Permit and Holiday Rules
• Boarders must have the Commandant’s permission to stay over during weekends,
holidays and times when the Boarding School is closed.
• Boarders are not permitted to stay out overnight without explicit written permission
in advance.
• At all times boarders must follow the Boarding School Rules.
• The Boarding School is primarily made available for study purposes. All boarders
must maintain an appropriate, educational environment. Disruptive behaviour will
not be tolerated.
• Boarders must obey and respect the staff-on-duty and the caretaker or security staff at
all times.
• Boarders must sign in and out with the security staff each time they enter / leave the
campus.
• No visitors including parents may be brought into the Dormitory.

• Boarders will be responsible for the safety of their belongings and must take an active
role in ensuring the security of the Boarding School by:
� Locking away all valuables and keeping their room secure;
� Ensuring the Boarding School Entrance is properly closed after use;
� Reporting any outsiders and unauthorized people in the building to the security
staff / staff-on-duty immediately;
� Reporting any suspicious events or occurrences to the security staff / staff-on-
duty immediately;
� Reporting any damage, problems or dangers in the building.
• Turn off any lights, fans and other electrical appliances upon leaving any room. All
rooms must be kept in a tidy and hygienic condition.
• All boarders must be present / accounted for during each muster.
• All boarders must return to the Dormitory each night by 22:30. If you are going to be
late, you MUST inform the staff-on-duty in advance.
• Boarders may not leave or enter the Dormitory between 22:30 and 06:00.
• Boarders must respect other residents that live in the Dormitory building.
Disturbances will not be tolerated.
• Do not enter any other person’s room/ Dormitory or any out of bounds area. Confine
yourself to your own room/ Dormitory and the common areas only.
• Any infringement of the Boarding School Rules, School Rules or the above may result
in the offender being asked to leave the premises immediately.
Do’s
• Dress properly in the school premises.
• Attend all Boarding School routines.
• Stay in the Academic area from 07:55 to 13:40/14:20 and from 18:00 to 20:00.
-The lights out is 23:00 for boarders.
• Observe silence in Academic block.
• Stay in bed after lights-out.
- Anyone found out of bed / dormitory without good reason will be punished.
• Report accidents and security concerns immediately to the Boarding Staff.
Don’ts
• The list headed “Forbidden” is also applicable to the Boarding School.
- Rooms other than Dormitories and Common Rooms are classified as
“classrooms”.
- Additionally, mobile phones are not permitted in School.
• Bullying (please refer to the “Anti-ragging Policy”)

• No balls should be kept in the dormitories, rooms and corridor or staircase area.
They should be kept in a designated place only.
• Disturbing others especially during prep or study sessions.
• Bringing valuables or large amounts of cash to the Boarding school.
- The School will not be responsible for any loss.
• Borrowing money from others.
- Any boy who needs cash urgently should seek help from the House Master.
• Damaging or defacing Boarding School/School Property.
• Shouting or speaking loudly in the Boarding School.
• Climbing any wall, furniture, fence, railing or other structure.
• Bringing friends or classmates into the Boarding School.
• No boarder should use other boarder’s property.
• Bathroom slippers are not to be worn out side Hostel premises.
• Baggies, Sandals/ slippers are strictly not permitted outside Hostel building at any
time.
Rooms and Facilities
• Boys can only gain access to the dormitory in which they are residing. Other
dormitories are out-of-bounds.
• All boys should keep all rooms and dormitories clean and tidy.
- The Dormitory is closed during the day-school hours: 07:50 - 14:00.
• The junior-floor is closed after 22:00 at night.
• Study rooms should be kept in order and silent, and are solely for study purpose.
• Sign for the key to any music practice room at the Boarding School Office. Return
the key back to the office when finished – do not pass it on to another boarder.
• The last boy leaving any room or dormitory should switch off the lights, fans and
air-conditioners.
• Out Of Bounds:
� All “Out of Bounds” rules are also applicable to the Boarders.
� Area outside School campus, except with explicit permission from authority.
� Janitors’ Room, Electrical panel rooms, roof, balcony, A/C machine area,
skylights, planting areas and landscaped areas.
� Any area outside the gates on the emergency staircases.
� Store rooms, equipment rooms, plant rooms, lift rooms and electrical ducts.
Visiting Days
� Parents are permitted to meet their wards only on specified visiting days from 9
AM to 5 PM. They will not be allowed to meet their wards on any other days.

Cadets dining Hall and Meals
• Courtesy and manner should always be observed.
• No slippers or sleeveless shirts are allowed in the Cadets mess.
• Observe good mess manners.
Leave – cadets
• Boarders are not allowed to be out of the School Campus without prior permission.
• Overnight leave will only be granted on the written request of parent/ guardian.
Phone call request is not allowed.
• The Boarding Staff should be informed of any return that would be earlier or later
than indicated, by calling on duty phone.
• Non-compliance of leave rules would result in serious disciplinary action.
• The Warden, acting in loco parentis, reserves the right at his sole discretion to
refuse a boarder’s leave request at any time.
• Cadets will School premises only in Combat dress. No other dress code is permitted
unless specified for training purposes.
• Late coming from all four types of leave will be fined as under –
o After 5PM on day of reporting till mid-night - Rs 100/-
o Late reporting from next day onwards - Rs 200/- per day.
o Late reporting beyond 15 days - Rustication from school
• Four types of authorised leave:
Type 1: Town Leave
Description: Short leave from campus after-school (e.g. going to local market)
Time: From after-school until Prep time.
Details: Parental permission is required. The number of Town Leaves per quarter for Senior boarders (Std 9-12) is limited to two days per quarter.
Procedure: Apply by lunchtime on the same day.
Type 2: Special Leave
Description: Longer leave extending beyond prep, whole evening or over one or more days (e.g. rituals, marriages, ceremonies etc.)
Time: Depending on request but advance notice is required.
Details: Parental permission is required. All boarders on special leave must state where they are going, which adult’s care they are going to be in and also leave a contact number, and should be contactable all the time they are away. The number of special Leaves per year for all boarders (Std 5-12) is limited to five days per year.

Procedure: Teacher-in-charge to fill in and return the Routine Leave Form Confirm by lunchtime the day before leave. Keep the Boarding Staff informed when leaves and returns (except in-campus activity)
Type 4: Permits/ Semester leaves
Description: Pre-organised leave that occurs regularly (e.g. Permits, Diwali vacation, summer vacation etc.)

Dress Code
Dress code has to be strictly followed by all cadets. Wear your dress with pride, be it
uniform or civil dress. Baggies, Sandals/ slippers are strictly not permitted outside Hostel
building at any time.

� Mess dress code (all areas other than dining hall is out of bounds for cadets. Dining
hall is out of bound except during specified times. Kitchen area is out of bounds all
the time).
o Breakfast - Junior cadets (Std 5-8) – PT kit
Senior cadets (Std 9-12) – Combat dress/ Mufti dress.
o Lunch - Combat dress/ Mufti dress.
o Dinner - Combat dress/ Mufti dress.
� PT / Games time - PT Kit, White sports shoes with white socks. Football boots/
spikes can be worn as per sports event.
� Parade - Combat dress with accruements, black shoes, black socks
and Web belt.
� Swimming - Swimming costume with swimming cap.
� Academics (8 AM – 2:30 PM) - Mondays, Tuesdays, Thursdays and Fridays –
Combat dress with accruements, black shoes, black socks and Web belt.
- Wednesdays & Saturdays – Mufti dress with school tie, black
shoes, black socks and black leather belt.
- Sundays/ Holidays – Private dress with shoes. No baggies,
sandals/ slippers.
(6 PM – 8 PM) - Combat dress/ Mufti dress.
� Bed time – Night suite.
Cadet’s and Parent’s rules & regulations, Do’s & Don’ts
• Punctuality is very important. Cadets must reach 5 minutes before every activity such
as P.T., Parade, Meals and Classes, Games or any other event.
• Disciplinary action, including a fine of Rs. 25/- each time will be taken for coming late
for any school/ house function.
• Disciplinary action, including a fine of Rs. 250/- will be taken for bunking the class and
staying in the dorm or any un-authorised place during school hours.
• Mobiles are strictly not permitted. If caught there will be fine of Rs. 1000/- and mobile
will not be returned.
• Leaving school campus without written permission of House Master and Commandant
is not allowed and will result in fine of Rs. 500/- and/ or rustication from hostel after
calling parents.
• Cadets will not carry more than Rs. 200/- with them. Extra cash will be kept with House
Master with record.

• No other valuables such as gold, cameras or electronic goods will be kept in dorm.
Valuable is defined as any item costing Rs 1000/- or more. Items part of school daily
routine such as uniforms, beddings, blazer etc will not be counted as valuable.
• Stealing is strictly prohibited and is punishable offence. Cadets caught stealing will be
made to pay for the stolen item and other fine levied on him. It will also lead to
rustication in serious cases. Picking up another cadet’s item without permission is also
banned in school.
• Ragging is banned in school and is punishable offence. Cadets harassed or troubled by
seniors will report to House Masters and Principal/Commandant. Cadets caught
ragging will be fined Rs. 2000/- and/or will be rusticated from hostel. Fighting, beating
among class cadets is strictly forbidden in campus. Defaulters will be rusticated after
calling parents.
• Those damaging school properties will be punished heavily. A fine double the cost of
damaged items will be charged. Serious cases may be rusticated from hostel.
• Whistling, shouting and making unnecessary noise in dorm, mess, classes or in any
function is not permitted. A fine of Rs. 500/- will be charged as penalty.
• Leading or borrowing money from cadets, mess workers, shopkeeper or any other
person is not permitted. It will lead to heavy fines.
• Boys are not permitted to take any item on credit from the school shop. Money is
required to be taken from House Master.
• Borrowing or lending clothes, shoes or any other item is not permitted.
• Cadets will not bring any eatables from outside. Parents are advised not to bring large
tins of 'khau' (Sweet or Homemade food items) for wards.
• Playing inside dorms, mess or classes is not permitted.
• Sick cadets must report to PT in-charge at 6:00 AM (on working days) and to sick room
by 7.30 AM and not stay in dorm without written slip from Nurse/ Doctor.
• Cadets will not throw paper, waste or eatable wrappers or polythene anywhere in
campus. Same should be put in dustbins.

• Cadets must obey the house appointments. Disobedience of an appointment is
punishable.
• Seniors will not use juniors to do their menial job such as fetching water etc. It will be
termed as harassment and is a punishable offence.
• Drugs, Smoking and drinking is prohibited. If caught, cadet will be expelled from the
school. There is no pardon for this.
• Cadets must save electricity and water and make it a habit to switch off lights, fans and
taps when not required.
• Parents are not permitted to visit school any time other than visiting days. They will not
be permitted to enter the campus gate. Please cooperate.
• Leave more than two days will not be granted. Parents must speak to Commandant and
escort the cadet themselves up to IX Std.
• Parent's vehicles are not permitted in mess or dorm area. They should remain in
specified car park near gate. Please cooperate with security.
• Parents are requested to meet the child in academic block or near gate and not come
inside the mess/hostel.
• Parents are requested to speak and meet House Master and Class Teacher during the
Open Days and note progress of their wards.
• Parents are requested not to ring up their wards more than once in week. This disturbs
the cadets. Calling after 9PM is not permitted unless in emergency.
• Parents are advised to note the mobile numbers of House Master, Principal and
Commandant and are welcome to call the with their important and genuine points,
complaints and suggestions only on working days between 09.00AM to 04.00PM.
• Parents are not permitted to visit cadet in dormitory.
• School administration advises the parents to cooperate to run the school efficiently and
help us in overall academic excellence and personality development of their children.
• All cadets going on leave after Annual Exam should carry their trunks, bedding and
other belongings with them. Dormitory is to be vacated fully.

Fire alert
If you hear the fire alarm, or are told to evacuate the Building: � Remain calm and keep quiet.
� Listen and follow the instructions of the Boarding Staff or senior boarders, if
any.
� Exit the building immediately via any of the staircases (according to the escape
route plan or simply choose the closest route).
� Assemble immediately under the building (outside the building).
� Assemble grouped with your house, class wise.
• Remain quiet, listen to every instructions given by in-charge/ senior and help staff to
take the attendance/muster.
• If you require assistance or notice a dangerous or emergency situation, contact the
Boarding Staff immediately.
• Ways to contact staff in an emergency:
� Find the staff-on-duty or other Boarding Staff in the office, or
� Call the security staff at number – 02422-274346.
Earthquake alert
If you feel the Earthquake or hear others stating quake, or are told to evacuate the
Building: � Remain calm and keep quiet
� Exit the building immediately via any of the staircases (according to the escape
route plan or simply choose the closest route).

� Once in the open, “Drop, Cover, and Hold On.” Stay there until the shaking
stops. This might not be possible in a city, so you may need to duck inside a
building to avoid falling debris.
� If you are outdoors when the shaking starts, move away from buildings,
streetlights, and utility wires.
� Listen and follow the instructions of the Boarding Staff or senior boarders, if
any.
� Assemble immediately outside the dormitory away from the building, power
lines and trees..
� Assemble class wise grouped with your house. Stay there till the vibrations
stops or till told to disperse.
• If you have not been able to get out of the building, then-
� If you’re indoors, then either stay there and move to a safe location such as
under a strong desk, a strong table or under a door beam. The idea is to protect
yourself from falling objects. Avoid standing near windows, large mirrors,
hanging objects, heavy furniture, etc.
Padmashri Dr Vitthalrao Vikhe Patil Sainik School House Allocation & House change Policy
Background
An important aspect of living in a boarding school is learning interpersonal and coping skills of living with other people. Other aims of boarding relevant to the PVP Sainik School house allocation policy are meeting and developing strong friendships with other
peers, and feeling a sense of belonging and “home” within the boarding house. The house allocation and house change policy aims to reconcile and maximize these aims within the scope of room assignment.
House Allocation Main aims at -
� Harmony amongst all house mates within the boarding house.
� An environment that fosters the development of interpersonal skills, conflict
resolution and friendships
House Allocation objectives -
� An area/ room with similar grade range (no more than 3-year grade difference)
� Each house to have cadets from each grade.
� Mates with a harmonic diversity of interests, characters and personality
� Mates who learn to overcome conflicts peacefully and build friendships

Conflict and complaints within rooms/ living areas -
� It is inevitable that small problems or conflicts arise when living with other people.
An important part of boarding is learning to deal with conflicts and learning to live
with others. Boarders are encouraged to solve all problems in a quick and
reasonable manner, maintaining respect, honesty and harmony within the boarding
house.
� However, sometimes conflicts can become quite complicated or get out of control.
Boarders can seek help from a number of sources to try and solve the problem in
particular; a common response will be to request a change in rooms. However, the
following procedure will be followed in the case of conflicts between mates:
o Boarders’ are encouraged to solve the problem amongst themselves
o Failing step (a), boarders are required to solve the problem through
mediation
o Failing step (b), boarders are required to meet with a member of the
boarding staff, who may implement some rules or guidelines to help end
the conflict.
o Failing step (c) or on recommendation by the staff member involved in step
(c), boarders may consider and apply for an immediate room change. This
step involves a written letter signed by all boarders involved in the room
change and, subject to the warden’s approval, may be carried out
immediately.
Note: At all times, violence, duress and threats to safety will not be tolerated. Should any person’s safety and wellbeing become a concern, the warden may act immediately to
rectify the matter, including an immediate change in room assignments.
Hostel changes -
� In order to maintain loyalty to a house, normally permission to change house will not
