Emery June Clawson was welcomed into the world at 7:50

am, May 4th, by her parents, Kane and Rachel Clawson.

Emery weighed 6 lbs. 0.9 oz. and was 18 1/2 inches long. Her proud

grandparents are Ken and Jeri Harder.

Congratulations to Rev. Sue upon the birth of her new grandson,

Kayson Michael Martin. Kayson was born on April 26th, at 5:24 pm, to

Emily and Alan Martin. He weighed 8 lbs. 7 oz. and was 21 inches long.

Big Brother Ryley was there to welcome Kayson home.

Board Meeting Minutes

April 19, 2017

Those present: Bill & Janis Fairchild, Lewis Burkes, Kenny & Lori Reneau, Roger & Leesa Butler,

Kim Guesnier, Jennifer Keener, John & Vicki Sheets, Mark Colglazier, Donna Marston, Nels Lind-

berg, Pastor Josh Leu, LaDonna Moore, Pastor Sue Bishop, Kevin Stansfield, and Randy Goering

There was a quorum.

Nels Lindberg led us in reading the Vision & Mission Statement followed by prayer.

Cabinet Meeting minutes from 2/8/17 & 3/8/17 were approved; Randy Goering made the motion to

approve, 2nd by Janis Fairchild.

Treasurer’s Report: Lewis Burkes presented the treasurer’s report. Lewis asked if we could look

at investing more funds instead of having them sitting in a checking account.

March Income $ 23,576.83

March Expenses $ 31,363.39

Year to Date Income $ 82,781.14

Year to Date Expenses $ 84,731.85

Monthly Budget $ 30,410.00

Outreach: Pastor Sue said there were 22 volunteers with 4 kids for the 1st Mission Weekend at

Camp Tawakoni. They only used $2000 of the $3000 budget for the new project expenses, food,

materials so the remainder will go to the pool project. On April 22nd there will be the 2nd Annual

Women’s Tea at the Dream Center at 2:00pm. Julie Ford was working with the clients on dress

attire “Dress for Success” and job interviews. The clients will participate in a fashion show. Con-

tact Lynn Scheuerman if you would like to attend. Since January the church has helped 6 people

with gas, 4 for the food pantry, two with $200 for rent and the Care Portal giving a twin bed

frame with mattress.

Membership/Evangelism: No Report

Membership Development: Pastor Josh said they have had 3 attend the New Members Class, one

was a current member just learning more about the church.

Marketing: Nels mentioned that the check-in on Facebook is going good and that it’s a cheap, easy

& free way to get our name out on the social media. He hopes to do more slides possibly promoting

the church.

Worship: John Sheets mentioned a good job was done for the Good Friday Service. Lewis men-

tioned that it was very moving but wished there was more in attendance. The new sound board is

up and running. No more squeaking and much better sound. Pastor Josh mentioned that the cur-

rent license covers the use of the new hymnals and the use of all PowerPoint as long as we are not

printing anything.

Administration: Nels talked about the need to mention a Housing and Utilities allowance pre-tax

for Pastor Josh and Pastor Sue as well as a Health Insurance allowance for Pastor Josh only. A

motion was requested to go back and amend the minutes taken for the 2016 tax year as well as

2017 for the current tax year. Roger Butler made a motion to amend the January 2016 minutes to

note the changes for the necessary allowances and Kevin Stansfield seconded the motion. John

Sheets made the motion to amend the January 2017 minutes to note the changes for the neces-

sary allowances and Vicki Sheets seconded the motion. Nels mentioned they have talked to the

accountants and to Terry Wiens asking why this issue happened. Terry is a consultant who is re-

tired and not an accountant. The church is looking into hiring a local accountant which could poten-

tially be cheaper. Possibly looking at John Cross or Barry Bowers (have contacted Barry for ad-

vice before).

Property: Kenny Reneau reported that things have slowed down. On 4/20 the old cabinets will be

removed and replaced taking approximately 2 days. Doug Schremmer will be here to inspect after

cabinets are removed and drill if needed to make sure there are no additional termite issues.

There are still a couple more sprinkler heads to change out but the major leak has been fixed.

The roof fund is around approximately $38,225. They will be starting the work around July

(summertime). They are going to replace the north side that is still under warranty. Ray Roofing

will be contacted again regarding the leak in the storage room in the gym. The youth did a lot of

cleanup and more termites were found in a small are in the sanctuary by the east stain glassed

window. The moisture caused paint to come off so it will get sealed up. The termites came up and

then went back down. The stations that are installed have been hit so they are working. The A/C

unit in the kitchen has been freezing up so Iserns will be called on Thursday, 4/20, to look at it.

Christian Education: Pastor Sue reported that 6 children completed the Baptism Classes from

3rd-5th grade. Five were baptized on Easter Sunday and one will be at a later date. There were

1,512 Easter eggs filled with candy and hunted at the Easter Egg Hunt on Sunday, 4/9. There was

a lot of candy left over so it will be used for the college boxes. There were 165 at the Easter

Dinner following the hunt which is 50 more than last year. Each year we keep increasing our num-

ber. There are three high school graduates in May, three college graduates in May and 3 college

graduates in December. We will be having a recognition ceremony on May 21st and again for the

graduates in December. The CYF Mission Trip to Utah will have 4 youth boys and 2 adults. We

will be visiting the Best Friends Animal Shelter (no kill shelter). We will be renting an RV in Den-

ver and driving to save on lodging costs, etc. On the high end the budget for expense is $3150

and the dates of the trip are June 17th-25th. The Chi-Ro Mission Trip will be to Heartland Farms

with 7 youth and 3 adults and the approximate budget for expenses is $2,277. Until the Fund-a-

Bowl event we are short $1200, but now we have seed money to go towards next year’s mission

trips. Fund-a-Bowl is Sunday, 4/23 from 3-5pm. We were able to get 9 of the 10 teams with a

couple teams short one person. Youth were hired out to raise funds for mission work. Vacation

Bible School is July 23rd-27th with a program during late service on Sunday, 7/30. The theme is

Cultural – Passport to Peru. It was discussed about how to decorate to avoid damaging any of the

newly painted walls. The blue tape does not work and absolutely no duct tape. Ideas were thrown

around about cork board along the top to fasten to, or using staples. The decision was made to

look into the best clear tape and maybe creating a committee to handle the take down of decora-

tions to avoid all the extra hands on the last day and the walls being damaged or paint removed.

Pastoral Relation: Matt Hiss has stepped up and accepted this position. Lewis Burkes made the

motion to accept Matt Hiss for the position of Pastoral Relations and John Sheets 2nd.

New Service Committee: Pastor Josh reported that we have the money to start the New Service

for lighting, sound, electrical, stage and wages, etc. The breakdown is $16,800 for light/sound,

$3000 for the new electrical, $3000 for stage and sound, and $9270 per year for two years for

two worship leaders adding up to approximately $32,000-$34,000. What is left to raise is $5000

to widen the door for easy access to move/remove items from Youth Room, $10,000 for coffee

bar, chairs, tables, window blinds, etc., $5000 for heating and air, $2000 for lights, and the cost

to repair the leaks in the Youth Room where the sound and light area will be. It was suggested to

contact the Regional Church to get their involvement. There have been concerns that we are mov-

ing too fast. We are not guaranteed to move forward. Pastor Josh is doing a new sermon series

regarding “God’s Calling” and there will be listening sessions for those who have questions or want

more information. If it doesn’t work out then we will have the coolest Youth Room. This is an

Outreach/Mission for the younger generation not drawn to the current style. We need to be will-

ing to change to not go extinct. We are in the top 20% of the DOC tradition. We want to add to

what we have, not take away. The committee members for the New Service are Bob Hiss, Merlin

& Nelva Grimes, Nels & Karen Lindberg, Matt & Dena Hiss, Courtney Brunswig, Alicia Spore and

Kenny Reneau (property). It was mentioned that people are glad that we are looking at alterna-

tives to not interrupt what we currently have. It was asked why we don’t do a blended service and

add some contemporary to the current service. The statistics show that a blended service has not

worked well. It ends up not enough for the young generation or too much for the older generation

so no one is happy and still have the same issues or worse. Pastor Josh will be out from May 15th-

19th in San Antonio for the Festival of the Homiletics and then June 19th-30th for seminary.

Elders Report: Randy reported everything is good and appreciates everyone’s efforts.

Deacons Report: Donna reported that everything is good.

Pastors Report: Pastor Sue reported that in addition to the Christian Ed and Outreach that she

has been busy with the Lenten Season and Prayer Vigil. She will also be taking a week when her 7th

grandchild is born. He is due around April 29th and Ryley will be his big brother. Lori Reneau will

be Sue’s backup if the grandson arrives prior to the Fund-a-Bowl. Pastor Sue plans to be back by

Mother’s Day. Pastor Josh reported to keep up the good work, communication, lives are constantly

being transformed. Look at your time spent as an opportunity not a burden.

Old Business: There has been a Housing Committee started to determine what will happen with

the parsonage once Pastor Josh and Ashley purchase their own home and move out. A sample of

the T-Shirt design was handed out to receive feedback. The youth saw the design as well and all

liked it alot. John Sheets and Pastor Josh will get together to move forward on installing benches

out front for members to use while waiting on their ride, etc. The AED is on the checklist to be

tested monthly and also on the calendar for battery and pad replacement so we stay within regula-

tions.

New Business: Pastor Josh reported that the church is teaming up with the Barton County Young

Professionals and holding Leadercast at the church on Friday, 5/5. If anyone is interested they

can sign up and receive a discount using the FCC code for $10 off.
