Metrics should provide value not just display a number. Think about some of the metrics you have today around resources. Does your current set of metrics allow you to see items like the ones listed below?

The ability to see resource shortages and surpluses The ability to see funding shortages and surpluses The ability to see objectives being met and when

Can your metrics pass the following criteria? Does it have a direct/indirect impact on revenue? Does it have a direct/indirect impact on costs? What is the action that you will take based on the result?

By understanding business objectives and resource trends you will be able to make proactive decisions instead of reactive decisions.

Define

You know what company you work for but do you know what the overall strategy is for your department and organization?

Determine what the facilitators are and what the business results are for each item. Determine what the competing factors are as well.

Step 1 : Define Business Strategy

An organization has multiple different divisions/domains (IT, Marketing, Operations, etc). Review each area and determine how that division/domain can help meet the organizations strategy.

Link & Create

Determine what items are Customer Focused as well as Cost Related. From there you can determine what items you want to look at first.

Step 3 : Link to Organizations Strategy/Roadmap

The key is to measure both efficiency (cost and productivity) as well as effectiveness (quality and value). You should evaluate this mix of metrics in context to determine what areas are doing well versus what areas are not.

Metrics Should Be Reproducible

A lot of companies create metrics by hand, which is very time consuming and requires manual intervention/dependency. Don’t fall into the trap of needing a metric but the person assigned to create them is out on vacation.

Implement an automated process that can pull the information needed (hourly, daily, weekly) so the metrics are available when ever needed. An automated process will also allow you and your team more time to focus on meeting the objectives and determine action items to resolve any issues found.

Communication is Key

Metrics are objective if you communicate what is being measured, how and when the data is collected.

Communicate expectations on what people do when the metrics are presented. Determine the action items / next steps. Remember the goal is to be proactive, not reactive.
