Every so often we have the opportunity at Sherpa to ease back, put our feet up, dream of sitting on a beach with our toes in the sand, sipping a nice drink of our choice and watching the world go by. Oh my, how relaxing and restorative that 60 seconds can be. OK, so now that the time of idleness has passed, we had to decide what product changes we could make. So there we are, sitting in a meeting when someone said, "Hey! It's been a whole week since we've added any functionality to Discovery Attender." Once we all realized that we truly have not added any new features in 168 hours (yes, I did do the math in my head), we decided it was time to get back to work! So what can we add to Discovery Attender? Well, to be honest, that's not a hard question because we get a lot of feature requests from our customers (thank you!) to help improve our product. What’s New with Discovery Attender
O V E R V I E W
Sherpa Software has added many new features to Discovery Attender for Lotus Notes. These will not only make the product more powerful, but more versatile as well. The features below represent the major changes that have been added to versions 8.1.29 – 8.1.37 inclusive.

Synchronization The synchronization process finds, types and stores information about every database that contains at least one document, for every server where Discovery Attender is installed. The purpose of this process is two-fold:
• It allows the Search creator to select databases from a drop-down list instead of having to specify (and sometimes incorrectly) the file path(s) of the databases that should be searched. Since the synchronization process determines the type of database, this makes it easy for the Search creator to segregate what data needs searched. There are several different types of databases. One type of database is 'Active custodian', meaning that there is a Domino Directory document (Person. Mail-in, etc.) that is associated with that database. Another type is 'Journal', which means that the database is an inherent Domino journal database.
• The Data Decryption service that we offer can easily identify the inherent Domino journals that have
encrypted documents, so that we can help decrypt them. This is necessary if you want to search the encrypted messages within the journals.
Search Many new powerful features have been added to the Search form. In addition to the database types that are provided in a drop-down list (see Synchronization above), the following has also been added: 1. Search methods We now have four different methods to search. In addition to the original two of 'Content' and 'Pattern', 'Address' and 'All' has been added.
a. Address allows the Search creator to locate messages by email addresses. All you need to do is provide the list of email addresses, identify the address fields (From, SendTo, etc.) that should be checked and tell us if the messages that contain all or any of the addresses should be added to the Results. In addition, you have the option of using all email address permutations for a user as stored within the Domino Directory. For instance, if the current primary email address for Jane Brown is [email protected], but before she was married (with a maiden name of Smith), her email address was [email protected], the Search can be configured to find the messages with her previous email address as well. b. All allows the Search creator to copy all messages from a source database to the Results. This is useful if the searcher isn't quite sure what they are looking for, but have a date range when it occurred. For instance, if you want all of the messages from the mail file for Bob Williams, Tom White and Paula Norman that have a date between June 12, 2007 and April 11, 2008, you could configure the Search to create superset of messages for these three users, for messages between those dates.
2. Archived attachments Discovery Attender can now not only search the attachments that have been archived by Mail Attender, but also attaches the attachments back into the original message when it is copied into the Results. This will make sure that the message is fully re-constituted when viewed in the Results. 3. Automatically search associated archives When a Search is created, the typical configuration is that active mail files are searched. However, if the custodian (user) has had messages archived, either with the inherent archiving or via Mail Attender, Discovery Attender will automatically locate and search those archives and the Search creator doesn't have to know where they exist. 4. Automatically create new searches for additional custodians Suppose a Search is created to find all messages that contain the words 'ACME' and 'Merger" for the mail files for Bob Williams and Tom White. However, when the messages are examined by Discovery Attender, it is found that the messages include Paula Norman and Mark Hudson within the address fields. If configured to do so, Discovery Attender would create a new Search automatically to search the mail files for Paula and Mark. 5. Mitigate the server notes.ini settings There are server notes.ini settings that can prevent Discovery Attender from performing a successful search. Here are the two notes.ini variables that are being checked by Discovery Attender and the impact they have:
• FT_FLY_INDEX_OFF controls the ability for any full-text index to be created on the fly. What this means is that if a database is not full-text indexed and a method is used to perform a full-text search, the method will not be allowed and the search will not find any documents within that database.
• UPDATE_NO_FULLTEXT controls the ability for full-text indices to be created on the server, either
manually (using Database Properties or the Administration client) or programmatically. If both of these variables are set to '1', all full-text indexing is disabled for the server and Discovery Attender will not process the Search (if using methods 'Content' and 'Address'). Discovery Attender will provide trouble-shooting information within the Discovery Attender Log should these variables be set to '1'.
Results 1. Redact using a pattern The redaction process can now be performed for pattern based values. For example, you could redact all text that has the xxx-xx-xxxx pattern, if you want to ensure that all social security numbers are obscured. The same could be done for credit card numbers, etc. 2. Automatically mark as reviewed As each result is opened in the Discovery Attender Result Information database, the result will be tagged as reviewed and an eyeglasses icon will display next to the result. This will make it easy to know what results have already been reviewed (opened). A list of reviewers will be created for each result document, as well as the last date/time each reviewer opened the result. New views have been added to the Results Information to categorize the reviewed/non-reviewed documents. 3. Automatically redact The administrator can specify values that should always be redacted within every Results database. This removes the need for the reviewer to redact the data manually and also mitigates the possibility of the reviewer forgetting to do the redaction.
