Whether you are a new full‐time faculty member or one of our part‐

College of Education in the state of Georgia, with over 3,000 students
enrolled in 61 programs. You are part of a team of talented
faculty members who are committed to the vision of teaching excellence,
evidence‐based practice, exploration of new knowledge through applied
research, and multifaceted collaboration. They are proud to prepare
candidates are for a lifetime career in education, whether they go on to

Parking All faculty who park on campus are required to register with Parking services. Parking hangtags may be obtained at Row Hall, Monday through Friday between the hours of 7:30 a.m. and 5:00 p.m. The cost for faculty/staff and contract employees is $15.00/academic year. Campus Email Your email account will be set up by your department upon employment at UWG. Typically your email
user id is made up of your first initial followed by your last name or part of your last name. The
department staff assistant will provide you with your user id and initial password and you will be asked
to set up your own unique password which is a 6 character combination letters and numbers or special
characters. It must include at least 1 number or special character and at least 2 alpha characters.

Identification Card A new employee may obtain a UWG identification card as soon as his/her information is added to the
Banner system. ID cards can be obtained in the Auxiliary and Support Services Office in the Campus

The Faculty Handbook The Faculty Handbook is the definitive guide to policies and procedures and they apply to you as a
faculty member. The most recent version of The Faculty Handbook may be accessed from the homepage
of the Provost and VPAA at http://www.westga.edu/vpaa/. It is accessed by selecting the link “Academic
Policies” from the menu on the right hand side of the page and then selecting the link “Faculty
Handbook”. The handbook contains policies and procedures related to: general applicability to faculty
in Section 100; teaching responsibilities in Section 200; service responsibilities in Section 300;
professional growth and development activities in Section 400; and miscellaneous policies, procedures,
and information in Section 500. Several sections of the handbook will be referenced throughout the
remainder of this document but you may always refer back to The Faculty Handbook for original source
material.
Human Resources The Human Resources Department is located in Aycock Hall on Front Campus Drive and the homepage is
located at http://www.westga.edu/hrpay/ . HR is responsible for benefits administration, staff
recruitment, training, workers compensation and payroll administration services for UWG. You have
likely already had contact with staff in HR. Payroll is administered using the Automatic Data Processing
(ADP) system. Your area/program staff assistant can help you register for ADP. You can find information
regarding ADP on the ADP portal at https://portal.adp.com/public/index.htm
Information Technology Services Information Technology Services (ITS) provides UWG faculty and students with the technology resources
and support needed to be successful and productive. They provide a wide array of technical resources

MyUWG MyUWG provides the campus community access to email, campus and personal announcements, and

Banweb Banweb is the web interface to UWG’s student information system. Your user id is your social security
number and your initial PIN is the last 2 digits of your birth year followed by the last 4 digits of your
social security number. Once you are logged in, you can find your class roles and other information. On
the Class List page, you can download a copy of your class list that can be easily imported into a
spreadsheet, or even specially formatted to subscribe your students to a class listserv.
You may access Banweb after logging into MyUWG at http://myuwg.westga.edu. Once logged in, simply
click on the "BanWeb" tab.

Online Learning at UWG (CourseDen) CourseDen is UWG's learning management system. It allows students and faculty to interact in an online
classroom environment. Faculty use CourseDen to teach fully online courses, partially online courses or
to supplement face‐to‐face courses. When an instructor is assigned to a course in Banner, a blank course
is set up for the course in CourseDen and the instructor can design his/her own content, copy content
from another course, assign a template to the course or import content from a file.
The direct URL for CourseDen is http://westga.view.usg.edu but it may be accessed from several
locations on the web. Your CourseDen Username is the same as your myUWG email username (minus
the @westga.edu). Your default password is the last two digits of your birth year followed by the last
four digits of your social security number. To learn more about CourseDen go to
http://webct.westga.edu/ or contact distance learning at [email protected] to arrange for training.
Distance and Distributed Education The staff of Distance and Distributed Education is central to the success of online learning at UWG. They
are located in the Honors House at 1601 Maple Street. They are dedicated to helping faculty to focus on
teaching rather than technology. DDEC staff hotlines and provide personal assistance to both faculty and

TecHUB
TecHUB is a free resource center for educators located in the COE. You may hear people refer to it as
the Teaching Materials Center which is the former name of TecHUB. TecHUB provides curriculum
resources and materials not only to faculty of UWG but also to educators within the community. You can

Ingram Library
Irvine Sullivan Ingram Library is named in honor of the institution’s first president and is located on Back
Campus Drive. Faculty parking is located adjacent to the University Community Center, the Humanities
Building or the Townsend Center. The Library opens Sunday at 2:00pm and closes Friday at 11pm. It is
open on Saturday from 10am until 6pm and is closed on Memorial Day, Independence Day, Labor Day,
Thanksgiving holiday (November 27 and 28), Winter Holiday (December 17 through January 1). In
addition to library holdings you have access to online materials such as GALILEO, databases, journals and
more. Online access is by password and changes each semester. For information regarding the library

Computer Labs
The College of Education provides computer labs in Rooms 204 and 205 of the Education Center. These
labs are open on the first day of classes until the last day of exams and are closed on all university
recognized holidays. They are open for general use when classes are not scheduled to use the labs. If
you need to schedule a computer lab for a class contact your area staff assistant and they will work with
the dean’s office staff to reserve the lab for you. More information about the labs, hours of operation,

Counseling and Career Development Center
The Counseling and Career Development Center is located in Row Hall and provides counseling and

make outreach presentations to your class on a wide variety of topics. They are also available to consult
with you regarding issues affecting the personal and academic well being of students. They can assist
you with student crises, assessment of a difficult situation, facilitate interventions, identify resources

Office of Research and Sponsored Operations
Full time tenure track faculty members are expected to engage in research and it is one of the areas in which a faculty member is evaluated for promotion and tenure. Funds are allocated each year to support full time faculty members in their unsponsored research operations. Your area chair can advise you regarding the availability of funding. Faculty are expected to not only engage in their own research agenda but also are expected to participate in support of graduate student research. The Scoop The Scoop is the Student (and faculty) guide to important information regarding the university
calendars, registration information, distance education, advisement, tuition, financial aid and other
important information. It is accessible online from the registrar’s office at

The official university calendar may be accessed from within the Scoop and provides important
information regarding deadlines, class dates, holidays, final exam dates, due dates for grades, and
graduation.
Syllabus Your area/department/program has syllabi for the courses that you’ve been contracted to teach and
you need to communicate with the area chair/department coordinator regarding the expectations.
There are some parts of the syllabus that cannot be changed. These have been approved through the
COE and UWG curriculum approval process and if a change is needed it must be submitted for approval
through that process. For example you may not change course title/number, course description,
required instructional resources (subscription to Tk20), grading scale, or course objectives or
departmental, college or university policies. You may however design your own approaches to
instruction; select your own texts (if they have not already been ordered and in consultation with the
department coordinator); select your own instructional resources; design your own assignments and
define your own evaluation procedures for those assignments. The department coordinator can share a
syllabus (or syllabi) from previous semesters to help you get some idea of content. The COE has a
syllabus template the link to which is located at http://www.westga.edu/coe/index_185.php . The

template contains all of the elements required in the syllabus. If you have questions, please contact your
area chair or department coordinator.
Textbook Orders Orders for textbooks are placed through the area department assistant and then sent to the University
Bookstore. The Bookstore is located on West Georgia Drive. If you need a desk copy of a text, please let
the department assistant know.
Class Roster and Class Roll Verification Once you are assigned to a course in Banner, your class roster will be available to you in Banweb which
you may access through myUWG. Under no circumstances should a student be permitted to remain in
class unless his or her name appears on the official class roll. Class rolls must be verified at two times
during each semester and the registrar’s office will send an email with the deadline by which this must
be completed. For a tutorial on how to verify rosters please go to

Please verify your class roll by the date the registrar’s office sets. New federal regulations require that
the Financial Aid office verify that students who get an F in a course actually earned the F, as opposed to
getting an F because they never attended. If you do not confirm attendance through the existing class
roster verification process you will be contacted by the financial aid office if you assign an F to a student.
You will NOT be contacted if you have verified your roster.
Assessment of Student Learning The College of Education (COE) is committed to assessing the knowledge, skill, and dispositions of
candidates seeking degrees and other credentials. We do so through a comprehensive assessment
system designed to collect, analyze, and maintain information about the achievements of our
candidates. Data collected through the COE assessment system are used to improve educational
programs, thereby improving the knowledge and skill of our graduates. The assessment system
documents what is being accomplished to candidates, faculty, staff, and other professional partners and

stakeholders. Importantly, the data are collected, analyzed, and reported in such a way that external
accreditors such as NCATE and the Georgia PSC are able to verify that graduates from the COE at the
University of West Georgia possess the knowledge, skills, and dispositions to be effective in their chosen

The cycle of assessment starts with goals. What do we want candidates to know and be able to do, and
in some instances believe, as a result of participating in COE programs? Each program in the COE has
specified expected learning outcomes they believe to be needed by effective educators and other
professionals in their respective disciplines. Program faculty have also developed or identified key
assessments to help them identify patterns and trends of achievement, strengths and weaknesses,
related to these outcomes. Please check with your department coordinator or area chair to determine if
you are expected to conduct a key assessment during the current term.
The assessment data are reported to program faculty each year and serve as the basis for new or revised

you log in to MyUWG from the UWG homepage (http://www.westga.edu/) by clicking on the
faculty/staff link. A log on box will open for you to enter your username (jsmith) and password.

you have successfully logged on to your MyUWG page, click on external resources, click on the COE Tk20
text in the resources box (not the graphic, the text), and then click on “continue to Tk20” to view your

Assessing an Assignment
Students will receive a Pending Task in their Home tab to notify them of your Assignment. When students start submitting their Assignments, you will be able to assess them in Tk20. Follow these simple steps:
Log into Tk20 Under the Pending Tasks section of the Home tab, click on You have Pending Assessments You will see a list of your Assignments as well as the names of the students that have submitted
the Assignments To assess a particular student, click on his/her name. You will then see a double-sided screen with the Assessment Tool on the right side, and the
student’s work on the left. To see the student’s work, click on the respective link on the left side of the screen. This will bring up another window (if it’s a Word document, it will open in Word; Excel will open in
Excel, etc.) Refer back to the double-sided screen and look at the Assessment Tool. If it is a rubric, select
the radio button that corresponds to the number of points you wish to give. Do this for every criterion listed.
To calculate the total score at the bottom, click on Calculate Score at the bottom. The system will automatically calculate the scores based on what radio buttons you’ve chosen.
You will also need to enter in a Grade for the student based on the total score. Click Save. You will see a second screen with an overall grade and overall score. Fill these in and click

Grading Final grades are entered on Banweb according to the due date established by the registrar and
published on the University Calendar. A reminder will be sent to faculty by email. Faculty members are
expected to meet the announced deadlines for entering final grades. Failure to do so results in a grade
of NR (not reported) for the student, which may have serious consequences for the student. Instructions
on how to enter grades on Banweb may be found at

A grade of “I” may be given in lieu of a final grade when a student with work of an acceptable quality (at
least a D) is unable to complete the course requirements or take the final exam for non academic
reasons beyond his or her control. The incomplete grade form may be accessed at
http://www.westga.edu/vpaa/index_5879.php. The instructor who assigns the grade of “I” submits the
form to the registrar’s office, retaining one copy for his/her records. The student who receives the “I”
arranges with the instructor to complete the required work
Once final grades have been submitted on Banweb, all grade changes must be submitted on a Change of
Grade form available from the area/department staff assistant or from the registrar’s website at
http://www.westga.edu/assetsDept/registrar/Grade_Change_Form_5_12(1).pdf The form must have
the approval of the appropriate department/area chair prior to being sent to the registrar’s office.
Students have the right to appeal a course grade. Grade appeals must be submitted in writing, using the
form and procedure available from the Provost’s and VPAA website at
http://www.westga.edu/assetsDept/vpaa/GradeAppealForm.PDF. Grade appeals fall into two
categories, Dishonesty Grade Appeal or Grade Determination Appeal. A Dishonesty Grade Appeal is an
appeal based upon the assignment of a grade due to an allegation of cheating, plagiarism, or some other
act of academic dishonesty. A Grade Determination Appeal is based on policy disagreement or alleged
charges of arbitrary or unfair treatment by the involved faculty member. All academic appeals shall be
initiated no later than the end of the semester following the assignment of the grade. Grade appeals
due to an allegation of Academic Dishonesty may be made as soon as a grade penalty has been levied
against a student based on such an allegation. The procedure and review process may be found on the
grade appeal form.

Course Evaluation Faculty members with instructional responsibility must allow students the opportunity to evaluate
courses and the quality of instruction sometime during the final week of classes. The form used at UWG
is the Student Evaluation of Instruction (SEI). The staff assistant in your area will provide you with the
appropriate number of SEI forms in an envelope with instructions for administration. In the COE, the SEI
is generally administered by a student volunteer in the class and the instructor is not present for the
evaluation. Forms are returned to the Dean’s office or the staff assistant in the original envelope that
has been sealed with the signature of the student administering the form across the flap. The following
term the area chair will return the original forms to the instructor along with the ITS summary. You may
keep the summary for your records but must return the original forms to the staff assistant. They will be
kept on file for your use in future evaluations (promotion and tenure; post tenure; etc.). If your course is
delivered using Course Den students will also have the opportunity to complete a separate evaluation
developed for distance courses. Faculty are sent a form along with the results of their distance course
surveys and are asked to provide written documentation reflecting on their DE course evaluation results
and how the students’ feedback will be used for improvement.

Academic Honesty An academic honesty statement is required on each COE syllabus and states "Students are expected to
adhere to the highest standards of academic honesty. Plagiarism occurs when a student uses or
purchases ghost‐written papers. It also occurs when a student utilizes the ideas of or information
obtained from another person without giving credit to the person. If plagiarism or another act of
academic dishonesty occurs, it will be dealt with in accordance with the academic misconduct policy as
stated in the Student Handbook, Undergraduate Catalog, and Graduate Catalog." In cases of obvious or
suspected dishonesty, the professor shall confront the student with the evidence and determine and
enforce the penalty if a penalty is warranted. The student or the professor has the right to have another
faculty member present when the discussion about obvious or suspected dishonesty takes place. The
outcome may consist of a change in grade which can range from the lowering of a grade for a particular
class project or test to failure for the course. The student may appeal this action to the department chair
and through regular administration channels to the Grade Appeals Subcommittee of the Academic
Policies and Procedures Committee
Drug Free Workplace Policy As a recipient of Federal funds, University of West Georgia supports and complies with the provisions of
the Drug‐Free Workplace Act of 1988. University of West Georgia expects faculty and staff to meet
appropriate standards of performance, to observe basic rules of good conduct and to comply with

Emergency Closing Policy Because of the difficulty of making up lost time, classes or examinations are cancelled only in extreme
circumstances. In the event of emergency University closing, announcements will be made on the main
University web site, and over the campus radio station as well as radio stations in Carrollton, Newnan,
Bremen, and Douglasville, and radio and television stations in Atlanta.

Family Educational Rights and Privacy Act of 1974 (FERPA)
Education records at UWG are defined as any portion of the educational history of a student that is
maintained by the university for the purpose of sharing by other academic officials and is intended to
support the academic degree progress of the student. Information regarding FERPA and its applicability
to your role as a faculty member may be found on the registrar’s website at
http://www.westga.edu/registrar/962.php. Third party disclosures are prohibited by FERPA without the
written consent of the student. Any persons other than the student are defined as third party, including
parents, spouses, and employers. All educational officials are required to secure written permission
prior to the release of any academic record information.
Sexual Harassment Policy Sexual harassment is prohibited by the University of West Georgia, the University System of Georgia and
by state and federal law. The University of West Georgia is firmly committed to maintaining a work
environment free of sexual harassment and does so by providing training for all employees explaining
the definition of sexual harassment, how to report sexual harassment and the consequences for sexually
harassing a member of the University community. Sexual harassment of any member of the University
community is prohibited and will subject the offender to disciplinary action which may include

Travel Policy UWG follows the Board of Regents Business Procedures Manual Section 4 and State of Georgia Travel
Regulations with regard to travel expenses. These policies and procedures are supplemented with

Travel expenses are entered using the PeopleSoft Financials system. Instructions for registering for

Travel for Professional Development
Faculty allocations for travel are managed by department chairs. All travel must be pre‐
approved. For procedures, per diem rates, and expense reports, please go to UWG Travel

Standing Travel for Off‐Campus Teaching and Supervision
Field supervision or travel to off campus teaching sites is reimbursed for full‐time faculty who
must travel from Carrollton to another location. They must comply with the guidelines related to
Standing In‐State Travel Authorizations. Information and a link to the form can be found at:

The process for submitting expense reports is the same as for other travel.
Part‐time faculty members are not reimbursed for travel to off‐campus locations.
