Planning Your Event
Listed below is specific information that will assist you in planning a memorable event.
The Inn at Hastings Park will be available for outdoor, tented events starting May 2019. We will only allow one special
event per weekend day in which we will not be able to accommodate any social gathering.
As the Inn is in a residential community, with facilities open to the public, we are unable to offer indoor space for events.
An exception can be made if you wish to occupy (buy out) the main house of the hotel. A buyout is required there is two-night minimum
stay for all guest rooms in the block.
Minimum Food & Beverage Requirements
For Saturday events and Sunday’s of Holiday Weekends, the minimum for food and beverage is starting at $7,500.00.
Food and beverage minimums for other days of the week vary.
Menu Selections
Your catering manager will assist you in coordinating your food and beverage arrangements. The menus provided are to facilitate
the planning of your catering functions. Our chefs would be delighted to customize a menu for you based on your needs or theme.
Any special dietary requests must be arranged in advance. All menu and wine selections will be finalized with the catering manager
within 30 days of your event to ensure the finest quality of service and cuisine. Our culinary staff prides itself in utilizing only the
freshest and finest ingredients available. All of our menu and beverage pricing is based on seasonality and availability and are
subject to change without notice.
Request for Multiple Entrées
It is possible for guests to be given a choice of two entrees in advance The following stipulations apply:
• If there is a price difference between the entrées, the highest priced entrée will prevail for each entree.
An additional service and execution fee of ten dollars ($10) per person applies.
• Guarantee of attendance with the breakdown for each entrée is due ten business days prior to the event.
• Entrée identification is required at the guest table (i.e. marked place card, colored ticket, or coded name tag).

All alcoholic beverages must be served by Inn at Hastings Park staff.
Inn at Hastings Park strives to provide a safe atmosphere to our guests. To enhance this goal, all service and bar staff are TIPS certif ied.
No alcoholic beverage service will be provided to any person who cannot produce a valid form of identification. We do not condone adults
providing alcoholic beverages to a person not of legal age under any circumstances. Inn at Hastings Park reserves the right to discontinue service
of alcoholic beverages to any individual who appears to be under the influence of alcohol and/or drugs. Abuse of these policies may result in the
removal of an individual; further non- compliance and lack of cooperation may result in the discontinuing of bar service for the remainder of the
event. Inn at Hastings Park reserves the right to discontinue service at any time if beverage consumption is reaching an excessive amount.
Function Time
The maximum allotted time for a function is five hours, from the start of reception to the end of dinner. If your event runs longer than
anticipated, an overtime charge of ten dollars ($10.00) per person, per hour multiplied by the final number of guaranteed guests for the function,
will be applied to your final bill.This price is not inclusive of additional food & beverage requirements.
Confirmation of Attendance
The final number of guests attending is due by 11:00 am seven business days in advance of the event. If we have not received the
guaranteed numbers, the original contracted number will be used as the guarantee. If you have any questions or concerns, please discuss these
with your catering manager.

Service Charges
For all functions on property, a taxable service charge of 20% is applicable and will be added to the final bill.
The service charge and all other expenses, except labor, are subject to the current Massachuttes State tax of 7.0%. Taxes and
service charges are subject to change. If you are tax exempt, please provide us with a valid Massachuttes Tax Exempt Certificate.
Parking
Valet parking will be provided for you and your guests at $15.00 per car and will be posted to your account. Overnight parking
is complimentary for inn guests. Buses ar- riving to drop off and pick up guests must adhere to a five-minute stop time to load and unload
passengers. Buses are not permitted to park in front of the Inn at Hastings Park or neighboring homes
for more than the five-minute time permitted.
Deposits & Payment
The final number of guests attending is due by 11:00 am seven business days in advance of the event. If we have not received
the guaranteed numbers, the original contracted number will be used as the guarantee. If you have any questions or concerns,
please discuss these with your catering manager.
Cancellations
If for unforeseeable reasons the event must be cancelled, the following amounts will be forfeited:
0-30 Days prior 100% of the estimated costs based on the contracted values
31-90 Days prior 70% of the estimated costs based on the contracted values
91-120 Days prior 50% of the estimated costs based on the contracted values
121+- Days prior 30% of the estimated costs based on the contracted values
Guest List Information
As the Inn at Hastings Park is a private hotel, a complete list of all guests and vendors associated with your event must be
provided to your catering manager at least thirty (30) business days prior to your event. Each vendor will receive an
Inn at Hastings Park Vendor Guideline Form that must be agreed to with a signature and returned to the Inn prior
to the event taking place. Failure to do so may prohibit the vendor’s services to be rendered at Inn at Hastings Park.

Floral, Photography, Linens & Décor
We will be delighted to assist you with these arrangements. If you choose to make your own arrangements, please provide
us with your vendors’ names and contact information at least two weeks prior to your event. All vendors must submit proof
of Liability Insurance,Workers Compensation Insurance, and/or MA Designation of Independent Contractor certification.
Entertainment
Your catering manager can assist with music and entertainment arrangements. If you choose to make these arrangements yourself,
Inn at Hastings Park must approve all plans 30 days prior to the date of event. Due to neighborhood covenants, amplified
music outdoors is not permitted. All non-amplified music outdoors must end by 9:00 PM. Any entertainment deemed to be louder
than necessary will be subject to the event being shut down. This will be strictly adhered to and imposed by the management of the Inn.
Audio Visual
Inn at Hastings Park is proud to offer audio visual production services. Patron may select an outside audio visual/full event production
company to handle its audio visual/ full event production needs. If Patron does select an outside company, Inn at Hastings Park will,
in its sole discretion, require that such vendor provide the Inn at Hastings Park, in form and amount reasonably satisfactory to
Inn at Hastings Park, proof of insurance and any and all necessary licenses. All Patrons wishing to use an outside
audio visual/full event production company will be charged a $250.00 fee per their catering executive.
Liability & Security
Inn at Hastings Park cannot be held responsible for conditions beyond the control of the Management that prevents or
interferes with performance, such as; labor disputes, strikes, government restrictions upon travel, transportation, food and
beverage or supplies or other causes whether enumerated herein or not. All guest-contracted vendors (florists, photographer,
entertainer, etc.) must submit insurance documentation to your wedding professional within 30 days in advance of event.
Inn at Hastings Park cannot be held responsible for safekeeping of equipment, supplies, written materials or any other valuable
items in guestrooms, function rooms or public spaces. Your party is responsible to provide security of any
such aforementioned items and assumes the responsibility for loss thereof.
We are happy to accommodate special requests for all of your guests with dietary requirements. These requests must be provided
(10) ten days prior to the function. Should your guests require kosher meals, we request (14) fourteen days advance notice.

If you will be sending materials for your event, we ask that the following guidelines be observed:
Schedule materials to arrive no later than two (2) weeks prior to the groups arrival
Advise us in advance if your shipment will be unusually large or heavy or require special attention on arrival
