eSignature reliability is something you never want to have to think about. Since we switched to DocuSign, we don’t have to. DocuSign just works.”

Jake Hofwegen,VP of Sales Operations

It did not take long for Hofwegen and his team to identify the right solution – DocuSign DTM.

The sales operations group at NetSuite provides and obtains signatures on quotes, statements of work, estimates, purchase orders, acknowledgements, sales orders, and more – some of the most important documents in the business. Several years ago the company replaced its manual, paper-based processes for transmitting and signing off on these documents with eSignature. This move shortened processing time substantially and saved on printing-related costs, but NetSuite found it needed better reliability. “Processing our sales documents on time is absolutely critical to the business,” said Jake Hofwegen, VP of Sales Operations for NetSuite. “We simply had to make eSigning highly reliable so it would be there to close business when we needed it.”

The ResolutionIt did not take long for Hofwegen and his team to identify the right solution – DocuSign DTM. “DocuSign is the market leader and The Global Standard for Digital Transaction Management,” he explained. “Everybody knows and trusts DocuSign. It’s renowned for its ease of use and has all the functionality that’s important to us, like support for mobile devices, document templates, advanced workflows, bulk send, tracking, reporting, and audit trails. In addition the service comes from the cloud, which is what customers expect these days.”

Even though the choice was clear, the team proceeded with caution. They downloaded the free version of DocuSign and used it alongside their existing product for a while. Soon it became apparent that all of NetSuite’s high expectations for DocuSign were warranted, including letter-perfect, enterprise-grade reliability, and so they purchased DocuSign’s DTM platform to digitally transform how business gets done and have used it as their eSignature solution ever since.

The Key BenefitsDocuSign has proven particularly valuable during the month-end and quarter-end close processes, when delays caused by reliability problems simply cannot be tolerated. “Being able to send out documents for signature quickly and having reliable uptime and delivery of documents is critical, especially when it happens over mobile devices after hours,” said Hofwegen. In fact, NetSuite’s CEO has noted that the company, on multiple occasions, could not have made its quarter without DocuSign.

DocuSign has proven valuable during the month-end and quarter-end close process

NetSuite’s experiences with DocuSign were so favorable that the two companies took the next step by partnering to develop DocuSign for NetSuite, which enables users to send contracts and documents for signature directly from within NetSuite. Customers receive a link via email to sign their agreements, and can securely complete them via DocuSign in seconds—anytime, anywhere, on any device. Senders can track envelope status from the DocuSign window within NetSuite for full visibility and control. Once completed, documents are automatically brought into NetSuite as

PDFs and attached to the relevant record.

Many customers are now using this integrated solution for their sales contracting. In fact, NetSuite itself uses it in its own sales processes. “Why wouldn’t we?” Hofwegen said in conclusion. “The user experience is as push-button easy as it gets.”
