Welcome Letter

Welcome to Greenway-Chaplin’s Volunteer Program!

Your presence here inspires and motivates all of us to be the best we can be. It is your cooperation and enthusiasm that helps fuel the programs, services, staff and participants of Greenway-Chaplin Community Centre.

This handbook has been developed so you may be better acquainted with Greenway and to help you find your place in the organization.

As a valued member of our team we, the staff, will do our part to support, recognize and train you as best as possible.

So, this handbook was written to help you as a new volunteer. The most important thing to remember is that everyone works together to make things happen and what happens is what makes it wonderful to live in our neighbourhood.

Do take a look through the Volunteer Handbook and do not hesitate to ask questions.

Our Purpose

Brief HistoryThe Greenway-Chaplin Community Centre was established in 1985.

It serves the neighbourhood between Samuelson/Dundas to Hespeler Rd., Bishop to Franklin Blvd. However, anyone can access a program if space is available. We offer programs and services for every type of family or individual.

It is one of the eight neighbourhood associations that has paid staff in the City of Cambridge.

Volunteer Rights and Responsibilities

Volunteer Responsibilities:

Show enthusiasm, loyalty and belief of Greenway and its many programs. Be reliable. Be on time. Be responsible while volunteering and ask for support from your supervisors. Respect the confidentiality of the information you hear or read at Greenway. Help keep Greenway a safe and clean place. Report any concerns or injuries to your supervisor. Do not use your cell phone while volunteering. Do not spend money without prior consent. Update Greenway if your contact information changes (address, phone or cell number

or email).

Volunteers have the right to: Work that is meaningful and satisfying to them. Proper orientation and training to enable them to complete their tasks. The opportunity to be heard, to make suggestions and to be respected. The opportunity to decline a suggested placement. Recognition for tasks completed.

Steps to Becoming a Volunteer

Step 1 - RecruitingAfter gathering staff requests for volunteers, the Volunteer Coordinator posts volunteer opportunities on the Greenway-Chaplin website and on the United Way Volunteer Centre.

Step 2 – Screening (Interview and Reference Checks)The Volunteer Coordinator interviews and completes reference checks for interested individuals who complete an application form.

Step 3 – Placement and Orientation DateOnce the reference have been completed, the Volunteer Coordinator connects with Greenway Staff to book an orientation and training session date. Next the Volunteer Coordinator confirms with the volunteer that they will accept the opportunity and that they are able to begin on the date given.

Step 4 – Supervision and EvaluationGreenway staff will provide on-going supervision for the volunteer in their role. An evaluation is completed at the end of a program session (example, after 8-week of Curious Kids) or at the request of the volunteer if they are not continuing in their volunteer role.

Step 5 – Recognition and AppreciationGreenway provides recognition and appreciation for our volunteers in a number of ways. Birthday e-mail wishes or pizza at a special event or lunch for a Leader-In-Training at summer camp or invitation to a community supper event or a simple verbal Thank You!

Step 6 – Exit InterviewThe exit interview completed by volunteers who are leaving for employment or school or other adventures is key to providing feedback on how to improve our volunteer program and volunteer experience here at Greenway-Chaplin Community Centre.

1. Speak to people – there is nothing as nice as a cheerful word of greeting.

2. Smile at people – it takes 72 muscles to frown, only 14 to smile.

3. Call people by name – the sweetest music to anyone’s ears is the sound of their own name.

4. Be friendly and helpful – if you would have friends, be a friend.

5. Be cordial – speak and act as if everything you do is genuine pleasure.

6. Be genuinely interested in people – you can like almost anyone if you try.

7. Be generous with praise – be cautious with criticism.

8. Be considerate with the feelings of others – there are usually three sides to a controversy:

yours, the other person’s and the right side.

9. Be alert to give service – what counts most in life is what we do for others.

10. Add a good sense of humor, a big dose of patience and a dash of humility. This

combination will open many doors and the rewards will be enormous.
