Alma/Primo update – September 2018Alma

Alma priorities

The Cataloguing Group have created a new guide on Cataloguing AV materials now available on the Alma/Primo training page, plus templates for CD ROM, DVD and sound recordings on the Alma Metadata Editor.

General interest

We highlighted an issue a few months ago around Alma ignoring copies of requested items in the same location as the requested pick up location, leading to items being transited needlessly. Ex Libris have now identified a fix for this problem and will be applying it in the next release in mid-October. Action: If you notice this still happening post the next release, please get in touch.

Alma release notes

The Alma release notes for October 2018 are now available here. These updates should be in place by 7th October. Some of the main areas of interest include:

Resource Sharing

When a user creates a resource sharing borrowing request in Alma, Primo, or using an API, Alma can now check to verify that the request is not a duplicate of an already existing active request for the user. In addition to user ID, Alma checks fields such as Title, ISBN, and Volume to verify that the fields are not the same. If they are the same, an error message appears and the request is not saved. In Primo, duplicate requests are blocked completely. Alma and APIs have an override option.

NES will apply a configuration change after the 7th October release.

Resource ManagementIn Browse Bibliographic Headings (Resources > Cataloging > Browse Bibliographic Headings), the 130, 630, and 730 Uniform Title fields are now indexed under the Title headings type.

Fulfilment

You can now sort the calendar records on the Calendar Management page by record type, valid from (date), and valid to (date).

When changing a due date of an already overdue loan, an overdue fine is now created before the due date is updated (similar to the renew process) to ensure that a potential overdue fine is not automatically dropped.

Check Item Rules for Get It Loanable Indication - When a user that is not logged into Primo performs a search, the Terms of Use rules are searched to determine if the item is available for loan. The search now checks additional parameters for more accurate results. The parameters are:

o Item Locationo Item Policyo Material Typeo Process Type

When a patron is signed in, the system calculates the loan terms of use that will be applied to the loan, and displays the name of the due date policy in this column. New for October! If the patron is not signed in, the system checks whether there are any terms of use rules (for that item’s location, material type and item policy) that allows this item to be loaned. If so, the Loanable label is displayed. If no terms of use rule is found, then the Not Loanable label is displayed.

Sort Holdings by Location in Primo Get It - You now have the option to use alphabetical sorting only when sorting holdings in the Primo Get It page. Selecting Yes for Use Alphabetical Sorting Only on the Locations Ordering Profile page sorts the library name and location alphabetically. The field defaults to No, which leaves the prior sort order in place. Action: this would require a configuration change, please feedback if there is interest in this.

You can now customise the loan statuses displayed in Primo patron card on the Loan Status Name page. Action: this would require a configuration change, please feedback if there is interest in this.

Might be of interest in relation to Reading Lists:

An additional tag type, Internal, was added for citations and sections (course reserves). It is managed internally by Alma and visible to librarians in Alma. Librarians cannot add, edit, or remove these tags.

Year was added as a column on the Courses page (initially hidden). User was added as a column in the Recent Changes tab on the Edit Reading List

page.

Analytics

The Title (Filing) field was added to the Bibliographic Details folder in every subject area in which it appears. It contains the title with common words such as "The" and "An" removed. This helps with sorting the title.

The following folders were changed: o Item Location was changed to Item Location at time of loan in the Fulfillment

subject area.o Location was changed to Location at time of loan in the Lending Request

subject area.

Might be of interest in relation to Reading Lists:

The Reading List Visible Start Date and Reading List Visible End Date fields were added to Course Reserves > Reading List. They contain the start and end dates that the reading list is visible to students.

The Campus Name and Participants field was added to Course Reserves > Course. It contains the campus where the course is available and the participants of the course at each campus.

The Academic Department Description field was added to the following locations: o Course Reserves > Courseo Requests > Request for Course

Administration and Infrastructure

The Item Material Type facet displayed 5owg85o4 for items without a value. The facet now displays Unspecified.

Primo/Library Search

Resource recommender

This feature allows the promotion of key resources based on tags (keywords) we associate with them. More information on how this works is available here.

We think this is a good way to promote evidence summary services such as BMJ Best Practice and Dynamed Plus, whose content is not indexed in Library Search.

Example 1: Search for BMJ Best Practice

A link to BMJ Best Practice appears at the top of the search results.

Example 2: Search for Evidence Summaries

Up to 3 resources with that searchable tag appear at the top of the search results. If there are more than 3 resources, the user can click on the See all suggested resources link to view additional resources.

We intend to explore how this feature can be used to promote other resources whose content is not indexed in Library Search, such as databases or medicines information, and possibly also external websites such as SIGN, NHS Inform, etc.

Withdrawal of the classic version of Primo/Library Search

We have been investigating changes to the link resolver screen on 3rd party databases, e.g. OVID, Ebsco when we withdraw the classic version of Primo/Library Search. The screenshots below illustrate the differences between what users currently see and what they will see after we withdraw classic UI (Before/After). The example below is from an OVID database:
