Action 3: Claire and Stuart to discuss possibility of recording a live broadcast covering general information on apprenticeships Action 7: Delivery Partners to log in their KIT reports which websites they are directing students to for applications Veronica has confirmed that this has been happening in some instances, not all. Gail explained that they tend to include this in their registration forms. They will begin to include the main ones in their KIT forms. Action 10: Stuart to look at placing the On Demand recordings somewhere for Delivery Partners to access, so they do not have to re-register Stuart asked whether delivery partners have been logging on with a group of students. Charlotte explained that they do not tend to do this, but Helen’s team have. If they have been watching this with schools, it would be better to log the school contact details rather than partner organisation details. Action 13: Tim to share updated list of JCP Advisers Tim did confirm the JCP Advisers and this information was added to the stakeholder contact sheet on the database. Action 14: Tim to share list of schools JCP are already in Tim did not confirm the list of schools working with the JCP, Claire will follow this up. Welcome, Carolyn Savage Carolyn welcomed everyone to the meeting and thanked them for attending. Procurement Update Carolyn explained that whilst they thought they’d be ready to go out at the end of February for procurement, there are now new DfE rules and regulations which ESFA have to adhere to, so the current submission has to be re-worked. Claire is currently working on this and as soon as they have any new information on this, they will update delivery partners. This will not go out in February, ESFA are hopeful for the end of April, but this is not definite.

Q. What is the timeline once you’ve got approval? Depending on the size and amount of bid depends on how long it has to be advertised, how long will it make for the decisions to be made? The concern is that this contract finishes at the end of July and it feels like we are running out of time, which may affect decisions such as staffing. A. It could still be put out as late as May if everything was in order and be ready to go for August. It is normally a 2 week timeline for scoring and then a 10 day cooling off period afterwards. Anna noted that we’ve got the project to such a credible place with schools over the past 2 years, the thing that worked really well with schools last year was planning early (in June/July) for the year ahead so that as soon as term started, we could hit-the-ground-running with activity booked in from September. It is important to commit to schools for 2018/19 regardless of whether we will win the contracts or not and we are all in the same position. Could this be agreed that we are all committed to planning for future activity regardless of who wins the contract? Action 6: Delivery Partners to discuss with senior leadership teams about commitment to continue to plan with schools for 2018/19 and confirm with Veronica. Any issues with this, please involve Carolyn. It will be contracted for 3 years, although the budget will still only be issued by year. The DfE are really interested in what work is going on with schools and the project. Carolyn will be doing 3 presentations to the DfE about the project, so hopefully this will open more doors for us and raise the profile of ASK. Q. Has a letter gone out to schools regarding the Baker Clause referring to the ASK project? A. It is in the guidance on gov.uk, but schools have not been sent a letter. Schools were worried they’d be bombarded by providers, ESFA have not heard any reference on this so it perhaps might not be an issue. However, ESFA are encouraging training providers to work with ASK Delivery Partners. Q. Will the tendering opportunity still sit on Bravo? A. Claire confirmed it will be going on Bravo but she is not sure where yet. Action 7: Claire to check which parts of Bravo the procurement process will be on As soon as the spec goes out, ESFA will not be able to talk to delivery partners regarding this. Current contracts and performance can be discussed, but future queries will have to be sent through the formal channel on Bravo. ESFA Update For large levy paying employers, transfers are coming in from April, which means they can choose to transfer up to 10% of their budget to smaller employers. Guidance has gone out about this and there are briefing sessions going on to discuss this. https://www.gov.uk/government/publications/apprenticeship-levy-how-it-will-work/apprenticeship-levy-how-it-will-work The IFA have put out confirmation confirming qualifications can be included in Standards. This is still not mandatory, but it is up to the trailblazer groups whether they feel this is necessary. They should be talking to their customers to decide this, so the option is there.

ESFA are trying to produce some standard sheets which will be suitable for those engaging with individuals and influencers within schools. They are trying to make this a simpler version, as the ones on the IFA website are more geared towards employers. This has been delayed as currently there are standards on the IFA website which are not 100% accurate, so these are being removed, checked with trailblazers and then put back on the website. Claire and her team have been working on 2 new leaflets which are aimed at those who are influencing the decision of an individual to take up an apprenticeship. There is an essential guide to apprenticeship support, which has really useful links, as well as the generic information about an apprenticeship. There has been criticism that there is a lot of focus on young people doing apprenticeships, so lots of the information has been included to engage older people also and answer some relevant questions they may have, such as how it might affect benefits and Universal credit. These will be launched during NAW 2018. Action 8: Amazing Apprenticeships to upload both new leaflets once approved and designed, to the Amazing Apprenticeships website Statistical starts (apprenticeship starts) are now released on a monthly basis and are showing that they are still down at this time. There is lots of work being done on how to boost starts and quality starts, with the new Secretary of State for Education and the Skills Minister looking at this. The GIGF campaign has now kicked off, which is a refresh of what they were doing before. There is a local radio campaign, as well as telesales, currently taking place targeting SMEs and a new campaign site https://hireanapprentice.campaign.gov.uk/ . For individuals, this is mainly social media and digital. This will be going on until May 2018 and then ESFA will be reviewing what to do for this going forward.

National Apprenticeship Week 2018 Thank you all for your efforts so far for NAW. There are some exciting events coming up and it has been great to see these being uploaded to the NAW map. On the Monday, there will be a launch at the BBC, which they hope the Secretary of State will be attending. The plan is for Anne Milton, the Skills Minister, to attend a school in Manchester, as well as employers, which will hopefully engage media coverage. They are still trying to get confirmation that this has been approved. There is a whole itinerary for Anne Milton for the week, who has been really involved and encouraging other MPs to get involved. The week before, on the 28th February, there is a drop-in centre for MPs to go in and take a picture of themselves with a supporting frame for NAW 2018. These will be sent out to MPs to promote and they will also be given some suggestions for how they could engage in their constituencies on the Friday. As well as this, they will also be given a data pack on apprenticeships statistics in their area. Q. Can we give them any information on the ASK project? Not by constituency level, but perhaps overall. A. Yes, if you want to give a briefing sheet or a couple of bullet points to Tina and Louise. Action 9: Anna to provide Tina and Louise with stats to share with MPs on the ASK project reach The Thursday is International Women’s Day, the morning is about celebrating female apprentices who have been doing great work. There is a session planned with teacher Champions, to come together with

the female apprentices, and showcase the excellent work they have been doing. They would then be challenged to take this information back into their schools. Because this information went out late, there are only 10 teacher Champions currently confirmed. ESFA do need help in encouraging them to attend. They need to be teachers who do understand apprenticeships, who will come along and be inspired by the apprentices, and will go back and spread the word. Amazing Apprenticeships have already asked everyone who is an Apprenticeship Champion. Can Delivery Partners please pick their top 10 Champions or known school contacts to invite and ring them to ask them to attend. Action 10: Anna to update Delivery Partners with list of Champions who have confirmed as well as the invite with all of the information on Action 11: Delivery Partners to encourage Champions to attend the National Gallery IWD event Q. How many people do you want booked in? A. The room has capacity for 70, preferably we would like 40 in attendance. This could be sent out to all school contacts on the ASK database. Friday is Celebration Friday, with lots of events happening around the country. Through the Ambassadors network, lots of graduation ceremonies are happening on the Friday. Anybody who has completed their apprenticeship in the last 12 months (the Class of 2018), can attend a ceremony and receive a certificate etc. ESFA are still looking for as many apprentices to come forward with their employers, providers, parents to attend – where numbers are low, they may downsize or not go ahead. Currently London has sufficient numbers to go ahead. There are other celebration events taking place, not just the graduation ceremony. Please ensure you upload anything to the NAW Events Map. All of the 10kTalks activities have already been bulk-uploaded on your behalf, but anything else you are doing, please add. The heat map indicates what is going on in each area and currently the North East and South West need a bit of a push. With regards to 10kTalks, there are 126 activities taking place, with 51 Ambassadors booked on. The emphasis has thus switched from asking schools to book a talk (as we realise Delivery Partners are pretty much at capacity now), to focussing on encouraging the 200 YAANs to book on. These events collectively have a planned audience of 11,092 students, 294 teachers and 527 parents. Last week, Amazing Apprenticeships launched the Teacher Talks, a teacher to teacher film-briefing about apprenticeships, 91 schools have booked and committed a minimum of 15 teachers. At the end of the 5 minute briefing is information on the ASK project. In total so far, not including the Big Assembly or Live broadcast, the total reach will be over 13,200. The worst-case scenario if a YAAN cannot attend these events, we also have 12 digital case studies from NAS, as well as the live broadcasts and Big Assembly to direct schools to. Q. What is the deadline of a YAAN not signing up? A. Lucy to discuss with the Delivery Partners. The training webinars have been taking place for YAANs to participate in 10kTalks. There are pre-written slides, a media guide, a common questions document and various other resources (the pack was circulated in the meeting). Amazing Apprenticeships’ responsibility of liaising with the apprentice

switches to the Delivery Partners and their teams, so Anna explained that we just wanted to clarify what we are covering and so have created a checklist. Anna went through the checklist of what Amazing Apprenticeships have informed the YAANs the Delivery Partners will cover, just so that we’re all on the same message. Going through the checklist, some of the main points include that the delivery partners should be reconfirming that the apprentice is not expected to be an apprenticeship expert, that is the role of the delivery partner. They should also be reconfirming that the apprentice has checked with their line manager, as well as asking them to send over a copy of their slides just to double check that they are on message and there are no mistakes. Helen thanked everyone for their promotion of the Big Assembly, as 232 registrations have been received for the Big Assembly with two weeks to go. There is a spread across the country of this, so Helen will send the delivery partners the information of which schools are engaged. Stuart confirmed that this will be a different set up this year, it will be a live event at Nottingham Academy, rather than a webinar (they are a very representative school). It will be a similar set up to question time, with Year 10s and 11s in attendance. The panel will consist of 3 businesses, 2 from the East Midlands area who are quite well known, Travis Perkins and XPO Logistics, as well as the BBC. This was and still is the most popular live broadcast, so this will be a great addition. Rob Rose from the Live Broadcasts will be hosting the panel. The questions will be coming live from the website, as well as the studio audience, but schools can ask this ahead of the event through twitter. The new website went live on Monday, which looks great. There can be some tests with schools next week ahead of the week. This has all been uploaded to gov.uk.

Overview of project performance to date and priorities for coming months Veronica noted that it has been a fantastic achievement by everyone for the work this year. There has been fantastic reach into schools. The planning meetings prior to this have been significant to this. The teacher and parent engagements are very high. Veronica has been discussing this in her contract meetings with delivery partners to ensure that these are quality engagements and is satisfied that they are quality engagements. Please continue to send through this evidence, as Veronica needs to be confident that she can portray this to others, particularly at the end of the year. As you are all aware, the focus now has to be on registrations and applications. There needs to be support for those where there are not vacancies on the website, in redirecting them to other platforms and employer websites. Carolyn confirmed that ESFA do not want delivery partners registering on Find an apprenticeship using cards for students, because there is no ownership over this. They need to be taken onto Find an apprenticeship and shown how to use it and encouraged to register then. Please pass this message on to your subcontractors. Veronica discussed the RAG rating figures and said that she has also been discussing this with delivery partners, who have been giving feedback about difficulties in noting who should be completing these and what to do in certain situations. Veronica emphasized that it is important to put pressure points on this, as it helps us understand progress and distance travelled. It helps evidence where schools have been able to upskill themselves and where we can start to step back, which will be valuable information for the project going forward.

Q. Can you track the change in rating? A. We can track it year on year, as the timescale will be an easier benchmark. Put in at the end of the year where you think they are, and then update it again next year. This will be able to give a starting point and so we will be able to see the progress. ESFA are going to be carrying out longitudinal tracking of the work that is going on in all groups. At the moment, ESFA cannot evidence if they are having an impact on perceptions and behaviour. Q. Can delivery partners please have access to destination data? Action 12: Claire to see if they can access any DfE destination data to share with Delivery Partners https://www.gov.uk/government/collections/statistics-destinations The current data is beginning to include apprenticeships destination data, it is being done now to include last year’s information. It is just difficult to get this at the moment. If we get this, it may be helpful to get clearer criteria on the RAG rating and influence different indicators. Some of the feedback from schools has been that they feel like they are at a different level in different categories, so it may be useful to break this down by category. Carolyn asked, are we joining up the dots? Where we’re doing a parent session, or engaging parents, are they being directed to other resources such as the broadcasts? For example, where students are directing their parents to the live broadcasts, there is evidence now that this is working. Delivery Partners said that this is happening across the project. Anna noted that, linked to this, could we possibly pick up the Mumsnet contact and direct them to the Live Broadcasts as part of the parent digital strategy. Action 13: Claire to pick up the Mumsnet contact and direct them to the Live Broadcasts Another area to focus on are the Apprenticeship Champions, there needs to be a focus that they are teachers or careers advisers, rather than employers or training providers. Q. If a training provider or employer is signing up now, are they still able to? A. Yes, they can sign up, but we are just not counting them in the target figures. With the live broadcasts, delivery partners were asked to please log where they have encouraged a school to participate in the live broadcasts in their KIT report. The check for Veronica would be where 50 schools have been encouraged, Stuart can then cross-check with his data who has signed up. Delivery Partners explained that this has been included in their planning meeting conversations, as well as include this in their newsletters and social media, and so this is already happening. The Delivery Partners are feeding back that it would be useful to target schools who are not engaged, but this is difficult to do without the data. Stuart explained that schools love the resource, he just thinks that there is not awareness from schools. Q. Is there an increase in schools engaging? A. Stuart said there is interest from repeat schools. Where it has been interesting is a careers adviser passing it on to the subject teachers. Q. Have you got feedback from schools that we can send out to schools? This is the hook for others.

Action 14: Stuart to provide feedback/quotes on what difference and impact the live broadcast is making

- How did they use it with their students? - How did the students react? - What did the teachers that saw it say about how good it is? - What was the impact for students?

Action 15: Claire and Anna to use live broadcast feedback provided by Stuart to create a resource for Delivery Partners to use to encourage others to join The data pack breaks down engagement by broadcast. It shows the multiple view breakdown, as well as individual establishment engagement. Claire raised the question of how the support requests are being actioned, what the process for this is. How do you, as managers, deal with these? This was confusion around the system. Being in contact with the school counted as actioned for ESFA, confirmation of the booking counted as actioned for the Delivery Partner. This has now been clarified and Delivery Partners are beginning to log the progress as it happens on the database. With regards to the cleansing around the contacts on the database, there are contacts on the system which are no longer relevant or out of date, for example, where an individual has changed jobs. Please can delivery partners begin to include this as part of their discussions in planning meetings, clarifying that the contact details for the school are up to date, rather than us ringing up the establishments to confirm this with them. Action 16: Delivery Partners to begin including discussions of contact cleansing in meetings with schools and then updating the database Q. What happens about contacts who are working across multiple establishments, how do Delivery Partners log this? A. This was fixed in December, just send their details to Lucy and she will link them to the relevant schools Is there anything else we could cover for increasing uptake in the Live Broadcasts? Stuart thanked everyone for sending over contacts for employers. The new schedule sheet is coming out tomorrow, after some final data from Stuart, which is a NAW special. Learn Live could still do with employer leads, so please continue to send this through. Q. Have you had many employers from the North interested? It would be helpful to target North employers in order to interest North schools. A. BAE Systems, as well as a North West organisation. There has been some Midlands and South East focus thus far, but Stuart will look into this. Q. Nissan was happening at one stage, has this progressed? A. Stuart explained that this contact has gone a bit cold, but they will keep trying. Louise from ESFA has been engaging with Northern Powerhouse, who may have contacts with other employers who can do something after Easter.

Action 17: Claire to speak to Louise Silous-Holt regarding Northern employers and engagement in Live Broadcasts Carolyn asked to discuss the quality of parental engagement, which Veronica explained she has evidence of how this is happening. Anna updated all that the there is a poll going to stakeholders tomorrow asking them are we getting it right in how we are currently keeping them updated about the project. There is an issue at the moment with lots of stakeholders registering for the webinars, but then not many of them are joining it live. Amazing Apprenticeships are also going to update the ASK brochure for stakeholders, as the offer is so much deeper, it will cover the wide range and include specific updates for them. Q. Can we do anything to get CEC coordinators to share the data of which schools they’re in and letting ASK in? A. With regards to the CEC, we are in their fortnightly newsletter and they are in our newsletters going out. There are meetings happening with the CEC senior leadership to try and address this. We do input into the national picture, it just gets changed once it gets to LEP level. The issue appears to be the Gatsby Benchmarks and the coordinators being quite protective of this. They seem to be quite threatened that this will be affected, but it currently is a one-way street in working in collaboration. Veronica attended their national conference, where they presented that they are making better links with ASK. The CEC Apprenticeship Consultant contacted Education and Employers to ask about ASK and what they’re doing, so that they can create a vision for their strategy. ESFA are meeting with him also to discuss working together going forward. Following this, Anna noted that we should be shouting more about what we’re doing. We have engaged so many schools and students over the years of the project, we need to promote this more. Action 18: Amazing Apprenticeships to provide cumulative figures from last year and next year to Carolyn Do we need to be shouting anywhere else, other than the DfE right now? Could we be doing anything with the Headteachers conference or Federation of Teachers. There is great work going on with careers advisers and Heads of Years etc, we need to be targeting more of the senior leaders and Headteachers. Action 19: Veronica and Claire to discuss where else to promote and shout about the project with Delivery Partners and form an action plan

Delivery Partners – sharing best practise Education & Employers – working with the Careers & Enterprise Company Charlotte did want to clarify that this work is patchy by region, but they have been trying some slightly different approaches from their previous work in building relationships with the CEC. Education and Employers hold half day teacher CPD sessions across different areas, which some of these, they have begun to run in partnership with the CEC this year. They did this in the Southend in January. The CEC were helpful in sourcing a central venue, they also gave links to local employers who were able to give local information that the teachers appreciated.

A similar process is happening in the Thames Valley, the CEC coordinator there is really helpful and has been sending stuff out to schools. She has linked in Education and Employers with Microsoft there for an event in March, with Microsoft apprentices attending, that schools can go along to in their Head Offices in Reading. Q. Have you had any CEC coordinators respond well where you’ve contacted them to say what you are doing in other patches and how this is working well? A. They have started to do this which does work quite well. They have also been doing mapping of which schools they have engaged and which schools the CEC have engaged. This is something we shall try to map up nationally also, as they also have targets to be getting into schools and getting employers into schools. They also have thematic events coming up, which they are working to promote to the CEC networks. Education and Employers are also attending a lot of their coordinator meetings to raise awareness of ways they can practically work with them. This is quite time consuming however. Are there any other areas where this is working well? BL Training explained that they are doing similar work with the teacher CPD events with the DWP also and NCS. These are really helpful at giving the local dimensions. It is similar with the CEC meetings. There will certainly be elements that they would like to replicate across each region. Anna noted that it might be useful to include some of these case studies in the stakeholder pack. Action 20: Charlotte to provide case study examples of working well with the CEC to Anna for the stakeholder pack BL Training Ltd – working with local Provider Networks Gail explained their model is based on working with the 10 network providers. They have access to network provider leaflets, which sign post to sector areas and levels etc, which is a visual tool also that they can tap in to. Q. You should never really have the issue of no vacancies then? A. The current issue in the North is that they have more vacancies than they do interest from learners From the way the standards have been changed, there’s so much more to it now. For example, Engineering isn’t just engineering anymore. Working with specialised providers can break this down clearly for students. The perception is that the North doesn’t have any vacancies at the DfE. The issue is the larger employers in the North, there are plenty of SME vacancies available. Q. Are these quality SME vacancies? Are they low pay etc? The query is wanting to destigmatise the idea that they are still low-pay jobs. A. It is variable, some are low pay but are still quality. Q. Have the DWP been helpful in bringing the local labour market information? A. Not particularly.

Charlotte noted that in London, there was a case where the DWP Adviser had indicated that they were aware of the project, but they weren’t aware they had to be working together, so were still doing their own work on this. Claire has created a resource for this to clarify what the DWP should be covering and what we should be covering, which the higher management at DWP agree with, but this has not reached the lower levels yet. The higher management are aware that initially, there wasn’t a clear direction for the JCP School Advisers, which they are now keen to clarify. BL Training have the knowledge on the IFA, the 20% off the job, the Higher & Degree vacancies etc. The fact that they are a local provider, going into a local area with local information, is working really well and is then feeding into offering the national picture. Q. Do you feel it works well across the provider networks equally? A. BL know where it works well and where it doesn’t, and they are working to address these. They have visited Liverpool recently, where the network has been re-structured and they are facing other issues with ROATP and other challenges affecting them as training providers specifically, and so BL are doing a lot to support them. For example, they have been assisting with telesales particularly for that area. Following the Baker Clause, they have found that Training Providers aren’t currently bombarding schools as they already had good relationships with schools and were doing this work pre-ASK, so they are a trusted system. In terms of quality assurance, there are constant communications, peer-review, they are provided with specific training at the beginning and BL are continually managing this. Are there any other areas where this is working well? Charlotte explained that Education and Employers are also subcontracting. It is this local knowledge on the ground that has been really helpful. There have been some issues where links with schools haven’t been as strong as suggested, once providers are actually on board, but they are addressing these. Workpays – working with the Young Apprentice Ambassadors Network (slides attached) Helen noted that much of this has been covered in the 10kTalks process and what is on Amazing Apprenticeships. The additionality is that Workpays are now working alongside ESFA and Amazing Apprenticeships to roll out training for those YAANs across the 9 regions over the next 16 months. Ideally, they would like to run this from Apprenticeship Ambassador premises, but it might be better to run these from ASK premises, so that we can link this up and begin to use the YAANs as a resource. Helen will share the training plan that’s taking place with Delivery Partners, as there may be differences geographically, and so she would welcome feedback. You don’t need to train your YAANs, this will be happening. Julie said that to have the face-to-face training with the certificate at the end of it will confirm them as an official YAAN. They have reached out to the AAN employers regarding the premises and they have some good feedback on this already. Q. How does the work of Workpays link up with the pilot in the South East?

A. Julie clarified that they have a meeting with CEC after this to discuss this so that there is no duplication. Anna commented that really linking with the YAANs is our win and USP going forward. Over the next couple of months, the network will grow, and so it will be important to use them quickly so that they see the value of ASK and YAANs being linked together. We have to make sure that every apprentice gets a chance to talk at events, not just those apprentices that work for the big brand names. We have to work with the YAAN Chairs, who want real-time data on the impact that they are having and their reach into schools with students and teachers as a region. Q. Can the Delivery Partners have the contacts for the Chairs in their region? A. Yes, BL are meeting with their Chair next week to share this information. It’s a two-way deal, they could be creating leads for the Delivery Partners and will ask for support for this. The YAANs are comfortable telling their story, they are the inspirer there, but they struggle with the technical information and broader knowledge, where they can ask Delivery Partners to provide this expert knowledge.

Data Pack Is there anything that we think we’re bringing out and we’re not, or is there anything we need to bring to attention? Action 21: Lucy to add page numbers to the data pack The volumes speak for themselves in terms of targets. If Carolyn were to say, starts are down, are you going to be making an impact on apprenticeship starts for September? The Delivery Partners noted that they would like to think so, yes, there is just difficulty in tracking the applications made. Q. Where you were this time last year, does it feel like we’re moving the schools forward? Does it feel like you’ve got a greater level of buy in and interest? If so, is it specific year groups? A. Education and Employers have found that they’ve been getting lots of requests for applications. Doing a lot more of mock assessment sessions and application sessions. What they are not getting from schools is the data on which students have applied. Workpays are getting significant numbers for the application target. They have clarified with Veronica and it has been confirmed that they are expecting the students to commit to making 2 applications, clarify who they are looking at applying to and noting these numbers, because they do not have time to do the application with students and it won’t be a quality application. ESFA are aware that lots of students won’t be applying now, as it will be after Easter that applications go up. It’s just addressing what we’re doing to capture what is happening. Action 22: Helen to share guidance on capturing application figures with Delivery Partners Action 23: Delivery Partners to begin to input numbers in ASK for application numbers Q. How are you evidencing who’s noted that they will make an application? A. Based on the person delivering noting this.

Carolyn suggested that we could do a webinar or live broadcast later in the year to all schools we’ve run a workshop for, to say that there will be a digital session to refresh them. Veronica will receive data of which students have gone on to do an apprenticeship, but this is raw data. What else can be done to increase applications/starts? Action 24: Amazing Apprenticeships to refresh the ‘How to write a winning application’ book, which can be used by the Delivery Partners and left with schools as a resource Action 25: Stuart to include messaging in Live Broadcast asking the current apprentice when they applied for their vacancy, to encourage students to apply early Anna noted that UCAS do refresher/full days for teachers in June/July to train their teachers for the next year, we could replicate this and also piggy back on to their event to cover the apprenticeship side. Feedback shows that schools are more interested in the mock assessment style activities than they are interviews, as they feel comfortable covering this already. We do have the video created by the Cabinet Office to support this, as well as resources created by Amazing Apprenticeships after visiting a mock assessment day. The day showed that it isn’t really based on the activity that’s being done, but rather the feedback on how the students should be behaving in order to impress, and so the focus does not need to be on a resource for how to run the activity, but rather what feedback to be giving. Action 26: Claire and Anna to have a think about what we could do for this year to boost applications, as well as an investment for next year, including the ideas discussed in this meeting Q. Are there any types of schools we’re not reaching into? A. Education and Employers noted that they are still struggling with the Independent Schools, but they are not the target really. We’re not in any sixth form centres. This can be accessed by choosing Type of Establishment on the database. Other than this, the spread is pretty positive. Action 27: ESFA and Amazing Apprenticeships to discuss data pack and how it can determine focuses for next year The evaluation data shows that there’s no doubt that we’re excellent at raising awareness, we just start to drop a bit on the employer information and some other areas. Delivery Partners explained that this could be down to the type of activity they are delivering. For example, if they delivered a 20 minute assembly , there is limited time and so they probably wouldn’t cover the employer angle.

Developing the portal for 2018/19 Linking on to this, we need to book in our task and finish group to come back together to instruct any changes for the database and other systems. This needs to be done early in order to get the changes in before the summer starts, but it would be great if Delivery partners could think about this as much as possible prior to the meeting in order that changes aren’t implemented at an early stage and then removed soon after, as this is very difficult to do. The aim is to remove as much human admin as possible going forward. Action 28: Amazing Apprenticeships to create and send link to Doodlepoll for potential dates for the Task & Finish group

Helen noted one change for now that would be helpful is that on the support request form, schools are currently putting in the year group manually, but could we please create a drop down for the year groups so that Year 9 requests are not being made. Any other business GDPR As a project, we’re collecting a lot of data and this makes us a little bit vulnerable, particularly with the changes coming up to GDPR. ESFA are being guided by their data expert and reviewing how this will affect us and the project. They will feed this back to delivery partners once more information is known. Q. When you’re signing up school contacts to newsletter, are you gaining their permission? A. Yes, we’re already doing this by you indicating yes or no for interest in the newsletter. You should not be ticking this if you have not asked their permission. The standard also has to be that we are not taking away any student data from an activity. Action 31: Claire and Veronica to review how Delivery Partners capture student data going forward Action 32: Anna to include GDPR implications on the next agenda after Amazing Apprenticeships team have undergone training For now, you are still collecting the evidence, but you need to get in the habit of password protecting documents. With the ASK database, we are going to include a password change every few months.
