The Heathman Lodge creates the perfect tranquil Northwest setting for your dream wedding. A classic in the Vancouver community The Heathman Lodge stands as a pillar of excellence and rustic ambiance. Known for it’s unique Alpine style lodge and award winning, local sustainable catering, The Heathman Lodge is the ideal location for your Wedding.
EVENT TIMING Afternoon Reception: 11:00 am to 4:00 pm Evening Reception: 6:00 pm to 11:00 pm
Setup 8:00 am to 11:00 am Setup 3:00 pm - 6:00 pm If additional time is requested for setup or décor, please inquire about pricing.
APPOINTMENTS: Our catering staff is available for planning, by appointment, Monday through Friday 9:00 am to 5:00 pm, and on Saturday by appointment only. Please call 360-816-0505 to schedule an appointment. After hours, when the catering office is closed, it is still possible to view our ballrooms. Simply call ahead to make sure the room is not in use and when you arrive the Concierge will be happy to give you a tour.
TENTATIVE DATE HOLD: The catering department will hold banquet space on a tentative basis for up to 30 days while your plans are being finalized. Should another group inquire about your dates you will have 48 hours to confirm or the space will be released to the other party. After 30 days, if no decision has been made, the space may need to be released. Our catering department will contact you at that time. We are able to hold and guarantee your space a maximum of one year prior to your wedding date.
PAYMENT: A non-refundable deposit is due when your date is entered as a definite booking. This deposit is based on wedding package chosen. A deposit schedule will be setup prior to your Wedding and final payment is due one week prior to the event. Payment may be made by check or credit card. Should you wish to provide a hosted bar, a credit card number will be kept on file for the remaining charges.
CATERING/MENUS: Please note that all food & beverage prices do not include the 20% service charge or the current 8.4% WA State sales tax. Prices are subject to change & will be confirmed 3 months prior to your wedding date. Menus & all other details are finalized a minimum of two weeks prior to the date of your wedding. Catering is provided by Hudson’s Bar & Grill at The Heathman Lodge. Hudson’s prides itself on serving only the freshest seasonal items. Menu items are subject to change based on the quality & seasonality of products from our local vendors.
ENTRÉE OPTIONS: You may request up to two (2) entrée options for your guests. When selecting the entrées, the higher priced entrée will be charged for all guests.
CAKE: You are welcome to provide your own cake. The Heathman Lodge will cut & serve your cake at no cost.
GUARANTEES: A final attendance number for all functions, not to fall below the contracted minimum, is required by 10:00 am five (5) business days prior to your event. This number will be considered your final guarantee and you will be charged for this number even if less should attend. Should your guarantee increase by 5% within 24 hours of your function, the hotel will do its best to accommodate your group , however, the same menu cannot be guaranteed.
MUSIC REGULATIONS: Due to the proximity of guestrooms to our banquet facilities, the following sound regulations will be in effect for your event: DJs are allowed in all banquet rooms and all music must be turned down at 10:30 pm and off no later than 11:00 pm. Music must be kept to an acceptable level as determined by the manager on duty.
EQUIPMENT: The Heathman Lodge will provide, at no additional cost the following items from our in-house inventory: tables, chairs, riser/staging, linens, mirror tiles and votive candles. The hotel will setup and teardown all equipment listed above. If additional décor or equipment is brought in, the hotel reserves the right to charge an additional labor of fee of a minimum of $50.00 per hour.
DANCE FLOOR: The Heathman Lodge will provide, setup, and maintain a dance floor for your wedding.
SECURITY: The Heathman Lodge does not assume responsibility for any damage, loss of merchandise or articles left in the Hotel (prior to, during, or following an event).
GUEST ROOMS: One complimentary guest room is provided for the bride and groom on the night of the reception. Additional guest rooms may be arranged for your guests at special rates.
PARKING: The Heathman Lodge provides over 300 self-parking spaces. Complimentary street parking is also available. Please inquire if you request Valet parking (additional rates will apply and will be added to your final bill).
