Creating Multiple Pick Tasks: New in Magaya Software Version 9.3
When you have many transactions such as Sales Orders, Cargo Releases or Shipments, your Magaya system can create many Pick Tasks easily by enabling you to create them all at once.
For example, if you have 200 orders to send out today, the sys-tem use certain criteria to group the orders into a smaller set of Pick Tasks for you in a new wizard that creates them all at once. You don’t have to create the tasks manually one by one.
This is ideal for companies that fulfill many small orders, such as an online store that has many customers who buy one item or just a few items. Instead of creating many Pick Tasks and sending the warehouse employee to the same location many times during the day, you can do one procedure that will enable the employee to move around the warehouse more efficiently. No more going back and forth to the same location to retrieve items.
We will also have a new option to assign a mobile location during picking so every item is accounted for during the pick process. That will be covered in next month’s “In the Works.”

At the end of the year, it’s great to know how much profit you made. This month’s how-to provides some insight into what the profit reports in Magaya can tell you about the profits from your customers.

Understanding Shipment Profits and Costs in Customer Reports
This article explains how the costs for the Houses are pro-rated from the Master.
For example, the Master for a shipment includes only one charge such as the ocean freight that you pay your provider (the carrier). Let’s look at an example to see how the software pro-rates the costs and displays them in the Profit report.
Let’s say the carrier charges you $0.50 per kilogram. This charge is in the Master.
You charge your customers $1.00 per kg by entering this in each House as Income. You do not enter a cost in the Houses.
The shipment has two Houses; one has 694 kg, the second has 510.29 kg.
House 1 weight: 694 kg
House 1 income: $694 ($1 x 694 kg)
House 2 weight: 510.29 kg
House 2 income: $510.29 ($1 x 510.29 kg)
The Profit screen in the Shipment does not show the costs in the Expense column:
The Profit screen shown above is available from the Profit button on the Shipment Tool-bar. The same information displays in the Liquidation screen, depending on your settings.
But the cost for each House does show in the Profit report’s Expense column:
Where does the system get this cost? It is pro-rated from the Master rate, which is $0.50 per kg.
The Expense is all the costs such as the freight, documentation, etc., that are pro-rated across the entire shipment.
This profit report was created from the Reports menu > Profit Reports > Profit by Cus-tomer Detail (Charges). It shows all the charges in the transaction. To view fewer details, select one of the other report options from the same menu. To change what data is displayed, how it’s sorted, or change the font, click the Configure button on the report screen toolbar. You can also save it, print it, or email it.

CASE STUDY: Warehousing, Packing, and Storage 3PLSolidarity Warehouse and Packing Solutions
In the logistics industry, you can choose what services you want to
offer, from full service to focusing on one specialty. Then you can
partner with others to complete the spectrum. Solidarity Warehouse
and Packing Solutions of Houston is true to their company slogan
“Helping you put the pieces together” by working with freight
forwarders who need storage and crating. Solidarity provides staff with
skills and TSA credentials to help their customers on site or at the port.
At their location in Houston, Solidarity has their own carpentry shop
and staff skilled in building a variety of crates, including vacuum pack
and shrink wrap services. Staff members also have Transportation
Worker Identification Credential (TWIC) certification so they can enter
secure areas and work at the Port of Houston or the CargoCenter of the
Bush Intercontinental Airport as needed.
When a customer of Solidarity’s sends cargo directly to the port instead
of to Solidarity’s warehouse, Solidarity can send staff there to serve
the customer’s needs. At the port, if an item needs a special pallet built
to make the item forklift accessible so it can be loaded, Solidarity can
do it. If a tractor needs the glass of the cabin boarded up to protect it
during transit, they do it before it’s loaded.
According to the Houston Port Authority, the Port of Houston handles
65% of the break bulk and project cargo in the U.S. and 70% of all
containerized cargo in the Gulf of Mexico. With so much project cargo
going through this port, it makes good business sense to offer services
tailored to this sector. Solidarity fills this need daily. “We go wherever
our customers need us,” said Traffic Manager Josh Bowman. “It’s an
example of the value-added services we offer.”
Warehouse Management OfferingsFor customers who need someone to receive and store their
cargo, Solidarity provides warehousing services. They record and
photograph every item and send notifications to the customers
every step of the way. They use their Magaya software for receiving
items and sending cargo updates to their customers.
When Solidarity’s Traffic Manager, Josh Bowman, first evaluated
software for the business, he selected the Magaya Warehouse
Management System. It fulfilled their needs in the warehouse,
from receiving items, printing bar code labels, handling the
income and cost charges, and providing real-time updates to the
customers.
As the company grew and new customers were referred to them
by existing customers, Solidarity needed to add more services
such as managing Purchase Orders. Mr. Bowman talked to Magaya
and learned that he could upgrade their WMS to the Magaya
Supply Chain Solution and retain all their data. Now they handle
the PO’s for the customer in addition to providing all the WMS
services they had before.
Another requirement Solidarity needed from software was the
flexibility to accommodate their work processes. “Other programs
I looked at required certain fields be filled in to complete a
warehouse receiving transaction. Magaya is more flexible,” Mr.
Bowman said. “We can get the cargo received with very little
information and add more details later as the customer sends
them. It gets the cargo checked in quickly while maintaining
accuracy.”
The flexibility of the software also gave them the option to
customize the receiving labels and other documents according to
their needs.
“We wanted a label for our Job jackets that showed the customer
name and date. We contacted Magaya who made a custom label
for us with the details and our logo.” They also customized the
Warehouse Receipt with the logo and added a custom field.

Solidarity is a third-party logistics company (3PL) that also provides cross docking,
packing and crating services. Located in Houston, Texas, many of their clients are freight
forwarders who ship freight for the oil industry. They also have staff with the credentials
to enter secure port areas to work on customer projects such as building specialty skids
and pallets for loading oversized or unusual cargo.

are oil field equipment going overseas and other project cargo. Other
types of freight they ship include vehicles, personal effects, and
electronics.
During the cargo receiving process, they take photos of the cargo at
every stage: when it arrives, when they build a pallet or skid for it, and
later when it is sent out. “Our customers have gotten used to this level
of constant communication,” Mr. Bowman said.
The accounting department adds charges to the Warehouse Receipt
for the packing and crating. Those charges are then converted into
Invoices. All the bills from the trucking companies are compared
with the charges in Magaya. Patrice in Accounting said she uses the
reporting features in the software to see open invoices, aging accounts
and what is unpaid. When Solidarity was first considering the software,
she viewed the video tutorials online to see the accounting features
to ensure it would meet their needs. She said the software is similar to
what she used previously, which made it easy to learn. “It’s easy to work
with and is user friendly. It has not been painful,” she said.
Other reports Solidarity makes include weekly reports for customers to
keep them informed about what was shipped out and what’s on hand.
One customer wanted to know how many containers were needed to
ship all the items needed for one rig. Mr. Bowman looked through the
report menus and found the Commodity List offers a variety of reports
related to operations as well as the financial reports.
The reporting and communications features are some of the features
they like, said owner Kye Krus. “We pride ourselves on keeping the
customer informed about their cargo every step of the way. Our
customers have grown to like that service we provide. The notification
tools in Magaya make it easy for us to keep our customers in the loop.”
“Sometimes the customer is not the shipper, so we don’t want to
put their name in the Shipper field. Now have a new field to select
the customer name from our list. We also added a date field into
our shipping documents to show the last day the customer has for
free storage.”
When cargo is released from the warehouse, Solidarity creates
the documentation by using the Outgoing Shipment part of the
software which has a list of document templates built in. “We can
select any kind of document we want and the data gets filled in
automatically,” he said.
They also created a document for their release process. “We
created a document called ‘Release to Pack’ which gives
instructions to our warehouse staff about how to pack and crate
items. Then we update the document when the job is complete
with the new dimensions of the crated item and the name of the
person who signed off on it. Then I send the revised document to
the customer.”
Keeping Customers and Staff InformedSolidarity uses the email notification feature in Magaya software to
email the Warehouse Receipts via a link to the customer. “I like the fact
that we only have to send the customer one email because the link
connects to the latest information,” Mr. Bowman said. “They can use
the same link throughout the day or week to see the latest details on
their cargo. They know when their shipment went out and who picked
it up and all the items in the shipment.”
“Some of my customers are using the smart phone app to see their
cargo, but we also use it,” he said. The Track2Go app works with the
Transaction Tracking feature. “It helps us because we use it while we’re
walking around inside the warehouse. We just enter the Warehouse
Receipt number into the app, and we can see the cargo details. We
don’t have to walk all the way back to the office and look it up on the
PC,” he said. “The office is pretty far away. We’re always looking for
ways to make our job easier and keeping our customers informed.”
Solidarity has one warehouse for air freight cargo and another for the
ocean freight and the carpentry shop. The total business is about 60%
exports, about 40% imports, with some occasional domestic shipping
within the US. Many of the imports arrive from Spain and Austria and
include stainless steel pipes and bars for oil drilling. Most of the exports
