Finally you are here, and we are so proud of how many of you have journeyed from all over the world to join your Italian friends and colleagues.

Why have so many come? Maybe it’s because of the appeal of beautiful Florence, but maybe it’s also because we are all starting to see signs of economic recovery and want to share this positive news with each other.

What better place than Italy to talk about recovery, revitalisation and a positive future? Our country may have experienced periods of stagnation in the past, but the memories of our glorious heritage, those pioneering scientists, architects and artists whose names are universally known, have helped inspire us to constantly renew our culture and creativity. This is another of these periods of renewal and self-confidence, as Italy prepares to celebrate the 150th anniversary of the Italian Republic in 2011. We are honoured that this ICCA Congress represents the first official event in the Calendar of Celebrations!

Welcome to Italy! More attendees than ever before. A record number of countries represented. The same influential mix of leaders and opinion-formers from every industry sector as usual. In this year of extraordinary turbulence those facts represent an impressive vote of confidence by our members: not just in ICCA itself, but in the market segment that ICCA connects us with - the international association meetings market. Members of the Press are welcome to use the Press Room located at Palazzo dei Congressi, Villa Vittoria, ground floor, room 6 from 7-11 November. Here you can find all your media resources and story ideas, along with contact details for up-to-the-minute quotes and analysis from the CEO and other key leaders. There are two computers and a printer available. Pick up the ICCA press memory stick with background information on ICCA, contact details of ICCA Spokespersons, a calendar of upcoming ICCA activities and events, photos of the ICCA Board of Directors (including new board members), ICCA Logo’s, Italy pictures and the latest ICCA press releases. In the press room you will also find the latest press releases from ICCA members and the ICCA Membership Directory.

WIFI

Sponsored by BTCWiFi will be offered free of charge to all delegates throughout the Palazzo dei Congressi. Italian Anti-terrorist laws require that each user should fill-out a form. Once this is done, you may access the internet freely with individual username and password provided. The forms have been sent to all delegate in the last information email. You can also get a copy at the WiFi desk in the registration area.

Spotme Coverage

Full Spotme service is available in all the meeting rooms of the Palazzo dei Congressi & Palazzo degli Affari. In all other areas delegates will be able to use the radar, spotting, note taking, business card exchange, browse the agenda, people list, maps and binder. However reception of messages and updates will be delayed until the participant returns to an area with service.

Currency

The currency in Italy is the Euro which is divided as follows: bills of 5, 10, 20, 50, 100, 200 and 500; coins of 1, 2, 5, 10, 20 and 50 cents, 1 Euro and 2 Euro. You can obtain Euros through any bank, ATM machine or exchange office (Ufficio di Cambio) at airports, seaports and railway stations in the main cities.

Banks opening time in Italy may vary, but are generally from Monday to Friday from 08.30 to 13.30 and from 15.00 to 16.30. Banks are closed on Saturdays and Sundays and national holidays and also on the town’s patron Saint’s day. Travellers’ cheques can be exchanged at most hotels and shops and at the foreign exchange offices in main railway stations and at the airports.All major credit cards are widely accepted in Italy (Visa, MasterCard, American Express, etc.).

Tipping

In Italy, service is normally included in the restaurant or bar bill, and additionally in most restaurants the so-called “coperto” (cover charge), which ranges from 1 to 3 euros, depending on the restaurant, is automatically added to the check. Normally, just round up the bill, a few Euros. If you were given an outstanding service, a good tip will make the staff happy, but you are not “compelled” to do so.Tipping cab drivers is unusual, but appreciated, especially if they help you with your luggage and provide you with useful information about getting around. Tipping hotel porters is appreciated, same for the hotel concierge if he/she is helpful in making your stay easier or more pleasant.

Smoking

Smoking is not permitted in the Congress facilities. Italy has public health regulations that prevent smoking in public buildings, on public transportation and in all restaurants.

The ICCA Exhibition is managed courtesy of Reed Travel Exhibition and is open during all coffee breaks from Sunday 8 November to Wednesday 11 November, in the Salone Club. For details on the exhibitors please see the Networking Guide.

Advice Clinics

One of the new ideas we have implemented at this year’s congress are the “Advice Clinics”. Some of our members have kindly offered their services and will be giving free advice in a face to face meeting of maximum 30 minutes.

The advice clinics will run from Monday-Wednesday. Most of the appointments have already been booked, but if you are interested, you can come to the ICCA registration desk to see what appointments are still available.

Located in the ICCA Business Partner Coffee Zone (Palazzo Degli Affari, Ground Floor, Main Hall).

The ICCA Silent Auction is run in support of the ICCA Education Fund, which was established in 1992 to create more educational opportunities for young people within the international meetings industry and help raise professional standards. The fund also financially supports the Forum for Young Professionals at EIBTM and the ICCA Youth Forum at AIME. A Silent Auction Prize Guide with a detailed explanation is distributed upon registration, as well as at the ICCA Silent Auction Stand. Closing time for bids is Tuesday 11 November at 16:15.

All business exchange (BE) participants have a BE symbol printed on the bottom left hand corner of their badge. This will make it easier to identify other BE participants.

Business Exchange Coffee Zone

A dedicated zone will be available from Sunday 8 November to Wednesday 11 November throughout the day in Passi Perduti II. The area can be used as a meeting space to exchange information.

Business Exchange Introduction Session

In the Business Exchange Introduction session you will find out how to get the most out of the Business Exchange and how to use your Spotme device for the exchange of information. This session will be held on Saturday 8 November in the Palazzo Degli Affari, 2nd floor, Main Hall.

Business Exchange Optional Practice Session

The optional practice sessions are open to all BE participants who need more time to prepare. ICCA staff will be here to help and to give advice. There are three optional practice sessions in total, one on Saturday at 17.30-18.30 and two on Sunday at 10.00-10.30 and at 16.15-16.45. All sessions take place in the Palazzo Degli Affari, 2nd floor, Adua 2.

Business Exchange Session

On Tuesday 10 November at 16.30-18.00 a Business Exchange Session will be held in the Palazzo degli Affari, 1st floor, Main Hall. The room will be divided into separate sections indicating the rotation of the meetings being discussed; a European table, an Asian table and so on with <500 or >500 delegates. Also we will give delegates the opportunity to speak to people from their own sector, for example centres giving leads to centres.

Spotme and Meeting Point Business Exchange

The more high-tech approach is using the Spotme device which enables delegates to make a short list of people they wish to talk to.

The Spotme device will allow you to search for other Business Exchange participants. You can send messages, set appointments when and wherever you want. The official meeting point will be the Business Exchange Coffee Zone – Passi Perduti II. You can either retreat to the Business Exchange Coffee Zone to exchange information or elsewhere, the control lies in your hands!

I&MI Media Charity Walking City Tour

The traditional city tour offered to Congress Delegates is being replaced this year with a self guided walking tour of Florence. All delegates have been given a map which not only points out the main tourist sites, but also provides detailed information on where to go and what to do with personal recommendations from our local members.

The tour is kindly sponsored by ICCA business partner I&MI Media. The sponsorship money will be donated towards this year’s charity which is the Foundation of the Florence Childrens Hospital Meyer. This will be supplemented by a new approach to Speaker Gifts: ICCA will make a EURO 15 donation on behalf of each of our more than 100 speakers, panelists and moderators. Delegates may also remember that the Italian Host Committee made a first big donation at their Next Destination reception in Victoria last year instead of handing out traditional delegate promotional gifts.

Background on Charity

The Meyer Paediatric Hospital is a wonderful local hospital which not only looks after some of the most critically ill children in Italy, but which also provides valuable charitable services to bring in and care for children from some of the most deprived and impoverished countries around the world.

The direct recipient of the donations will be the Meyer Foundation, which was set up in 2000 with the purpose of providing funding for a wide variety hospital activities, including scientific research programmes, the purchase of advanced technical equipment, environmental improvements, and innovative programmes that have made the Meyer Paediatric Hospital famous around the medical world such as clown visits to the wards, professional musician performances, art exhibitions, and playroom activities. All of these latter programmes are designed to help the children keep their sense of play and fantasy, and to lift their spirits as they recover from serious illness.

The Meyer is the most climate friendly hospital in Italy, with innovative technology making the most of natural light and minimizing carbon impacts. There are special play areas with bright furniture and decorations; family members are encouraged to be present as much as possible; everything is done to make the children feel positive and happy, with laughter and play in the most relaxed atmosphere possible. When you’re in the Meyer it’s difficult to imagine that this is also one of the world’s leading paediatric surgery and research centres.

On Saturday from 18.30-19.30 hours, there will be a Welcome Reception for Accompanying Guests at Villa Vittoria, 1st Floor, Galleria. During this Welcome Reception, accompanying guests will be given the opportunity to meet each other and to be informed about all the exciting tours and activities.

General

The registration fee for accompanying guests includes 1 full day tour and 3 half day tours as well as all social events (Sunday, Welcome Reception; Monday, CAT Night & Motor Valley Night; Tuesday, Gala Dinner).All bus tours include transport in air-conditioned coaches, English speaking guides and entrance fees. Guests are advised to bring refreshments on the half day tours. Lunch stops are arranged on the full day tour and included in the registration. Sunday 8 November, 09.00Florentine Hills - half day tour by busPiazzale Michelangelo, located along the “Avenue of the Hills” provides an unforgettable view of the city but the view one can enjoy from San Miniato Church is even more enchanting. On the hills overlooking Florence to the north, the small historical town of Fiesole, of Etruscan origin, later a Roman town, provides a marvellous and truly exhilarating panorama of Florence, the Arno river valley and the Tuscan hills.

Monday 9 November, 14.00 Santa Croce, its Monastery, and its District - half day tour on footSanta Croce (The Holy Cross) church is not only one of the most important monuments of Gothic style architecture, enriched with mural paintings by Giotto and his followers, but also the burial place of great Italian personalities, such as Michelangelo, Galileo, Machiavelli and Rossini.

Tuesday 10 November, 09.00 Renaissance Harmonies: San Marco and Spedale degli Innocenti – half day tour on footSan Marco is a former monastery now transformed into an intreaguing museum. The same feeling which is given by the Spedale degli Innocenti (Foundlings’ Hospital), which was built by Brunelleschi to host foundlings and orphans.

Wednesday 11 November, 09.30Siena and San Gimignano– full day tour by busDrive through the Chianti wine area amidst the beautiful, ever changing scenery of vine clad hills and olive groves to Siena. On the way home visit San Gimignano, a charming little town perched on a hilltop and preserved almost intact since the Middle Ages. Lunch in a typical restaurant in Siena.

ICCA supports the aims of the Convention Industry Council in promoting the CMP designation as a respected professional accreditation programme. CECHs are necessary for the submission of the CMP Application and CMP re-certification. Education sessions applicable for CECHs are indicated in the programme, including the number of points which can be obtained. For more information on the CMP programme visit the Convention Industry Council website at www.conventionindustry.org. This year, Spotme will be used to track which education sessions you have attended. You must be present for the full session in order to obtain your CECHs. Whilst every delegate has the chance to share ideas, form relationships and develop business, we want to give First Time Attendees a little extra help in making sure their experience is a productive one. In a special dedicated session for First Time Attendees we’ll provide tips, tools and techniques to help you make sure the next 4 days are amongst the most productive you’ve ever had at such an event. You will find that ICCA’s culture is one where experiences, skills, ideas and even business leads are passed on freely between members so, to benefit from this unique culture, it is essential to be able to interact with your fellow professionals right from the start. After this session you’ll be fully prepared, ready to have an exceptional, fulfilling and profitable congress experience.

The session will be moderated by Jon Bradshaw who, as well as working as Business Development Director for IMEX, speaks professionally on topics related to human interaction & behaviour, and Ksenija Polla, ICCA Head Office.

MentorsA select group of experienced ICCA members has volunteered to devote some of their time to provide advice and guidance for First Time Attendees. They will certainly be present at the Introduction Programme on Saturday, however you are also more than welcome to approach them during the entire Congress and even get in touch with them after the event.
