1) Handheld Device Differences

Differences Between Windows Mobile and Motorola Device

This section will explain some of the basic differences of using the X Mobile application on the

Motorola handheld device versus a device using Windows Mobile.

One of the first basic dif-

ferences is the use of the

menu button. For example,

going to “Route Manifest”

on the Motorola device

will bring you to a screen

showing the route stops.

However, on the Windows Mobile

device there is no need to push any

menu button. All of the menu options

are shown at the bottom of the screen.

To see the options available

under Route Stops you need to

press the menu button.

Once pressed, you will

be able to scroll through

the available options.

Some options may also be found under

the “Actions” menu in certain situations.

2) Setup

- The setup screen will only be seen the first time the application is run. It will ask you to complete the

setup. Click “YES” on the screen.

- Please input the 10 digit phone number of the phone. This should be the same phone number that the

driver is assigned inside of X Dispatch.

3) Menu

- Clicking on the “HOME” button on the screen will bring the user to a

menu with many options.

- Orders & Msgs – Brings the user back to the order and message screen

- Route Manifest – Brings the user to the screen that shows the list of stops for a route

- Check In – Checks driver into X-Mobile

- Check Out – Checks driver out of X-Mobile

- Settings – Brings up a menu of the settings

- Quit – Quits X-Mobile

a) Orders and Messages

The “Orders & Msgs” screen will list the orders or messages that have been sent to the driver.

i) Messages

This section will explain how to handle messages that a driver may receive.

When you receive a message, click on

the message itself to view it.

Once the message is displayed, click

“Next” to see options for the mes-

sage, or “Back” to go back to the

“Orders & Msgs” screen.

Clicking “Yes” or clicking “Next”

while “Yes” is highlighted will show

that you have read the message, and

take you back to the “Orders & Msgs”

screen.

Clicking “Reply” or clicking “Next”

while “Reply” is highlighted will

allow you to reply to the message.

From this screen, type your reply and

when you are finished, click “Next” to

send your reply.

Clicking “Delete” or clicking “Next”

while “Delete” is highlighted will delete

the message and take you back to the

“Orders & Msgs” screen. (Note: The

Message will no longer appear on the

“Orders & Msgs” screen)

ii) Completing an Order (On-Demand)

This section will explain how to complete an On-Demand order.

When an order is sent to a driver, it will appear on his/her “Orders & Msgs” screen with “NEW”

written in front of the description of the order (which is customizable), which in this case is the order

number. A driver will be required to confirm the new order, or the phone will remind him every few

minutes.

Clicking on an order will show the de-

tails of the order as seen above.

Then it will show you the possible

stages of the delivery and will be se-

lected on the next logical selection of

the order. (Note: The usable stages are

customizable by the user of X-Dispatch)

The Possible Stages are as Follows:

Confirm – the driver confirms that he has accepted the order

Next Pickup – mark the current order as the next pickup

At Pickup – driver is at the location of the pickup

Picked Up – driver has picked up the order

Next Destination – mark the current order as the next destination

At Destination – driver is at the drop off destination of the order

Delivered – driver has delivered the order

Reject – driver will reject the order sent (for contract drivers)

When an order is rejected, it will not appear on “Order & Msgs”

screen anymore.

When selecting any of the stages and clicking

“Next”, the program will prompt the user to confirm

the action. When “Delivered” is selected, and con-

firmed, the driver will be given more options.

The Driver will be shown this screen

which asks for POD (Proof Of Delivery)

and give a comment text bar where the

driver can enter any valid information.

Before clicking “Done”, you must add a

signature by clicking “Add Signature”.

Once a signature is given, click “Save”

which will take you back to the previous

screen but with a signature attached to it.

Clicking “Clear” will erase the signature.

Clicking “Cancel” will send you to the

previous screen without saving a signa-

ture.

To complete the order delivery, simply

click “Done”. This will take you back

to the “Orders & Msgs” screen with

the order you just completed no longer

listed.

Depending on what stage the order is in, the “Orders & Msgs” screen will display a few letters to

let you know its progress.

NEW – the order was recently sent to the driver and has not been confirmed

QY – the order has been confirmed

QNP – the order has been set as the next pickup

QAP – the driver is at the pick-up

QP – the order has been picked up

QND – the order has been set as the next delivery

QAD – the driver is at the destination

A red arrow to the left of an order indi-

cates that the order has been modified

by the dispatcher, such as an order

status change. The arrow will only ap-

pear if the order has already been con-

firmed by the driver before being modi-

fied.

The arrow will disappear after the order

is opened. Once you return to the

“Orders & Msgs” screen, the arrow will

no longer be visible.

When the status of the order has been changed from the X Mobile device,

the change can be seen inside of X Dispatch. Clicking on the “View Track-

ing Status” button will open the order status window. From this window

you may also view the signature that the device captured by clicking on the

hand button to the right of POD Comments.

This will open a new window where you can view

the POD and signature.

(a) Scanning Parcels to an Order

This section will discuss how to scan parcels to an On-Demand order.

You have a few options to scan a parcel.

You can click “Scan” which will allow

you to scan one item, and then bring you

back to the parcels list. Also you can

click “Fast Scans” which will allow you

to scan as many parcels as you want until

you click “Exit” to take you back to the

parcels list.

If an order has parcels attached to it,

when you are in the details of the or-

der, click “Parcels”.

From this screen, you can either scan

the bar code with the phone, or if the

bar code is not readable you can en-

ter in the number by yourself. When

you have entered a bar code, click

“DONE” to move to the list of par-

cels screen.

The “x” next to the number means

that the parcel number was not one

of the expected parcels. Otherwise,

the parcel will have a check in the

box to show that it has been picked

up.

Scan Screen:

If the number you entered doesn’t

match any of the Parcel numbers,

you will see the following screen:

You have more options with the

“Actions” button. Clicking “Toggle

Scan Status” will check or uncheck a

parcel, or if it was an unexpected par-

cel, it will remove it from the list. If a

parcel is checked, clicking “Mark Ex-

ception” will take you to a screen list-

ing exceptions (Note: In order to mark

an exception, the parcel must already

be checked.)

The list of exceptions is customizable

through X-Dispatch. Once you select

one of the listed exceptions, click

“Save Exception”.

Once an order has an exception, the

check box will be highlighted yellow.

Hint: To remove an exception, go to

the exceptions screen, then click

“Actions” and click “Clear Exception”.

You can also edit a parcel by clicking

“Edit”

This Brings up the edit screen:

From this screen, you can edit the

weight of the parcel, type any com-

ments about it, and select what type of

parcel it is.

Note: The type of parcel is customiza-

ble in X-Dispatch. Once you have

finished editing the parcel, click

“Save”.

When you are finished with the par-

cels, click “Done” Note: If there aren’t as many parcels as

expected (either too many or not

enough) and you click “DONE”, then

an error message will appear.

iii) Send a Message

This section will discuss how to send a message to the dispatcher from the “Orders & Msgs” screen.

iv) Scan

This section will discuss how to do a general scan.

The general scan is used for scanning things that might be required for a specific job. For example, if

you want your driver to scan a bar code on the side of a door when he reaches a specific job, this is

when you would use this scan.

Once the message screen appears, type

your message to the dispatcher and

then click “Next”.

For a driver to send a message to the

Dispatcher, click “Send Msg”.

To use this scan, simply click “Scan”

on the “Orders & Msgs” screen.

From this screen, you can either scan

the item from your phone, or if the bar

code is not readable, then you can enter

the number in by hand. When you are

done with the scan, click “Done”.

This will take you to the scan screen,

which looks like this:

Once you have Scanned a bar code,

the following screen will be shown:

From this point, you can either add

Parcels to the scan (for instructions,

refer to ii) of this section), add a sig-

nature, or continue. To add a signa-

ture, click “Add Signature”.

Clicking on “Add Signature” will take

you to this screen, which will allow you

to sign on the screen itself as seen

above. As before, clicking “Clear” will

remove the signature on the screen,

clicking “Cancel” will cancel the adding

the signature and take you to the previ-

ous screen, and clicking “Save” will save

the signature to the scan and take you to

the previous screen with a signature at-

tached to it.

Once the signature is saved, click

“NEXT” to continue. This will take you to this screen, which

allows you to enter the number of

pieces you picked up, and the weight.

When you have completed that infor-

mation, click “NEXT”.

You will be taken to this screen to add

a proof of delivery or any comments to

the scan. When you are finished, click

“NEXT”.

Scanning can also be done from the “Orders & Msgs”, “Route Manifest”, and the “Parcels” manifest screen

without having to go to the separate scan screen for each individual scan. The following shows an example

of scanning this way from the Route Manifest screen. The process is the same for the “Orders & Msgs” and

“Parcels” manifest screens.

From the parcel manifest screen you

can click “Scan”. Each time you scan an item, it will be

added to the list. Click “Done” when

you have scanned everything.

On the Motorola device you can

use the push-to-talk button on

the side to enable the scanner

and initiate a scan instead of

selecting “Scan”. The Windows

Mobile scanners have buttons to

the sides of the scanner that do

the same thing.

Click “Done” to continue”.

From the “Orders & Msgs” and “Route Manifest” screens you can scan an order and X Mobile will look up

the order and open it for editing, closing, etc. The following is an example of this in the “Orders & Msgs”

screen. However, the process is the same inside the “Route Manifest” screen, only a route stop will be

opened instead.

From the “Orders & Msgs” screen, scan

an existing order. That order will be opened automatically

for you.

b) Route Manifest

The Following will explain how to use the route manifest.

- The “Route Manifest” screen will show the list of stops for a route.

i) Assign Route

This section will explain how to assign a route to your phone.

The first step is to get a new route by

clicking “Get New Route”.

By default today’s date is selected.

If for some reason you would like to

download a route for a different day,

click the arrow on the right side of the

date. You can use the calendar to select

any day. Click on the day to select the

day then press “OK”.

To select the route, click “Done”.

- Two ways to select the date:

• If the driver has any routes assigned, a list of all

routes will be listed. A driver can only have one

active route manifest on the phone at any given

time.

You may also highlight the section of

the date that you would like to change,

then type in the number you would

like.

ii) Complete a Stop (Route)

This section will show you step-by-step how to complete a stop in Routes.

Once a route is selected, all the stops

will appear on the phone. Clicking on an order will show the

details of the order.

To continue, click “Next”. The next screen will allow you to en-

ter the number of pieces picked up,

and the weight of the items. When

that is done, click “Next”.

Then you will be able to enter a POD

or a comment. Now before you click

“Next” you need to add a signature by

clicking “Add Signature”.

Once a signature is given, click “Save”

which will take you back to the previ-

ous screen but with a signature at-

tached to it. Clicking “Clear” will erase

the signature. Clicking “Cancel” will

send you to the previous screen with-

out saving a signature.

When you are finished adding a sig-

nature, to complete the stop click

“NEXT”.

Once the stop is completed, it will be

removed from the list of stops. Once a route is completed, the follow-

ing screen with a reminder will be

iii) Add Unexpected Parcels

Because parcels are already attached with a stop on a route, the only parcels you will need to check

in will be any extra pieces that were unexpected. The following will explain how to do that.

To add a new parcel to a stop, click

on “Parcels”.

You have a few options to scan a par-

cel. You can click “Scan” which will

allow you to scan one item, and then

bring you back to the parcels list. Also

you can click “Fast Scans” which will

allow you to scan as many parcels as

you want until you click “Exit” to take

you back to the parcels list.

From this screen, you can either scan

the bar code with the phone, or if the

bar code is not readable you can enter

in the number by yourself. When you

have entered a bar code, click “DONE”

to move to the list of parcels screen.

The “x” next to the number means

that the parcel number was not one of

the expected parcels. Once you have

finished adding parcels, click “Done”.

Because there are extra parcels for

this stop, you will be shown this error,

click “OK” to continue.

This will complete adding the parcels

and take you back to the stops infor-

mation.

Once a route stop has been completed, you will be able to see the change inside of X Dispatch.

Inside of the route stop you can see the date and time the stop was completed, along with the POD

and signature.

The “View Scan History” button will open a report that shows everything that has been scanned for this route stop.

Clicking on the “Distribution Parcels” button in the lower left corner opens a window where you can see the parcels

that have been added to the route stop from the mobile device.

c) Check In

- This will check in the driver to show him as Active in X-Dispatch.

d) Check Out

- This will check out the driver.

To check in, click “Check In”. Then click “Yes”.

To check out, click “Check Out”. Then click “Yes”.

e) Settings

This section will discuss the different options that can be found under the settings.

There are many options from the setting menu:

i) Transmit

- This forces upload of data (should never need to use this).

ii) GPS Data

- This posts the number of Posts that have been made during this current session.

iii) Test Beep

- This causes the phone to make a test beep. Should be used to find out where the

sound is being generated (Speaker phone, Headset, or Ear plug in).

iv) Advanced

- This takes you to more advanced settings (we will discuss this later).

v) About

- This lists the information about the version of X-Mobile that is running on the phone.

4) Advanced Settings

The advanced menu has many options which will be covered in this section.

-Edit Profile – This edits the profile of the user of the phone (covered more in depth later).

-Purge GPS – This deletes all the GPS data on the phone.

-Purge All – This removes all current data for the program and closes the program.

(Will bring up a screen to be sure this is what you would like to do)

-Test Connection – This tests the connection of the phone. It tests both the device’s internet connection

and also its connection with the X Mobile server to help determine if there is a problem with the

device itself or if it is a setup issue with the server.

This tests the device’s connection to

the internet and to the server. If it is working properly this is what

you will see.

If there is a problem, you will see an

error message that indicates which

connection problem(s) you are hav-

ing.

-Force Fix – If you can’t get a true fix on the location of the phone, this will force the phone to send an

estimated location to the server.

-Reset Post Flag – This will cause the phone to repost any flags

-Refresh Orders – This will purge all order and messages off the phone and re-download them from the

sever.

-Stored Info – This displays the stored information on the phone regarding X-Mobile.

-Debug Info – This is used for CXT Trouble-shooting purposes only.

a) Edit Profile

This section will discuss the options that can be found in the Edit Profile section of the menu.

The “Edit Profile” section has many options. Here is what the screen should look like from this

menu:

-Phone Number – allows the user to edit the phone number used to identify the phone.

-Company ID – allows the user to select what their company’s Customer ID is so they can

be connected properly to the server.

-Company URL – allows the user to select what their company’s URL is for their website.

-Update Interval – allows the user to adjust the frequency of updates sent to the server.

-Delay Interval – allows the user to adjust how many seconds to wait between GPS

acquisitions.

-Allow Auto Resume – allows the user to decide if the phone will automatically resume after

data updates.

-Reminder Interval – allows the user to set the time span between reminders that an order has

not been confirmed.

-Outside Alert – allows the user to decide whether or not to alert the driver of unconfirmed

orders outside of the application.

-Alert Pitch – allows the user to adjust the pitch of the alert.

-Alert Volume – allows the user to adjust the volume level of the alert.

-GPS COM Port – allows the user to select the GPS COM port they would like to use.

-Max GPS Fixes – allows the user to choose the max of how many GPS fixes to store without

an update to the server.

-Max Route Stops – allows the user to choose the max number of routes stops to allow at once.

-Route Update Interval – allows the user to set the time to wait before checking for updates to

the current route.

i) Phone Number

This will cover how to change the phone number used to identify the device.

To edit the phone number used to iden-

tify the device, simply click on “Phone

Number”.

Then the following screen should show

up. From here, enter the phone number

that goes with the phone, and when you

are finished, click “FINISH”.

ii) Company ID

This will cover how to change the company ID used to associate with this device.

iii) Company URL

This will explain how to set your company’s URL for the phone to communicate with.

To edit the company ID used to associ-

ate with this device, click on

“CompanyID”.

The following screen should appear

From this point, you can enter your

company ID that was given to you

when you created your account, then

click “FINISH”.

To edit the company URL with which

the phone should communicate, click on

“Company URL”.

This should bring up the following

screen. Now you can enter the URL of

your company website, and when you

finish, click “FINISH”.

iv) Update Interval

This is how you adjust how often updates are sent to the server.

v) Delay Interval

This allows the user to adjust how many seconds to wait between GPS acquisitions.

To change how often updates are sent

to the server, click on “Update Inter-

val”.

That should bring up this next screen.

To change the interval, enter how often

in minutes you want to wait until up-

dates are sent to the server. Then click

“FINISH”.

To adjust how many seconds that you

wait between GPS acquisitions, click

on “Delay Interval”.

That should bring up the following

screen. Then you can enter the number

of seconds to wait between the GPS

acquisitions, and then click “FINISH”.

vi) Allow Auto Resume

This allows the user to toggle whether or not they want the device to automatically

resume after it updates.

vii) Reminder Interval

The reminder interval allows you to set the amount of time you want to wait before

reminding the user of unconfirmed orders.

To toggle whether or not you want the

phone to resume automatically after it

updates data, click on “Allow Auto

Resume”.

If you would like the phone to auto-

matically resume enter “1”, otherwise,

enter “0”. Then when you are done,

click “FINISH”.

To set the time interval between re-

minders of unconfirmed orders, click

Now, you enter the number of minutes

you want there to be between reminders,

and when you are done, click “FINISH”.

viii) Outside Alert

This allows the user to toggle whether or not they would like to be alerted of new orders

outside of the application.

ix) Alert Pitch

This option allows you to change the alert pitch when a new orders or messages appear.

To toggle the alert of new orders out-

side of the application, click “Outside

Alert”.

As seen on this screenshot, enter a “1”

to alert outside of the application, or

“0” to not alert outside the application.

Once that is entered, click “FINISH”.

This will adjust the pitch of the alert.

To Change the pitch, click on “Alert

Pitch”.

Low is a deep pitch.

Medium is a medium pitch (car horn).

High is a high pitch (Shriek).

Select one of them, and click “FINISH”.

x) Alert Volume

This allows you to adjust the alert volume when a new order or message appears.

xi) GPS COM Port

This allows the user to select which GPS COM Port to use.

This will adjust the volume of the alert.

To adjust the volume of the alerts,

click on “Alert Volume”.

From the following choices select one,

and click “FINISH”.

To change the GPS COM Port you are

currently using, click on “GPS COM

Port”.

Once you have entered the GPS COM

Port you would like to use, click

“FINISH”.

xii) Max GPS Fixes

This allows you to set the max number of GPS Fixes that are allowed to be stored on the

device.

xiii) Max Route Stops

This allows you to adjust what the max number of route stops that can be assigned at

any one time.

To change the max number of GPS

fixes on the phone, click on “Max GPS

Fixes”.

From here, you can enter the max num-

ber of GPS fixes. When you are done,

click “FINISH”.

To change the max number of stops

that can be assigned to the device at

once, click on “Max Route Stops”.

This will bring you to the next screen.

From here, you can set the max number

of route stops by entering a number.

Once you are done, click “FINISH”.

4) Trouble Shooting

This section will cover how to handle any possible issues that may come up while using X-Mobile on

your device.

a) Connection Status Button

The connection status button is a feature designed to help indicate problems that a de-

vice may be having in connecting to the server.

The status button will remain green if

there has been contact with the server

less than 5 minutes ago.

The status button becomes

red if there has no contact for

over 10 minutes. This indicates

that there is a definite connec-

tion issue.

The status button will become yellow

with an exclamation point if there has

been no contact for longer than 5 min-

utes. This indicates a possible connec-

tion issue.

b) Two X Mobiles Running
