St. Martin Parish 4-H Jr. Leadership Club 2015-2016 Officer Duties and Expectations Congratulations on your interest in being a leader of your club. This experience will enhance your leadership skills and is, indeed, a privilege. Being an officer requires work and not just a position. This packet will help you decide if you want to run for an office. If you want to run for an office of the Jr. Leader club please read this packet entirely. All officers are EXPECTED to: Attend the 4 day planning Jr. Leader Planning Retreat in July 2015. The dates and location will be announced by May 2015 Attend a planning meeting each month from August 2015-April 2016 Attend all Jr. Leader club meetings from September 2015-April 2016 Attend and Participate in all fundraisers held by the Jr. Leader club Attend and Participate in all social activities held by the Jr. Leader club Read and respond to all correspondence from 4-H agents, planning team members, and club members (including emails, text messages, & phone calls) Read and fulfill the officer position requirements included in this booklet Application Instructions: The officer application is found in this packet. The clover score will be added to the total number of votes received to declare a winner of each office (up to 10 points). The packet is due to the 4- H office by Friday, April 10, 2015. Officer Elections: Elections will take place at the April Jr. Leader Club meeting on April 13, 2015 at the 4-H office. Each candidate should prepare a 2-3 minute campaign speech/presentation talking about why they are qualified to be an officer and their participation in Junior Leaders/4- H for the past year. PowerPoints, props and/or pictures can be used in the campaign speech. Campaign materials can be distributed to members at the April meeting. If no one signed up to run for an office, we will take nominations from the floor, but a clover score will not added to the final votes. Conduct and Participation: In the event that the elected officer does not fulfill their requirements, they will be put on probation and/or replaced with the next highest vote getter that is not already an officer. This includes lack of participation, not fulfilling officer responsibilities, and/or not fulfilling outstanding behavior at 4-H events and school. NO EXCEPTIONS! ALL NOMINATIONS ARE DUE IN 4-H OFFICE BY FRIDAY, APRIL 10, 2015.

Officer Responsibilities President: (must be at least a 9th grader in 2015-2016)

o Provide overall leadership to the club and the planning team. (This includes establishing open communication with members; making sure things get done; meeting with 4-H agents on a regular basis; evaluating performance of club constantly)

o Plan each meeting with agents and planning team o Make a monthly Jr. Leader club meeting agenda o Send 4-H Agent the agenda via email at least two days prior to meeting o Preside over each Junior Leader meeting o Give a 5-10 minute “leadership” presentation at each club meeting to help build

leadership skills of members (topics can include communication skills, decision-making, appreciating diversity, conflict resolution, stress management, etc.)

o Make sure all planned community service activities are carried out o Make sure other officers are doing their jobs o Serve as a leader in a variety of roles on the parish level o Serve as a St. Martin Parish advisory leadership committee member o Model good overall behavior, especially at 4-H events

Vice President: o Responsible for planning and conducting the educational program at each meeting (the

program should directly relate to the service-learning project topic). Must plan programs that vary in delivery. For example: games, lessons, demonstrations, guest speakers, movies, teambuilding activities, arts and crafts, etc...

o Be willing to get program ideas from club members and address their needs through programming efforts.

o Serve on the planning team to plan each meeting with agents and other team members o Conduct meeting when president is absent. o Help president when needed. o Model good overall behavior, especially at 4-H events

Secretary: o Keep the minutes of each meeting (planning & club meeting) - take notes during each

meeting. Keep a secretary’s book with minutes from each meeting. Bring the secretary’s book with you to all meetings.

o Serve on the planning team to plan each meeting with agents and other team members o Read the minutes of the previous meeting at each monthly club meeting o Keep records in an organized and neat manner. o Model good overall behavior, especially at 4-H events o Conduct sign-in at all Junior Leader meetings and activities where members are

volunteering. Remind members to sign in. o Model good overall behavior, especially at 4-H events

Treasurer: o Give treasurer's report at each meeting. o Collect membership dues at club meetings, write receipts for dues, and give money and

forms to agent(s). o Plan and organize an ice breaker activity for the beginning of each meeting. o Hold at least one fundraiser a year and provide leadership for fundraiser(s) o Serve on the planning team to plan each meeting with agents and other team members o Model good overall behavior, especially at 4-H events

Reporter/Photographer: o Give reporters report at monthly club meeting. The report should include recognizing

members who have volunteered or done an activity directly related to Jr. Leader events/activities.

o Take pictures of Junior Leader members at Junior Leader activities and give to agent(s). o Write articles about Junior Leader activities for newsletter, Teche News, and web page

and turn articles into 4-H agent. o Serve on the planning team to plan each meeting with agents and other team members o Make sure you give agents a copy of all pictures and articles submitted. o Model good overall behavior, especially at 4-H events.

Service Learning Chairperson: (must be at least a 9th grader in 2015-2016) (2 spots) o Responsible for implementing service learning project for the club. o Give a service-learning report at each club meeting. o Create a monthly service learning educational flier that educates members’ about the

service learning topic. The flier should be emailed to the agent prior to each month’s club meeting so they can print it.

o Appoint club members on a service-learning committee to help with project o Must be willing to meet with 4-H agent at regular intervals to evaluate project. o Serve on the planning team to plan each meeting with agents and other team members o Model good overall behavior, especially at 4-H events

Parliamentarian: (2 spots) o Gather flags and gavel before meeting from 4-H agent’s office and set up table correctly.

Put flags and gavel back where you found it after the meeting in the 4-H agent’s office. o Set up room with chairs and sign in table prior to each meeting. That means you will

have to arrive early to set up. o Help club officers run the business part of the meeting using parliamentary procedure. o Set up more chairs if there are not enough for members during club meetings. o Keep list of parliamentary things that 4-H agents need to address to members (examples:

behavior problems during meetings, disrespectful members, etc.). o Serve on the planning team to plan each meeting with agents and other team members o Model good overall behavior, especially at 4-H events
