Overview

Haunted Harvest was held on October 31, 2014 in conjunction with several Oglesby Union events, including the FSU High Flying Circus Halloween show, Paint-a-Pot, Pumpkin Carving, Breakfast for a Buck, films at the Student Life Cinema and cosmic bowling. The event was free to FSU students with a valid gold FSU ID. While many specific events had individual event times, the majority of events occurred between 7:00pm to 2:00am.

History of Haunted Harvest

The event began in 2008 as “Friday the 31st”. The goal was to create a Union-wide event centered on the “Big Friday” closest to Halloween that provided alcohol-free entertainment. In 2009, the event was renamed “Haunted Harvest” in order to create a brand that could be reused annually similar to “Spring Fling.” Each year marquee events such as paint-a-pot, bowling, and showing “Rocky Horror Picture Show” have been kept while adding new and varied events.

Campus Partners and Planning Committee

This event is planned by a committee consisting of staff members from the Student Activities Center, the Art Center, Crenshaw Lanes, the Student Life Center, Flying High Circus, Aramark, Union Marketing, and Union Administration. Student leaders on Union Productions also serve on the committee. Representatives from Student Alumni Association (SAA) also attended the meetings to ensure that co-sponsorships fit seamlessly with the rest of the Haunted Harvest events. Invitations have also been extended to Greek Life, Residence Life, Inter Residence Hall Council (IRHC), Red Cross NOLES, and Campus Recreation in an attempt to bring other campus partners in on the planning. The committee is chaired by the Graduate Intern for Alcohol-Free Programming.

Haunted Harvest was filled with different carnival rides, food vendors, and other activities. Out of a variety of valid written responses, the top three favorites of those surveyed were food-related, ride-related , and games and activities related. The main reasons people attended Haunted Harvest were to enjoy the event (40%) and because they were hungry and wanted free food (27%). The majority of those surveyed (88%) plan on definitely returning to Haunted Harvest next year.

Program AssessmentPlanning ProcessThe Haunted Harvest Planning Committee met once during the spring of 2014 and then began bi-monthly planning meetings on September 15, 2014. Many Union departments had finalized details for their respective events by early October. The event schedule and marketing materials were finalized throughout the month of October. An initial marketing meeting was held on Friday, October 3, 2014 with Union Marketing staff to go over the marketing plan and timeline. An initial assessment meeting was held with Union Administration on Monday, October 6, 2014 to review previous assessments and plan for all future assessments to take place electronically.

Recommendations Used from Previous Years Union Productions continued the theme of a carnival-esque

atmosphere by contracting a fun house and inflatable laser tag arena.

Due to other events immediately following Haunted Harvest, such as Homecoming and the Union’s Birthday Party, Union Productions decided against the traditional carnival rides to avoid oversaturation of this festival activity.

Union Productions decided against a band or concert due to last years’ experience with Mike Stud’s cancellation. Viewings of Courage the Cowardly Dog and Adventure Time were shown to add to the aesthetics. A PA system and speakers were used in the courtyard to play “spooky sounds”.

Due to cost effectiveness and an organized plan of execution, caramel apples were brought back to the schedule of events and were provided by Aramark and Union Productions.

Hayrides and a haunted house were discussed once again by Union Productions, but were inevitably found cost ineffective.

Peer Involvement Mentors sponsored multiple costume contests throughout the night on the steps of Moore Auditorium.

Based on recommendations from the 2013 Planning Committee, Union Marketing created a hashtag contest on Facebook to create social media buzz and increase online marketing.

Programming Decisions This year the Planning Committee decided to continue the extended

length of Haunted Harvest to be five hours of activities. The event began at 7:00pm and ran until 11:59pm. This length of time was successful and resulted in short lines and more time for students to enjoy multiple aspects of the event. If this length of time remains consistent, the cost of vendors and supplies needs to be taken into account. The time extension resulted in increased costs for many of our novelties as we needed to pay the vendor’s staff for additional labor time. Additionally, any food items that are being contracted (food trucks, Aramark, etc.) need to account for the extended length of time so that supplies do not run out before the event has ended. While this time change received much positive feedback, a budget increase should be considered in future years to account for this change.

The biggest addition to this year’s Haunted Harvest was the increase in event price for the general public. This year, Union Productions decided to charge the general public a $10 admission price to participate in the Haunted Harvest activities. Children ages 12 and under were allowed in free with an adult. All FSU students were

required to show their FSU student ID and sign a waiver to receive a free wristband and take part in any of the night’s activities. Future events should continue to charge the general public as they do not contribute to the student activity fee which provides funding for this event.

Similar to previous years, Union Productions worked very hard to research a Haunted House for this year that could be built outside on the Union Green to substitute for any carnival rides. While a company in Orlando capable of building a Haunted House was located, costs of staff, decorations, outdoor tents, and other items made this task impossible. After adequate research, a Haunted House would only be possible if Union Productions was able to supply actors, costumes, make-up, draping, and other decorations for the event. Additionally, the event should take place indoors to save on the cost of securing a tent to create the house-like structure. Recommendations include beginning the planning process for a Haunted House a semester in advance, securing actors from the Theater Department or Union Productions, and purchasing reusable decorations, draping, and costumes. The carnival rides and jumbo screen act as large attractors of students to the event because they are easily spotted at a distance across campus. This should be considered if the carnival rides or similar activities are eliminated from the event in future years.

Union Productions was able to use a Jumbo TV Screen provided by Bluefish Outdoor Movies due to rescheduling after a rain cancellation at Seminole Sensation Week two months prior. Union Productions chose to show viewings of Courage the Cowardly Dog and Adventure Time throughout the evening because Goosebumps was unavailable due to copyright infringement. TV shows were purchased and downloaded from Amazon in order to be managed by a technician in order to showcase the schedule of events between episodes. For future viewings, episodes should be embedded into the PowerPoint slide and made automatic so as not to need a volunteer or technician. Also, TV shows should stick with the theme of Halloween or harvest in order to make the activity more cohesive to the overall event.

Hayrides were considered again this year as a potential activity. The cost and route were determined, but were unable to be completed in such short notice. For future events, hayrides should be considered. A route between the ALSC and the Oglesby Union is preferred. The ride would not include any scare tactics, but would incorporate the harvest theme.

Costume Contests were suggested as a fun activity for the overall event. Peer Involvement Mentors asked if they could take on this initiative. Contests were held every hour on the hour between 8:00PM and 11:00PM. The final contest, at 11:00PM, brought back all of the first place winners from the previous three contests to choose an overall winner. Peer Involvement Mentors were able to secure prizes from Aramark, Crenshaw Lanes, and Student Activities to create multiple prizes and packages for all winners. Because only two of the three first place winners were able to stay until 11:00PM, PIMs should consider eliminating the final contest or re-evaluating the process so that students who won first place do not miss out on the final prize. Additionally, more marketing and encouragement prior to the event should surround this activity so that more students know about the contest and dress up.

Angel Olsen was hired by Union Productions to perform in Club Downunder this year. Although this limited the amount of programming space for the overall event, ticket prices were covered if students or the general public were attending Haunted Harvest. In the future, Union Productions should continue utilizing Club Downunder during Haunted Harvest for free musical performances.

Trick ORG Treat was another popular event this year. This year the location had to change from Union Courtyard to Integration Statue based on electrical needs of other vendors. Ten organizations and ASLC participated and SOAR Board was very happy with the new location and turnout. Four prizes were given to the participating student organizations based on their decorations, activities, and overall performance. In future years, Trick ORG Treat should continue to take place at Integration Statue. Directional signage and volunteers should be utilized to draw the Haunted Harvest crowd out to the Trick ORG Treat event space.

Marketing and Promotion Plan4 Weeks Prior to Event

SLC slide was posted at no cost for Union departments. Haunted Harvest Website was created which highlighted all events.

Events continued to be added past this date once finalized. Facebook and Twitter covers and icons were created.

Evaluation Findings

The Oglesby Union Education, Assessment, and Research Department collaborated with the Student Activities Center to assess and evaluate Haunted Harvest activities. The Haunted Harvest volunteers and Education, Assessment, and Research team administered evaluation surveys throughout the week.

On-Site Survey Students who attended Haunted Harvestactivities were asked to complete a paper survey. A standardized Haunted Harvest survey was used for all activities (with the exception of Breakfast for a Buck) to garner a higher response rate (Appendix B).

General Survey Highlights The General Survey was administered at various Haunted Harvest activities that were held in the Oglesby Union. There were 487 general survey responses.

The majority of the general survey respondents were female (69%), freshman (42%) that resided on-campus (54%).

The top three ethnicities surveyors identified themselves as were White/ Caucasian (51%), Hispanic/ Latino (18%), and African-American/ Black (16%).

Friends/ word-of-mouth (24%), flyers/ posters in residence halls (17%), and banners (13%) ranked highest in ways students heard about Haunted Harvest activities (Students were allowed to choose more than on method).

Union Green event (25%), movie at the ASLC (18%), and Art Center activities (17%) were the top three Union events the survey respondents participated in (Respondents were allowed to choose more than one activity).

Breakfast for A Buck (28%), paint a pot/ sidewalk chalk (23%), and comedians (11%) were the top three activities the survey respondents were most interested in

The majority of respondents attended because they enjoyed the events (40%), were hungry and wanted free food (27%), and were interested in meeting new people and socializing and had nothing else to do (12%).

69% of survey participants were attending Haunted Harvest for the first time.

A majority of survey respondents (88%) stated they would attend Haunted Harvest again.

Breakfast for A Buck Survey HighlightsThe Breakfast for a Buck survey was conducted on Friday, October 25, 2013

and 340 people completed the survey. A total of 878 people attended this B4AB. Response rate was 39%.

The majority of Breakfast for a Buck Survey respondents were freshman (32%), female (53%), Caucasian/ White (41%), who lived both off-campus (49%) and on-campus (48%).

The majority of the respondents attended the event because they were either hungry or wanted inexpensive food (42%)

The majority of respondents, 45%, thought the food was of average quality.

Union Green event (32%), special event in the courtyard (21%), and movie at the ASLC (18%) were the top three Union events the survey respondents participated in (Respondents were allowed to choose more than one activity).

Breakfast for A Buck (42%), concerts(19%), and paint a pot/ sidewalk chalk (12%) were the top three activities the survey respondents were most interested in

Most respondents believed that attending Breakfast for a Buck on campus did not reduce student drinking of alcoholic beverages that evening (48%)

Recommendations for Next Year Bathrooms and garbage cans need to be monitored throughout the

night. Garbage cans need to be emptied prior to Breakfast for a Buck and at areas surrounding food vendors.

Decorations should be purchased and incorporated into the event to support the Haunted atmosphere.

All food vendors, concessions, and/or Aramark should account for the extended hour of time and event planners should order more food. Dog Et Al corn dogs ran out halfway through the event and candy apples were gone within an hour. Raley’s Confectionary Candy-Making Demonstration ran out of sugar one hour before events’ end and could not make anymore candy.

Aramark’s food area needs to have a volunteer monitoring and assisting students in picking up food items. Utensils, plates, and napkins need to be provided depending on food options. Also, check on hot water for hot drinks prior to beginning of event.

The psychic was one hour late and feedback on performance was not positive. Event planners should consider working with a different company to secure a psychic or save funding for a different novelty.

If working with BJ’s Party House in the future, make sure to ask Mimi when she plans to arrive and have volunteers prepared to help with load-in. Mimi showed up one hour earlier than planned and did not have anyone to help her unload her trailer and truck.

More tables are needed for Paint-A-Pot and Pumpkin Carving. Plan ahead and meet with Lydia prior to creating a layout on Social Tables. Make sure she has enough tables. Hay bales were a great way to

display pumpkins as long as real candles are not used on top of hay. A breakdown from the Assistant Director of Guest Services, Trinity Gonzalez, is below:

Make sure pre-bought candy is placed throughout event (waiver stations, ticket booth, etc.) and on Paint-A-Pot tables. Event planners were unsure if all of the candy that was purchased was placed out for students to consume.

Volunteers need to eat before arrival or be provided food. A meeting one hour before start time was not enough time for people to get to their spaces and learn their roles if they needed to grab food. More direction is needed in volunteer meeting.

Marketing should specify that event ends at 12:00PM and Breakfast for a Buck is the only activity until 2:00AM.

If wristband station continues to be in the amphitheater, directional signage near vendors and activities would be helpful so students do not wait in lines without a wristband.

Club Downunder shows should continue to be free for participating Haunted Harvest students and general public.

Jumbo screens are great for viewing the event across campus. Student feedback showed that they could see the screen from different areas of campus including Woodward Ave, Landis, and near Revetta. This may draw a larger crowd to the event.

Candy apples were cost effective, yet very difficult to prepare. Caramel needed to be melted hours in advance and volunteers and event planners needed to provide four crockpots. If ordering from the same company, make sure to request small containers of caramel that will fit in the microwave. Large containers will not work and require much more work. It may be more efficient to hire a company to create this activity even though it is more expensive.

Table tents were not created on time and Breakfast for a Buck marketing suffered. Create table tents that advertise for B4AB and

Haunted Harvest and make sure the Marketing Office is completing their tasks on time.

Union Productions is in charge of creating the Facebook page. Make this clear to the PR Director at the beginning of October. The Facebook event was not created until days before the event this year due to miscommunication.

Any social media contests or hashtag contests should research hashtags that are available. The hashtag used in 2014 was also being used by Ohio State and made finding contest posts difficult. Having students share the event page, or a provided graphic image, as a contest may be a fun way to boost social media recognition and advertising. Union Productions money can be allotted for this prize.

Conclusion

Overall, the event was successful and continues to improve each year. This year, most food items were dessert (cotton candy, popcorn, dirt cake, candy corn rice krispy treats, hard candy) and helped to drive traffic to the Breakfast for a Buck later in the evening. While most of the food options lasted long enough, most food ran out by 11:00PM. Aramark catering should continue to offer sweet treats in shifts throughout the night and be allotted one or two tables rather than the five provided this year. Serving utensils and volunteers should be assigned to all food vendors, concessions, and catering.

Trick ORG Treat enjoyed much success this year with the change in its location. Integration Statue ended up being a fantastic location and rated a success by RSOs and student attendees alike. Funds should be budgeted to allow for attractive prizes at Trick ORG Treat in an effort to increase RSO involvement.

Pumpkin Carving is an important component for this fall-themed event. Many students appreciated having the Pumpkin Carving. The only issues with Pumpkin Carving and Paint-A Pot this year was an insufficient number of tables and can easily be fixed in future years by further communication with the Art Center.

Carnival Rides are an important part of the event as they are large and visible on the Union Green. This pulls students who may see the attractions from across campus over to the event. This year the Jumbo Screen happened to be available due to rescheduling from Seminole Sensation Week. Future Haunted Harvest Planning Committees might consider using

the large screen again, looking into hayrides, or designing their own haunted house on the Union Green to serve the same purpose if desired.
