Thank You for All You Do!Thank you for volunteering to serve as a Troop Cookie Manager. Your efforts are extremely important to the success of the Cookie Program! Our Council offers this program to increase opportunities for girls. Not only does it help girls develop five key business and leadership skills; revenue generated from this

program also creates funds for girl-led troop activities and projects, provides services and events for girls, builds and maintains camps, and develops quality training for adults.

Without you, this would not be possible. We appreciate YOU! The Cookie Book outlines the volunteer responsibilities of the Troop Cookie Manager (TCM).

As part of VIP eTraining, volunteers will complete, sign and submit the TCM agreement.

Troop Packet Be sure all of the materials you need for your girls and troop are packed inside your Troop Packet.

Cookie Kick-Off with Girls and Families1. KICK OFF COOKIE SEASONHelp girls get ready by selecting learning activities that fit their experiences and interests. You can start by creating a custom plan with the “Built By Me” tool on LittleBrownie.com. Then, kick off your first cookie meeting with a video! Live cookie videos are engaging, interactive shows that inspire girls to reach high goals. Girls learn selling tips and have loads of fun along the way. First-time sellers love “Cookie Rookie,” made especially for young girls. This show teaches cookie names, how to ask customers to buy and more essential skills. Keep experienced teens interested in the cookie program and give them a chance to give back with the Cookie Captain program. Older girls love being mentors to Cookie Rookies.

2. SET GOALS AND TRACK PROGRESSWhen you help girls set high goals for the cookie season, they learn an important skill for life. Encourage girls to set two types of goals, something they’d like to try and something they can do to help others. Visit Little Brownie Baker’s Volunteer Blog for goal-setting games and crafts.

3. HAVE A FAMILY PARTYHold a short family meeting so girls can tell their families about their goals and ask for assistance. At the meeting, provide copies of the Family Guide to help parents understand the value of the cookie program and the basics of how to get involved. This guide assures them the program is simple—and fun!

4. SELL BEYOND FAMILY AND FRIENDSFor girls to reach high goals, they will need to expand their circle of customers. Don’t worry, customers are eagerly looking for their favorite Girl Scout Cookies. We have loads of selling tips, learning activities and crafts for girls on the “Cookie Rallies and Activities for Girls” pages of LittleBrownie.com.

5. CELEBRATE AND SHARE YOUR SUCCESSWhen girls reach their goals, celebrate! Thank customers, share their stories, post to your social media and tag Girl Scouts, Hornets’ Nest Council.

Girl Scout Cookies Are Altogether Awesome!

Our Girl Scout Cookie Program is much more than a fundraiser. It’s a fun way for girls of all ages to earn money that fuels their dreams and it’s a powerful, hands-on leadership and entrepreneurial program. The countless exciting possibilities - from new business opportunities to a healthier planet to a more beautiful world – begin with the skills girls learn and the action they take today. Girls will learn firsthand the ins and outs of running their own cookie business, even “branding” their enterprise for maximum impact.

Everything girls do in Girl Scouting is designed to help them become leaders in their daily lives and prepare for their bright futures! The Girl Scout Cookie Program helps girls develop 5 key skills:

GOal SeTTinG as she sets cookie sales goals and makes a plan to reach them

deciSiOn maKinG as she decides how her troop will spend the cookie money

mOney manaGemenT as she takes orders and handles customers’ money

peOple SKillS as she learns to talk and listen to all kinds of people while selling cookies

buSineSS eThicS as she is honest and responsible every step of the way

Girl Scouts, Hornets’ Nest Council

2018 Cookie Program Family Guide

How the Cookie Crumbles:

The number one reason people buy Girl Scout Cookies is to support Girl Scouting!

We want customers to understand how the girls and the troop benefit and what their purchases will support.

All of the proceeds – every penny - from the Girl Scout Cookie Program are used to benefit girls within our local council. This revenue is used to fund major council initiatives like supporting and building membership, creating and sustaining innovative girl programming, maintaining and improving camp properties, and offering a platform that allows troops funding for trips, activities and community service projects.

By purchasing Girl Scouts cookies, you directly support the Girl Scout Leadership Experience for girls in your community!

Family Guide

Goal Getter Card

Welcome to the 2017 Cookie Program! The Girl Scout Cookie Program is beneficial for girls, their troops and to the Hornets’ Nest council. The program provides funds to support activities such as Girl Scout troop events, trips, camping and service projects. For our council, the Cookie Program provides funds to recruit and train adult volunteers, organize Girl Scout groups and provide council-wide girl programming in the following five focus areas: STEM (Science, Technology, Engineering & Math), Environmental Leadership & Outdoor Adventure, Healthy Living, Arts & Culture and Financial Literacy & Entrepreneurship. Through the Girl Scout Cookie Program girls develop essential skills: goal setting, decision-making, money management, people skills, and business ethics.

Family Adult Permission and Responsibility Form for the Cookie ProgramMy Girl Scout ________________________________________________, a registered member of troop/group __________ has my permission to participate in the 2017 Cookie Program, including Digital Cookie. In so doing, I agree to accept financial responsibility for all products and money she receives. I will also assist her in making prompt payments for cookies entrusted to her.

I will see that she abides by sale deadlines and that she has adult guidance at all times. To that end, I will review the safety guidelines with my Girl Scout for contacting customers, taking orders, selling and delivering cookies, including the latest online guidelines from GSUSA. ______________________________________________________________ ______________________Signature of Parent or Guardian Date

How Girls Sell Cookies ORDER TAKING (PAPER ORDER CARD)Girls ask neighbors, friends and family members to place orders for cookies. They write their orders on the paper order card, which is turned in to the Troop Cookie Manager (TMC). The TMC enters these orders in eBudde. Payment is collected when girls deliver cookies a few weeks later.

BOOTH SALESTroops pick up cookies and sell them directly to customers, often at booths in high-traffic areas such as grocery stores, malls or sporting events. Booth sale times and locations are organized by the Council and Service Units. Troops may organize their own booths, but they must be approved by council.

DIGITAL COOKIEGirls create customized websites and send emails to people they know, asking them to buy cookies. Customers place online orders and have the option for the cookies to be shipped directly to their homes, request for the Girl Scout to deliver the cookies or donate the cookies to our Cookies for a Cause program. Digital Cookie orders appear automatically in eBudde.

Share These Top-Selling Tips from Real Girl ScoutsDOOR-TO-DOOR SALES Encourage girls to canvass their communities with buddies and adult partners, leaving no doorbell unrung!• Girls can take orders door-to-door at the beginning of the cookie sale with their order cards.• Girls can sell door-to-door with cookies in hand. After cookies are delivered, load up a wagon with cookies,

make signs, and you are ready for a neighborhood walkabout. Use your Digital Cookie App to easily take credit card payments!

WORKPLACE SALES• Girls can contact business owners or managers to request permission to sell cookies at a workplace.• Girls can either make a quick “sales pitch” at a staff meeting or make sales calls around the office, depending

on the wishes of the business.• Once employee sales are completed, the business may allow girls to leave an order card in a visible spot. Leave

a note from your team outlining their goals and plans for the cookie proceeds. (Remember not to list the girls’ last names or phone numbers on the order card or note). An adult at work may oversee the card, but it is the girl’s responsibility to fill all orders, write thank you notes and oversee delivery.

• Girls should establish a date and time to pick up the order card and deliver the cookies.

BOOTH SALES HELP GIRLS REACH MORE CUSTOMERSBooth sales are a great way to increase your team’s success. Remember, you must have the appropriate permission from Girl Scouts, Hornets’ Nest Council before the booth sale. Possible high-traffic locations include:

• Parks• Banks• Universities• Restaurants• Neighborhood Yard Sales• Youth Sports Leagues

SOCIAL NETWORKINGOnline social networking sites are a great place for teens (13 and older with parental permission) to ask for cookie orders. Be sure girls follow the GSUSA safety guidelines for online marketing.

TELEPHONE SALES It’s fast and easy to sell Girl Scout Cookies by phone.• Girls can review order cards from previous years and contact these customers again.• Once cookies have been delivered, girls may want to call customers, thank them for their orders and ask if

they need additional cookies.• Try a text-a-thon. Girls may want to text their friends and family to let them know it’s cookie time and to ask

for orders.

OTHER SELLING IDEAS• Garage Sales: How about having a Girl Scout cookie garage sale? Think of how little competition you’ll have!

Use a troop leader’s or parent’s garage to hold your garage sale. List in the local newspaper. Put up fliers in the neighborhood.

• Walkabouts: Take a wagon train on the road. Pick a day and a local neighborhood for your wagon train. Have troop members bring wagons to decorate and load with Girl Scout cookies. Pull your wagons and knock on doors in the neighborhood to offer Girl Scout cookies for sale.

• Door Hangers: Did you miss a customer as you were walking door-to-door? Create door hangers to leave behind to let customers know you have Girl Scout cookies. Be sure to leave the troop leader and/or troop Girl Scout cookie manager’s phone number. Never leave girl’s information.

• Drive-thru Booths: Decorate a troop leader’s or parent’s van, SUV, hatchback or whatever you have with streamers, washable window paint and posters. Ask permission from a local business to utilize their parking lot. Park your troop’s vehicle in the parking lot and create signs for drivers driving by, letting them know you have Girl Scout cookies for sale. Remember to stay away from the road and remain within a few feet of your parked vehicle at all times.

Cookie Booth Sign-Up & ManagementTHERE ARE 2 WAYS YOUR TROOP CAN HAVE A BOOTH. 1. Sign up to have a booth at one of our Council or Service Unit sponsored locations. 2. Use your contacts to set up your own booth and list in eBudde’s “Booth Scheduler.”

eBudde Booth Scheduler opens Saturday, January 13th at 9 am.* *Be sure to promptly request your booth(s) once the system is open.

BOOTH LAUNCH SCHEDULE• Saturday, January 13th at 9am• Saturday, January 20th at 9am• Saturday, January 27th at 9am

BOOTH SIGN UP RULES• Saturday, January 13th – one booth.• Wednesday, January 17th – one additional booth.• Saturday, January 20th – one more additional booth.• Wednesday, January 24th – two more additional

booth; one per chain.• Saturday, January 27th – two more additional

booths; one per chain.

• Sunday, January 28th – Thursday, February 8th – one additional booth per day.

• Friday, February 9th open (troops may sign up for any of additional available booths).

• Service Unit lottery booths will not be added to eBudde until February 9th.

BOOTH LISTINGS IN EBUDDE. • The 4 regional malls, Carolina Place, Concord Mills, Northlake and SouthPark, will be listed under

the store name “Malls” and will be considered as one chain. • All Walmarts and Sam’s Clubs will be listed under “Walmart.”

Booth sign-ups will be closely monitored and any troop not following the above booth sign up rules, will lose the booth time slot that is outside these guidelines.

Some Service Units will lottery off booths slots that are specific to their area. Please check with your Service Unit Cookie Manager or Booth Coordinator for details.

“MY SALES” BOOTHSYour troop can schedule their own booth at any non-Council or Service Unit coordinated booth location. Troops may conduct “My Sales” booths as soon as they pick up cookies until they are sold out, but all “My Sales” booths must be submitted for approval. Troops may not approach businesses until after January 13th to allow Council and Service Unit representatives time to secure locations for the entire council.

Ideas for “My Sales” Booths: • Use your troop contacts to set up additional cookie booths.• Check to see if your parent has an employer who will allow your troop set up a booth.• Do you live near a semi-busy intersection where you could set up a drive-thru booth?

Ask the owner of the parking lot if your troop can have a cookie booth. • Use your imagination! Please use the “My Sales” feature of the “Booth Sale” tab to inform the Council of your troop scheduled sales. This ensures other troops do not have the same location reserved and adds your booth to the Cookie Locator so customers looking for Girl Scout cookies can find your location. “My Sales” booths must be submitted for approval at least 72 hours prior to the booth date. Troops may start requesting “My Sales” booths on Wednesday, January 17th.

The possibilities are endless!

Super Star Booth ChallengeSecret Shoppers will visit cookie booths at random around looking for troops that have a “Super Star Booth.” This promotion encourages girls to utilize the five skills from the Girl Scout Cookie Program while following proper booth etiquette. Booths will be reviewed and will be selected based on the following criteria:• Product knowledge• Proper handling of money• Adult-girl ratio (at least 2 girls and 2 adults

and no more than 4 girls) • Promotion of Cookies for a Cause• Troop goal displayed• Girls demonstrating polite behavior

• Organized booth with various marketing elements• Girl Scout attire (GS uniform, cookie apron,

GS or cookie t-shirt)• Troop number visible• Price per package of cookies displayed• Empty cases stored neatly• No siblings (tagalongs) present

Super Star Booth troops will earn a “Super Star” cookie patch for each Girl Scout present and be entered to win one of the following prizes: a custom, reusable troop goal poster, a custom troop banner or cookie cut-out signs. The booth may also be featured in our social media.

Cookie Booth Tips & Guidelines Offer a Cookies for a Cause option • During booth sales, ask customers to donate cookies to the military,

hometown heroes or your troop’s approved local nonprofit. • Promote the option with posters and a special box (or wagon) for

donated cookies (or tally donated boxes on a large chart). Give away bite-sized samples • Let customers have a taste so they can try something different— they may even find a new favorite • Keep the variety’s nutrition label in full view in case a customer has food sensitivities. Share goals with customers • They love to hear how girls are making a difference, so encourage girls to make posters, banners or t-shirts to get the word out. Make cookie bundles • Attach a ribbon and a handmade card for maximum impact.Give away recipes • Encourage customers to try something new by offering a recipe card with every purchase of multiple boxes.

Cookie Booth Etiquette• Remember to print and bring your confirmation

with you from the “Booth Scheduler.”• Arrive and leave on time. • Come prepared. Bring a small table, chairs,

change, and booth confirmation. • Be respectful.• A minimum of 2 girls and 2 adults at your booth

are required, and we recommend no more than 4 girls total.

• Sell only Little Brownie Baker Girl Scout cookies at your Girl Scout cookie booth.

• Wear Girl Scout uniform and pins.

• Create a colorful display. • Leave siblings and friends at home. • Behave appropriately. Playing games, being on a cell

phone and running around is not appropriate.• No “barking” or yelling at customers.• Keep your money protected. • Leave the area clean. Take empty boxes home

with you. • Thank the manager when you are leaving.• Do not block the entrance or exit of the location.

Initial Order Cookie Pick-UpAll troops from all Service Units except Anson and Montgomery will pick up their initial order cookies from the cookie pick-up locations on February 2nd & 3rd.

• Friday, February 2nd at the Intimidators Stadium, 2888 Moose Rd, Kannapolis, NC 28083• Saturday, February 3rd at the Whitehall Corporate Center, 3600 Arco Corporate Dr #205, Charlotte, NC 28273 REMEMBER • You choose the day, time and location via eBudde. Get your cookies earlier or at a more convenient time. • Troops must bring a driver and a counter. We recommend bringing a person to “count.” The counter can walk

next to the vehicle and verify the inventory count while the driver stays in the vehicle and advances the car through the lane.

• It is very important to have the correct size vehicle for the amount of cookies being picked up. If you need more than one vehicle, all vehicles must be present before picking up cookies.

• Be sure to arrive at your scheduled delivery time. If you are unable to keep your time and arrive at a time not designated to your troop, this could possibly cause delays at the delivery location.

• Girl Scout cookies cannot be returned or exchanged once they are picked up. You are financially responsible for all cookies signed out.

• You must pick up only the number of cases on your initial order. Additional cases, if needed, can be picked up at a cookie cupboard beginning February 8th.

• Vehicles must be cleaned out and ready for cookies.

COOKIES BY THE CARLOAD Please refer to your delivery confirmation to determine the number and/or size of vehicles needed. The amounts are figured with the vehicle empty, using all space except the driver’s seat. We recommend the use of heavy cardboard or plywood as a divider between the driver and the cookies when cases are stacked higher than the back of the driver’s seat.

Cookie Cupboards for Additional CookiesAdditional cookies are available for pick up at any cookie cupboard. • You must have the Troop’s “Cupboard Authorization Card” when

picking up Girl Scout cookies. Authorization cards are inside your troop packet. Be cautious about sharing your authorization card as this enables someone to charge Girl Scout cookies to your troop.

• Most of our cupboards are run by volunteers. Thank them for their time and for making Girl Scout cookies accessible for your troop.

• For outlying cupboards, please contact the cupboard manager in advance to place your troop order and confirm that your order is available.

• At some cupboards you can use the eBudde system to place your cupboard pre-order on the “Transaction” tab.

• Damaged packages/cases will be replaced with like variety only. • Cookies may not be returned or exchanged. • Cookie cupboards will be open until March 3rd except Charlotte Van and Storage (closes March 2nd)• Girl Scout S’mores and Toffee-Tastics are specialty cookies and are available in limited quantities. All initial

orders are guaranteed and we plan to have small inventory amounts in the cupboards while supplies last.

Goal Setting: What is Your Troop’s Destination? As a Girl Scout leader and cookie volunteer, you are in a unique position to influence girls to become leaders of today and tomorrow. Goal Setting is the best way to define the destination for your troop and each girl! Whether the girls want to go to Build a Bear, Savannah, London or want to contribute to their community… knowing your GOAL is the first step of your journey! Set your troop’s destination and celebrate as each girl arrives at their personal goal!!

Toffee-Tastics™ are Fantastic! We’re excited to announce the return of the gluten-free cookie during the upcoming Girl Scout cookie season. Toffee-tastic Girl Scout Cookies are crispy, buttery cookies packed with toffee bits and bursting with rich flavor that is sure to please everyone.

Since this is a pilot program and not a component of our standard cookie varities, it is not listed on the order card. The higher price of this specialty cookie is $5 because of the ingredients and process to make a gluten-free

cookie. This is optional for troops, so please do not add Toffee-Tastic to any girls’ intial orders. This cookie will only be available at the cookie cupboards and will be available at all 10 cupboards.

Cookies for the Troops:The “Cookie for the Troops” (CFT) program provides a perfect opportunity to

send cookies to our military men and women all over the world. We partner with several organizations like the USO and NCPacks4Patriots to send our cookies

to the families who are putting their lives on the line and on hold to protect the freedoms that we hold dear. This is a great way to grow your cookie sale and support our military. Since 2002 Girl Scouts, Hornets’ Nest Council has sent

426,739 packages of cookies to our Soldiers!

Girls receive a Cookies for the Troops patch for selling 12 packages and Hair Tie Trio for selling 24 packages for the troops or more.

Cookie Distribution - Always Use a Receipt• As soon as you pick up initial order cookies, please promptly distribute cookies to the girls.• Protect yourself! Fill out a money/cookie receipt for every box of cookies/money received. • Receipt every box of cookies! Include varieties, how many

of each, to whom, troop number, date, signature of adult accepting and signature of person giving cookies.

• Both parties should count the cookies together and sign the receipt. • When receiving money, count all money before parent leaves premises. You sign in the “Received By” area.

Have the parent sign in the “Received From” area. • Give parent the yellow copy of the receipt. You retain the white copy of the receipt for your records. • Keep copies of all receipts. • Keep track of Girl Scout cookie inventory and money in eBudde.• Parents are responsible for all Girl Scout cookies and money they receive.

Parent must sign receipts, not the girl.

Parent DebtIf a parent owes money for their cookies, follow these steps:• Contact the parent and discuss the problem.• Complete the online “Outstanding Balance Report” at

https://formjotform.us/2018-gshnc-outstanding-cookie-debt• Submit the following of each form to the Product Program department: • Original signed “Parent Permission Form.” • Original copies of all cookie and money receipts (keep a copy for your records). • Other information as needed (i.e. police report, insurance claim).

If a parent tries to submit money after you have submitted an “Outstanding Balance Report”, have them contact GSHNC at 704-731-6546 to make arrangements to pay.

• All delinquent payments after the Girl Scouts Cookie Program is finished should be sent or brought to: Attn: Cookie Accounts Girl Scouts, Hornets’ Nest Council

7007 Idlewild Road Charlotte, NC 28212 All checks are made payable to “Girl Scouts, Hornets’ Nest Council” or “GSHNC.”

Council will assume this debt and the troop will not be held responsible for the payment of these cookies. Troops do not keep proceeds on debt.• The council will send one letter requesting that the parent pay their amount owed.• If a parent does not pay their money by the date stated in the letter, the parent may be sent to collections,

have restrictions placed on them for future cookie sales and/or released as a Girl Scout volunteer.• It is important that if a troop has a parent that owes a debt to submit the “Outstanding Balance Report”

even if you think the parent will pay, so the troop is not held responsible for the debt.• All high-end rewards items for the person owing the debt will be held until the parent debt is paid in full.

Cookie Payment: Automatic Clearing House (ACH) Draft GSHNC does two ACH drafts to troop bank accounts during the cookie season for troops to pay their cookie balance. Troops retain their profits and pay only the “Amount You Owe Council” from the “Sales Report” tab on eBudde.

New troops should have submitted an ACH form to GSHNC when they opened up their troop bank account. If your troop has changed banks, bank accounts and/or troop leadership since the 2017 Cookie season, please submit a new ACH form to Accounting, GSHNC, 7007 Idlewild Rd., Charlotte, NC 28212 by January 16th.

FIRST ACH DRAFT• Ensure that 30% of your initial cookie order money, including Cookie for a Cause and Digital Cookie orders

placed by February 5, is in your troop bank account by February 20th at 5pm.• If an emergency arises and a troop does not have all of the funds available for the first draft, troop

volunteers must email [email protected] by February 20th at 5pm. The email should include the following:

• Current account balance for withdrawal. • When full balance is anticipated. • What caused shortage of funds.

The ACH drafts do not occur on your deadline day. That is when troops need to have funds in their bank account. We allow time for checks to clear and the bank draft process to occur.
