Travel security
When the user accesses the MyTrips URL for their organization they will bepresented with the home screen. If the traveler has not created a MyTrips account,click on “New User? Register here”.

The user will be required to completethe following mandatory fields:• First/Last Name• Email Address (which will become thetraveler’s user name)• Password (password requirements arebased on those set up by the client inTT)• Security Questions and responses
• NOTE: If a profile has already been createdfor this user, the system will provide amessage and then present them with theirprofile screen.

If the organization requires any other information from the traveler,they will be presented with the profile screen. These questionsmust be answered before entering a trip
The user can now create a trip byclicking on the “Create New Trip”clicking on the “Create New Trip”link

When you click on “Create New Trip” the user will be presented with the following screen. Hereis where all trip related information is entered. This includes
• All Flight, Train, Accommodation and Transportation information• All Trip related information (including trip metadata and custom trip questions)• Expat Accommodations (if the customer has requested the functionality)

Once a trip has been created, it will appear at the bottom of the traveler’s profile• All trips created by the user can be updated or deleted.• All trips created by the user can be inactivated or reactivated• Trips received either through a PNR or MTE for this user can be viewed but notupdated

When viewing trips within the traveler’s card, those trips created with MyTrips will be noted (as amanual trip).

• Login– Why is the user name based on the traveller’s email address?
Every employee has one single professional email address. Using this data as the user nameavoids creating multiple accounts for a same traveller.
– How often is the password updated?Your password is updated every three months. Once you are on the traveller’s profile, you
will be requested automatically to provide a password.
• Creating Trips– « Train bookings » - Some rail carriers are not listed in the « t rain name » field (such as
Thalys, SNCB…).As of today, we capture train bookings made with the following train carriers : SNCF (among
Thalys) , Amtrak, Eurostar.For any other rail companies, we recommend that you save the bookings in the field « Local
Transportation » providing the exact names of the departure and arrival cities and registering therail carrier in the field « Name ». This will help you to cover all the train trips completed by yourtravellers.

– « Accomodation » - the complete address is not always known by the system (streetname…)
In such cases, we encourage you to provide only the names of the city and the country in thefield « Address ».
You can give additional information in the field « Additional Information / Comments » at thebottom of the page.
– “Additional Information / Comments” – additional information about the trip of the traveller– “Additional Information / Comments” – additional information about the trip of the travellermight sometimes be necessary.
Feel free to provide these details in the field “Additional Information / Comments” at thebottom of the page when you create a booking.
• Deleting Trips- How can I delete or modify trips?
You can definitely delete a trip or easily modify it by accessing the profile of your traveller.If you need to delete a booking, please click on the trash can.If you need to modify a booking, please click on the file name and make your modifications.
Don’t forget to save them once the changes are completed.
