Globalization, technology, rampant regulation andfierce competition at every turn have made today’sworkplace more complicated than ever. This is causingprofessionals at all levels—from the mail room to theboard room—to flounder as they attempt to navigatethe escalating complexities, consistently perform at ahigh level, and achieve upward career mobility.

Because modern workplace dynamics have become socomplex, leaders have less time than ever to spendcoaching and mentoring employees, and to benefitfrom such guidance for their own professional gain. Inaddition, universities systematically churn outgraduates who have learned black and white technicalskills and theoretical concepts, but not how to aptlyprepare for, and traverse through, the inevitable“Gray Area” of a company—the environment andculture that manifests from the multi-facetedchallenges and forces an organization faces. The resultis a glut of entry-level and entrenched professionalswho are unprepared, unequipped and unable toeffectively communicate in a way that willproductively impact their career.

“While an intangible, the Gray Area is a very real

phenomenon driven by human nature, internal andexternal politics, industry guidelines, companyprotocols and market pressures, among otherfactors,” notes Vivian Ciampi, an esteemed ExecutiveCoach and Harvard Business School ExecutiveEducation department coach and facilitator. “Theimportance of learning how to effectivelycommunicate within this ambiguous environmentcannot be understated. Too many in our nation’sworkforce, both employees and executives, are ill-equipped to engage with an audience—anyaudience—with ease and intention, which is keepingthem from realizing their full potential and attain amaximum measure of success.”

With this in mind, Ciampi offers these 4 tactical tips tohelp professionals at every level become a moreeffective communicator and, in doing so, gain bettercontrol of their career trajectory:

1. Become the “Universal Translator.” The mostvalued and successful person in any business is theone that can translate facts, figures, and concepts intoactionable ideas that will not only make sense andresonate with their direct network, but also with anyand all constituents those ideas will be presented to.This includes superiors, subordinates, peers,customers, prospects, business partners and vendors.The Universal Translator does the following: steps outof their comfort zone or discipline; let’s go of anyinsider department lingo or technical terms andfocusses on the audience at hand; suggests specificways others can move forward with the informationrelative to what is important to them; and presentsthe vision, plan or theory in a way that is clear, crisp,confident and above all, ACTIONABLE. This person isso successful because of their ability to translatecomplex or technical concepts into strategic steps thatwill impact the bottom line. If others can understand,relate to and rally around what you are presenting, itis sure to yield winning results.

2. Meet before you meet. There’s few things morepainful and embarrassing than getting completelyderailed in a meeting. Many have seen it—someoneshowing up with well-prepared and rehearsed slidesonly to get completely pummeled with questions fromevery discipline in the room before they even getbeyond the intro page. Instead of moving forwardwith their agenda, they are sent ten paces back andfive paces to the side, only to leave the meeting withmore work, lost credibility, a confused and frustratedaudience and, above all, no progress on the agenda athand. If you’ve ever experienced this personally orseen it happen to another, you know it is hard torecover. The best way to counter this is the following:determine who your key constituents are relative toyour topic ahead of time; set up one-on-one meetingswith all of them at least a few days in advance of thebig meeting; socialize the topic with each of theconstituents individually; and make sure youunderstand their perspective and answer anyquestions or concerns that they have ahead of time.By taking these steps, you will undoubtedly gainvaluable information that will not only help you refineyour presentation, but also be poised and prepared toactually present in the real meeting. Socializing theidea ahead of time may feel like extra work, but thebenefits far outweigh the additional time—and thevery real risks of not doing so. This strategy willfacilitate your ability to effectively cover a lot ofground and actually garner decisions in the meetingwithout playing catch-up or spending valuable timetrying to get everyone on the same page. Effectivecommunication, speed and alignment are a few of thekey advantages here.

3. Stop, ask and listen! Today’s fast-paced workplacehas most of us running at record speed, often in circleslike we’re on a hamster wheel. We are putting outfires and have more in our email inbox than ouroutbox each and every day. The resulting pressure ofthis overload causes us to rush through conversations

so we can cross it off our proverbial “to do list” andmove on to the next triaged task. Unfortunately,plowing through important conversations will neveryield a productive outcome, but often produces morework and headaches. The best way to approach keyconversations that need a little extra finesse orpersuasion, particularly in the midst of a time-pressedschedule, are the following: stop and take a breath soyou don’t rush into your agenda in the first fiveminutes of the conversation; ask open endedquestions, such as “What’s going on in yourdepartment?” or “How has this system helped you?”Once the person you’re engaged with has theopportunity to respond, make 200% sure you areactively listening—not just hearing them—and thatyou give them ample time to convey their thoughtswithout your interjection, direction or interruption.The majority of the time, you will gain key insightsfrom these conversations and will be able to craft amore informed response—one that better resonateswith the person(s) you’re speaking with. Even if youalready know the answer or have a brilliant retort,slowing down and letting others speak first, in full,allows them to “empty their cup” which puts themin a better position to have it filled back up withwhat you have to say in response. When you dofinally have the chance to speak, keep in mindpeople only have the capacity to absorb so much. Ifwe provide an overload of verbose detail, you riskoverflowing the listener’s “cup” and may ultimatelylose the real essence of what you are trying toconvey. Stay focused on who your audience is andwhat they care about to ensure that your dialogueand key points are streamlined and succinct. Thistactic also helps build more productive, trustingprofessional relationships. The most successfulpeople in any company aren't necessarily thesmartest, but rather those who take the time tolisten and learn from others because they truly valuewhat they have to say. Adhering to this strategy willnot only make you a much more effectivecommunicator, but it will also garner tremendousgoodwill throughout the organization as you start tohone a discipline of talking less and listening more.

4. Converse with clarity. People today are inundatedwith data, work under tight timeframes, and talk inacronyms. Some technical people and otherprofessionals tend to use a lot of insider jargon andindustry terminology when they communicate,

making it difficult for anyone outside their immediatenetwork to understand. Also, incompetent peopletend to rush through important details hoping no oneelse will ask questions or notice their inaptitude, andyou certainly don’t want to be perceived in this light.Such conversation crushers can leave others feelingintimidated, out of the loop and unable to effectivelycontribute. Rather than contributing poorly to theconversation or sitting on the sidelines as the dialogueensues, a better approach is to pick the right settingand ask clarifying questions to ensure messagingremains on point and resultant activities on track. Ifyou’re not sure where to start, the basic who, what,where, when, why and how is a sensible approach. Forexample, “Why are we doing this?”; “How will thatwork?” or “Where will this help the organization?” aresome examples. The win-win with this strategy is thatit fosters clear dialogue, makes people accountable toanswer direct questions and often uncovers problemsthat need to be addressed but would have beenoverlooked had this approach not been utilized.
