Hilton What is Hilton e-Events? • e-Events is Hilton Worldwide’s tool for planning small group events from start to finish online. You
can use e-Events to reserve up to 25 guest rooms per night for your group, book any size meeting space, place food and beverage orders, rent audio/visual equipment – or all of the above. And because the whole process is done online, you can plan your event from start to finish without long waits and tons of paperwork, 24 hours a day, 7 days a week.

How does booking guest rooms through e-Events work? • When you book guest rooms through e-Events, you reserve a specific number of rooms for
each night of your group’s stay. The number of rooms you request will be held for your event until the reservation cutoff date specified in your online contract. On or before the reservation cut-off date, you or your guests must “confirm” each reservation within your group by providing necessary information about who will occupy each room. You can easily confirm rooms for your group using the Hilton Family’s Guest List Manager tool. You can access Guest List Manager by clicking the link provided on your event’s confirmation page, or by clicking the e-Events tab in your HHonors® or Fast Reservations profile. Alternatively, your guests may confirm their own rooms on the Web, via telephone, or directly with the hotel using your property code, group code and event dates. This information will be provided to you on your event confirmation page. Any rooms not confirmed by the reservation cutoff date will be
removed from your event room block.
Can I make reservations on behalf of my guests? • Yes. Once you use e-Events to reserve rooms for your event, you can use the Hilton Family’s
Guest List Manager to confirm you guest’s rooms and provide the required rooming details. You can access Guest List Manager by clicking the link provided on your event’s confirmation page, or by clicking the e-Events tab in your HHonors® or Fast Reservations profile.

Booking Your Event
• Visit us at http://www.hiltonpapagayoresort.com/en/meetings/e-events.html • Depending on your event needs, check the appropriate boxes for “Guest Rooms” or “Meeting
Space.” • Enter your event start and end dates, the number of attendees and/or guests, and other required
information. When you are ready, click the “Search Hotel” button.
• If our hotel is available to be booked online on the date you requested, you will be guided through booking your event, step by step. Depending on your event type, you will be asked for information such as the number of guest rooms you need each night, the desired layout of your meeting room, and any food and beverage or A/V requirements.
• If you do not already have a Hilton HHonors® or Fast Reservations profile, select “Create an Account” on the top right portion of the screen. An HHonors or Fast Reservations account is required to use e-Events.
• If online inventory is not available on the date you have selected, you can try a different date or contact us directly.
• When you are finished, review the confirmation screen for accuracy. Please review the Terms and
Conditions of your event before accepting. When you are ready, enter your event details and credit card information to complete your booking.
• That’s it! You will receive a detailed confirmation via email. Please save this confirmation for future reference. If you need to change any portion of your event booking, please contact us directly:

Are children welcome at the property?
Children of all ages are allowed. Children under 4 are free, children from 4-
12 obtain a 50% discount, and those 12 and over obtain regular pricing.
How is the weather in Costa Rica?
With a climate that is diverse and varied, Costa Rica can be divided into
several climatic areas. Our property is located in Guanacaste, in the north
pacific, this means from December to April is considered the dry season or
gold season (high occupancy), and from May to November is considered
the green or rainy season.
What time does a wedding ceremony usually start?
The ceremony usually proceeds between 4:30 – 5:30 pm depending on the
season, to truly capture an amazing sunset.
How many days must I arrive before my
wedding?
There are no restrictions in Costa Rica, but we

What documents do I need to bring?
Everything is done prior to your arrival. All you

FAQ When will I be able to have my planning session at Hilton?
Once the contract is signed you will be working closely with our event
manager to plan your wedding. Your planning session is usually held a
day after your arrival.
Can I ship packages to the hotel?
Yes you can, but due to various Costa Rican importation laws, we do
recommend you consult with your event manager beforehand.
Can I plan a welcome reception, rehearsal dinner or brunch with you?
Yes, we can organize any private event before and after your wedding.
The resort’s event manager will assist you with the details and pricing for
these events.
How late may I have my event?
All outdoor events must end before 11:00 pm.
Do you have any black out dates?
Yes we do, Dec15 - Jan 3. These dates are
unavailable.
Where will my marriage certificate be recognized?
The marriage in Costa Rica is recognized in U.S.A. and Canada, and is
considered a legal union anywhere in the world.

FAQ Can I reserve at the restaurants for my wedding group?
You may enjoy our 4 restaurants during your stay. During dinner, large
groups are recommended to request private events as some restaurants
may allow reservations up to 10 people (subject to availability). We do
also offer our themed buffet restaurant which does not require any
reservation.
Do you provide a menu for private events?
Yes - we can provide a customized buffet or plated dinner, with the
option of various selections to choose for your guests. Please note that all
private events involve surcharges.
If I have a wedding guest that is not staying in the hotel, is there a
problem?
We request that all those attending the wedding, must be Hilton
Papagayo registered guests.
Is there a specific day we have to get married?
You can get married any day of the week.
How many weddings do you have per day?
We book only 1 wedding per day
