How to set up an email account

Most employers advertise their available job opportunities online, or request that applicants apply via email. It’s important to make sure you have a valid, working and professional-sounding email account that you can use to apply for work and accept notification from employers.

CoAct will also use email as our preferred notification method, to send you information and notifications about your appointments or activities. Its recommended that you check your email account at least once per day.

There are a number of free email providers that customers can use to set up an email address:

www.hotmail.com

www.gmail.com

www.mail.com

For the example, we will use gmail:

Navigate to www.gmail.com and select more options

Select Create account and then Next

Fill in your personal details

Choose a username that will look professional. Remember, this will become your visible email address. It’s best to use your name and potentially your year of birth if your name is already taken. For instance, Bob the builder 1984

Make sure your password is something you will remember, but not something that other people can easily guess.

Click Next. You will then need to read and accept the terms and conditions to proceed:

How to set up your email on your phoneTo help you get used to sending and receiving emails in real time, you can set your email account up on your phone.

Before you start, be sure you have these handy:

• Your domain name: example.com

• Your email address: [email protected]

• Your email password

Setting up your email on an android device

Let’s begin! On your android device:

1. Open your email client.

2. Enter your full email address and password.

3. For the Account type, we recommend IMAP.

4. Configure your Account options as desired on the subsequent screens and you’re done!

Setting up your email on an apple device

1. Go to Settings > Accounts & Passwords and tap Add Account. If you’re using iOS 10.3.3 or earlier, go to Settings > Mail > Accounts and tap Add Account.

2. Tap your email provider.

3. Enter your email address and password.

4. Tap Next and wait for Mail to verify your account.

5. Choose information from your email account, like Contacts or Calendars, that you want to see on your device.

6. Tap Save.

About myGovmyGov is a secure way to access government services online with one login and one password.

You can link these government services to your myGov account:

• Medicare

• Australian Taxation Office

• Centrelink

• Australian JobSearch

• My Health Record

• My Aged Care

• Child Support

• Department of Veterans’ Affairs

• National Disability Insurance Scheme

• Victorian Housing Register Application

One inbox for your important notices

myGov inbox will keep your letters, statements and messages safe and secure in the one place. You can get notices from:

• Medicare

• Australian Taxation Office

• Centrelink

• Child Support

• Department of Veterans’ Affairs

• National Disability Insurance Scheme

Update your details with government departments all in one place.

You can update your address and contact details in your myGov account, and your changes will also be made with your linked member services. Member services that participate in Update Your Details are:

• Medicare

• Australian Taxation Office

• Centrelink

• Australian JobSearch

ABN and myGov

If you have an ABN, you can connect it to your myGov account. You can then manage ABN connections.

Creating a myGov accountGo to my.gov.au and select Create an account on the homepage.

Read the terms of use. Select I agree to acknowledge and accept terms of use.

Enter your email address, then select Next.

Each myGov account must have a different email address. If you share an email address with someone, only one of you can use that email address.

Enter your mobile number, and then select Next.

If you don’t have access to a mobile phone or mobile phone coverage, select Skip this step.

myGov will send a code to your mobile phone if you provided your mobile number. Enter the code, then select Next.

myGov will email you a code. Enter the code, then select Next.

Create and re-enter your password, then select Next.

Your password must have at least 7 characters and include at least 1 number.

Secret questions and answers help keep your account secure. You will be asked to create 3 questions and answers that only you can answer.

Select your first question from the list or create your own. Make sure your answers are easy for you to remember.

Select Next after entering your answer, and repeat for questions 2 and 3.

Account created

Once you have created your myGov account, your username will appear on the screen. Your username details will also be emailed to you.

Select Continue to myGov to return to the homepage.

From here you can complete the simple registration form. Once this has been completed you will be sent an email to your nominated email address to complete the registration process. Once you have completed this you will be registered on JobSearch.

If you agree to the Conditions of Use, tick the checkbox and click Register to submit your completed form. An activation code will be sent to your nominated email address, which will enable you to activate your account. For more detailed information on the registration process and getting to know your Dashboard, go to the ‘How to Use this Site’ page within the jobactive website (http://jobsearch.gov.au/getassistance.aspx). This page provides you with videos, user guides and handouts to assist you through some of the important processes on the jobactive website.

This is your first sign in

You can now:

• Link government services

• Go to Account settings to set up your sign-in options and Inbox notifications

For your privacy and security, select Sign out when you have finished using your myGov account.

Head to jobactive.gov.au. Click the Sign In/Register button on the top right of the navigation menu then select Job seeker. If you are already registered with an employment services provider, you can contact them and they can set up an account for you with extra features that link to your employment services provider.

If you have a myGov account already set up, click Sign in to myGov to log in.

If you don’t yet have a myGov account, click Register with myGov to easily create one.

This will take you to the myGov website, which is a secure service that lets you link a range of Australian Government services with one username and password, all in one place. To find out more about creating a myGov account, check out the ‘Create a myGov account’ video on the myGov YouTube channel.

Once you have created and signed in to your myGov account, click on the Services icon where you can link Australian JobSearch to your member services. Once you have linked Australian JobSearch to your member services, click the Australian JobSearch link to be directed to the website. For assistance please look at ‘Linking your myGov Account to the jobactive website’ Guide (located on the jobactive website).

How to link your myGov record to your JobSearch accountYou may need to link your jobactive and myGov accounts:

1. Sign in to myGov

2. Select Services icon. Click the JobSearch link icon

3. Select one of the following options:

• Link to an Employment Services job seeker record

• Link to a JobSearch job seeker profile

• Create a new JobSearch job seeker profile.

4. Answer the questions and click Next

5. You may be asked further questions to prove your identity. For example ‘What is the name of your first pet?’ Answer the question and click Next.

6. Select your preferred method to receive your one time activation code and confirm.

7. Enter the activation code emailed or sent via SMS.

8. You will now see the services page showing a successful link for JobSearch.

Description

jobactive Job Seeker is Australia’s largest free mobile app for online jobs. It is funded and operated by the Australian Government as a free service to assist job seekers into employment.

Job seekers can find jobs near them with one tap or can search for jobs by using geo location, suburb name, postcode or a keyword. They can also find employment service providers around them with one tap or by using geo location or postcode. Occupations that suit their work interest can also be identified by directing them to the career quiz app where they can take the quiz.

Everyone is welcome to use the jobactive Job Seeker mobile app to search for recruitment opportunities.

Vacancies displayed in the app come from many different sources, including:

• Public employers

• jobactive providers

• Newspapers

• The Australian Public Service

• The Australian Defence Force

• The Harvest Trail

If you are a registered job seeker with jobactive (https://jobsearch.gov.au) or Services Australia (formerly known as Department of Human Services) then you can get more functionality in the App such as:

• Access to your personal dashboard

• Apply online for positions with your career profile, resume and cover letter

• Receive Job Alert, Employer, Internship, Work for the Dole and Documentary Evidence request notifications

• Job seekers can upload documentary evidence after selecting the received notification

• Self-book and reschedule provider contact appointments

• View and synchronise your appointments

• Search for Work for the Dole activities

• Accept and view your Job Plan

• View and accept Internship Agreements

• Record and track external jobs

• View your Job Search Effort

• Contact your provider

• Share your story to inspire others

How to approve your Job Plan onlineIf you have a Job Plan, you can access this via your dashboard. This makes it easy for you to review and agree to your plan online.

Sign in to your jobactive account via myGov.

You will receive a notification on your dashboard advising when your Job Plan is available for you to review. From your dashboard select your inbox from the Account dropdown menu.

Click the Job Plan link from the top navigation menu.

You can view your Pending Job Plan by clicking the View Pending Job Plan button.

After you have reviewed your Job Plan, click the Agree button to accept your new/updated Job Plan.

The Job Plan declaration will be displayed for you to confirm you accept the terms listed in your Job Plan.

The jobactive website will keep a record of your approved Job Plan for you to view.

Click the View Approved Job Plan button to view and print if required.

Contact your employment services provider if you have any questions about your Job Plan.

How to manage your appointments and activities using the jobactive Job Seeker appIf you are registered with an Employment Services provider, you can use your dashboard calendar to keep track of appointments with your provider. You can add your job interviews and personal events to the calendar.

Eligible job seekers can now book their appointments with their provider via the Job Seeker JobSearch app. It is recommended that job seekers contact their provider for more information in the first instance. Below is a quick guide on how you can book your own appointments with your provider via the app.

Sign in to the Job Seeker JobSearch mobile app.

From the dashboard, tap appointments.

To add an appointment, tap the ‘+’ icon, and tap Provider Appointment.

Tap on the Date/Time to select an available date and time to book your appointment.

Tap the Reason and enter a reason for the appointment. Note: This is a free text field and allows you to enter up to 150 characters.

Once you have entered all the relevant information, tap the submit button.

Confirm the appointment booking you have made, by agreeing to the confirmation notice and tap Done.

The appointments you have booked with your Provider are marked with the icon.

Your provider appointment has now been booked.

How to declare your income correctlyDepending on your circumstances you may need to report your income each fortnight.

This guide will assist you to report your income and Job Plan requirements using your online account. Some steps within this guide may not apply to you as you may have different requirements based on your personal circumstances.

You need to report on or after your reporting date, you cannot report early. To prevent any delays with your payment, you need to report by 5pm local time on your reporting date.

You are also required to advise of any income earned by your partner, even if they are not receiving an income support payment.

How to report

There are 4 ways you can report your income and changes to your circumstances:

• Use your Centrelink online account through myGov – it’s easy to set up an online account. The employment diary helps you record and report your income

• Use the Express Plus Centrelink app – it’s quick and simple to add the app to your mobile phone. The timesheet helps you record and report your income

• Call the report income line for phone self service – it’s easy to register for phone self service (13 EARN)

• If you still get report forms by post:

• Go to a service centre and use a self service computer or ask the staff to help you

• Call the job seeker hotline: 13 62 68

Correct a mistake

If you tell Services Australia (formerly known as Department of Human Services) the wrong amount, contact them as soon as possible to fix the mistake. Don’t wait till your next reporting day to tell them about it.

From your homepage, select the Report income task.

Or, select the menu icon then select Report Employment Income, then select Report.

Your reporting period and a list of your and your partner’s most recent employers will be displayed.

If you have income to report, go to step 4.

If you have no income to report, you can skip this process and go to Step 6.

There are options available to you throughout this process:

• Select the question mark icon to access the help menu

• Select the printer icon to print a copy of the page you are on, and

• Select the speech bubble icon to view ways to contact us.

If you or your partner earned income during the reporting period and the employer is listed, select the pencil icon next to their name and go to Step 4.

Enter your gross income amount from the employer for the reporting period. This is the amount you earned before tax.

Enter your worked hours, to the nearest hour for your reporting period.

If you and your partner earned income from multiple employers during your reporting period, ensure you report the income for each employer.

Go to Step 3 to learn how to select or add another employer.

Select Done once you have entered your and your partner’s income for each employer.

If your employer isn’t already listed, select Add new employer.

You can add an employer by using their 11 digit Australian Business Number (ABN) or their business name.

You can:

• Enter their ABN and select Find, or

• Enter your employer’s business name and select Add

You only need to tell Services Australia (formerly known as Department of Human Services) the employer’s details the first time you report that you earned income from them.

Your total income will be displayed in the My earned income section. If you have reported your partner’s income, their total will also be displayed in the Partner earned income section.

If you don’t have Mutual Obligation Requirements, receive Age Pension or are a student, go to Step 6.

To read information about Job Plans, select the question mark icon and enter Job Plan in the search field.

Select Yes if you have met your Mutual Obligation Requirements as outlined in your Job Plan.

Select No if you haven’t met your Mutual Obligation Requirements as outlined in your Job Plan.

A summary of you and your partner’s income will be displayed. Read this information carefully to ensure the details are correct.

If the summary is incorrect, go to Step 4 to learn how to update your and your partner’s income details for the reporting period.

Select Submit, if the summary is correct.

A final summary of you and your partner’s income and your Mutual Obligation Requirement declaration will display. Check these details and read the declaration.

Select Cancel if the details are incorrect.

Go to Step 4 to learn how to update your and your partner’s income details for the reporting period.

Go to Step 5 to learn how to confirm you have met your Job Plan.

If the details are correct and you understand the declaration, select Accept Declaration and Submit to submit your report.

A receipt number is provided to let you know that your report has been successful. Please make a note of this for your records.

From your homepage, you can complete other transactions or select the myGov icon to return to myGov.
