—it will automatically download to your computer when it’s available, and a notification like this will appear:

1. Close PostalMate on all workstations. When prompted, do a PostalMate backup.

2. Click on the notification message. An update screen will display.

3. Click on the “Update now” button.

4. Follow the steps in the install wizard until complete.

Set retail rates for DHL over 150 lbs.

If you don’t offer DHL Express services in your store, you can skip this step.

You can now use PostalMate to ship DHL Express packages with an actual or dimensional weight of more than 150 pounds. Rates for 151 pounds and more are calculated on a per-pound basis. The per-pound Wholesale and Published rates are already in your system, but you need to make sure that your Retail rates are as you want them. Here’s how:

1. Launch PostalMate and go to Tools > PostalMate Settings.

2. On the left side of the screen choose Set Shipping Rates.

3. Click on the button next to Weight-based services. You’ll see this screen:

4. From the drop-down list of carriers choose DHL.

5. Choose DHL Express Worldwide as the service.

6. Scroll down to the bottom of the chart. In the 151+/lb row, check your rates and adjust as necessary. You can change the View to “Wholesale” for comparative purposes.

7. Click Save, then OK.

You may want to remain on the PostalMate Settings screen to proceed with some of the optional settings explained in the next section.

What’s New in Version 9.7

The following pages provide a summary of major changes included in this update.

New “Quick Postage” screen This new screen replaces the old “Post Office Letter” screen. The new name is more accurate because you can process mail other than just letters. Here’s what it looks like, along with some of the new features:

To get to the new Quick Postage screen, from PostalMate’s main screen just click the “Quick Postage” button. It’s in the same location as it was for the old P.O. Letter screen.

Entering tracking numbers

If you select Certified (with First Class or Priority Mail) or USPS Tracking (Priority or Media Mail), just click on the “Tracking #” link below the rate. You’ll see a screen like this:

These tracking numbers will appear on POS receipts, and will be stored in history.

New Priority Mail and Media Mail options

Tabbed display. Priority Mail flat rate services—and Media Mail, which was not available at all on the old PO Letter screen—now appear on separate tabs. And new settings allow you to decide whether these tabs always display, never display, or only display upon demand:

1. From PostalMate’s main menu, choose Tools > PostalMate Settings.

2. Select Shipping Settings on the left.

3. Click on the Quick Postage tab.

4. Select the options you prefer for Priority Mail and Media Mail, then Click Save.

If you have “On demand” selected you can display those tabs on the fly with shortcut key combinations (Shift + Alt + P for Priority Mail, and Shift + Alt +M for Media Mail).

Priority Mail packaging options. You can now process Priority Mail using any of the Flat Rate packaging options, not just Flat Rate Envelopes. Just remember that USPS Commercial Base or Approved Shipper discounts are NOT applicable when processing mailings from this screen, which uses Printable Postage. The tradeoff is that you can process mailings here very quickly. If the discount is more important to you, choose the “Ship a Package” option from PostalMate’s main screen instead of Quick Postage.

Media Mail. If you choose to have the tab available, you can now quickly process Media Mail here. To assist you in determining eligibility for a given piece, click the “More information” link to see detailed information about content standards from the Postal Explorer.

Quick access to more detailed information about First-Class Mail

If you encounter a borderline mail piece—is it a Letter, Flat or Parcel?—and the brief on-screen guidelines don’t provide enough detail, there are now “More info” links at the bottom of the “Compare First Class Mail Services” screen. Each will take you to the relevant section of the Postal Explorer, where the rules are explained in detail.

New discounting features for POS

Global discounting

A single click on the new “% Discount all” button will apply designated percentage discounts to everything in a sale. To use this feature you’ll have to add the new button to your register screen. Instructions are on page 5.

How it works: You can decide in advance what the percentages are that will apply to each department by default (which can be overridden on the fly), and you can exempt departments (i.e., Stamps) from getting discounted. Instructions for that setup are on page 5. You can also enter a percentage during the transaction, then click the “% Discount all” button, and that percentage will be applied to all items.

Clear all discounts

A single click on the new “Clear Discounts” button will "undo" any discounts that may have been applied in a POS register transaction. This can be handy if one or more discounts have been incorrectly been applied. To use this feature you’ll have to add the new button to your register screen. Instructions are on page 5.

How it works: After the unwanted discounts have been applied during a transaction, just click the "Clear Discounts" register function button. This will clear any discounts that have been applied to the current register transaction using one of the Discount buttons (Amount, Percentage or Global). It will NOT clear special pricing automatically applied for Customer Pricing Level, Quantity or Promotional.

You now have the option of showing applied discounts on your receipts. In that case, each line item that has a discount will have a line directly below it showing the amount of

the discount. You can also have a “You saved” line at the bottom of the receipt showing the total amount saved due to discounts and or special customer pricing. Setup instructions are below.

Setting up for the new discounting features

Global discounting and receipt displays. First you’ll go to the new Discounts and Special Pricing screen, which is a new place where all discount settings can be managed, including default percentages for departments and products, and Customer Level pricing.

1. Launch the POS application (CashMate).

2. From the main menu choose Tools > Options > Discounts and Special Pricing.

3. On the By Department tab, select On-the-fly global discounts from the drop-down list.

4. For each department that you want to include in global discounting, enter the desired percentage, then click Apply.

5. Go to the Settings tab, and select your preferences for how discounts are shown on the receipt.

6. Click OK.

Adding the new discount buttons. Here’s how to add the new “% Discount all” and “Clear discounts” to your register screen:

1. From the main menu on the POS register, now choose Tools > Options > Register Settings.

2. On the Register Buttons tab, choose Cash register functions on the left.

3. Select the tab where you want the “% Discount all” button located, then click on the button that you wish to use for this feature.

4. Select % Discount all from the list and click OK.

5. Repeat steps 3 and 4 for the “Clear discounts” button.

POS receipt display enhancements

Expandable display on Register screen

During a transaction in progress in which there more line items that can fit on the screen, you can now drop down the virtual receipt display to view more of those items.

PostalMate Sidebar and Twinview

Twinview now shows only the register line items and running total

If you have a dedicated customer-facing monitor, and you use the PostalMate Sidebar and Twinview features to display POS transactions, you’ll see that only the line items and running total are now shown to the customer. Previously the entire POS register screen was displayed.

Improved register function names It should now be more clear to you what each of the cash register function buttons do, thanks to longer, better names on the buttons. Here are the ones that have changed:

Easier access to shipping-related settings Nearly all shipping-related settings are now centralized in PostalMate Settings (which you get to by selecting Tools > PostalMate Settings from PostalMate’s main menu). The following changes have been made to the PostalMate Settings screen:

Shipping Settings and Email Notification Settings. These are now incorporated into PostalMate Settings rather than being on their own separate screens. In PostalMate Settings, you can select them from the list on the left side of the screen.

Carrier Settings. This is now a single choice on the PostalMate Settings list, instead of each carrier being listed. Carriers are now selected by clicking on tabs.

In addition, some cosmetic changes have been made to PostalMate Settings.

Support added for DHL packages > 150 lbs You can now use PostalMate to ship DHL Express packages with an actual or dimensional weight of more than 150 pounds. As with UPS and FedEx, the regular rate charts stop at 150 pounds, and after that a multiplier is used to calculate the rate. Instructions for setting your retail are on page 2.

New regional carrier: OnTrac PostalMate can now be used to ship packages via OnTrac, a regional carrier that services all of California, and the metro areas of Arizona, Nevada, Oregon, Washington, Utah, Colorado and Idaho. Both your store and the destination address must be within OnTrac’s service area.

Return of the CashMateTM name PostalMate veterans out there may recall that years ago PostalMate’s companion POS application was referred to as “CashMate.” The CashMate name has been reintroduced, so you’ll see it used in documentation and in the application itself.
