Bapco’s Document Management System (DMS) has recently received a large foundational upgrade that significantly improved the entire system in many aspects, including performance, security, reliability, and usability. The project was done entirely in-house by the Information Technology Department (ITD) and was led by Abdulla Al-Mahmeed and Hussain Jawad, the same highly talented team responsible for the very successful Bapco E-Forms platform. With over 2500 man hours spent, this project is amongst the most complicated, challenging, and technologically advanced in-house ITD projects. The team has pushed the limits to new heights and was able to utilize very powerful technologies and introduce multiple new features that have never been implemented before. It proudly serves as a demonstration to how capable the Bapco E-Forms platform is.Perhaps one of the most challenging factors of this project

is integrity; The changes to the system’s foundations is an extremely delicate operation where any mistake would result in large amounts of irrecoverable data loss. Hussain has developed multiple layers of “Data Migration” logics to ensure integrity and smooth transition during the upgrade, while Abdulla has iterated on multiple levels and perspectives to ensure the design of the system is integrated, highly usable, highly extensible, and highly reliable. We are also very proud that we were able to do such a significant upgrade without any downtime! As with the team’s successful efforts in past Bapco E-forms implementations such as E-CFM, Expense Reports, and Road Closure Certificates; the DMS upgrade project is equally successful and adds a lot of value to the company’s information integrity. The Bapco E-Forms platform was made possible with the combined efforts of every member of the ITD by providing

support, logistics, and infrastructure to support such advanced technology. We would also like to thank everyone involved from the Operational Excellence Department for actively engaging in discussions, business views, and demonstrating business requirements which was a large factor of success in making the upgraded DMS fit-for-purpose and highly intuitive.

Launching of Bapco’s Waste Segregation and Recycling Programme in Refinery,Sitra Tank Farm, Marketing Terminal and Wharf areas

As per Bapco’s EHS Policy and its commitment towards the protection of the environment, the Environmental Management Section in the Health, Safety and Environment (HSE) Department formally launched the ‘Waste Segregation and Recycling Programme’ on Thursday 23rd February 2017 at the Refinery Canteen in the presence of Bapco Chief Executive, Deputy Chief Executive Refining & Marketing and other members of the Executive Management Team. The launching ceremony included welcome remarks by Ahmed Khalil, Manager HSE, followed by a presentation on the Waste Segregation and Recycling Programme from the Environmental Management Section. Bapco’s Chief Executive, Dr. Pete Bartlett, and the Chairman of Bapco’s Environment, Health and Safety Committee (EHSC) & DCE Refining and Marketing, Mr. Ebrahim Talib, also highlighted the importance of this programme and the role of all employees towards the success of it. The ceremony ended with distributing appreciation shields to the recycling services provider, Nidukki Trading Company, in addition to Bapco’s general cleaning contractors, ACME and AREENA Contractor Group for their efforts

and support towards the implementation of the Recycling Programme. The ceremony was also attended by a number of Bapco Managers, building owners, HSE Department representatives and Bapco cleaning and recycling services contractors.

Journey of Waste Segregation Programme ImplementationThe implementation of Bapco’s Waste Segregation and Recycling Programme involved a number of activities over the past six months. Initially, during July/August 2016, surveys were conducted by the Environmental Management Section to identify a suitable recycling contractor in Bahrain that can collect the recyclables from Bapco. Following that, during September/October 2016, once Nidukki Trading Company was chosen as the recycling services provider, site surveys with Nidukki and building owners were carried out to determine the quantity of recycling boxes and cages required for each building and their locations for all areas (Refinery, Sitra Tanks, Marketing Terminal and Wharf). Towards the end of 2016, awareness sessions were conducted for Bapco cleaning staff contractors to explain the new recyclables collection system to be followed. The programme was fully implemented in February 2017, with the deployment of a total of 59 recycling cages (located outside buildings) and 460 recycling boxes (located inside buildings) in 25 locations across the Refinery, Sitra Tank Farm, Marketing Terminal and Wharf areas. All recycling boxes and cages are colour-coded corresponding to the type of recyclable item to be placed in them: Blue for paper, green for plastics & yellow for cans.

How does the system work?Once an employee places a recyclable item (i.e. empty plastic bottle or empty metal can) into a recycling box within a building, Bapco cleaning contractor will

place the same item in the corresponding recycling cage outside the building. All recycling cages will then be emptied by the recycling services contractor ‘Nidukki’ on periodic basis, and a summary report on the quantities of recyclables generated will be provided by the recycling services provider on monthly basis. Also, since paper is generated in greater quantities compared

to other recyclables, small blue paper recycling bins will soon be distributed in individual offices/desks for the collection of ‘Paper only’.

Benefits of RecyclingRecycling has many e n v i r o n m e n t a l benefits in addition to economic advantages. The majority of general waste from our day-to-day activities ends up buried forever in landfill, taking up space and money,

with no potential for the wasted item to be re-used. Recycling is a process that converts waste into re-usable materials, which does not only lead to the conservation of our resources, saves costs and sustains our environment for future generations, but also results in the reduction of pollution and prevention of greenhouse gases entering our earth’s atmosphere; clearly a win-win situation.

Your RoleThe success of Bapco’s Waste Segregation and Recycling programme depends on the support and contribution of all employees.re, please recycle at your office and encourage others to do so!If you have any comments or feedback on the programme, please contact 17755829 or send an email to [email protected]. Your contribution Counts!

Leadership Training Starts for IDP CandidatesThe first batch of IDP candidates completed the new IDP Leadership workshop run by Neil Porter, Training Specialist, and Supervisory Development from the Learning & Development Department. The interactive one day workshop started with the Northgate exercise “What makes a Leader” where the delegates worked in teams to identify the new role of the Leader, and challenge their perceptions. They then learnt Ken Blanchard’s Situational Leadership Model watching a series of Video clips to identify the correct level of Direction and Support required by different people on different tasks. Next came an exercise on making goals SMARTER, with a new twist to ensure the goals were motivational and stretching the employees. The delegates all received a copy of the bestselling book: “Leadership and the One Minute Manager” and worked in teams to identify the Development levels of different employees and the appropriate style of leadership (Directing, Coaching, Supporting or Delegating) that they needed.Following the programme the delegates will complete an on-line questionnaire to identify their flexibility in using the different styles comfortably and their effectiveness as a leader. Neil commented: “It really was very rewarding to see how quickly they identified the four development levels based on their own experiences in Bapco and the level of direction and support they needed from their Managers. Additionally as they complete their IDP and are given teams to lead they will be equipped with all the skills they need to be a good leader”. There will be two more IDP Leadership workshops this year, and then we will focus on coaching skills and finally repeat some of the workshops we ran last year for those who missed them (e.g. Presentation skills, Time management, Team and motivation skills).

In January 17 delegates started their ILM 3 Certificate in the Principles of Leadership and Management programme at the Bapco club. One of the reasons it was decided to bring Leadership development back in-house and delivered by the Learning and Development Department is that the ILM

programme can be tailored to Bapco’s business current and future needs. As an added element, over the course of the programme a variety of guest speakers from Bapco, many of them former ILM delegates themselves, will share their own experiences with the delegates. On the second day of the programme, delegates were delighted that Bapco Chief Executive, Dr Pete Bartlett attended and shared his views on what makes a successful Leader in Bapco as the Company prepares for the challenges of the coming years. Future workshops will include planning change, establishing effective teams, the communication process, writing for business, good practice in coaching, and managing workplace projects.

Wednesday, March 1, 2017The Islander8A message from the Bapco Archive Project Team

Photographic Documentation

The Making of Hamad and the Pirates

The archive project has a defined workflow comprising selection, cleaning, scanning and metadata creation. The term metadata is often used to describe information about a photograph. This information is a very important part of archiving, as an image without any information cannot be searched for or properly categorised and has much less historical value. The information typically notes information that can be seen in the photograph and will support the discovery and identification of the image (the who, what, where and when of an image). As a minimum, the primary contents of the photograph and the information of the storage sleeves are recorded at digital capture, which will be subsequently enhanced when the images are in the Digital Asset Management System.TIFF digital files can hold image information internally. The IPTC fields in the image file can hold information about the content, owner, and legal rights for the image. This information is entered manually by the project team after scanning. Metadata creation is time consuming but it adds considerable value to an image. The team adds basic information about all images: • Date (Year month and day) • Caption (Event)• Keywords (including people, and artefacts in the image)• Other information such as negative or positive or print and type of media (e.g. large

format, medium format or 35mm)

Sometimes the information about an image is missing or incomplete. In these cases the team has to go through a forensic process of building up the information about an

image. The first step is to look at the image carefully and thoroughly. The back and the front of the contact sheet or prints should also be examined for any clues. The events or activities which may have resulted in the photograph or the original purpose or function may be deduced.Dates can be estimated or confirmed by people in the photograph, clothing styles, hair styles, furniture styles, transport, telephone, buildings and architectural styles, vehicles and so on. The dates of vehicles can often be estimated by looking at vehicles produced in different years. Pictures of cars for any year can be found with internet image searches (e.g., click Images and then search for ‘Chevrolet 1950’ or ‘car 1950’). The apparent age of the people in the photograph can be calculated back to their birth dates, if known. Sometimes there is a calendar on a wall or a newspaper in the image where the exact date can be seen. Business and street signage may help to determine the date and location. The team is also alerted to obvious inconsistencies such as a picture dated later than the year which the person photographed died. In Bapco’s history many managers and executives had specific terms of office, and many campaigns and buildings had a specific time frames. Old Bapco publications can be a rich source of metadata for some photographs. Other publications and books may also help in identification in addition to online image searches. Older and ex Bapco employees have been asked for assistance in identification, and many are very pleased to share knowledge and solve mysteries. The team recently needed to confirm the information recorded against the image below of His Highness Shaikh Salman bin Hamad Al Khalifa; where was His Highness visiting? who was the VIP appearing in the photograph? what was the date? The team looked at the other images in the series and saw the outdoor images with tram or rail line in the road. Arabic, French and English signage could also be seen. The location was thought to be either Egypt or Lebanon. The tree shaped badge on a policeman’s cap was noted and confirmed online to be the uniform of Lebanese policemen in the 1950s. When did His Highness visit Lebanon? The team asked a local historian who confirmed that His Highness was en route to Queen Elizabeth’s II Coronation in London in 1953 and stopped over in Lebanon. It was confirmed on online that the VIP in the photograph was the Lebanese Prime Minister Saeb Salam who was in office during that time. The story and metadata was confirmed and is now complete.

‘Hamad and the Pirates’, the first Bahraini cinema film produced by Walt Disney in 1971, was filmed entirely on location in Bahrain. It the story of Hamad, a young Bahraini orphan who goes pearl diving and falls overboard during a storm. He is rescued by a pirate dhow roaming the waters with treasures stolen from Bahrain. Hamad escaped the ship and travels across Dubai and Saudi Arabia to reach Manama and gets the authorities with a British Royal Navy gunboat to capture the pirates and recover the treasures of ancient artifacts from the Delmon civilisation. The boy Hamad was played by 14-year old Khalid Abdullah Marshad Al Kubaisi who was selected from 500 local school boys. Khalid was paid a little over BD4,000 for his role as Hamad. Khalid was born in Umm Al Hassam and lived in Hidd, but left Bahrain with his family for Qatar shortly after the film was made. He completed his education in Qatar and worked for the Qatar government. Locally Khalid is still fondly remembered as a son of Hidd, Bahrain and Qatar.Hamad’s friend Jumah, the Bahraini pearl diver was played by Abdullah Masoud. Khalifa Shaheen, who was the Bapco Photographer at the time, was the film production manager and assistant director and also played the part of the pirate captain. Khalifa was picked as the pirate captain over Hollywood majors. Richard H. Lyford who directed and wrote

the original story suggested that Khalifa Shaheen play the lead role because of his appearance and Arabic language. Walt Disney wanted a big name for the film and Omar Sharif and Charles Bronson were considered. After seeing the screen tests, Roy Disney agreed to Lyford’s suggestion. Khalifa was aged 30 at the filming of Hamad and the Pirates.Englishman Rob Gregory was born, raised and educated in Bahrain and was a Professional Association of Diving Instructors (Padi) course director. In 1969, when Rob had just finished his A-levels, the film crew arrived from America. Rob volunteered his services and Lyford promptly

appointed him underwater cinematographer because he had a scuba-diving licence. He spent seven months

filming the pearl divers, and was the first Westerner to dive the pearl grounds of Bahrain. Rob passed away in Bahrain in 2010.The film cost Disney BD94,258 to make. The film took 18 months to complete. It began filming in May 1969 and finished in October 1970. The film ‘Hamad and the Pirates’ can be seen in full on YouTube. Many behind the scenes photographs taken during the making of the film on location in Bahrain in 1969 and 1970 are preserved in Bapco’s Archive.

This was to recognise their valuable contribution and worthy efforts, throughout 2016, in conducting effective Integrated Management System process audits and for ensuring Bapco’s ongoing improvements in quality audits in Quality Management System, Operational Excellence, Environmental Management System, Occupational Health & Safety and PSM (SHEQ), as well as the four action owners who ensured that no actions reached the overdue stage throughout 2016. The importance of the quality of internal audits being delivered and their timely completion of action, without any being

overdue or needing extension, in our organisation’s governance processes was emphasised, particularly as a leading indicator. Conducting effective internal audits is a critical element for continual improvement for all management systems which our company subscribes to. Mr Talib stressed that Bapco is committed to investing in the provision of continuous

training for its IMS auditors in order to enhance competencies in all the management systems. He emphasised the success of audits cannot be achieved without teamwork and compliance to ensure the effectiveness of the quality of audit. Furthermore Mr Talib also emphasised that internal audits are the cornerstone of any company’s management system as they provide a clear “line of sight” on the health of the organisation. The internal auditors and action owners were praised for their commitment and hard work in delivering high quality outcomes within the stipulated time frame. Mr Talib concluded by expressing his gratitude to all the attendees and wished them all the very best in making a success of the IMS internal audits in order to ensure that the company’s organisational goals and objectives are met in 2017 and beyond.

The first Advanced Optimisation Study (AOS) undertaken at Bapco was completed during a meeting held at the Bapco Club over 8 days, from 16 to 22 January 2017. The study is facilitated by experts within the Chevron JV refineries network. It was done on Bapco’s Fluid Catalytic Cracking Unit (FCCU) and was the culmination of work done over the last several months by Bapco and FCC experts from Chevron and Chevron JV companies. The objective was to share knowledge and experience while systematically brainstorming all potential improvement opportunities for the FCCU. The AOS team consisted of FCC experts from Chevron companies and Bapco. The Chevron participants were Martin Sawtell, Chevron JV AOS Coordinator, Chris Ross, Chevron JV FCC Specialist, Peter Wynne, Chevron Burnaby Refinery Senior Engineer-FCCU, and Wichai Krongmingmongkol, Chevron JV Hydroprocessing Specialist, from Star Petroleum Company in Thailand. The Bapco participants were mainly from TSD and OPD, plus part-time representatives from Maintenance and Plant Engineering and RED. The team identified many opportunities for improving FCCU profitability, ranging from potential process and operational changes, to simple hardware modifications, to changes to the process configuration. The ideas were grouped according to cost

and time to develop and implement. They will now be evaluated in detail to finalise the potential quick wins and modifications which could be considered for implementation with modest investment in the forthcoming FCCU T&I. During the closeout meeting GM Maintenance and Manager TSD thanked

the team for their sustained, enthusiastic, motivated and focused efforts in identifying the opportunities for improvement on the FCCU. They commented that this first AOS at Bapco had been a great success and that it demonstrated that substantial benefits could be obtained from this JV network initiative and the future studies on Bapco’s other key process units.

Dr. Sayed Raza Organisesthe 4th Annual Heart Failure Symposium

BOOST: Identify the Pinch points at your workplace

Bapco’s Environment, Health & Safety Committee (EHSC) held its monthly meeting for February. The meeting was chaired by Mr. Ebrahim Talib, Deputy Chief Executive (Marketing & Refining), Chairman of the EHSC. The following issues were discussed during the meeting:

• There were no Lost Time Injuries (LTI) or Non Lost Time Injuries (NLTI), however one first aid injury was recorded during January 2017.

• The EHSC congratulated all employees and contractors on achieving 5 Million Bapco and Contractors employee-hours without a lost time injury on 11 February 2017. This is a significant achievement particularly since we had a relatively poor safety performance last year. The challenge now is to sustain this level of performance by using all the available tools such as “4 Keys to Safety” and “Osool Bapco” to prevent all injuries to ourselves and contractors.

• The EHSC also congratulated all employees and contractors on achieving the British Safety Council Sword of Honor Award. Bapco is the first refinery in the region and the first company in Bahrain to win the sword of honor. Well Done to All.

• 10 Process related Incidents of which 4 have been PSE tiered (40%) were recorded during January 2017. There was one reliability clock reset due to the shutdown of Platformer on 5th January 2017 due to an internal leak in the reactor effluent cooler 38E3A.

• There were 6 road traffic accidents during January 2017, 2 involving Bapco and 4 contractor drivers.

• There were 1 unplanned and 5 planned flaring incidents during January 2017. The Environmental Performance Index (EPI) is currently at 9.2 vs a target of 7.0. We can only primarily maintain this level of performance by reducing the unplanned flaring and oil spills.

• The EHSC reviewed the Q4 progress status of 2016 EHS Objectives and Targets. Although good progress has been made, several were found to be behind schedule and will be carried forward to 2017.

• The draft 2017 EHS Objectives and Targets were presented and will be sent for final review before these are adopted to be tracked by the EHSC on a quarterly basis. We need to ensure that we make all efforts to achieve these objectives on target, as agreed at the beginning of the year.

• The annual management review of the Environmental Management System (EMS) ISO 1400:2004 was presented at the meeting to ensure its continuing suitability, adequacy and effectiveness. The key environmental achievements and opportunities for improvement were identified with a number of recommendations to achieve continual improvement. The EHSC endorsed the recommendations.

Dr Syed Raza, Consultant Cardiologist & Physician, Awali Hospital organised recently the 4th Heart Failure Symposium for the fourth time in Bahrain as a leading Heart Failure specialist representing Bahrain in the MENA region. The symposium was held at the Hotel Rotana Downtown, Bahrain on 15th of February 2017. During the event, Dr. Raza spoke about the heart failure disease and said: “Heart Failure is a growing major public health problem globally. This has high prevalence

despite advanced level of care, research and resources spent on managing cardiovascular diseases and co-morbid conditions like Diabetes, Hypertension, high cholesterol, and obesity”.“Heart Failure is now considered as second biggest killer by international statistics. One year survival with heart failure is worse than some common cancers like of breast, uterus, prostate, bladder and skin. However, the good news is that heart failure is preventable if detected early”, he further said. Dr. Raza

also said that there is very little data on heart failure in the MENA region”, he further said. “Few studies have shown that there are multitude of problems, barriers, challenges and opportunities in this part of the world when it comes to management of heart failure. The biggest problem that has been identified is the lack of awareness not only amongst general public and patients but also amongst healthcare professionals”, he added. The symposium was attended by well-known cardiologists, physicians and other healthcare professionals across the island. The purpose of the symposium was to educate them and also increase their awareness of this deadly disease. “Preparations are also being made to launch the first Heart Failure Public Awareness campaign to be held in the City Centre Mall on the 18th of March 2017. There will be a number of educational activities including basic screening for heart failure during the event”, Dr. Raza concluded.

Bapco & Contractor employees have recently achieved a record safety figure in completing 5 million hours without a Lost Time Injury (LTI) on 11th February 2017. This is the first milestone achieved this year and is equivalent of approximately 130 safe working days. The remarkable accomplishment reflects the ongoing efforts and dedication of Bapco & Contractor employees to working safely as part of the daily operations of the company. Commenting on this occasion, Bapco’s Deputy Chief Executive (Refining & Marketing) & Chairman of the Environment, Health & Safety (EHS) Committee Mr. Ebrahim Abdullah Talib said, “This laudable accomplishment is a reflection of Bapco and Contractor employees’ keen efforts exerted in practising safe working habits regularly. The 5-million mark would not have been possible to achieve without their usual committed efforts and dedication to achieving such outstanding milestones, which are indeed praiseworthy”. “In Bapco, we are committed to firmly establishing a zero-incident and zero-injury work environment. Our next milestone is 8 million employee-hours which is due by end of May 2017, and which can be achieved by completing 108 days without an LTI. We have previously worked safely for longer periods without an LTI and I am assured that this milestone can be realised by continuing to keenly follow Bapco’s existing basic safety tools such as BOOST, OSOOL Bapco and 4-Keys to Safety, which are an integral part of the working culture in our company”, he added. Mr. Talib further expressed pride in Bapco’s renowned role as a pioneering supporter of environment, health & safety endeavours not only on a company level but also throughout the entire Kingdom, in line with the directives of the Minister of Oil and Chairman of Bapco HE Shaikh Mohamed bin Khalifa bin Ahmed Al-Khalifa.
