WORLD DAIRY EXPO® Media Relations Policy and Procedures (2/2/2021)

The Importance of Media Relations World Dairy Expo has worked very hard to build and maintain a reputation as a highly respected organization. We strive to provide professional services to our stakeholders, including meeting the needs of the media, to assist in sharing our news and stories with the rest of the world. Purpose of this Policy This policy provides an efficient and effective framework to fulfill interview requests and facilitate timely information sharing of key messages. The policy also ensures information shared is accurate, comprehensive, authoritative and relevant to all aspects of World Dairy Expo. Interview Requests made to Expo stakeholders (Board of Directors, committee members and volunteers)

• Please be friendly, polite and respectful of our media partners. They are valuable partners in the continued promotion and reporting for World Dairy Expo.

• All media interview questions or requests should be directed to the Communications Manager at the WDE office.

o Tell the reporter: “It is World Dairy Expo’s policy to refer all media inquiries to our Communications Manager. You can reach her at 608-224-6455.”

o Please do not say that you are not allowed to talk or have to receive permission to do so. o Never say “No Comment” as it implies we have something to hide. o Remember that even if you say “Off the record…” the media can use any information that you

share with them…positive and negative. • Follow up by contacting the WDE Communications Manager letting her know which media partner

requested information or made the interview request so the Communications Manager can follow up. • If/when the interview is granted, meet with the Communications Manager prior to the interview to discuss

key messages that should be shared with the media. Interview Results World Dairy Expo tracks media mentions throughout the year, including interview requests received by Expo stakeholders. By tracking mentions, we can effectively monitor the way World Dairy Expo’s brand and our reputation are being portrayed and adjust key messaging about our entity as needed.

Media Relations Procedure Please refer to the WDE Media Relations Procedure Flow Chart for further instruction.
