Introduction

The goal of this document is to supply prospective clients with a high level information document which introduces Xn Hotel Systems Group (Xn) and its products and services. The document provides a company background and an overview of Xn’s cloud-hosted enterprise systems and services portfolio. Aimed at business owners, senior managers and general managers, the document is not intended to be technical. Xn provides cloud-hosted and on-premises business applications, including PMS, Central Reservations, Web-Booking, Distribution Management, Point-of-Sale (POS), Business Intelligence, Spa/Activity/Table Management and Digital Marketing solutions. The Xn software platform is completely modular and can be purchased either individually or as an integrated suite. Designed for local, regional and global operations, Xn’s systems can be accessed and used on-property, centrally, from the web and also on mobile internet devices.

Originally formed in the UK in 2001 as the hotel technology division of a UK-based group, Xn Hotel Systems Group Limited has grown to become a global application service provider, specialising in the supply and support of highly scalable business applications and electronic booking services to the lodging industry.

Delivering service through technology is our motto and strategic focus. Since business formation, our product portfolio and services have grown to provide 1000+ customer projects in 50 countries globally, market-proven software applications, at lower costs of ownership. The business has grown organically through progressive investments in products and people. Management and Staff

The senior management team of Xn Hotel Systems comprises Mark Pearman, President and CFO, (co-founder) Greg Spicer: Chief Executive (co-founder), Ken Fisher: Chief Technology Officer, Craig Chait: Senior Vice President Sales and Marketing Asia-Pacific and Alan O’Riordan: Managing Director UK and Europe. Supported by 80+ dedicated staff in 10 offices, the entire

company is focused in hotel systems and related applications technology.

A management buyout in 2006 saw Xn Hotel Systems formed as a private company with a mission to provide the hotel market an alternative to industry-dominating hotel technology companies. Collaborative relationships with industry partners and a merger with iHost Hospitality in 2013, have contributed to an expansion of presence, product-line, sales offices, team and client reach over the past decade.

Xn and its industry-leading partners, develop and provide a modularised, integrated, hotel applications suite, delivered either as an on-premises, regional, centrally-hosted or cloud-native, Software-as-a-Service (“SaaS”) platform. Designed for maximising operational efficiency, our enterprise applications provide hotels, serviced residences and spa operators with the foundations of a hotel business operating platform.

Xn Hotel Application Cloud

Xn and its partners are evolving applications into a powerful, new-generation Hotel Application Cloud, via a suite of mobile-internet cloud-ready, enterprise systems. Designed as cloud-based, or hosted application modules, modules are suited for Hotels, Hotel groups, Serviced apartments, Budget properties and On-line Travel Agents (OTA’s). Application software is continuously improved to drive integrated workflows from booking stage, to pre-arrival, property operations and after checkout to post departure communications. The Xn Hotel Application Cloud provides thin client, internet-based and mobile functionality. Architected around centralised databases with unified technical core components, day-to-day operations are supported by mobile-internet and iPad powered add-on modules. The above applications are commonly installed on local hotel IT equipment but can be purchased, and accessed via thin client or as native-cloud, browser-based services from centralized IT infrastructure. All hosted applications may be purchased as services, via a service level agreement (SLA). All on premises software modules can be purchased as one time software licenses.

Property Management System

Protel is the one of the world’s leading Property Management Systems, providing enterprise-wide PMS solutions. Since 1994, Germany-based protel hotelsoftware gmbH has been developing hotel PMS software solutions specifically and exclusively for the hotel industry and related lodging sectors. Their consistent focus on the functionality demands of a single industry has made protel one of the most experienced and successful providers of professional property management systems (PMS). Protel’s product portfolio caters to the needs of every market segment from small individual hotels to multinational hotel groups. Spa and Activity Management

Reservation Assistant is the world’s leading spa, activity and dining management solution providing a holistic and enterprise-wide solution with superior integration enabling your operation to excel in a competitive service industry. Reservation Assistant has become a trusted system across regions of Asia-Pacific, North America, Middle East and Europe and leads the way with unique features, ease of use, as well as 2-way real-time integration with property management systems, financial and inventory systems, and other systems such as access/gate control, digital signage displays, web booking and credit card gateways.

Reservation Assistant (“RA”) is PC-enabled, web-enabled, and hand-held device enabled (runs on iPad and Tablets). Hand held devices allow staff to roam free from desks and offices and be with the guest, wherever they may be. Being web-enabled allows guests and members to book online and buy retail and gift vouchers online. Additionally, Facebook booking capabilities and other mobile / phone device capabilities bring your guests closer to your business, booking any service or buying any retail that you allow from RA.

Xn Central Reservations

Xn Central Reservations (Xn CRS) is a browser-based enterprise reservations solution. Used for voice based reservations offices managing reservation activities and as a core module in hotel reservations operations, the Xn CRS is designed to receive, store, manage and distribute reservations as single image inventory. The application is native web based, delivered as a SaaS and can be configured for use by hotels, sales offices, travel agents and corporate bookers globally. Anyone responsible for making bookings, including managers and 3rd party bookers can make reservations using Xn CRS, with relevant access log-in permissions. All reservations, profiles, rates, property descriptive content, media, text, user information and related system data etc, are stored in and accessed from one globally centralized database and hence this data is shared by all modules and controlled centrally, as part of 1 globally unified application set. Xn CRS Operations consists of a series of process screens, hosting search filters and data entry fields, designed to identify and secure successful completion of the required data to complete a reservation and guest stay record. Guest, Booker, Company and Agent Profiles are stored in the Xn Central Profiles (Xn CPS) module. During a reservation process, existing profile details are retrieved from the xnCPS and updated if necessary on the fly. During the reservation process, inventory is held in suspense to avoid accidental overbooking. On completion of a successfully converted reservation search, a confirmation is emailed to the guest and/or booker via flexible HTML confirmation of reservation formats. The application maintains a large transactional database that can be used for reporting and data analysis and includes a growing number of standard reservation, stay and statistical reports.

Xn Web Booking

Xn Web Booking (Xn WBS) is comprehensive, hotel web booking engine, providing a direct-internet booking solution that can be seamlessly integrated with your main corporate website. The Xn WBS provides an on-line private-label reservations solution for fully independent travelers, corporate bookers, travel agents and other third party bookers and includes links to payment gateway for on line payment.

Xn Distribution Management

Xn Distribution Management (Xn DMS) is an e-reservations hub and ‘switch-board’ that links up OTA Channel Management providers, Global Distribution Systems, Xn CRS and PMS. Xn is adding both direct and indirect channel management and distribution partners on an on-going basis. Xn booking fees and 3rd party booking fees apply subject to channel of booking. Costs vary by booking channel and reservation type.

Xn Point-of-Sale

The Xn Point of Sale (Xn POS) system is a comprehensive mobile, touch-screen, F&B/Retail POS application that connects to optional PMS and materials control management systems. Installed on either fixed position, desk-based or fully mobile Windows-8.1 Touch Tablets and industry using standard printer peripherals, the Xn POS provides flexible, comprehensive functionality for Restaurant, Bar and Hotel-Retail POS operations to assist F&B staff and management via a location-independent, scalable, enterprise-wide, POS platform.

In a typical hotel environment, the Xn POS is used primarily for transaction cashiering, order-entry operations, remote kitchen/bar printing and in room dining operations. Viewing and retrieving guest and loyalty member inquiry data is made possible, both to Membership and PMS systems, via two-way interfaces. Integration to stock and material control systems are also supported, with features including stock transfers, recipe depletion and audit reports.

All Xn POS workstations connect to their Xn Enterprise POS Portal via a web-based application that readily supports centralized configuration, product and price management and also centralised sales, staff, product mix and audit reporting functions.

Xn Marketing Communications

Xn Marketing Communications (Xn MarCom), powered by @mail, is a leading guest-facing, digital marketing platform, designed to empower hotels, resorts and leisure businesses with exciting tools to communicate with guests, agents, bookers, wholesalers, MICE, passengers and members. The Xn MarCom suite incorporates three scalable modules which can be deployed in part, or in whole, depending on requirements. With its main module, @mail, used in more than 1,300 hotels and resorts worldwide, the system provides a proven, in-house, self-managed communications solution, designed to enhance sales & marketing activities, in a controlled environment. The Xn MarCom suite includes:

Xn Business Intelligence

The common challenge for so many hoteliers is how to make use of disparate data, maintaining numerous spreadsheets, data bottlenecks and no time for analysis. Xn Business Intelligence, powered by Qlikview is a flexible analytics platform and a solution to the above issues. A flexible business intelligence tool for hoteliers, the Xn BI can be deployed as an on premise or cloud- based management reporting solution. By connecting Xn BI to any PMS or POS system and by rolling up data into one executive dashboard, a powerful analysis platform is generated. Other hotel management modules can progressively be connected, leveraging the same application and permitting linkage, blending and formation of meaningful KPIs, derived from multiple data sources. Since the core system of all hotels is the Property Management System (PMS), Xn Hotel Systems identified the need to develop a BI solution that could leverage and integrate PMS data and other key hotel subsystems into one holistic, manageable, synthesized BI dashboard set that would allow a hotel to visualize their trading statistics more rapidly and steer their operation more effectively. The Xn BI assists Hotel Managers with an effective solution that works with several major PMS systems.

QlikView is used as the technical BI platform, delivering a low cost, agile, development structure that Xn uses to extend the boundaries of what would otherwise be a fixed BI solution. Using Qlikview, we are better able to turn around change requests quickly and at a relatively low cost.

Xn Enterprise Performance

Xn Enterprise Performance, powered by Synergi, is a cloud-based, multi-faceted, enterprise

level, performance management solution for the hotel industry. Synergi is a profit optimisation

tool, enabling management and supervisors to maximise profits and return on investment to

owners. Developed by hotel operators for hotel operators, Synergi provides a centralised

application that brings together all facets of business performance into one consolidated

business dashboard. Property-level and consolidated as well as group-wide business data is

collected, processed, graphed and analysed for more meaningful decisions.

Synergi is a unique product and a far more efficient way of looking at your entire business and

associated data. The system can be linked to multiple data sources including PMS, Accounting,

Payroll, POS and Energy systems to transform raw operations data into more meaningful

business insights. Graphical comparisons of revenues and other business critical KPIs

including costs, forecasts, web site rates, competitive set, roster analysis, sales team targets

and energy usage, are all available within a completely modular, scalable package.

Synergi is a modular product that whilst best utilized as a complete package, can be used on

smaller scale with just one or two modules.

Xn Materials Management System

Xn Materials Management (Xn MMS), powered by Procure.net, is a complete and adaptable procurement and inventory management solution designed specifically for the hospitality and leisure markets to manage and control and report on the entire spectrum of business. Xn MMS focuses on all processes to maintain stock par-levels, set pricing strategy, manage recipes and menus, maintain vendor contracts and quality, and reduce cost of goods.

Centralized or decentralized as needed (single site or multi-property enabled), the system is highly scalable, feature-rich, and user-friendly. It interfaces seamlessly with many leading Point of Sale systems (including Xn POS, Reservation Assistant and Micros 8700/9700) and several accounting packages. The technology is optionally B2B-enabled, allowing vendors to quote and compete in your ‘walled’ marketplace where you set the controls. Its familiar Microsoft Office look and feel ensures it is easy to follow and understand defined workflows and is also bar-code and handheld device supported.
