Terms and Conditions

Tentative Bookings

All tentative bookings will be held for a period of 1 month. Arrangements can be

made to extend this period: otherwise the booking will be automatically cancelled.

We will call you to confirm you’re booking if another inquiry is received for the

same date: in such circumstances, we would require your immediate deposit within

48 hours

Confirmation of Booking

A deposit is required within the above mentioned 2-weeks of confirmation to secure

the booking. Confirmation cannot be assumed until deposit is received. A signed

“Confirmation of Booking” form must accompany the deposit

Final Numbers

Numbers must be confirmed 14 days prior to the actual function

Final increased numbers will be charged accordingly

Full payment required 14 days prior to function

Cancellation We would share your disappointment if your function were to be cancelled. In the

case of cancellations the deposit will not be refunded. Any functions cancelled:

2 weeks prior; total amount that is paid in full (14 days prior to function) is

non refundable

Price Variance All prices are inclusive of VAT

Menu & Details All final details, beverage arrangements, entertainment, room set up, starting and

finishing times to be confirmed 7 days prior to the function date

Alcohol Licence

Beiderbeckes Hotel is a Fully Licensed Venue. Therefore NO ALCOHOL is allowed

to be brought onto the premises

Our Liquor Licence is until the time of 12.30am

Displays & Signage

We request your cooperation and ask that nothing is nailed, screwed, stapled or

adhered to any wall, door or other surface of the building without prior consent

from management

Cakes Provided by the Client

We are able to cut your cake and display or package it at no extra cost; please

provide the packaging prior to the day

Public Holidays

Please note that a surcharge of £1 per person will be applicable for all functions held

on Bank Holidays

Responsibility and Damage

Whilst we take all care, management cannot take responsibility for damage to or loss

of any client’s property left on the premises prior to, during or after a function. We

recommend that organisers arrange their own insurance if necessary

Unfortunately accidents do happen and we must specify that any unnecessary

damage to Beiderbeckes Hotel or its property during an event becomes the

financial responsibility of the organiser. Costs associated with abnormal cleaning

will be charged at the rate of £10/hour per staff member
