How to use this workbook
This workbook will take you through the process of creating a Site Waste Management Plan using WRAP’s SWMP
Template. You will be taken through the process of downloading and navigating through the Template, and
adding data to the Template.
You can use your own project data and set up your own SWMP, or you can use the example data provided in
Appendix 1. Simply work through the instructions provided.

Information box: This provides information. See these boxers for a description of the tool screens and/or
background information relating to the tasks.
This workbook has been designed for use with an explanatory demonstration of the SWMP Template, either

Task 1.5 Read through the navigation information provided on the Help sheet.
Information The Template is in Excel format and contains several sheets. When the Template first opens, you will be in the
Help sheet. This sheet provides useful information on navigation and accessing help and guidance. You can
return to this sheet at any time using the tabs at the bottom of the screen
Task 1.4 Click on the Excel file ‘WRAP SWMP Template v2.2’ to download. Save the file, then open when the download is complete.

2.0 Project Homepage
Task 2.1 Click on the Project Homepage icon within the navigation bar at the top of left of the Template.
Information All Template functions are accessible via the Project Homepage. The Project Homepage provides the following
benefits:
aligns each task against project stages, so you know at what stage each task should be completed;
provides guidance for each task;
helps you review compliance against the SWMP regulations, so you don’t need a detailed understanding of the
regulations to create a SWMP; and
provides an overview of project performance against standard, good and best practice levels.
You can return to the Project Homepage at any time by clicking on the Project Homepage icon .
Alternatively, you can use the navigation bar to move through tasks without returning to the Project Homepage.
Task 2.2 Familiarise yourself with the Project Homepage.

3.0 Basic Details
Task 3.1 Begin populating your SWMP by clicking on Enter Basic Details.
Information The Basic Details sheet allows you to record simple information on your project and any targets relating to waste, and select metrics you can use to measure your project against. Including information at this stage will help the Template assess project performance.
Familiarise yourself with the Project Homepage. Task 2.2 Familiarise yourself with the Project Homepage.
Task 3.2 Fill in the following data fields under Basic Details using the drop-downs and free entry fields. You can use your own project data or example data from Appendix 1.
Basic Details (client name, project title, etc);
Metrics (as applicable e.g. waste per m2 or per bedspace)
Project Targets (as applicable e.g. minimum waste recovery)
Schedule (project start and end dates)
Persons legally required to be identified (client, contractor, etc)
Confirmation (complete this later - this must be signed to confirm the plan has been reviewed and updated)

4.0 Waste prevention actions
Task 4.1 Click on Actions in the navigation bar.
Information This section of the workbook (Section 4) takes you through adding waste prevention actions (actions taken before the SWMP was drafted to prevent wastage e.g. relating to the construction method or materials chosen).
Task 4.2 Hover over ‘Tell me about’ in the navigation bar to learn about the purpose of this sheet and the three types of actions.
Task 4.3 Enter one or two waste prevention actions (from your own project or take the actions from Appendix 1) using the drop down menus and free text.

5.0 Waste forecast
Task 5.1 Click on Forecast Waste in the navigation bar.
Task 5.2 Enter waste forecast details using your own project data or example data from Appendix 1.
Information You can generate an indicative waste forecast at an early design stage using WRAP’s Designing out Waste Tools for Buildings or Civil Engineering projects. At the detailed design stage (when quantities data is available) a more detailed waste forecast can be generated using WRAP’s Net Waste Tool. These tools are all available at www.wrap.org.uk/construction. The outputs from these tools can be added manually to the SWMP Template (results do not automatically transfer between tools).

6.0 Waste reduction actions
Task 6.1 Click on the second Actions box in the navigation bar.
Information This section of the workbook (Section 6) takes you through adding actions that helped reduced your waste forecast. Waste reduction actions are typically those that do not affect the design or specification, but reduce waste arisings on site e.g. site training or protecting materials from damage.
Task 6.2 Enter one or two waste reduction actions (from your own project or take the actions from Appendix 1).

7.0 Specify waste carriers
Task 7.1 Click on Specify Waste Carriers in the navigation bar.
Task 7.2 Enter waste carrier and waste management facility information using your own project data or example data from Appendix 1.
Task 7.3 Read the compliance questions and select ‘Yes’ as appropriate.
Information Completing the compliance questions verifies your compliance with the SWMP regulations.

8.0 Plan waste destinations
Task 8.1 Click on Plan Waste Destinations in the navigation bar.
Information The SWMP legislation requires that details of waste destinations are recorded.
Task 8.2 Enter waste destination information using your own project data or data from Appendix 1.
Task 8.3 Read the compliance questions and select ‘Yes’ as appropriate.

9.0 Waste management and recovery actions
Task 9.1 Click on the third Actions box in the navigation bar.
Information This section of the workbook (Section 9) takes you through adding waste management and recovery actions (actions relating to on-site waste management, segregation and recycling e.g. clear labelling of skips, or establishing a plasterboard take back scheme).
Task 9.2 Enter two waste management and recovery actions (from your own project or take example actions from Appendix 1).
Task 9.3 Now that you have entered all three types of action, read the compliance question and select ‘Yes’.

10.0 Enter actual waste movements
Task 10.1 Click on Enter Actual Waste Movements in the navigation bar.
Information This sheet allows you to record actual waste movements (during-construction) and generate a summary of total waste arisings. The Waste Totals table will automatically populate to provide a summary, which can be displayed by mass or volume.
Task 10.2 If you are using Appendix 1, enter actual waste movements. If you are using your own project data, enter actual waste information if available (if not, take a few moments to familiarise yourself with the data entry requirements).

11.0 Sign declaration
Task 11.1 Click on Sign Declaration in the navigation bar.
Information A declaration must be made at the end of the construction project. Clicking on ‘Sign Declaration’ in the navigation bar will take you back to the Enter Basic Details page and allow you to complete the declaration.
Task 11.2 Only sign the declaration if you have entered actual waste information. Before you sign, you may find it helpful to review your SWMP’s compliance against the regulations. Click on the Regulatory Compliance icon in the navigation bar.
Task 11.3 Review your compliances against the pre-construction, construction and post-construction categories, as appropriate to your project. If there are any non-compliances, rectify these before you sign the declaration.

12.0 Useful features

Stage 6 KPIs of the Template shows a simple screen graphing the results for your project. Use the drop down
menu next to the ‘select metric’ title to select the data you wish to display. The metrics available to choose from
depend on the metrics you select in Sheet 1 Basic Details. The graphs show total waste to landfill and total waste
arisings, against the metric you select.
Irrespective of metrics selected, the Template will always allow you to choose from the following two items:
Total waste – showing total waste arisings for your project
Per £100k of construction value – dividing waste totals by the construction value (entered in Sheet 1.0 Basic
Details). This gives you a relative value that can be compared across projects, irrespective of the size of the
project.
The sheet is printer-friendly so it can be easily printed out and circulated at team meetings or included in project
reports.
Reporting
Stage 6 Reporting of the Template is a reporting page showing four similar tables:
Totals for Construction, demolition and excavation (forecast versus actuals)
Construction related waste arisings (forecast versus actuals)
Demolition related waste arisings (forecast versus actuals)
Excavation related waste arisings (forecast versus actuals)
This sheet shows all data for your project and so is quite large. Cell C8 allows you to toggle the data shown
between volume (m3) and mass (tonnes). The page has been made printer-friendly, although you may wish to
print on A3 pages to view the data more easily.
Standard, good and best practice
The function of this sheet is to allow you to review opportunities to move towards Good and Best practice levels
of waste reduction and recovery. The SGBP levels are split into six sections:

The principal behind Standard, Good and Best Practice is to help you identify how to improve resource efficiency.
Project teams can review their level of practice by using the SGBP Sheet in the SWMP Template. Starting the
process of planning for waste early on in the project and involving key team members at the right stage will have
a greater impact on reducing waste and increasing recovery. At each project stage there are then actions taken
which represent different levels of Standard, Good and Best Practice.
Compliance
The compliance Sheet is linked from the SWMP Template Homepage, which shows SWMP Regulation compliance
based on your project stage. This Compliance Sheet, based on the information entered, shows your performance
against SWMP Regulations.
Rows 12 to 36 of the Compliance Sheet provide ‘review’ links to the relevant part of the SWMP Template where
you can select your whether you are in compliance with the Regulations.
Rows 39 to 119 feature simple drop down menus where you can click on ‘yes’ or ‘no’ to select your whether you
are in compliance with the Regulations.
This section may be used by an SWMP Regulation enforcement officer (likely to be Environment Agency or Local
Authority staff) should your SWMP be reviewed or audited.
The Compliance Sheet also shows in Column I which areas of the Regulations relate to which project stage (i.e.
pre-construction, construction and post-completion).
