Board of DirectorsInformational MeetingFriday August 11, 2017

3:00 PMPresent Larry Bearfield, Steve Gade, Mike Kahn, and Ed Swindelles. Absent: Cliff Jackman, Fred Mullinand Bruce Julin.

Larry- WWTP working summer maintenance, took down both clarifiers emptied them and made sure therewere no leaks. Looking to not have any break downs when everyone is here. Settling ponds, bought a newtiller for the perking and waste water ponds. They run 12 to 12, meaning 12 hours recycling water on the golfcourse and 12 hours perking in the ponds. On the golf course (#15) last of the sod was just laid and should beopen on Monday. Thanks to the Golf Board for paying to have it fixed. SWFWMD has removed the wateringrestrictions. As of August 2nd you are able to water your lawns 2 days per week. Same as before, Odd #Wednesday and Saturday and Even # Thursday and Sunday. If interested we have the test results on drinkingwater available after the meeting. Maintenance building, Polk county permitting having struggles. Once weget the permits, things will get rolling. The Social Club entertainment schedule has been set for next year. Thanks to all volunteers, you know who you are!

Steve- Dock person should be here this weekend.

Mike- A couple sections of road on the boulevard are buckling, need to look into repairs. For Bruce Julin-Bob checks the levels of the pool everyday and we just had an inspection from the county health department, which stated everything was fine except the planted pots were too close to the pools edge. A couple weeksago the PH could not balance in the pool, so Bob took a sample to Pinch A Penny for testing and it showedsome metal substance in the water. Did not know how long to clear this up, so signs went up closed untilfurther notice. It took 3 days. Not sure where it came from, checked out the pool heaters and they seem to beOK.

Ed- For the Social Club. On 6/26 had resident Bingo, 68 people in attendance, went pretty well with a loss ofabout $1000.00. On 8/13 Trivia in the Pub at 5 PM tickets are $3.00 and are available in the office. Therewill be $50 and $100 pots and door prizes. You will get 2 pieces of pizza, table snacks and a $1.00 drinkticket. On 9/9 Country Night, finger foods welcome. There are paint samples in the office for door and trimcolors. Bingo will be closed on August 22, but there will be a community Spaghetti dinner, tickets at theoffice are $7.00 each.

Comments:Butch Clark-369 Melbourn. What is the decision on #4, pond or filled in? DEP said they must be watercontainment area and cannot fill in. What we can do is maintain weed control in the area. We can remove 2-3feet out and we are still going to pursue that and leave it as a retention pond.

Jeanette DeLisi-178 Dartmouth. Bocce ball courts, any organized games? Jason committed to taking care sogames can be played. Have to let people know, put in Sweet Times and on channel 95.

Joan Gade-31 Edinburgh. Rumors floating around about the property out front. The BOD has no discussionnow. The property will stay agricultural and the current farmer is going to cut the hay.

Many comments regarding Spectrum.

Next Informational Meeting will be Friday September 8th and the Board of Directors meeting will be FridaySeptember 15th at 3:00 PM in the Ballroom.

Meeting concluded at 3:20 PM.

The meeting was called to order by Vice President, Janis Dykes.

Present were Danny Bell, Butch Clark, Joe McNamara & Gwen Julin. Absent were Kay Sevison & Perry Harkness.

A quorum was established.

Guests present Steve Gade, BOD Liaison

A motion was made by Butch Clark and seconded by Danny Bell to accept the minutes as posted.

Gwen Julin presented the treasurers report. A written request was made by Kay Sevison to take the proceeds from the Labor DayGolf Tournament of $167.00 and keep that money as cash on hand to be a bank for future tournaments as available change forlarge bills as it continues to be a problem. A motion was made by Gwen Julin and seconded by Butch Clark to accept KaySevison's request. Motion carried. There was no change in the treasurers' report.

OLD BUSINESS:

Hole #15 is now open for play...it appears to be a bit wet after several days of rain to the right of the green and the cart path. Itmay need to be contoured further. Will watch to see if anything changes over the next season.

Hole #17 has been reseeded in front of the green. A request was made by Butch Clark to have the area reseeded to becordoned off by flags or caution tape until the grass has grown sufficiently.

Butch Clark and Steve Gade have a list of items that require attention on the golf course. They will be working with the BOD &Jason Morris, Golf Course Superintendent.

NEW BUSINESS:

We had 42 players for the Labor Day Tournament. An enjoyable time was had by all albeit the humid no wind day. 3 clubs and a putter is the format for the My Team’s the Best Tournament scheduled for October 8th, Sunday @ l:00pm.

Golfing apparel includes shirts or collarless shirts "IN GOOD CONDITION" with your favorite sports team.. such as MSU(Michigan State University). Tampa Bay Lightning. Can be any sport, collegiate, pro of even your old high school alma rnater. Please use good judgment.... If you must wonder if the item of clothing is acceptable then it probably isn't. Come on out andhave some fun and support your favorite sport/team.

Sponsorship signs are being replaced on the following holes: #2, #3, #7, #9, #12 & #13 due to several years of weathering. The owner of each sign will be notified to verify that they wili continue to pay the yearly expense before the Golf Boardreplaces the sign as the Golf Board will pay for the replacement of each sign.

Election Board stated that they have several candidates for the Golf Board. 4 positions will be available. Should anyone beinterested in running for a position, please see Butch, Danny or Joe. A sign-up sheet will be posted in October to the corkboard for others that would like to run for the Board.

3 suggestions were in the Golf Board suggestion box.o Replace the flags on each hole with better material - Gwen Julin will discuss with Jason Morris.o Have a 9-hole golf game once a month on a late afternoon and make it a dinner event such as spaghetti - need to check with

John Johnson, Kitchen Mgr. Further discussions will be necessary.o Remove out of bounds stakes on #3 & #9. This request was reviewed on numerous occasions and was voted on and motion

approved to not move the stakes.Steve Gade, Golf Board liaison asked the Golf Board for assistance on running a fund-raising golf tournament to help pay for a

Veterans Memorial Board which would be located in the foyer of the Clubhouse. It was determined that the Golf Board wouldnot get involved with running a tournament or providing a donation to the Veterans Memorial as the money we collect is to gotowards the golf course.

The next scheduled regular meeting will be held October 3rd, 2017 at 2:00pm in the library.

A motion was made by Butch Clark and seconded by Joe McNamara to adjourn.

Motion carried.

Gwen Julin, Secretary Sweetwater Golf Board of Directors

Board of DirectorsInformational Meeting

Friday September 8, 20173:OO PM

Present Larry Bearfield, Steve Gade, Mike Kahn, and Ed Swindelles. Absent: Cliff Jackman, Fred Mullin andBruce Julin.

Larry- The emergency generators are at sewage plant, water tanks and the Clubhouse. Will have electric andwater if power goes out. All generators are full, propane is full and in good shape so far. Today after the meetingwe are going to take the tables and chairs down and tomorrow security and volunteers are going to bring in thepool furniture and set them around the ballroom. If you are planning on coming to the Clubhouse please waituntil after noon tomorrow. Make sure you bring all your medications and personal items. After the storm startsyou won't want to go home. Another thing, if you want to bring beer or cola with you that's OK. The Pub will beopen Saturday 10-8 and on Sunday too. We also bought some snacks and coffee. If you want to donate youcan. This is going to be one of the worst hurricanes in our lifetime. It could get real bad. We have taken down thenetting at the WWTP and tennis courts. Will open the kitchen and clean up after the storm. The hot tub isalready shut down. Leaving your home is not mandatory, if you feel safe you can stay there.

Steve- Going to open the front gates on Saturday. There will be a robo call regarding the storm. We are workingon the storage shed at maintenance, making headway. It takes at least 6 weeks for the county to pull permits. They seem to be dragging it along.

Mike- The storm is coming in. Jawna & Russell Reints run the security team and they are going down all thestreets helping to get stuff out of yards as much as possible. Check for loose items and take them in. If you knowof someone gone check their house as well.

Ed- Nothing for this meeting.

Comments:Danny Bell-67 Straphmore. Will there be golf tomorrow? You can and put your ticket in the box.Barb Richardson-35 Edinburgh. Can we bring freezer food here? Yes that is fine, but there is limited room.Pat McCauley-250 Ramsgate. What is the pet rule for the hurricane? Same as in 2004, must be in a crate andremain in the craft room.Judy Fournier-131 Victoria. I haven't been here for a hurricane. Is this a designated shelter? It is notdesignated, but if you feel safer here than you home you can come here. What about the clubhouse windows? There are no provisions to cover the windows. There are other locations that are designated shelters that arestate approved.Barb Durell-126 Victoria. Do we fall under the rules for Polk Co. for pick up days? No we are private, and undera contract with Advanced (formally Trash Taxi). Same days for pick up and no glass in recycle. The fountain outfront is really nice, but the box that operates it is ugly. Can that be covered? Will look into that.Butch Clark-369 Melbourn. I golf 4-5 times a week and the golf course is in horrendous shape. Greens areterrible. Doesn't look good with all the holes. If you are going to do the job do it right. If it is too much work forJason, then get some help.(Larry's response) You are overstating the condition. We go out to a lot of different courses and some of themlook like ours too. We don't get the cold winter to help kill of the weeds. And the DEP have said we can nolonger use some insecticides we used to use. If you kill the weeds you make a spot. Butch continues-Handicapgolf carts should be able to go on the golf course. A couple of holes by the bridge have been there a long time.(Larry responding) Over all what Jason is doing is good. We have to work within our budget. Everything has acost.Danny Bell-67 Straphmore. Look around this room, there is no plywood or no hurricane shutters. We will lookinto it. Need a place to store them and they are expensive. Unknown-This is not an emergency shelter, why buythis stuff?John Johnson-356 Melbourn. When I lived in Lake Region it was an emergency shelter. At some point thisplace needs to be locked down. You can't open doors, it will blow off the roof. Smokers cannot open the doors.Judy Bearfield-162 Townbridge. Remember to shut all the doors in your home.

THERE WILL BE A POST HURRICANE MEETING INTHE BALLROOM ON THURSDAY SEPTEMBER 28TH

AT 2:00 P.M.

Harold Mead-137 Victoria. Was here in 2004. The reason this is not a designated shelter is anyone aroundwould be able to come here for shelter. That means outside people. At that time the BOD decided not to havethis as a designated shelter.Barb Durell-126 Victoria. Update on the hole in the road? Tucker paving is going to repair. It is NOT a sinkhole. It was a closed off pipe and was not structurally sound. They are going to pump in liquid cement so itdoesn't collapse. The cost will be around $10,000.00.Inge Simons-194 Dartmouth. Some of the holes are left open to see if the leak has been fixed. I think the guysdo a good job on the golf course.Butch Clark-369 Melbourn. I think I have been misunderstood. I didn't say the guys working on the golf courseare not doing their job. I think we need to get more help. Jason said they did not need more help at this time.Dixie Grande-263 Ramsgate. Are we going to be able to use all the rooms at the Clubhouse? Any place youcan find a spot.

Due to the hurricane the BOD meeting for September was cancelled. There will be a post hurricane meeting onThursday September 28th at 2:00 PM in the ballroom.

Next Informational Meeting will be Friday October 13th and the Board of Directors meeting will be FridayOctober 20th at 3:00 PM in the Ballroom.

Meeting concluded at 3:40 PM.
