Amy Figley LIS 653 November 17, 2010 Collection Analysis Introduction Hanes Magnet School is a middle school. It serves students in sixth, seventh and eighth grades. The focus is on science, math and technology. They offer Project Lead the Way, which is a national pre-engineering program. As a magnet school, Hanes is open to all students in Forsyth County, and busing is provided by the county. There is an emphasis on gifted education, and Hanes has an H.A.G program. The media center also serves the students in Lowrance Middle School, a small, special needs school that shares the Hanes building. Hanes is currently focused on using federal Magnet Schools Assistance Grant money to improve the technology in the school. The media center serves 1100 students and 81 teachers. The collection statistics used in this analysis are from a Titlewise Analysis that was run in May 2010. Titlewise cites the Wilson Core Collection in its collection comparison statistics (2010). Part I: Collection Sampling In order to sample the collection, eighty books were selected at random. Twenty books were chosen from the 300's, 500's, 900's and the fiction section. Collection Analysis

Introduction Hanes Magnet School is a middle school. It serves students in sixth, seventh and eighth grades. The focus is on science, math and technology. They offer Project Lead the Way, which is a national pre-engineering program. As a magnet school, Hanes is open to all students in Forsyth County, and busing is provided by the county. There is an emphasis on gifted education, and Hanes has an H.A.G program. The media center also serves the students in Lowrance Middle School, a small, special needs school that shares the Hanes building. The following chart shows the age of the sampled books by decade. The Hanes-Lowrance collection contains two books from the first decade of the nineteenth century, four books from the 1910's, three books from the 1920's, seventeen books from the 1930's, fifty-three books from the 1940's, 193 books from the 1950's, 713 books from the 1960's, 1106 books from the 1970's, 2633 books from the 1980's, 4362 books from the 1990's, and 8622 books from the 2000's.

The following chart shows the number of books to be kept and weeded within each Dewey category based on IMPACT guidelines. According to IMPACT, most books within the 300 area should be weeded after ten years, and this would lead to weeding eight of the twenty sampled books. IMPACT suggests weeding books within the 500 area after ten years, with the exception of books about space, which should be weeded after five years. According to these guidelines, four of the twenty sampled books need weeding. IMPACT recommends weeding books in the 900's after twenty years. Biography and geography books must be weeded after ten years; however, the random sampling did not cover these areas. Based on IMPACT guidelines, eight of the twenty sampled books in the 900's should be weeded. Fiction does not need to be weeded based solely on age, but should be evaluated based on condition and circulation statistics.

Circulation data After weeding by age, the circulation data can provide more information about what books are not being used and need weeding. Thirty seven of the books sampled have not been checked out at all in the last two years. The books with the highest circulation are fiction. There are six fiction titles that have not been checked out in the last two years. These books should be considered for weeding. However, book talks and displays should also be considered. The newest fiction titles have the highest circulation of the fiction books sampled. The circulation data is less helpful in the non-fiction areas. While many of these books have not been circulated in the last two years, these books may be used for research within the library. The library should consider collecting data on books that are used within the library but not checked out as well as books pulled for teachers. This will help determine which nonfiction resources are being used. The following chart shows the circulation of the sampled books for the last two years. It is clear that a large number of the books are not circulating. This suggests that weeding is necessary; however, more information is necessary before these books can be weeded.

Book Condition Book condition is another way to determine which books need to be weeded in a collection. Condition was not a factor in this sampling. Books in the Hanes-Lowrance library are weeded based on condition as they are circulated. As a result, all books sampled were in good condition. Overall, the sampling reveals two issues: age and lack of use. Of the eighty books sampled, one fourth need to be weed based on age. This suggests that careful attention needs to be paid to weeding the entire collection based on age. Thirty three of the books sampled have not been checked out at all in the last two years. While further research is needed, this information suggests that the collection holds many books that are not used by patrons and need weeding.The overall condition of the books in the Hanes-Lowrance collection is a strength.

Part II: Collection AnalysisAge The average overall age of the collection in the Hanes-Lowrance Media Center is 1994. This includes fiction and nonfiction. The overall age of the 300's is 1991. Dewey numbers 394-398 do not need to be weeded based on age, but IMPACT recommends discarding items that are over ten years old for the rest of the 300's. The 390's may not need to be weeded based on age, but the rest of the Social Sciences collection has an average age that is more than ten years old, ranging from 1984-1999, and as such needs weeding according to IMPACT guidelines. The 500's are the newest area of the collection at Hanes-Lowrance. The media center serves a math, science, and technology magnet school, so this area of the collection is of particular importance. The average age of this section is 2004. IMPACT recommends that books about space be weeded after five years. The 520's meet this guideline, with an average age of 2005. According to IMPACT, the 580's and 590's do not require weeding based solely on age. The remaining areas need to be weeded after ten years. The Hanes-Lowrance collection largely meets this requirement. The 560's are the only section that needs weeding based on age. Dewey section 900 is the geography, history, and biography portion of the collection. IMPACT recommends History titles be no more than twenty years old. The 970's are the only history section that needs weeding based on age in the Hanes-Lowrance collection, with and average age of 1989. IMPACT guidelines state that collective biographies should be weeded after twenty years and individual biographies after ten. The average age of this collection's

biography section is 1976. According to IMPACT, the 900's and 910's should be no more than ten years old. Geography is a constantly changing subject matter, and the average ages this area are 1994 and 1978, both far older than recommended. From this comparison, the fiction section appears to be quite a bit smaller than the recommendations. However, the Wilson figures do not include the paperbacks or easy books. In the Hanes-Lowrance library, these categories both fall into the general category of fiction, and the paperback collection is sizable. Thus, the fiction collection comprises 35.55% of the collection, which is larger than the Wilson recommended percentage. There are significant differences between the Wilson Core recommendations and the Hanes-Lowrance collection in the 600's, 900's and biographies. The media center has a large 600 collection, however this larger percentage is appropriate given that Hanes is a magnet school with a focus on these subjects. The 900's and biographies are significantly smaller than the Wilson recommendations. Format The Hanes-Lowrance school media center offers a variety of formats to students and teachers. The following chart shows the number of holdings in each format.

Curriculum-Related Areas Sixth grade students in North Carolina do a unit on the solar system (LearnNC 2010). This includes the sun, planets, and comets, as well as lunar phases, seasons, storms and tides, energy chains, thermal energy and energy transfer and the law of conservation. The majority of the resources will be found in the 500's. The 500 section of the collection is the appropriate size, according to Wilson's recommended percentages. A catalog search for the solar system reveals 108 resources in the school library, most of them in the 520's . Other areas of the collection that will be utilized in this unit include 530's, 550's, 620's, 360s, 919's. Of these 108 resources, fourteen need to be weeded based on age according to IMPACT guidelines. Most of the older resources are videocassettes. The majority of the resources are current. There are 163 websites that are cataloged by NCWiseOwl that can be used for this unit. There are very few of the top resources that are recommended by the Wilson Core Collection, so these resources can be considered. The eighth grade social studies curriculum includes South America (LearnNC 2010). The primary focus is geography, but students will also use history and social sciences as they study these areas. Students will primarily use the 980's, but will also use resources found in the 900's, 910's, 930's and 750's and reference as they study. The South America collection is small. A subject search of the catalog reveals 43 resources to students. This is a small number given the number of sixth graders in the school. More resources should be sought out using the Wilson Core Collection and Follett recommendations. Though the existing collection of South America materials is small, it is current and up-to-date.

Overall Overall, the age of the collection is an issue. The following two charts show this vividly. The first shows the average age of the collection by 100's. The second shows the percent of the collection that is outside the recommended ages.

The first priority for this collection will be the weeding of out of date resources. This will bring up the average age of collection, especially in the oldest Dewey areas. This will have an impact on the Wilson Core Collection comparisons, the percentages, and the average ages. Once a significant weeding has taken place, a new analysis should be run to determine the new areas of strengths and weakness. Among the current strengths of the collection are its large fiction section and professional collection. The 500's have been a recent focus and the average age of this area is good. There is also a large technology section. The 500 and 600 areas are especially important in this magnet school. The weaknesses of the collection include the 900's. The biographies are out of date and filled with books that do not interest current middle-schoolers. The geography collection is the most out of date of the collection. The Titlewave analysis finds over 92% of this area to be out of date. The history collection also needs weeding to bring up the average age, and then newer resources need to be purchased. The video collection also needs weeding. Most of the videocassettes are old and unused. A large part of the collection consists of cartoon videos geared toward entertaining small children. These were used in the 1980's with the special needs school, and changes in educational philosophy have rendered them obsolete. The electronic resources are another area to consider developing. No electronic resources are currently being purchased. Students use the resources included in NC WiseOwl frequently, and the aging reference section is underutilized. Consideration may be given to adding more electronic resources as the reference collection is weeded.

Part 3: Collection Development Plan The collection goals of the Hanes-Lowrance library are to support the curriculum, support the teachers, and to provide materials to encourage student reading. After a thorough analysis of the collection, areas in the collection have been identified that need improvement in regards to the age and size of the collection in order to bring the collection into alignment with North Carolina guidelines and to enable the media center to meet its goals in serving the school community. As a result of the collection analysis project, a five-year-plan has been developed. Weeding the collection plays a large role in the collection development plan. The media center will employ IMPACT's recommendations for weeding the collection (North Carolina Department of Instruction 140). In the first year, books will be weeded up to the 1969. In the following year, books from the 1970's will be weeded. The focus of the third year will be on weeding the 80's, and the fourth year will focus on the 90's. The last year will be for weeding the books from the 2000's, especially in the most time-sensitive areas of the collection. The weeding will be significant. In some areas of the collection, the Titlewise analysis shows that over eighty percent of the materials need to be weeded. New resources will need to be purchased to fill these gaps. The goal will be to replace the number of books weeded each year with new books. Research shows that reading scores increase when students are given access to reading materials that interest them. Because pleasure reading is shown to increase student reading levels and test scores, budgeting for this area is a priority. This is also the area of the collection with the highest circulation, and constant updating is necessary to remain current with student interests. The paperback collection, which is fiction, is not being replaced because the books are not holding up to use by middle school students. As these books wear out over the next few years, more durable titles will need to be added to the fiction collection to replace them. For these reasons, the fiction collection will be a focus each year. In the first year, the new purchases will be focused on the areas of the collection that need the most work: biography, geography, history and reference. Costs for collection development in areas that need a great deal of attention will be spread over a few years. Each year after will focus on different sections of the collection, so that at the end of the five year plan, all areas of the collection will be enhanced. The selection process for new materials will involve reading multiple reviews for each purchased item. These will include School Library Journal and Book List. The Wilson Core Collection and Follett resources will both be utilized. In addition, teacher input will be invited as part of the selection process. In addition to replacing materials as older books are weeded, the media center hopes to take it's collection from meeting minimum standards toward meeting the guidelines for an outstanding collection. Outstanding status is twenty books per student with an average age of ten years old (North Carolina Department of Instruction 111). Currently the library collection has 14,866 holdings, and an outstanding collection would have 22,000 holdings. The current age of the collection in 1994, and we want to bring the average age to ten years from our current year (North Carolina Department of Instruction 111). Because of the amount of weeding necessary, it will take more than five years to meet this goal, but each year will add one book per student to the collection.

Budget The cost of one book per student per year is $24,706. This is budgeted each year as the collection in increased toward outstanding status. I've estimated that one fourth of the collection needs to be weeded and replaced. This estimate is based on the random sampling. One fourth of the sampled books needed to be weeded based on age. In reality, the number may turn out to be higher once the fiction section is also weeded based on other criteria. One fourth of the collection is 3716 books. The cost of replacing these volumes is $83,461.36. This cost will be split over the five year plan. This budget is for books only. Additional funds will be required for the maintenance of the library (magazine subscriptions, supplies, etc.). The state recommends that the media center receive 60% of the instructional budget based on the school's average daily membership, which is $39,481.20. The cost of replacing the weeded books and increasing the collection will be slightly higher than that amount, however, at the end of the five years, the collection will be up to date, and costs will decrease. The following tables show the five year collection plan and budget for the Hanes-Lowrance collection.
